In terms of ongoing back office configuration, I appreciate how flexible VOGSY is, it adapts well to our realities, the flexibility it offers allows us to refine configurations continuously as our needs evolve. On the data analytics side, the integration with Google BigQuery has been a major advantage. The data stays automatically updated, and I can leverage Power BI to build dashboards easily, useful both for high-level reporting (e.g. management or board) and for operational teams on the ground. With VOGSY, I can now check our utilization rates, project margins, and revenue forecasts every morning at a glance. There’s no more last-minute rush for data or unexpected variances—our staffing and pricing decisions are now based on real-time insights rather than outdated reports. What stands out to me most is how VOGSY enables a genuinely seamless quote-to-cash process, free from media breaks or the need for manual workarounds. In previous roles at former large consultancy employers, we relied on fragmented Excel workflows and disconnected systems, but that’s no longer the case. Our sales team can generate quotes, the delivery team manages projects, and finance handles invoicing—all within a single, integrated platform. See below. **What do you dislike about VOGSY?** Overall excellent, but if I had to name one wish, it would be for more native integration options with specialized German HR platforms. Legal obligations require detailed time-tracking of staff. Currently, project teams have to double-entry their daily hours (ERP & HR). This, of course, is an issue for all ERP systems. The true root cause is the German labor law. This is a minor enhancement request—everything else (mobile app, approvals, access rights) works well. **What problems is VOGSY solving and how is that benefiting you?** The core problem we solved was fragmented visibility and process inefficiency. VOGSY provides one connected system from proposal to invoice (no scripts/exports), audit-ready time tracking with project-level approvals, structured access controls in the integrated Sharepoint backend, and live dashboards. So VOGSY became our single source of truth around our business processes. In addition, we have placed specific change requests regarding XML demands by the European digital invoice standard and had very quick turnarounds. This in turn has impressed our clients as well when they have asked us to adjust or enhance data input into the XML invoicing files. Also difesa has a mix of subscription-based invoicing models for managed services as well as time & material-based projects...VOGSY handles both with ease. Including separate deliverables per project as well as separate invoicing to various legal entities of the same customer. For a young, fast-scaling cybersecurity consultancy in Munich, this means we've stayed lean while growing. We haven't had to hire back-office staff to manage disconnected systems. Our team focuses on delivering security advice, not wrestling with data entry. It is intuitive and thoughtful, and I really appreciate how open the VOGSY team is to feedback and recommendations. I spent MONTHS demoing and testing project management tools that were bloated and overpriced. VOGSY gives you the best of what you need at a price that is appropriate! I like that VOGSY can track a customer from whatever point in your sales process that you want to (integrating with your CRM), that you can plan a project, do resource management, and dive into all aspects of utilization, project budget health, company KPIs, revenue tracking, and more. The reporting is deep and between it' out-of-the-box charts and full access to all data via Google Workspace, you can literally find any data point you need! VOGSY offers collaboration on the Customer-level, the project-level, all the way down to the task-level, plus tying it into your Google Inbox is great so you can track conversations beyond VOGSY. Very nice! It is so customizable too! Once you get the hang of how the data and workflows through the system, you can fine-tune all of your settings to get you just what you want to see! **What do you dislike about VOGSY?** There is a learning curve around terminology, which is to be expected, but I think creating a Glossary would be helpful. Aside from that, there are really just some nit-picky deltas: Because it isn't just a spreadsheet, there isn't a copy & paste option for repeated tasks or allocations. I wish there was a way to plan dependencies and predecessors to tasks (that's the PM in me). There is room for continued improvement around tasks (assigning multiple people to a task, organizing tasks by a calendar, or visualizing tasks differently). And there are some pain points around how the tool calculates budget and planned hours, but nothing that we can't either work around or work with VOGSY to improve. Oh, and we have decided (for now) that we'll need to use a separate tool for tracking and managing our expenses because the VOGSY expense reporting isn't quite right (yet) for us. But my biggest bit of feedback would be around incorporating more visuals around your onboarding tools. I don't mean screenshots and video recordings, but infographics to explain things -the why or the how- to help things mentally connect. **What problems is VOGSY solving and how is that benefiting you?** A single place for all projects to start and end. We've called the search for our PM tool the "One Ring" initiative because we wanted one place that our CRM could feed into and push out to our finance tool. VOGSY does this! We can truly manage every aspect of the project delivery. We wanted to reduce redundancy in our process, and reduce the number of tools being used to do so. The upside to VOGSY is the access to data via the charts and back-office reports with all the raw data you may want or need. **What do you dislike about VOGSY?** VOGSY has been the least helpful when communicating a schedule with clients as there currently is no elegant way to share a project plan with a client. Although not quite a downside. A nice to have in VOGSY would be a Gantt chart showing the dependencies between tasks. **Recommendations to others considering VOGSY:** The software has a lot of great functionalities. For project and resource planning, VOGSY gives you the main capabilities needed for project management. When wanting to understand project status, there is the data at the project level itself, the charts. When wishing to understand financial results, you have charts that show revenue forecast, work in progress, visual project status, work in progress, and outstanding invoices. Finally, you have the back office reports that slice and dice the information to help you further understand how the business is performing. **What problems is VOGSY solving and how is that benefiting you?** The biggest problem we have solved with VOGSY is the lack of data without manual work and the connection between our CRM, VOGSY, and our accounting tool. Still, more importantly, the project status and related financial information is constantly being updated so we can be proactive when issues arise. We have had VOGSY for a little over a month. The front end is beautiful and one of the most aesthetically pleasing PM tools I've ever used for sharing project data. But the reports in the back office are what I find most valuable. **What do you dislike about VOGSY?** Unfortunately, we have quite a few nuances with our client billing (fixed price, time and material, retainer) and it took a little while for us to figure out how best to utilize the tool most effectively. **Recommendations to others considering VOGSY:** If you're a growing business and can link your financial tool (i.e., Quickbooks) directly to Vogsy, I highly recommend it.
