The Ideagen Quality Management system is user friendly and easy to navigate. The wizard functions provide pre-templated step by step processses which makes entering data a swift process and ensures the user doesn't miss anything vital. I have found the changes to the customer support service frustrating. We used to be able to phone direct through to customer support agents who would assist you there and then. It is now much harder to get through to anyone and most times you are required to send in a video recoding of the problem before someone will get back to you by email. Easy to use, configurable by the user to suit different needs. Supports with our UKAS accreditation and has a useful email notification system. Having used it at several labs in the UK it is definatley recommended as a QMS for pathology use. Review collected by and hosted on G2.com.

What it does, it does well. Tracking audits and assets is easy to set up effectively acting as a database and covers the basics of QMS. Very easy to set up and get started as it is a simple system to get used to. History tracking and workflow approvals are straightforward and make the management within different modules much easier. Hard to implement complex functions and there is minimal support out there to assist.
UI is very dated compared to other competitive systems which makes some aspects hard to visualise and use.
It is also hard to integrate to other parts of an IMS system that may be running different software which limits the overall applications if you are further ahead in managing documentation and advances in ERP systems are improving on some of the functionality and combining with other data sources to make a more encompassing system.
Manual aspects that do not have alternatives such as keyword setting for documents where any user can define any keyword they like and this cannot be standardised or automatically generated so searching through documents can be a painful experience without very high staff discipline. Following the transition of Qualtrax into Ideagen, it is clear there's a continuous effort to improve the software. Once again there's hope that feature requests may someday see the light of day. Implementation for documentation control could not have been easier and our team uses it on a daily basis. During the acquisition and transition of Qualtrax into Ideagen, we were cautiously optimistic to see the quick and very successful customer support continue. However, it seems we've lost some of the technical knowledge base and support is slower and less successful than before. Review collected by and hosted on G2.com.
Once you get over the learning curve, it is easy to use. It is easy to monitor procedures that are overdue or becoming overdue for review. When roles are changed in the organization it is pretty easy to make the updates for the owners, etc. of the different modules. Review collected by and hosted on G2.com.
It is a little annoying how quickly the logins expire, but that might be configured by us. With the word plugin installed, I somethimes find it difficult to edit documents even when they are checked out. Review collected by and hosted on G2.com.
Once you understand how to navigate the client version it is easy and modules can be used for different things, e.g., the audit mmodule can be used to schedule reviews, assessments etc. I use the system almost everyday and although the client version looks quite dated it operates well within the parameters set. We have recently reviewed the web version of IQMS and was disappointed to find that not much had moved on since first assessing this in 2023. The functionality being offered does not match never mind make improvements from the client version and at a loss as to why Ideagen would promote this in its current state? Some of the issues we picked up are frustrating particularly as we spent a long time setting up our structure on the client, for this not to be the same in the web version. One of the main user functions for our organisation is to make searches easy, and the way it had been set up on the web version made searching impossible.
Customer service has been patchy, with lack of communication through to the other extreme where we have had excellent technical support and advise.
We are currently waiting on timelines from Ideagen for when they will be able to implement fixes required to address issues found and until then we cannt proceed any further with the web version which is disappointing especially as this is the second attempt to do this. Qualtrax has a lot of great features and our organization mainly uses it for document control. It really simplifies the documentation process required for ISO 9001:2015. Review collected by and hosted on G2.com.
The licensing fees are way too expensive. Granted, we are a small organization. Im sure its better suited for larger clients. Review collected by and hosted on G2.com.
