What I like best about Webexpenses is how intuitive and user-friendly the platform is, especially when it comes to submitting and managing expense claims. The interface is clean and straightforward, which makes it easy to upload receipts, categorize expenses, and track submissions without needing extensive training. This simplicity saves time and reduces the frustration often associated with expense reporting.

Another standout feature is the mobile app functionality. **What do you like best about Webexpenses?**

I like that for mileage expense reports, that a map is included to set start and end points. It makes the maths very easy.
I also like that I can set default expense groups, so that I don't have to fill out every box each time I place a claim.

**What do you dislike about Webexpenses?**

When I don't want to claim for the entirety of my mileage, perhaps because some of the trip was for my commute or personal use, i will manually reduce the miles in the claim. This flags as an issue for my manager to have to review each month, and this takes time out of our day. I wish there was a way for me to split the claim so that even if I set the start and end point of a trip, that I can decide how much of that drive I am claiming for.

Web expenses links directly with CirpHR for us. It has streamlined our expense claims procedure a lot. Previously we used another service which wasn't reliable.

**What do you like best about Webexpenses?**

I’m not always in the office, so being able to quickly upload receipts on my phone as I go is a big help and stops things piling up later.

The mileage tracking is also a standout for me. Since I’m driving to different locations most days, being able to log journeys using maps instead of working it out manually saves a lot of time and feels much more accurate.

I also like how everything is kept in one place. Between the receipt uploads and the card integration pulling in transactions automatically, it takes away a lot of the effort of having to remember everything or double-check what I’ve spent.

Overall, it just makes the whole process a lot more straightforward and less time-consuming, which is exactly what you need when you’re busy and on the move most of the day.

**What do you dislike about Webexpenses?**

There’s nothing major I dislike, but there are a few small things that could be improved. Because I’m often travelling between sites, I rely on the mobile app quite a bit, and occasionally it can be a bit slow or take a couple of attempts to upload a receipt, especially if signal isn’t great.

The mileage tracking is really useful overall, but sometimes it’s not always perfect and I still double-check routes just to make sure everything looks right. It’s not a big issue, but something I’ve noticed.

Also, when you first start using it, it’s not the most obvious system to navigate. However if you are unsure, the customer support is great. Once you get used to it, it’s fine, but there’s a bit of a learning curve at the beginning.

**What problems is Webexpenses solving and how is that benefiting you?**

For me, the main problem Webexpenses solves is keeping on top of expenses when I’m constantly travelling between different sites. Before using it, I’d end up with loads of receipts in my van or pockets and would have to go through everything at the end of the week, which was time-consuming and easy to forget things.

Now I can log expenses as I go, which makes a big difference. Uploading receipts straight away means I don’t lose them, and the card integration helps as well because transactions show up automatically, so there’s less chance of missing anything.

The mileage tracking is also a big help for me. Since I’m driving most days, being able to quickly log journeys using maps instead of trying to work it out later saves time and feels more accurate.

It also benefits me in terms of visibility. I can check where my claims are up to without having to chase anyone, which makes things a lot easier and less frustrating.

Overall, it’s made the whole process a lot more organised and less of a chore, especially with how often I’m on the move.

**What do you like best about Webexpenses?**

I use Webexpenses for submitting expense reports for travel, equipment, etc., at my corporate job. It allows me to keep track of and archive company-related expenses relatively easily. Once familiar with it, the interface is pretty intuitive and easy to use. Picking from drop-down menus and entering info is straightforward and logical. I was able to log in and start using it right away.

**What do you dislike about Webexpenses?**

The 'mapping function' for calculating driving distance for mileage reimbursement is not great. I entered my work address, but the map is incorrect; the location it picks is not the correct one. It also forces me to select the shortest-distance route, which leads to using toll roads that I would rather avoid due to the cost. When I try to drag the route to change it, the map seems to malfunction, suggesting inefficient routes. This is frustrating.

**What do you like best about Webexpenses?**

The standout feature for me is the mobile app’s OCR (Optical Character Recognition). Being able to snap a photo of a receipt right after a meal or a taxi ride means I don’t have to hang on to a wallet full of paper receipts.

**What do you dislike about Webexpenses?**

While the interface is generally clean and easy to use, it can start to feel a bit repetitive when you’re submitting multiple similar claims, such as daily parking or recurring travel. An “auto-save” feature would be a great addition, since right now you sometimes have to remember to click Save manually before switching to a new tab, and it’s easy to lose your progress if you forget.

**What problems is Webexpenses solving and how is that benefiting you?**

Before Webexpenses, our team relied on manual Excel sheets and physically handing off receipts, which often resulted in misplaced paperwork and slow reimbursements. Now the entire workflow is digital, and it has significantly reduced the “personal cash flow” issue because claims move through the approval chain much faster. I can also see exactly where my claim is at any time, whether it’s pending with my manager or already with Finance, which adds a lot of transparency.

**What do you like best about Webexpenses?**

I use Webexpenses for claiming business mileage in my private car. I don't have to keep track of my mileage anymore because it allows me to enter the postcodes of places I've visited for work. It calculates the miles traveled and automatically calculates the allowance. It's very easy to use; I can just enter the postcodes that I have traveled to for work and see that on a map for verification. If I have made a mistake, I can quite clearly see on the map that I did not travel that far. Also, I can see the history of expenses claimed to check if it's roughly the same each week. The initial setup was very, very easy.

**What do you dislike about Webexpenses?**

I would love an ability to create a template that I can use each week because I have to enter the same start and end miles every time, which is kind of repetitive. Also, having a list of places I have visited previously and the ability to just click on those for new claims would definitely make things more efficient.

I use Webexpenses to claim business mileage without tracking manually. It calculates miles and allowances by just entering postcodes. I like the map feature for accuracy and expense history to ensure consistency.

**What do you like best about Webexpenses?**

I use Webexpenses for business and personal expense claims. I can keep track during the month to ensure I stay up to date, and I find the suggested route mainly accurate when submitting a mileage claim. I like that Webexpenses is easy to use and the ability to archive previous submissions to keep the active desktop clean, which suits my preference for an uncluttered environment. After an 18-month break, I was able to pick up from where I left off with historical claims information still accessible. The initial setup was easy as it was pre-installed by IT, and my account was created by the expenses team.  I find having the corporate credit card linked into the app a benefit so all business expenses are with one programme.

**What do you dislike about Webexpenses?**

I would like to be able to hold more postcodes in the favorite section when completing a mileage return. It would be good if it defaulted to the registration of the vehicle I use rather than having to enter each time. When reviewing a receipt, load time could be a little faster.

**What do you like best about Webexpenses?**

Compared with the previous systems I’ve used (manual processes and potential competitors), I find Webexpenses easy to use and intuitive. It keeps the whole process straightforward, and I really like being able to see everything laid out in front of me before I submit. That reduces the worry that something has been missed or entered incorrectly.

I have also had positive experience with customer support, who have solved minor niggles within a matter of hours.

**What do you dislike about Webexpenses?**

I’ve had no issues with Webexpenses. One minor point is that when I use the app on Android, some features don’t seem to be implemented, such as being able to make certain edits to an existing claim. That said, it’s probably more a case of me being too lazy to get my laptop out!

**What problems is Webexpenses solving and how is that benefiting you?**

I use Webexpenses as an employee who travels regularly and often has lots of small, random receipts to claim back. In the past, this was something of a nightmare: collecting receipts, storing them, making sure they didn’t get lost before scanning and uploading them, and then adding everything up and working out the VAT. Webexpenses takes care of all of that, and after taking just one photo I no longer need to hang on to the receipts or invoices.

**What do you like best about Webexpenses?**

I like that everything is very easy to use, that everything is very self explanitory. We had a few teething problems with the integration and that webexpenses were not the most forthcoming with our issues and being available when needed. I would say its on the whole reliable and does make day to say tasks easier. I think that webexpenses is affordable and does the job that is required for the money spent.

**What do you dislike about Webexpenses?**

There isn't much i dislike about webexpenses, the only thing i can think of is that the team are not readily available in implication and had to wait for meetings constantly which meant the launch date had been pushed back. Also the middleware used between webexpenses and sage is not the easiest to use.

That people are taking responsibility  for there own expenses and credit cards, more receipts and makes VAT more accurate

I like how Webexpenses solves a lot of my problems. It speeds up processing and cuts admin time with its automatic calculations. I appreciate the built-in validation and policy checks, as well as the real-time tracking of expenses. The dashboards and reporting features are useful, as are the controls for mileage tracking. It also integrates seamlessly with Xero. My top problem solver is definitely the mileage claims.

Not being able to go back to a previous screen during reporting - you have to run the report again. The initial setup was not easy, as there was a lot of prep work required for the building to commence.

As a user I appreciate how the UI gives me clear statuses for each expense. I also appreciate the integrations that allow it to help finance pay me in a expedited manner - I have placed many expenses that have moved to payment very quickly.

**What do you dislike about Webexpenses?**

I dislike how the UI feels a bit dated, and all the padding and layout feels a bit uneven and off. I also struggle with the multiple panes inside a claim. There's the sidebar component, and the preview component. The preview component at points opens into two horizontal panes too. Loading each of these requires a loader.

From inside a receipt on a claim it also isn't easy to open and view the receipt full screen.

I like how Webexpenses makes the whole process of submitting bills to getting reimbursed straightforward and easy. The interactive dashboard is a standout feature for me, providing live updates about the status of my claims. I also appreciate that all the bills submitted are stored in the app itself, which is convenient if I need to cross-check. The initial setup was extremely easy, thanks to our dedicated IT team and the in-app tour, which made setting up the account a piece of cake.

The only negative aspect I can think of is that there should be a dark theme option.

It's great that I can use the app to import photos straight to the app. I like how detailed and straightforward it is to use, and it's great for managing expenses on the go. I like the format and layout of the website. It’s easy to view both past and present expenses, and all stages of the process are clear and straightforward. The colours used across the site are engaging and enjoyable to look at.

The way the text boxes move when I first open them is slightly annoying. Aside from that, everything else is user-friendly and easy to use.

Once you get to grip with what to do its very easy to use and add new expenses to the system.

The interface is user friendly and does walk you through the process off adding expenses, its quick and simple to do milage which is the main area i use, you can add multiple vehicles onto your account from private to business so its really flexible to make sure you input your expense correctly.

You get a long winded email on updates, you have to read and search for the key bit of information it is trying to tell you, something more simple and graphic would be nicer.

I found the initial setup of Webexpenses fairly easy and appreciate that human resources helped me set it up.

**What do you dislike about Webexpenses?**

Webexpenses sometimes messes up and does not reimburse me the full travel amount. It doesn't calculate the correct amount when I travel from one destination to another. For instance, when I travel from Maryville to Knoxville or from Carowinds Circle, it gives me the wrong amount. It's supposed to be $12 or $13, but it only gives me $4.73, which is not a lot of money. It's hard to explain, but the distance calculation isn't right.

Webexpenses sometimes messes up and doesn't reimburse me the full travel amount. It does not calculate the correct mileage reimbursement for my travel from Maryville to Knoxville, giving me less than expected.

There are multiple routes to a destination depending on traffic so need to be able to select the right one.

The mobile app is fairly simple to capture images and assign to expenses once you figure out the interface, which is not completely intuitive - it overcomes a lot of the headaches with the web based version.

**What do you dislike about Webexpenses?**

The user experience is not what it could be.  On laptop/web view, when you enter an expense, and want to add receipts, it essentially closes the line item and then drops you in another section of the software where the receipts are.  If you've already uploaded a pile of receipts, sometimes it finds them, but often it doesn't - and there is no easy way to just pick from that list without having to exit the expense line item you're working on.  So this workflow really doesn't work at all.  It seems you can only make this kind of work by uploading receipts - and then from that receipt, enter information and add it to the report.  But this too requires on every receipt, going back over to the line-by-line report - only to then have to go back to the receipt pile to make the next entry.  It's just badly designed and should not be split up like this.  Dates are also poorly handled - the system cannot figure out how to manage European vs. US dates very well, leading to constant updating of auto-imported content.  Recently I also had every expense default to AUD instead of USD - which could be a very costly error given the difference in exchange rate.  I couldn't find any way to fix this.  On the mobile, once you understand the unlabeled interface and just go from the "+" it's generally efficient if you just photo or upload receipts direct from your phone one at a time and then fill in all of the information around them.

It replaced paper excel sheets that were far more difficult - but it's got a long way to go to be something that is truly a good tool.

The forex expenses are a bit unclear. For example, in a GBP economy, if I buy something in USD there’s a conversion rate and  non sterling transaction fee. When I’m claiming, it would be much easier if both of these were shown together on the same page for that expense, so it’s clear what’s included and any duplication can be avoided.

Also, the expense receipt upload screen has two separate areas, which is confusing because it isn’t obvious what each one is for (please don’t make people overread). On top of that, the “Back” button is confusing too. A save/continue option like “Proceed” or “Upload expense” would make more sense. Typically, “Back” suggests reversing what we were doing on the current screen, and that’s not what we want here. Unless you’ve used it a few times, that screen is quite confusing to navigate. So unless you have used it a few times, its quite confusing to navigate that screen. 
The split doesnt adjust the percentage when the amount is adjusted, sometimes it adjusts the amount. it needs to be the other way round. Is date date of purchase of todays date .

I use Webexpenses to process expenses, especially travel costs for my job, and I find it really easy to use because it's a cloud-based system. It's quite intuitive and keeps all of my claims in one space, so I can see historical claims as well. This helps me track how my expenses are going per month, per quarter and per year. I can also see trends of how things are changing from one year to the next. Having all the receipts stored in the system means I can get rid of paper receipts, which is really helpful. Uploading the receipts can be a little bit clunky at times. I’d usually end up with a pile of receipts in my bag or car and have to sort them all out later, which was a pain.

Now I just upload things as I go, usually straight after I’ve paid for something, which makes it a lot easier to stay on top of it. It’s especially helpful when I’m travelling between different locations because everything’s logged there and then, rather than trying to remember it all at the end of the week.

I also like being able to quickly check where a claim is up to. Before, I’d have to chase it or just wait and hope it had been approved, but now I can see the status without needing to ask anyone, which saves time.

Clean, clear interface. I find it easy to navigate and it suggest where you have missed or need to add information making it easy to proceed. I find the performance good, only slight delays at times. The integration options are not something I typically benefit from but can see the value for the cost of the solution.

I have not had to use support at all due to the simple UI, my only concern that I have noticed during some of my worldwide expenses is where I am uploading an invoice against a payment on my CC that does not fully align as I have a GBP and USD fee to contend with, there is no way to map both to the same invoice.

**What do you dislike about Webexpenses?**

I find the receipt aspect can be clunky, asking you to move receipts across to claims to position them but it could be made simpler i feel. I also noted on my last answer about foreign fees being split on a CC approval, this means I have small fees on a CC expense that I cannot align to an invoice.

I like how the overall experience with Webexpenses is very easy. The credit card return system is fantastic and makes everything very simple. I also appreciate how simple it is to handle mileage claims. Using the map feature to input starting points and destinations, which automatically works out the cost, is very convenient. I can adjust the route cost if needed. The app, which I use on my iPhone, makes it quick and easy to manage all tasks, contributing greatly to its simplicity. Everything works well together, including the mobile app, and it's easy to use once set up.

**What do you dislike about Webexpenses?**

I find viewing receipts quite difficult. If you go into the receipt section, you can see them quite well, but if you look on the cost lines, it will expand the receipt but you can't seem to zoom in on itvery well. When you try to do that, it goes away again. It could have a better feature for viewing receipts.

For when you're putting in the mileage, the mapping and navigation are terrible. I'm not sure why they use such a terrible mapping system. They should use Google Maps because it's far easier. I don't know if there's a cost involved with that, but it's horrendous. We live in Ireland. You have to use the eir codes. Otherwise, it doesn't find anything. You just type in any other address or anything. It only goes to, like, if you say, somewhere in Cork. It literally only just goes to Cork. It doesn't go even if you put the whole address. So that needs to be massively improved because it's terrible.
