Jotform workflows have streamlined several of our school processes such as purchase order approvals and work repair requests. This has eliminated back to forth emails and disjointed google forms/spreadsheets and has made this process smooth for our teachers and directors making it easy and convenient for them to submit and approve.

Building the workflows themselves were fairly simple and not difficult to use. There are many features to the workflows that allow for more automation and streamlining steps so that everything is much more efficient and less jumbled. The app integration is helpful, however, the integration with apps like Google Sheets does not update if the submission on the Jotform side is changed or updated once the initial form responses have been submitted. So it does require a manual update on the Google Sheets side. It is a small hiccup, but only if you integrate with an app like Google, since my colleagues would not have access to the Jotform submission table as I have the only active (licensed) account. Additionally, the integration with Asana doesn't allow for easy field to field integration if the Jotform form has branched questions/answers. Review collected by and hosted on G2.com.

I really value the pure ease of creating workflows visually and how everything links up seamlessly with Jotform Workflows. I also appreciate the fairly advanced workflows that can be created, which were initially used for single tasks but have evolved to include multiple steps. When you are new to using Jotform Workflows, they can be fairly daunting. You need to have a level of understanding of what each step in the workflow is going to do. Used incorrectly, it can add pain points to a journey. Review collected by and hosted on G2.com.

I like that you don't have to be a programmer to use it and there are a lot of features and options to use in the workflow. It's simple, but it can accomplish a lot if you know how to use it correctly. Review collected by and hosted on G2.com.

I think there needs to be more in-depth training on workflows in JotForm Academy. The details are found under the help button, but it took me awhile to find/notice the help button. Working in administration for higher education, I’ve used Jotform on a daily bases to build approval workflows, eliminate repetitive emails, and streamline how we share and save documents by automatically triggering emails and storing files in Google Drive. This has significantly reduced manual work and improved overall efficiency.

One of the biggest advantages is the drag-and-drop builder. Since I don’t have a background in coding, this feature has been extremely helpful and makes it easy to design and manage workflows without technical expertise.

Jotform’s customer support is excellent. The team is very responsive and does an outstanding job troubleshooting issues, often providing help that’s specific to our individual workflows.

Overall, Jotform Workflows is a user-friendly automation tool with outstanding support. It was easy to implement Jotform-generated forms with our faculty with minimal training. Review collected by and hosted on G2.com.

There are a few areas where improvements would be welcome. An undo or restore button would be very helpful, especially when making changes to complex workflows. Additionally, when cloning workflows, some email settings reset and need to be reconfigured, which can be time-consuming. I would also love to see an option to add an approval “stamp” that appears on the finalized document when using an uploaded PDF to create a form, as this would further streamline our approval process. I used Jotform Workflows to create a new customer service email submission form for our website. I like having the ability to have conditional fields that only show up when a customer selects specific items from our dropdowns; it's been extremely helpful in presenting information specific to the issues they are having. Being able to customize the form to match our website's branding and colors was also appreciated. The initial setup was super easy to understand and I build out what I was looking for. Ease of use:

The creation of flows is completely visual and intuitive — just drag and drop elements (approvals, emails, conditions, etc.) without needing to program anything.

Automatic integration with forms:

Any JotForm form can become the trigger for the flow, which greatly simplifies processes such as vacation requests, budget approvals, or registrations. Review collected by and hosted on G2.com.

Limitations in complex automations:

When the process requires many conditions, branches, or advanced calculations, the flow can become difficult to manage or may not offer all the necessary features.

Lack of more detailed reports:

The tracking of approvals is good, but the reports and dashboards could be more complete and customizable.

Integrations with restrictions:

Despite having many integrations, some require the use of paid plans or do not allow very deep automations.

Little control over interface and flow design:

I like Jotform workflows because the drag-and-drop interface makes setup simple and straightforward. Workflows allow us to create proper approval paths, eliminate paper processes, and automatically send notifications for incoming requests. For example, we use a workflow for time-off requests—something that used to take 15 to 30 minutes (or longer) is now handled with a single click from an email. If I could improve the workflow, I’d add more reporting options and the ability to sort by approval status. It would be extremely helpful to separate approved items from pending ones, so I can easily see which need attention and which can be exported to Excel for processing by our office team. I enjoy the ability to have multiple forms created and sent within a specific order with Jotform Workflows. I also utilized the AI customer support to help facilitate my initial workflow, which worked beautifully. I don’t necessarily like that I have to create a form or that I can’t change the form after I have placed it in the workflow. I would like to have multiple signers instead of one signer and be able to send the workflow in multiple directions and have auto fill throughout the forms. Review collected by and hosted on G2.com.

JotForm workflows is used internally to route emails out when customers apply for select options like student discounts. I like that jotform workflows allows you to use multiple forms to create a sequential process for whatever your trying to accomplish. You can have one flow or branch off based on conditions from your form or even from an approval field. I use workflows to have a streamlined manufacturing and assembly proccess for my marine product line. From start the quote and order form collects all customer, product, and delivery information, then sends out various emails in the workflow depending on choices that are selected in the initial form. I love the email feature, as you can send a customized automated email out to individuals based on different flows. i also love the Approval field as it makes it easy to sort of pause a flow for a check, Whether that be a QC check or just a buffer becasue your not ready for the flow to move on, it makes it convient to control that flow. I dislike that when you want to send a prefilled form to someone, you can only send it to one email, and you can only use a form once in the workflow. If i start with form A, i cant use Form A again further along in the workflow. This does make it frustrating in some use cases. If this was allowed it could open up lots of new opportunities and flows that would make things more efficient. Review collected by and hosted on G2.com.
