The #1 reason families did not complete the admissions process was because of the admissions checklist and EMS. Visually, it looks very dated. Families do not know where they are in the enrollment process, and the system does not communicate their progress with them so we do it manually. Events registration/forms include many mandatory hurdles that cannot be removed to make it simpler or nicer looking. We have to make up for the confusion and look through direct communication outside of Blackbaud EMS.
It is clunky, there is a surprising amount of manual work for such a big system. Reporting is very inconsistent, everything from the checklist to the forms is built in certain ways that generally make the user experience more difficult, and cannot be customized to work differently or to be simplified. Support is not easy to get at all, usually you are stuck with a chatbot. Maintenance is high, many things would break due to a setting here or there over time and need to be revisited. The process allows for users to easily upload report cards and apply for themselves. The checklist we can assign assists the users on how to create their applications. It eliminates the need for paper copies of grades, transcripts and applications. Review collected by and hosted on G2.com.
The backend can be difficult to use for contract building and assigning families to payment portions. I'm not a member of the admissions team but the IT department has had to serve as a help for admissions because the backend options to building contracts and assigning them can be difficult to grasp for non tech people. If you have the rest of the Blackbaud K-12 Education suite, the Enrollment Management tool is very helpful. It's one database that all your school constituents become a part of from day 1, when they show interest in your school and inquire about the application process. Once they create an account via the Enrollment Management tools, it is easy to mark them as a candidate, interviewed, reviewed, fees paid, waitlisted, accepted, denied, etc. These same constituents would then feed through to the learning management system in Blackbaud, or you'd be able to export them out as well. Not intuitive and documentation is usually to general. Our organization has asked for a flow chart to help with data clean up and streamlining of our processes (which are slightly different as a community organization than a school) and with tracking the metrics most imporant to us, but we have yet to get one. Frustrating to have limited access to enter tickets for issues that come up outside of standard customer service hours or issues that we've been advised to enter tracking. Appreciate the seamless integration into Tuition Management. We can enroll our families smoothly which is helpful with the large volume of students our institution enrolls.
