Zapier allows a small business owner to operate on a large scale. Automating busy waork, making your data instantly useful on a number of platforms and keeping your organizations backend running smoothly.
The automations are easy to set up. The sheer amount of connection available makes it rare that you can't find a "ZAP" that works for you. For real estate when time is of the essence, I like knowing my clients and collegues get a response in a timely manner even when I'm unavaialble. My data being sent to multiple platforms saves me a great deal of time and expense that would normally require staff. Once you set up a good set of automations, your time can be better put to use on more complex office processes. Currently, we use Zapier with Grist Spreadsheets via webhook to update our dashboards, agent profiles, and CRM. I’ve been a paying subscriber of Zapier’s chatbot platform for months, shelling out significant money with the expectation of a reliable service. The first time I needed it to perform—during a demo with a major prospect—the entire platform failed miserably. I experienced constant errors claiming that the connection with OpenAI wasn’t working. This wasn’t just a one-off glitch; it happened multiple times last week as well. I opened a support ticket, and after several exchanges, I was told that the API issue had been fixed and that they couldn’t reproduce the problem.
Fast forward to today: after testing the chatbot extensively over the weekend to ensure everything was working, I launched into a high-stakes demo with a whale prospect. Within the first few minutes, the same embarrassing errors reappeared. This wasn’t just a minor inconvenience—it was a disaster. My prospect completely lost faith in the demo and, by extension, my company’s capabilities. The outcome? Tens of thousands of dollars in potential revenue down the drain, all because of Zapier’s unreliable and overpriced platform.
For the price they charge, I expect flawless performance—not this kind of amateur-hour fiasco. I want my money back. I want this issue actually fixed. And I want a full year of service for free to make up for the lost deal, or I will never use this platform again. Right now, my trust in Zapier is non-existent. I wouldn’t recommend this service to anyone who relies on a chatbot for serious business.

Every time we needed to move something from one place to another, it was a mess, until Zapier came along. We managed to create "Zaps" (automations) that make applications talk to each other without writing a single line of code. Now every time we receive an email with an attachment, Zapier automatically saves it and notifies us. It’s like having a personal assistant do the work for you! We can connect almost anything with anything else: CRM, spreadsheets, marketing tools, e-commerce... everything, and it’s done in the background without me moving a finger. A Zap was set up a few months ago to have tasks automatically created if a certain email was received. Even though everything appeared to be in order, we discovered that we were receiving duplicate tasks. The peculiar format of our activation emails led Zapier to misunderstand them. Hours were spent testing and verifying the settings before it was fixed. It was annoying, but we figured out that the software is simple to use, but that complex automations often force users to experiment until they find what works. During a recent attempt to integrate a donation platform with a CRM (Givecloud to Virtuous) we ran into repeated issues. Granted some of them were due to the test data that was coming through from Givecloud. Zapier support felt non existent though. Eventually we got the zap working but couldn't end up using it because of a field mismatch that was unable to be resolved due to what Virtuous allowed us to sync fields to. I like Zapier because it connects with my open talent platform. Once it's connected, it helps us to identify new users on the platform, so they become leads for our commercial team to act on. It has options for us to connect different platforms we use together so that we can automate our tasks easily. We use it to collect information from customers, keep track of things in spreadsheets, automatically tag customers in our email database, and send automated email notifications internally. Sometimes it has issues with pulling certain fields when we take information from orders in our shop. I'm not sure, but I believe it has to do with international customer zip codes.
