  ### 1. Whale Keeps Department Training Organized with Boards, Libraries, and Playbooks

**Rating:** 5.0/5.0 stars

**Reviewed by:** Ketan T. | Environmental, Health and Safety Manager, Mid-Market (51-1000 emp.)

**Reviewed Date:** April 20, 2026

**What do you like best about Whale?**

Boards, Libraries and Playbooks help to keep company training in one place for each department, and it lets you generate videos, SOPs, and quizzes for each topic, among other materials.

**What do you dislike about Whale?**

So far, there’s nothing I dislike about Whale. I can’t think of any issues or areas that need improvement at the moment, but I’ll definitely share feedback in the future as part of the improvement process.

**What problems is Whale solving and how is that benefiting you?**

The product we were using for documents, training, and tracking wasn’t very efficient. Since implementing Whale, everything is now in one place, and it feels much more efficient and well managed.

**Official Response from Stijn Smet:**

> Hey Ketan,

This one was a joy to read. Thank you for taking the time to share it.

You’ve nailed exactly what we want Whale to be for teams. One place where training actually lives and makes sense. Boards, Libraries, and Playbooks are there to give structure to what is usually scattered across tools, folders, and outdated docs. When each department has its own clear space, everything just clicks faster.

Love that you’re using Whale to create not just SOPs, but also videos and quizzes. That combination is powerful. It turns static documentation into real training experiences that people can actually follow, learn from, and retain. That’s where we see teams go from “we have documentation” to “our team actually knows what to do.”

And your point about replacing a less efficient system hits home. A lot of teams come to Whale because their knowledge is spread across multiple tools, hard to maintain, and even harder to use. Bringing everything into one place, with structure and consistency, is where the real efficiency gains show up. Faster onboarding, clearer processes, and way less back and forth internally.

Also appreciate the note on not having any dislikes so far. We won’t get too comfortable though. We’re constantly improving the product, especially around scaling content, keeping things easy to manage, and making training even more engaging.

If you ever want to go deeper, there’s a lot more you can unlock with Whale like:

* Recording processes and turning them into SOPs instantly
* Using AI Assist to speed up and standardize documentation
* Embedding tools and resources directly into your training
* Tracking progress so you know who actually completed what

Really glad to hear Whale is making things feel more efficient and well managed on your end.

Appreciate you being part of Whale.

  ### 2. Effortless SOP Management with Stellar AI Search

**Rating:** 5.0/5.0 stars

**Reviewed by:** Jitender T. | IT Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 27, 2026

**What do you like best about Whale?**

I like how Whale makes all the SOPs formalized with standard formatting and serves as a central point for team members to look for SOPs. It's easy to use and search, thanks to its really quick AI mode. The easy login using SSO via Google is great, letting me use one login for all different applications. The AI search mode is helpful for finding any SOP among hundreds of thousands of documents. Also, the support team is really helpful in implementing any suggestions we might have.

**What do you dislike about Whale?**

NA

**What problems is Whale solving and how is that benefiting you?**

I use Whale to formalize SOPs with standard formatting, making them centralized for team access. Its AI mode is quick and easy to search through numerous documents. Google SSO makes login simple, reducing the need for manual SOP creation.

**Official Response from Stijn Smet:**

> Hey there,

“Hundreds of thousands of documents” and still finding what you need in seconds… yeah, that’s exactly the kind of chaos we’re here to clean up 😄

Love that you’re seeing value in the AI search. That’s one of the biggest shifts we’re pushing. SOPs are only useful if people can *actually find and use them*. Alice is built to cut through all the noise and just give you the answer, instantly.

Also great callout on standardization. Having SOPs is one thing, having them structured, consistent, and easy to follow across teams is a completely different level. That’s where you start seeing real impact in onboarding, quality, and day to day execution.

And yes to SSO 🙌
Logging into five different tools just to do your job should not be a thing anymore. The smoother we can make access, the more your team actually uses the content.

Really appreciate you mentioning the support team as well. We take that seriously. If you’re building your internal knowledge hub on Whale, you shouldn’t feel like you’re doing it alone.

From what you’re describing, you’re already using Whale the way it’s meant to be used:

* Centralized knowledge
* Standardized SOPs
* Fast creation and even faster retrieval
* Low friction access for the team

That’s the foundation of a team that scales without things breaking.

No dislikes either… we’ll take that, but we won’t get lazy 😉

If you ever want to go even further, there’s still a lot you can unlock with things like recording workflows into SOPs, using AI Assist to speed up creation, or layering in training with quizzes and playbooks.

Appreciate you being part of Whale.

Stino 😄

  ### 3. Great and fast support from our neighbouring country ;)

**Rating:** 4.0/5.0 stars

**Reviewed by:** Koos S. | Managing director., Small-Business (50 or fewer emp.)

**Reviewed Date:** December 20, 2021

**What do you like best about Whale?**

The fast response time, the system ease, and the onboarding service.
Plus, we like the feeling we always have one person that is right around the corner to help us.
Also, the pricing is not too high, which is always a great plus! :)

**What do you dislike about Whale?**

I don't have any points of dislike - yet. ;)
The Whale plugin could use some overall stability, but we haven't used it that much yet, for my judgment to be fair.

**What problems is Whale solving and how is that benefiting you?**

Onboarding of new colleagues
Training of colleagues (existing and new)
The main goal of the system for us: write procedures to know what everyone is doing and how to do it best.

  ### 4. Simplifies Documentation and Training, Easy to Use

**Rating:** 5.0/5.0 stars

**Reviewed by:** Kevin M. | Enterprise (> 1000 emp.)

**Reviewed Date:** May 12, 2026

**What do you like best about Whale?**

I find Whale easy to use, and I'm excited about its huge potential moving forward. The initial setup seemed quite simple, making it user-friendly from the start. It's effective for searching documented processes and watching monthly meetings, which streamlines information access for employees. Instead of needing to ask several people or managers, having a single resource for documented processes is a significant convenience. After switching from SharePoint, where the interface was challenging to navigate, Whale has been a refreshing change.

**What do you dislike about Whale?**

N/A

**What problems is Whale solving and how is that benefiting you?**

I use Whale for searching documented processes and watching monthly meetings, so employees can refer to one quick resource instead of asking multiple people, which was challenging with previous systems like SharePoint.

  ### 5. Run don't walk!!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Jessica B. | HR Manager, Mid-Market (51-1000 emp.)

**Reviewed Date:** November 08, 2024

**What do you like best about Whale?**

As a Medical Spa that has expanded from five to nine locations over the past two years, with no intention of slowing down, we've found Whale to be incredibly helpful. We have created 490 Standard Operating Procedures via whale, and the majority of our team uses Whale during every single shift. It allows our employees to quickly access the most important information exactly when they need it. They can simply ask Alice, the AI tool, any question, and she responds with answers drawn from our own documents. We've implemented a variety of software solutions, but Whale has easily been the smoothest and most well-supported rollout I've experienced. While many other platforms claim to offer customer support, it often becomes difficult to get real help once the paperwork is signed and payment is made. In contrast, I have a single point of contact at Whale who consistently provides answers faster than I expect. The platform is extremely user-friendly and has truly been a game changer for our company.

**What do you dislike about Whale?**

I cannot think of any downsides at this time.

**What problems is Whale solving and how is that benefiting you?**

Previously, our main challenge was not being able to tell which document was the latest version. With Whale, we now have a single source of truth, so our team can be confident that they are always accessing the most current information.

  ### 6. Streamlines Documentation with Ease

**Rating:** 5.0/5.0 stars

**Reviewed by:** Anouk V. | Mid-Market (51-1000 emp.)

**Reviewed Date:** March 18, 2026

**What do you like best about Whale?**

I use Whale for creating company handbooks, regulations, how-to's, and manuals. I love that it provides a streamlined way of documenting everything on a single platform, which makes it easy and quick to make guides, saving us time. Whale's feature of creating a step-by-step plan with screenshots by just following my screen movements is fantastic. This feature probably saves me an hour of time for each guide. I also found the initial setup of Whale to be super easy.

**What do you dislike about Whale?**

Access management could go to a deeper level, for example the lowest level can't be hidden from certain users, so we need to create a new playbook for those hidden manuals.

**What problems is Whale solving and how is that benefiting you?**

Whale solves the problem of answering repetitive questions and provides a streamlined platform for documentation. It makes creating guides quick and easy, saving me an hour per guide.

**Official Response from Stijn Smet:**

> This is amazing to read, thank you so much for taking the time to share this 🙌

You’re basically describing exactly what we want Whale to be: one place to document everything, without it turning into a time-consuming project. Hearing that you’re saving up to an hour per guide with the step-by-step recorder… that’s huge.

Also love that you called out the ease of setup. Getting started should feel effortless, not like another tool you need training for.

On access management, that’s very fair feedback. We know there’s more depth we can unlock there, especially when it comes to structuring visibility without needing workarounds like separate playbooks. This is definitely something we’re continuing to improve.

And the fact that Whale is helping reduce repetitive questions? That’s the dream. More time doing actual work, less time answering the same things over and over.

  ### 7. Effortlessly Streamlines Team Training with Solid Support

**Rating:** 5.0/5.0 stars

**Reviewed by:** Shelley F. | Mid-Market (51-1000 emp.)

**Reviewed Date:** March 20, 2026

**What do you like best about Whale?**

Whale supports training my merchandising teams with its AI function and video feature that breaks down training step by step. I love the ease at which we can create training flows and appreciate the quizzes that ensure merchandisers understand the assignment. I am very happy with the support we receive from Stino if we have questions. The initial setup of Whale was very easy, and we were given the support we needed.

**What do you dislike about Whale?**

I would like to see a function where multiple pictures could be added into a training flow side by side and you could edit the pictures.

**What problems is Whale solving and how is that benefiting you?**

I find Whale supports my Merchandising Teams with AI functions for training, eases workload with step-by-step video breakdowns, and quizzes ensure understanding. Creating training flows is easy, and Stino provides great support.

**Official Response from Stijn Smet:**

> Shelley, this made my day. Thank you so much for this 🙌

I’m really glad to hear Whale is helping your merchandising teams with training in such a practical way. The combination of AI, step-by-step videos, and quizzes is exactly how we want teams to learn, not just consume content, but actually understand and apply it.

Also really appreciate the shoutout on support. You know I’ve got you anytime 😉

On the side-by-side images and editing, that’s a great callout. I can definitely see how that would make training flows even clearer, especially for visual processes. I’ll make sure this gets shared with the team.

And honestly, hearing that it’s easing your workload while keeping your team aligned… that’s exactly why we built Whale.

Appreciate you a lot for this. Always here if you need anything 💙

  ### 8. Intuitive Interface and Next-Level Customer Service

**Rating:** 5.0/5.0 stars

**Reviewed by:** Kaila W. | Business Process Manager, Mid-Market (51-1000 emp.)

**Reviewed Date:** April 30, 2026

**What do you like best about Whale?**

The interface is very intuitive to use. The Customer Service is also next level, making the adoption extremely easy

**What do you dislike about Whale?**

So far, the only downside I’ve noticed is that I can’t edit videos within the application.

**What problems is Whale solving and how is that benefiting you?**

Our training materials used to be scattered across the organization, and the formatting varied depending on who created them. This tool lets us keep everything in a searchable database, and the AI tools help bring much-needed consistency.

**Official Response from Stijn Smet:**

> Hey Kaila,

“Next level customer service” and “intuitive”… yeah, that’s the combo we’re going for 😄 appreciate you calling that out.

Making adoption feel easy is a big focus for us. Because even the best tools fail if teams don’t actually use them. So hearing your team got up and running smoothly is a big win.

Also love what you said about bringing consistency. That’s such an underrated problem. When training lives everywhere and everyone documents differently, things break fast. Having everything in one searchable place, with AI helping standardize it, is where teams really start to scale without chaos.

Now on the video editing part… you’re not wrong 👀

But good timing, because this is something we’re actively working on. Video is becoming a bigger and bigger part of how teams document and train, and being able to edit directly inside Whale is definitely on the roadmap (and coming sooner than you think).

The goal is simple:
Record → edit → turn into SOP → share
All in one flow, without jumping between tools

So stay tuned on that one.

In the meantime, you can already:

Turn videos into structured SOPs automatically
Combine video with step by step guides for clarity
Use AI to clean up and standardize your content

Appreciate you sharing this, and very glad to hear Whale is helping you bring order and consistency to your training.

Stino

  ### 9. User-Friendly Interface, Needs Recording Improvements

**Rating:** 4.5/5.0 stars

**Reviewed by:** Gabriela G.

**Reviewed Date:** January 13, 2026

**What do you like best about Whale?**

I like that Whale is very user-friendly and super easy to use. It's not complicated at all, which makes uploading and finding things straightforward. The tagging system is fantastic; when I upload something to a library or playbook, I can tag it with keywords, and later on, I just type a keyword to find everything related to it. I also appreciate how the interface makes onboarding simple, with libraries and playbooks clearly laid out. I can create libraries for specific departments and then playbooks and cards within those libraries without any hassle. It doesn't force me to use features I don't need, which is great. Overall, it's just super easy and fits well with the vocabulary and keywords we already use in our company.

**What do you dislike about Whale?**

When I upload videos in Whale, it does take a little time, which I guess is understandable, but sometimes it says there's an error even though the video successfully uploads. It's kind of confusing, so I think the interface could use some work. Also, when you start to record, there's no signal like a countdown or a voice saying 'recording started,' which would be helpful. Another thing is, when you select a window to record, you can't switch between windows, which is tough if you're using multiple windows.

**What problems is Whale solving and how is that benefiting you?**

Whale helps me organize processes centrally and user-friendly, with AI to understand important steps. It lets me upload step-by-step processes, record, and utilize a tagging system for easy searching. It's super easy and doesn't require using unneeded features.

  ### 10. Effortless SOP Management, Saves Time

**Rating:** 5.0/5.0 stars

**Reviewed by:** Alison C. | Mid-Market (51-1000 emp.)

**Reviewed Date:** March 30, 2026

**What do you like best about Whale?**

I really like Whale for my SOP management needs. It makes it easy to create new SOPs and keeps things well-organized. I especially appreciate being able to record a process and have it automatically create a SOP from that recording. This feature eliminates the need to manually take screenshots and write out the entire process, saving me a lot of time. The initial setup was also pretty easy for my team.

**What do you dislike about Whale?**

Overall management can get a bit busy and cumbersome.

**What problems is Whale solving and how is that benefiting you?**

Whale lets me easily create new SOPs and get better organization. Recording processes to create SOPs saves so much time because I don't have to grab screenshots and write everything out.

**Official Response from Stijn Smet:**

> Hey there,

First off, thank you for taking the time to share this. This is exactly the kind of feedback that gets our team excited.

I love that you’re getting real value from the process recording and automatic SOP creation. That’s one of the core problems we built Whale to solve. Documenting processes the “old way” is slow, manual, and honestly… painful. Being able to just record your workflow and instantly turn it into a structured SOP with steps, screenshots, and clarity is meant to remove that friction completely. So hearing it’s saving you time is a big win.

Great to hear setup was smooth for your team too. We’ve put a lot of effort into making onboarding simple so teams can go from zero to documenting in minutes, not weeks.

On the “things getting busy and a bit cumbersome” point, that’s fair feedback and something we take seriously. As teams scale their documentation, structure becomes everything. That’s why we’re continuously improving things like:

Better organization with folders, boards, and clear hierarchies
Stronger search and navigation so content is easy to find
Templates and AI Assist to standardize and speed up creation
Role based access to keep things clean and relevant per team
Embedding and integrations so knowledge lives where your team works

The goal is simple: make it just as easy to manage and scale your SOPs as it is to create them.

And it’s great to see you call out the impact directly. Faster SOP creation, less manual work, and better organization. That’s exactly what Whale is built for. Helping teams capture knowledge effortlessly and turn it into something that actually drives consistency, onboarding, and growth.

If you ever want help optimizing your setup or making things feel less “busy”, feel free to reach out. Happy to jump in and help you streamline things even further.

Appreciate you being part of Whale.
