We use when to work for our facility shifts. It is clear and easy to use, organizing our schedule in a clear way. There are multiple features in this program and many different view options. Review collected by and hosted on G2.com.

I love that I can customize when to work so much. I can change the schedule, which workers it shows, who gets what permissions, and what types of jobs people can do! I also love their report feature. I was able to estimate my department's budget for student worker funds to the dollar. It's useful for so much and very underrated, in my opinion. Students can also request vacation time through the program and personalize their availability; however, if I need to have control over their availability myself, I can take away that permission. I get very frustrated with the "future repeating weekly" and "date specific" options for availability. I don't see those specific types of availability until the actual day they happen, so if I'm scheduling ahead, it makes for a huge mess. I have had to tell my students specifically not to use those options. They just cause headaches. I personally also wish I could turn off the "dislike" option for availability. I would prefer only to know when they can work and when they can't. I treat dislikes as a time they cannot work since I've had so much trouble with it in the past. When To Work takes the in-person communication out of the workday as it schedules online. Online scheduling is good and bad when it comes to employee settings. The most helpful part of When to Work is the ability to see all of my assigned shifts and important messages from my boss in one place. I am always able to tell exactly when I need to work and what my boss wants me to know in just a few taps. This truly is one of the best apps for workers in any company, large or small. My least favorite part of When to Work is the amount of menu screens it has. It tends to "hide" things under 3 or 4 menus that are not always the easiest to navigate. To find open shifts to pick up, for example, I have to go through 4 different screens until I am able to pull up the date that I want. It is so easy for employees to set preferences, request time off, and trade shifts. The bulletin board and direct message features are a great way for the staff to communicate on a work website, instead of needing to exchange phone numbers. I really like that the program sends me an email when my shifts have been updated/posted for the next week. I also like that it shows me other shifts that are available for picking up if I ever have to time to pickup some more shifts. It’s super easy and clear to read everything, whether it’s when I’m working, how many hours I’m working a week, or when I could possibly pickup shifts. I dislike that sometimes the shift trade board looks a little jumbled up and crowded, making it a little hard to read sometimes. However, this only happens when a large amount of shifts are on the trade board, which doesn’t usually occur for me. Review collected by and hosted on G2.com.
