Ombud makes writing RFX responses a breeze! With their import wizard, we can easily build a compliant response document in seconds. Using the response library allows me to quickly search previous responses that may align to the current question, and, if necessary, quickly adjust the response to fit the current request. There are a few workflows with the right tray that aren't very streamlined. When assigning a question or section I wish the options had easier to set defaults for the current document. When I was new to the team, Ombud allowed me to retain the information and help answer the Security Questionnaires and RFPs. Not only was it a tool to respond to customer questionnaires and RFPs, it was like a study guide to learn about the company products. It became my go-to knowledge base. OMBUD provides a very well-judged feature-set that is powerful and intuitive with a very low barrier to adoption. I can get new sales / presales colleagues ramped within 30 minutes and the crowd-sourced content management means that every time the system is used, value is added. Product is excellent, we utilize it for RFPs, Security Forms and our SOW process. The ability to manage and reuse responses and content is a game-changer for us. I reviewed many vendors prior to picking Ombud. The decision came down to who I felt best about working with. Ombud seemed to be more customer-oriented. It played out well for us. Not much. We utilize it to create Statements of Work (SOW)s. We are stretching and twisting the RFP features to match our SOW workflow. Hard for me to find fault in this as it is self-inflicted and it has actually increased our SOW throughput. The Show Suggestions feature and subsequent search bar that appears feels like magic compared to the way we used to respond to RFPs. If you build your Reference content with good key words and give the machine learning a little bit of time, the questions practically answer themselves.
Beyond that, the Search bar and Filter tools are helpful for users who are not as familiar with Reference content, as well as for questions that are more specific and warrant a search of past RFPs. There are occasionally minor formatting glitches when working in a section or response (mainly bulleting and URLs). It’s not as smooth as working in Microsoft Word, but it seems like Ombud is aware of this and making improvements with each new release. Their Support team is also incredibly responsive. Ombud is easy to pick up and use from day one. We were able to increase productivity, quality and efficiency in no time. It changes the way we take our new team members through the on-boarding process, reducing the time spent on training on how to get to the right answer. After short listing three solutions, Ombud blew the competition out of the water with its machine learning features (automated suggestions), importing document service, and the exporting to excel was pure magic. Also very valuable is the customer success team and our regular business reviews where Ombud takes the time to help us maximise the use of the solution as well as present opportunities we did not know about. Because it's so flexible, it can be daunting if you haven't got a vision or plan of what you want to achieve - like looking at a blank sheet of paper. I personally do not have any dislikes, but there's always room for improvements like any tool. We have multiple languages to manage and would like to see some integration/linking here, and more options in the formatting features like a proper emdash or euros symbol. I would also like to see more visual tracking for navigating where the writer/user is on the workspace.
