What do you like best about RocketDocs?

After over 20 years of using different RFP database management systems, I am impressed with the usability and ease of organization in the system. The speed with which my team can locate and update responses is impressive. RocketDocs also seems to be in a period of time where they are introducing new features quickly that extend the functionality. Examples include consistent improvements to reporting and administration aspects. We are a large organization pushing past 1,000 records, and the Libraries and Taxonomy structure (including freeform tags) are beneficial with data management.

What do you dislike about RocketDocs?

As the system is in a period of impressive growth, many of the negatives that may have been present once are being quickly replaced with positives. The company is very responsive to user input and feedback. We find them quite open in communicating where they see future improvements - and then acting upon them quickly. There is nothing that we need the system to do that it does not do. And we are likely not using every aspect of the system - so we have room to grow as well. Recommendations to others considering RocketDocs:

RocketDocs is a strong company with a long history of innovation. Their system, formerly PMAPS, has evolved every year. From server-based, to the early online plug-in integrations, to fully web-based, to the responsively designed system you see today. There are undoubtedly other vendors in the space. My advice: conduct your due diligence, review each system, and know how your specific team uses RFP databases today and what they need in the future. Come prepared for a demo or sales call with your current pain points, gaps, and needs. This preparation will help RocketDocs craft a demo that reflects your unique requirements. What problems is RocketDocs solving and how is that benefiting you?

Problems are the same for all RFP teams: finding the correct data at the right time, and organizing data into useful Libraries and subtopics. RocketDocs allows us to manage more than 10 different lines of business and keep our data organized and structured. The use of freeform Tags for each record is an excellent advantage for each user to tag items as they see fit for easy locating in the future. As a manager, the Reporting allows me to review the productivity of each team member and review when responses are outdated and in need of SME updates. We can maintain a comprehensive list of SMEs and their direct managers using custom fields without assigning each SME a login. For many organizations, getting SMEs into the system is difficult, but getting them on the phone to answer a quick question is much easier. Review collected by and hosted on G2.com.

What do you dislike about RocketDocs?

I look forward to the migration to the new environment. I sometimes found the current UX design not very intuitive, but once you got used to it, it was easy enough to navigate. One technical issue I have had is that sometimes, I would like to edit attributes of an RFP that I've uploaded to RocketDocs, because I've noticed an error in my original upload, but so far, I have not been able to figure out how to do that. RocketDocs helps us to ensure we provide consistent responses to similar questions for all RFPs and DDQs as applicable. We needed clean templates for our various solutions that we could quickly export for customer-facing proposals. We have a dozen or so templates that we're using to rapidly create solutions, export them as a Word file, do a final line edit and distribute to the customer. What do you like best about RocketDocs?

We love this system for content management. We have been using it for >5 years now, and the categorization and sorting systems are very intuitive and helpful. It is also very easy to add and edit new content. Additionally, we love the compliance approval feature. Being able to send it out through the database and have it reviewed and approved without having to pull everything out and email it to compliance makes our lives much more manageable. What do you dislike about RocketDocs?

My only real qualm with the system is the search functionality. We have learned to manage it by putting quotations around a keyword we know is located in a specific response. However, if we were to type in a relatively vague search phrase, the system returns a large number of responses, many of them seemingly unrelated. The problem is that it searches for each keyword individually instead of finding responses that address all or some of the keywords together. This is an improvement that I would love to see made. Content management and organization is made much easier by RocketDocs. We can store all responses, new and old, in one database where we are able to leverage them for any needs that arise in a proposal or questionnaire. In the past, we have had to search through old proposals to find language used to answer a similar question, wasting many valuable hours. Now, we can use a keyword search on all of these old proposals and streamline this process. I can only imagine how many hours we've saved as a result of this efficiency. What do you like best about RocketDocs?

My customer service representative (Betty) is always available to answer questions, jump on a call to work through issues with me and keeps me up to date on what is happening with new tools/migration efforts. In addition, RocketDocs is constantly providing updates on what is happening with the evolution of their system. They recently hosted the RocketCon (virtually this year) and it had some wonderful insight, not just about RocketDocs, but also to help individuals manage in their everyday work lives.
