The search engine is a machine-- so narrowing responses down to the degree you're looking for may require a bit more fine tuning than initially thought.

the tool has been a huge timesaver for us, easy compliance matrices, starter content for writers. It has definitely provided a more efficient less stressful approach to writing proposals.

i would like a voice driven capability- example: upload file xyz from my downloaded files folder, analyze the file and find me representative past performance that we have and  which partners we used for similar efforts.

We are a collect of small businesses, we have limited resources and time. It has really changed the way we are able to respond more effectively and efficiently. we save an estimated 30%-35% per proposal  and 70% for sources sought efforts.

I like that they've evolved from just an RFP platform to a more comprehensive response management system. The ability to handle different types of content, beyond just RFPs, is a big plus. It makes it easier to keep everything organized and consistent.

While the platform is great, the user interface can sometimes feel a bit complex for new team members. It would be helpful to have a more streamlined or guided experience for tasks that are less frequent, to make it easier for everyone to use without a lot of training.

Good support from Customer Success Manager and Technical Support. The user interface is simply designed, clear, and easy to understand in operation.

Clear visual separation in the section overview from the individual documents is not present, which makes it difficult to maintain an overview, especially with larger tenders (collapsed view missing). Missing consideration of the section input in the content library in the recommendations for a project.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

No multiple use of texts in already submitted offers, we can now change that with the Content Library. People no longer have to constantly reformulate or come up with texts and responses, but can easily incorporate them through collaboration. Simplified collaboration of individual bid members, as they can now answer everything through a single interface and do not have to jump back and forth between documents.

Responsive helps us reuse prior content better than anything I've had before, and organize a proposal before moving it to MS Word for final production.

The Q&A format doesn't work as well for responding to Government RFPs - it tends to break things up too much and makes it hard to get a broader view of the proposal being written.

Reuse of content is difficult if spread across numerous Word documents; Responsive lets us centralize it into one place and search for fast retrieval.

Two things: 1. The ability to have AI write up answers to questions for RFPs as a start. 2. The ability to save sections to use for other RFPs and not have to write them up or go find them in an old RFP from before.

No real issues with the platform. I joined a new company that uses Responsive and have been drowning in RFP work and Responsive cuts my time by at least 50%.

My org responds to many robust, complex RFPs as a part of our sales process. Hundreds or thousands of line items, technical specs for softare packaging and pricing, etc. Responsive as a workflow tool is a great application for assigning work, tracking progress, and keeping everyone accountable. The real value driver is the AI suggested responses. We have created a data source for all of our product, support, and technical details and responsive can use AI to generate answers for questions based on the data input. You can even add to the prompt, so the tool will take your guidance and blend it with the source information. This really saves so much time - it's a great app.

The platform is a great tool to centralize all of our RFP content with flexible options to organize and tag the information all in one place. The Q&A pairs are invaluable for our RFP answering process.

Some features for the sections are confusing and not helpful for us. For example, grouping sections is a static response, meaning that if any of the section descriptions grouped are updated, these updates are not reflected in the grouped response, which can create some discrepancies.

Responsive centralizes all of our RFP responses and the content created throughout these activities. We are easily able to search and retrieve information from past responses to quickly generate and respond to RFPs.

- Has trouble with complexly formatted RFI documents. Mapping the RFI into the system to prepare your response can be very tricky and time-consuming. I'm not sure that any competitor has solved this though. It's largely a function of the illogical formatting that is used by clients in the build-out of these assessment tools.

Centralizing the RFI response process. Creation of a library for all content, as well as the tools necessary to delineate content updates to the applicable subject matter experts. Review and content update alerts are convenient and create accountability.

RFPIO is easy to use to upload RFPs and it provided an easier life for Sales Engineer who needs to search for model answers and completing RFPs. We did not do much/any customization to get RFPIO working. We use it quite frequently when there are RFPs which we will need to fill in.

Not much, most of the features and functions worked ok without customization.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

RFPIO helps to provide a centralized repository for RFPs as well as the responses to RFP. Without RFPIO, we might have different responses across different RFPs asking the same questions, and also, we might frustrate internal teams asking same questions across different RFPs.

Sometimes there are some hangs up and that sometimes tags and language tags disapear.

The best part of RFPio is the ability to collaborate in real-time with other users at the company. It allows SMEs from across the nation or even the globe to bring the best answers together. And... those answers can be inputted directly in a live answer library that everyone can use. 

If that wasn't enough, the user interface is clean and easy to navigate. This truly is the new age of RFPs and has revolutionized how our company tackles proposals.

**What do you dislike about Responsive, formerly RFPIO?**

Any user would be hard-pressed to find anything to dislike about this product. After two years of using it, I can't think of any downfalls.

**Recommendations to others considering Responsive, formerly RFPIO:**

Just do it! You will not regret it.

One thing that was helpful for our company was interviewing SMEs within our organization prior to onboarding teammates so that we can a library of great new content that our folks could immediately pull upon entry to the RFPIO platform.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Prior to RFPIO, we were re-creating the wheel and spending time, energy and resources doing it. With RFPIO, we saw an immediate uptick in our sales team's engagement in RFPs, better win ratios and incredible time savings. The analytics don't lie and the results are incredibly impressive.

Very useful for storing content that will be re-used often, and also for drafting and organizing language and projects. Additionally, I like that the workflow allows for reviewers to add comments and/or approvals on drafted language, and DDQs.

Sometimes the nuances around who can be tagged to a project when it is being created, and when projects are closed (and therefore can no longer be edited) can be frustruating.

It contributes to our sales/presales processes immensely. What I like about Responsive is the ability to import/export huge chunks of data quickly and easily.

Those huge chunks of data are sometimes a bit "wobbly" in the sense that when you add too many filters, the interface occasionally gets confused and doesn't display anything.

It's a single source of truth for all of our customer-facing data. It benefits me in a way that it quickens our processes, giving us the ability to find everything in one place as opposed to scattered all over the internal network.

Search option: Instead of serching the content from multiple documents . The tools helps to generate and fetch the responses by using the key words. 

AI responsive addon: This is in initial stage the model need more data and training to provide more accurate results.

It is the protocol for any organization to have a certified vendors with certified security compliance. This will be provided by vendor security team or pre-sales team who will be connecting to their clients or often called as leads.

while I do not see any downside to RFPIO, they can reduce no of screen or pages to create one ticket.

Traditionally, reaching out to concerned team via email is tedious process as we do not know who is authorized to provide such delicate information. RFPIO helps in creating ticketing system based on the requirement.

Sometimes as a collaborator I get too much of notifications if the project is not set-up correctly by the project owner

It helps to easily import the RFP questionnaire that we receive from prospects and helps to prefil the answers that we have already pre-populated in our database in Responsive and also allow to edit the responses based on the feedback provide by product owner, SME's etc which not only allows to customize our response to the latest and timely manner at the same time have to update the answer in our database in Responsive.

Integration with internal Knowledge management tools gives better output. The backend LLM is trained with the KM tool data improved accuracy.

As AI accuracy comes with maturity of the model. It does have AI hallucinations when the ask is complicated. Needs more accuracy in auto fill feature when we are using VDDs

The importing and exporting of questionnaires could be a little cleaner. But it is still good.

It makes the team more efficient. Responsive helps us meet our SLAs. In the ever evolving security landscape. SLAs are being shortened industry wide by demand. Responsive helps us meet those demands.

Now, we can search more based on products, filters have been improved, thorough search through database has been improved significantly.

The AI features are my favorite part of the system.  To be able to have something that scrapes your data and comes up with responses from all the QA is great.  Sometimes answers and questions aren't the same as what a customer puts in and rfp but the AI solves that challenge.

There are lots of features that need to be enabled on the backend by the company that a lot of people don't even know about to make things work.   The help people need more training on things like that.

The ease of adding to the content library and updating content is amazing. We also found it very easy to create templates within the system and build our own custom templates into the platform to create branded documents for each proposal. 
We also recently had to merge two platforms due to an acquisition and the professional services team was amazing. Extremely helpful and organized; making it a much easier process then expected.

**What do you dislike about Responsive, formerly RFPIO?**

We cannot format the Q&A so it directly matches the fonts that we use in our templates. This means eveything we bring in as a cut & paste from the library - has to be formatted again once it is in the proposal.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

It heps us to have one source for all content; making us more confident that what is going out the door is correct. It also saves time on RFP responses as we don't have to reach out to as many business units for content; there content is already in the library.

I like the possibility to use an AI tool and define a library where find the answers for future jobs.
I like also the style of the files loaded on the software.

I think that switch from a tool from another will take some problems. 
In this change management phase I think that every user need some time to be confident with the tool. I don't see any particular thing to dislike at the moment.

The possibility to collaborate with collegues of other functions with a self-confident interface and an AI tool to help me in define the future documents.

Responsive's efficiency, innovative features, and excellent user experience make it an indispensable tool for businesses looking to streamline their proposal processes and enhance their productivity. Additionally, the customer support team, Product team, CSM's and training team are incredible. They are always quick to respond, provide solutions or work on product enhancements to continually address the needs of clients.

**What do you dislike about Responsive, formerly RFPIO?**

Requirements Analysis is the least utilized for our company currently. It would be beneficial to be able to prompt the tool to shred a document using specific prompts, and ask to sumarize in a specific word count. Much like CoPilot. I.e Sumarize Scope of work, deliverables, experience in 300 words.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

1.) Improved proposal workflow - email reminders, tasks 
2.) Content Library - ease of finding content 
3.) Creating presentations from templates in PowerPoint using LookUp. We are already seeing time saved on proposals, start to finish. 
4.) AI Assistant and ASK- helps to quickly pull valuable content within Projects, MS word, emails and more!
5.) The tool is allowing the team to collaborate more efficiently better instead of sending emails back and forth all day. It allows us to collaborate in one centralized place.
