The front end of the platform in V1 is super easy to navigate. Our participants are not all tech-savvy so we needed an easy-to-use option and Hubilo does just that. The back-end is also easy to work on. There have been significant improvements to the platform & support team in the 13 months since we first used it, with more new features being rolled out. There are plenty of networking options e.g the lounge which was the main reason we chose Hubilo initially. The support from Shreya was excellent. She was available for multiple tests in advance of the Summit, and was working to our UK time zone, she responded promptly via whatsapp, emails etc.& during the live dates. As with all tech platforms there can be glitches, some of the functionality has not been fully thought through by the team, e.g. polling is available but at the time of writing couldn't offer multiple choice. You can enter descriptions of the landing page video, but that description cannot be seen anywhere by participants. There are updates being made all the time, but when these are made in the run up to your event without your knowledge, these can hinder rather than help. The customer service team was highly responsive, including our excellent account manager, and it was very easy to work through the event build and make quick edits as we needed to. I think the main thing that could be improved upon is the login process for speakers. If we could have just sent Zoom links that would have been easier for everyone I think. I also think the invite mailer system could be better, with an option to send reminder emails or simply links to login again on the day. The only thing we had problems with is the Hubilo rooms function as our speakers were not able to log in to room sessions, some could but others couldn't. We had to retreat to zoom breakout rooms at an outside zoom link. Review collected by and hosted on G2.com.

The Hubilo platform met most of our needs for our first international online conference. We had a complex programme with workshops, panels, presentations, and committee meetings. We planned long days across multiple time zones, involving a large number of attendees and participants. While the technology was pretty solid, the support of our client success manager Karan Kohli was what made the difference, especially when we were troubleshooting and monitoring the live event. Karan went above and beyond and was patient, composed, and knowledgable. He helped us with a last-minute integration for translation services, and was always quick to answer our questions and work with our team when things got hectic or complex. As previously mentioned, our event was quite large. We scheduled over 100 conference sessions, and almost 600 attendees registered. There were some functionality issues on the back and front ends of Hubilo that were more minor inconveniences than barriers to hosting our event.
Searching for names and sessions with diacritics was inconsistent.
We created a custom 'group' for moderators in dash, but they had the same front end display as the speakers of the sessions, making roles a bit unclear in the agenda.
Export function was useful for contacting our attendees, moderators, and speakers via email, but the sorting of each person's groups in a single, unsorted, comma-delimited column made limiting people by single group less user-friendly.
Back-end behavior was also not user-friendly when updating, for instance, the stream options for each session. With upwards of 30 sessions on some days, having to scroll down to the end of a calendar day to update the next session required too much mousing.
1000 character limit on "about" section of people was too small, especially for featured speaker bios. 137 character limit for session title was also too small.
I was mostly happy with the bulk upload feature for both people and sessions, but when assigning one-off sessions in the people section, search results were slow to load or did not load at all at times. I then had to scroll down the list of sessions manually, which was again bad for my wrists!
In front end, the default display of only one 'track' in the agenda reduced visibility of our full programme.
The display of session information in the agenda was not intuitive: "show more" should ideally not only display with mouse-over behaviour.
Having 'featured' sessions and speakers was nice, but the default display of only three of each again hindered visibility of our 4th keynote speaker.
Ability to upload files is a good feature for front end, but it's not easy for attendees to see.

The annual conference of the International Association of Sound and Audiovisual Archives (IASA) took place over four days (67.5 of programming), featuring 100 presentations and meetings with attendees from 60 countries. The support provided by our Customer Success Manager Karan Kohli and his team was absolutely fantastic. We especially appreciated their dedication and professionalism as they assisted us with the integration of last-minute translation services. Some of Hubilo’s features need improvement, particularly the structure of the Agenda. It would be better if speakers could be highlighted better within the description of the session. Also, due to internet restrictions in certain countries, we were not able to make use of some of the features, such as Hubilo Rooms, because we did not want to restrict attendee access. When we sent out invitations for our speakers and attendees to join Hubilo (through the Send Invite feature), many did not receive the messages since they went to their spam folders. I think the ability to update the event feed via the burger menu on the right side of the screen (front end) is helpful and convenient, especially if we are watching the live stream at the same time. On the back end, the overall look of the dashboard layout has improved as well, and is more sleek and easy to navigate than before (2020 edition). Additionally, I like that I can also schedule push notifications for specific times throughout the day. Review collected by and hosted on G2.com.
There is no bulk upload option for images. It would be great if when we go into specific items to edit, ie: speaker profile, virtual booth or sessions, we can already immediately pick from a central media library instead of uploading things one by one. Review collected by and hosted on G2.com.
Hubilo had an extremely comprehensive range of useful features to facilitate the complex interactions we needed in a scalable way. Most features on my wishlist were already available. Set-up was intuitive with an easy-to-use UI.
Deep, our customer success manager was with us every step of the way, and was always responsive. The onboarding and training were comprehensive, and our requests were dealt with promptly. There was also live support on the actual event day.
The analytics dashboard was especially useful during the event. Insights like the % of pending meeting requests allowed us to make timely decisions and live interventions like customised push notifications.
The data we could pull after the event was also extremely useful in supporting event participants interactions after the event was over. Review collected by and hosted on G2.com.
Some finer customisations of certain features were not available e.g. rooms linked to booths could not be unmoderated, so anyone who entered the room had to request permission to video chat. The Hubilo team was able to find workarounds for some, but unfortunately for others we just had to live with it.
A few of our presenters had video & audio connection issues when using Hubilo studio for live presentations. There was also some lag between the presenter and what was seen by viewers. Review collected by and hosted on G2.com.
