We converted our largest event of the year to a virtual format like everyone else due to COVID. We are unique in how we run events and were looking for a provider who would allow us to maintain some of the features our attendees expect, like personalized networking and peer groups. We spent a ton of money with this company and if we were able to do it all over again we 100% would not. This software is from the UK and in the USA there are huge firewall issues. They knew this ahead of time but never warned us. 60% of our attendees couldn’t even view the sessions due to firewall issues. We were blindsided the first day of the conference.
In addition to those who couldn’t get in, 54% of attendees reported randomly being kicked out of sessions. The majority of the tech requests needed to be handled by our team (when they were sent to AITL, they left more frustrated). We had two attendees email us and totally give up on the entire 4-day event after their customer service experience with AITL.
They won our business by promising functionality that was important to us (pre-recorded sessions paired with live Q&A, assigned peer groups, recordings of live sessions available within 15 minutes) only to inform us those capabilities weren’t really in place about 10 minutes before our first session was starting. When we had issues with software capabilities before and during the event, we often needed to wait 12-24 hours for a response because our rep had to defer to their supervisor who wasn’t on shift yet. There was clearly a lack of understanding of the software from their team which resulted in false information and lack of any ability to troubleshoot.
Many of these issues could have been avoided if they had been available to meet with our team, understand the event, and communicate proactively. Instead, they took our money and ignored us until two weeks before our event, then paired us with a rep who did not have full understanding of the event or the platform.
We paid for features and a level of service that was not delivered; therefore, we asked for at least a partial refund. We were offered another free event instead, which we obviously turned down. We have heard from multiple attendees, “I hope you get your money back, because honestly that was a disaster.” We gave them a chance to make this right and they declined.
