"Super Easy to Use for Foreign Expense Tracking"

What do you like best about Zoho Expense?

We are an international NGO and needed a way to track our expenses in a Brazilian Real vs our base currency of USD. Zoho Expense is the only platform we found that could do that, and it was also super easy! Our director in Brazil uploaded the app to her phone and took a picture of a recent receipt, and voila, it appeared on our web-based home screen waiting to be approved and processed. Our expense tracking system has been very labor-intensive as it relies on manual input of receipt information. We also had no way of consistently storing receipts. "Effortless Receipt Scanning and Enriched Expense Reporting with Zoho Expense"

What do you like best about Zoho Expense?

What I appreciate most is the automatic scanning of receipts, whether they are uploaded from a file or captured as a photo using your smartphone through the Zoho Expense app. The accuracy is outstanding and saves my users significant time, as they no longer need to stand by a scanner processing each receipt individually or manually inputting their expense claims into a spreadsheet. What do you dislike about Zoho Expense?

It would be helpful if there were an option to set a default expense type for each Vendor or Supplier. For instance, if the supplier is "Microsoft," the expense type could automatically fill in as IT Software. However, this is not a major issue for me. What problems is Zoho Expense solving and how is that benefiting you?

Previously, our employees submitted their expenses using a manual Excel spreadsheet. This process was not only time-consuming—requiring them to scan each receipt and attach it individually to an email along with their completed Excel form—but it also resulted in frequent errors and data quality issues. As a result, our Finance team had to manually verify every receipt and make necessary corrections before processing payments.

After implementing Zoho Expense—which I set up myself without any assistance from Zoho—the process became much more efficient. Employees can now prepare their expenses on the go, which has significantly improved data quality and saved a considerable amount of time for everyone involved in preparing, submitting, approving, accounting for, and paying employee expenses.

Some of the key benefits we've experienced include a reduced risk of errors between receipt amounts and amounts claimed, thanks to the receipt and invoice auto-scan feature. We can also accurately capture Tax and VAT (including both UK and non-UK VAT/GST at various rates) on all expenditures. All receipts and invoices are now stored electronically with each claim, eliminating the need for scattered network folders or emails with attached PDFs. Additionally, our cash forecasting has improved, as we can view employee expenses as they are added, even before submission, which helps us anticipate month-end expense claims.

We also use Zoho Analytics, and Zoho Expense seamlessly imports expense report data every hour. This allows us to generate management reports and dashboards. Furthermore, we've developed a report that creates a double-entry journal, which we can copy and paste directly into our accounting system for accurate and efficient expense recording. It is affordable and has user friendly interface. I really like how easily one can use features like receipt scanning and mileage tracking. What do you like best about Zoho Expense?

Zoho Expense has transformed how we handle employee reimbursements at our company. Three features stand out:

Autoscan is a game-changer. Snap a photo of a receipt and the app extracts merchant, amount, date, and category automatically. Accuracy is impressive - it gets it right 90%+ of the time, even with crumpled receipts or faded print. What used to take 10 minutes of manual data entry now takes seconds.

The mobile app is genuinely good. Not a watered-down afterthought like many business apps. Full functionality, fast, and the camera integration for receipts works flawlessly. Our team actually uses it, which says everything.

Zoho Books integration is effortless. Approved expense reports flow straight into our accounts with correct GL coding. No CSV exports, no manual re-entry, no reconciliation headaches. The sync is reliable and the audit trail is clean.

If you're already in the Zoho ecosystem, this is a no-brainer addition. Even standalone, it's a solid expense management solution.

- Separate subscription from Zoho Books - Even with a paid Books plan, Expense requires its own subscription. Would prefer it bundled or included at higher Books tiers.

The paper receipt chaos. Before Zoho Expense, employee receipts lived in wallets, car glove boxes, and email attachments. Month-end meant chasing people for crumpled bits of paper. "What’s not to like?"

What do you like best about Zoho Expense?

I like that I can use Siri on my iPhone to initiate Zoho Expense to track my mileage. This makes mileage tracking for my business travel incredibly easy. Then, when the trip is over, I use Siri to stop tracking and it automatically creates an expense report for my trip. I collect those over a month and submit them for review. EASY!! I also use Siri to record a receipt. No fumbling through buttons or apps. My voice command simply opens the app and allows me to scan my physical receipt. BAM! Easy. It’s so easy to use, and it integrates perfectly with our company’s Zoho Books account.
