Setting up the event site was rather straight-forward; when I did not know something, there was either a great help article written about it, or I received a prompt and helpful response from the customer success agent that I dealt with. From the get-go, everyone I interacted with from Hubilo were professional, prompt, and were able to support us in our queries. They were also patient, as our event and the deal proceeded rather slowly; as opposed to a large event for a profit-driven company, we organised a rather small and simple research symposium to showcase the findings of a large 5-year EU-funded project on mental health interventions. While a lot of the features that Hubilo has were not of relevance to our type of event, it still provided a fantastic platform to organise the easily smoothest online or hybrid event that I've seen in our mental health field in the past couple of years. Some of our sessions were rather short but had to be separated into separate sessions due to their content - for all of these, we had to have a separate stream key and it made the transitions a little rougher because our audiovisual team had to hop from one stream key to another rather often. Perhaps there would have been still another way around this, but we did not find one after our queries to the team. This could have been a miscommunication, though. The platform is extremely user-friendly. After receiving an in-depth onboarding session with our CSM, Vijit Grover, I was able to practice using the platform a week before our live virtual event. In addition to the centralized location for uploading brand graphics to customize the registration portal and event pages, the event registration portal was extremely user-friendly for our external audience to use. The ability to set a simple event code for all attendees and speakers reduce any issues that we've had with previous platforms who use SSO or authentication emails for attendees. We didn't have any issues with attendees accessing the platform on the day of our event.
Additionally, the "Green Room" feature in the Hubilo Broadcasting Studio was very easy to use and navigate as the event producer. Adding customized branding assets, including pre-recorded videos, to the live stream was a simple and efficient process. As a first-time user of Hubilo, I was impressed with being able to manage a full live event on my own with the need for our A/V team! I'd highly recommend this platform to any company looking to offer branded virtual events, which you cannot offer through many other platforms on the market. Review collected by and hosted on G2.com.
I would recommend updating the platform to allow for mobile streaming from smart devices. It is rare that attendees are without their phones. And, for corporate events, leaders have busy schedules and will often need to login to events from their smart phones or iPads. I would strongly recommend updating the platform to allow viewing from devices. In addition, the Hubilo Broadcasting System (HBS) should also be updated, if possible, to allow the following:
- Ability for speakers to hear each other in the "Green Room"; For new users, joining a live event can be stressful and it would be helpful for speakers to be able to hear the Producers keys via audio. Most speakers had trouble remembering to check the speaker chat box during the live event, which caused us to pivot quickly a few times during the program. Allowing speakers and producers to hear each other during a live stream helps to minimize any risks or technical issues.

As an organiser of my company's annual virtual conference, inspirED, I had reviewed several online event platforms and found Hubilo to be the most comprehensive one. The multitude of features, such as varied networking options, gamification functionalities, and detailed analytics, complemented by the user-friendly interface, made our virtual event experience smooth and engaging. We have received very positive feedback from our registrants as well and noticed that the platform enabled many different ways of activating the attendees.
Furthermore, the support from Deepanshi and the rest of the team was always swift and extremely helpful.

There were a few minor things, such as the inability to delete the exhibitor section from the networking lounge, or the inability to change the sender of the notifications, but the team helped us find the workarounds.
I believe the most cumbersome thing was the registration -- since we were receiving registrations on Hubspot and our Hubspot plan did not allow for direct integrations, we were required to either upgrade our Hubilo plan or register manually, which required a lot of manual work. It would also be great if the registrants could be filtered for create date or if we could de-assign their categories in bulk.

The first thing that drove me to looking into Hubilo was their reasonable pricing model. I didn’t have to pay for features I wouldn’t use, and the platform could grow with our event. In comparison to many other virtual platforms, they aren’t the least expensive, but also don’t charge more than they should. I’ve attended events much larger and much smaller than ours, and have seen some of the other’s offerings. The old montra, “You get what you pay for” is true to some extent, but there’s also a diving line on what’s too much. I think Hubilo does a fantastic job being priced right where they should be for what they offer. Especially since they offer a flexible model.
From an administrative standpoint, the Dashboard couldn’t be more intuitive. It is very easy to get around and setup the event, add attendees, add sessions, etc. In both cases (attendees and sessions), Excel files can be uploaded to allow bulk adding to make the process even easier. Adding 700+ attendees for us was a breeze, and with a simple checkbox, they were all sent an invite email to join the platform in an instant. Adding Exhibitors/sponsors was just as easy – with the added bonus of giving them permission to edit their own virtual booths should you wish to open that portal.
There is so many nuances in the settings, you can turn things on or off with a switch – allowing you to totally customize the event to your liking. For example, we turned off polling for some of the sessions, but left it on for others, including the event feed. We turned off open chats for the event feed, allowing us to moderate the chat and have “Sponsored” posts in that area.
From an attendee standpoint, the platform is very intuitive. Even on the home page, seeing a graphics slider, the event staff can choose what is shown. Live and featured sessions from the agenda show up, along with featured exhibitors, and the leaderboard from the event wide contest. It’s very easy to see times, descriptions, and speakers for each session, as well as allowing the attendees know if the session are available to watch, upcoming, or live.
In the session, attendees can chat, ask questions that can only be answered by the panelist, answer polling questions, and see who else is in that particular session with them. After a session (or many), they may visit and interact with the exhibitors/sponsors of the event and even chat with them or schedule a 1-on-1. The exhibitors may even sponsor a “Featured Room.”
Overall, Hubilo is very price competitive, with a ton of features over a very intuitive user interface, that make your event flow smoothly for the planners, speakers, and attendees, alike. Review collected by and hosted on G2.com.
The user interface overall is easily navigable as seen above, but there are some quirks.
For example, if more than 3 sessions are happening concurrently, they can become “hidden” behind an arrow you must click to scroll through. We mitigated that issue for our event by having subsequent sessions start 1 or 5 minutes later.
If the event is happening over multiple days, looking ahead (or trying to go back for On-Demand sessions) isn’t as obvious. Would like to see those buttons larger, a different color, or something else to make them pop a bit and be more noticeable.
One of our biggest issues was trying to play an “on-demand” video while having the speakers available for live Q&A after. Through the Hubilo Broadcaster, this is possible, as it is with Zoom, but in both cases, the video must be played from someone’s’ computer. It would be nice if the video played from Hubilos’ servers (as a typical On-Demand video does), with a ‘Zoom’ call added to the end of it for live Q&A. To be fair, I don’t think any other platform can do this right now, so it’s not an easy problem to solve.
Another quirk we ran into is that the Q&A and chat responses have a limited character count. Understandably so, but we would like to see it raised a bit for the Q&A at least. Our speakers couldn’t easily answer some questions with the limitations in place. And something we didn’t think about before hand. Review collected by and hosted on G2.com.

Hubilo covered all the needs of our conference and did so in a very clean/straightforward manner. Neither myself nor the participants felt overwhelmed or lost with any aspect of navigating through the platform. The platform is pretty straightforward to use and easy to set up. We used Hubilo Studio for the first time and it is also pretty user-friendly. We had a lot of questions in the run-up to our event and Dev and his colleagues were extraordinarily responsive to every single issue and request for support. I could not speak more highly about the customer support that Hubilo's team provided.
I also found the existing videos and FAQs to be extremely useful and helpful to share with colleagues and speakers in advance and this helped when we needed to provide quick and straightforward directions on how to use the platform. Review collected by and hosted on G2.com.
One very small aspect that would be great to change would be the ability to have test sessions on a LIVE event without having to change the overall dates that show at the top of one's event. Not a big deal at all since one can hide sessions during those dates, but could be confusing for attendees of the ultimate event.
Another small thing would be the possibility to have the "join as speaker" button customized such that if you make multiple sessions in one stream that all the subsequent sessions would enable a speaker to join before the actual time of their session.
