**What do you like best about XTRF Translation Management System?**

Once you have navigated its non-intuitive system, you will be an asset to your employer because it defies logic and is extremely dated.

**What do you dislike about XTRF Translation Management System?**

We’ve generally had an up and down operational experience with XTRF, and we recently encountered a serious issue around add-on billing that prospective customers should be aware of.

XTRF charged us for API access based on an old API commercial agreement, even though the API had not been explicitly ordered as a paid feature once pricing was introduced, and there was no verifiable API usage on our side. The position communicated to us was that the API remained billable unless we explicitly emailed to opt out.

From our perspective, chargeable add-ons should require either clear activation and acceptance at the point they become paid, or documented usage (e.g. logs, issued credentials). Billing based on silence or lack of opt-out raises concerns around transparency and governance.

While XTRF eventually disabled the API going forward, the question of a refund for past charges has had to be escalated to our lawyers. If you need legal counsel to defend your interests against a service provider for a service you are not actually using, something is fundamentally wrong with how that service is being delivered.

Advice to prospective buyers:
Clarify upfront how add-ons (API, integrations, etc.) are activated, how acceptance of paid features is documented, and how usage is tracked and substantiated.

XTRF is our order management system. But it is dated, service is poor, and usability is not intuitive.

It is a system from the late 1980, based on the old way of doing thing, notging rational but layout is nice...

**What do you dislike about XTRF Translation Management System?**

This is a system created in Poland and it is not complicade but reminds me of Russia. Nothing can be simle, no shortcuts, if you update somthing in one place not enough there are another 4-5 places where you need to update the same thing. And when we complain - they say .... it is per design. And that is the problem, it is per design, the same design that created the Lada in Russia.

**What problems is XTRF Translation Management System solving and how is that benefiting you?**

The problem is that they complicate thing. You cannot even issue a credit note in the system, everyting, all changes have to be done at 4 or 5 different places and all changes to be confirmed at least 3 times. We do not have time for that! When you complain the threaned to throw you out... Smart move froma company that doesn't make mney.

XTRF, keeps you on top of all aspects of the project leading to high client satisfaction rate in a very easy and simple way. XTRF is fun to use, many tools are available to keep you in full control.

Can't think of anything really. maybe on very rare occasion it can get slow and files might take longer than usual or expected to upload to the portal. Other than that all is good.

Less back-and-forth communications, a clearer timeline for the client and the linguists. You never have to worry about reminding the linguist about a job or a deadline.

**What do you like best about XTRF Translation Management System?**

We like a lot XTRF's smart view and workflows such as all integrations with Memsource and Memoq

**What do you dislike about XTRF Translation Management System?**

A little bit expensive if you'd need some customization.
For invoicing, for example, it's not possible to take off all the tasks, so if you have to invoice 2 projects of 24 languages, the Pro-Forma invoice will be almost 50 pages.

But it's 1% of 99% great things XTRF can do!

It's super fast to create new invoices and you can change address and Legal name by yourself, don't need to wait for PM or SP to do it. Everything I need to know about company and invoicing process is easy to find and see

On tXTRF it is longer to credit invoice than on other systems.

**What do you like best about XTRF Translation Management System?**

Being always focused on minimalism and getting things done as fast as possible, I have chosen XTRF for the following reasons:
-	Cloud-based: this was a major criterion since we work from various locations and want everybody to access the platform (management, project managers, vendor managers and, above all, vendors)
-	Intuitive interface: finding fast the right function and button. Workflows area easy to follow with less and less human input.
-	All info and reports in one place. Management and control comes from having the right reports available at the blink of an eye, with the metrics that matter most.

**What do you dislike about XTRF Translation Management System?**

Pricing is one of dislikes. In some moments, it proved expensive for a period of time when workload was reduced.

Having all information and metrics in one platform helps a lot at managing. This is the main benefit for me. I can also assess what others are doing, so it gives me the leverage I need in this field.

**What do you like best about XTRF Translation Management System?**

It helps us create and manage all our projects so this software is already essential to our job, we have all the clients there, our rates, and our providers, we invoice there too. I love how it helps us keep track and control over everything and help us optimize time and do our job more efficiently.

**What do you dislike about XTRF Translation Management System?**

I don't like how difficult or complex it is at first, the software is not intuitive or easy to use at all so you have to train and learn from someone else how to use it. I also don't like when we have glitches or bugs in the system as we do everything there, so when that happens is not nice at all and it really makes our job harder and we lose time, as usually when we have those issues we have to wait at least a day so it gets resolved.

Not problems actually, but we do everything there. We create our projects, we assign providers there to the projects, they are delivered there and we invoice them there too, we manage them there so we add all details or instructions and timelines there. So basically we do everything there.

**What do you like best about XTRF Translation Management System?**

XTRF is a translation management system that can also handle non-translation jobs. The automated workflows make it easier for project managers to handle multiple projects at once and the integration with the biggest CAT tools even makes it easier for new project managers to get started with using CAT tools.

**What do you dislike about XTRF Translation Management System?**

XTRF is a full translation system with a lot of functions, but we find that there are some functions missing for some of our needs. For example, we are located in Japan, and Japanese Yen does not handle decimals. You can set the decimals for currencies system-wide but not separately for each currency. If we only work in Japanese Yen, we can set it so that the systems does not work with decimals, but unfortunately we also have clients we work with in USD and EUR.

Before we started using XTRF we had multiple systems to handle translation jobs. We would use a system for vendor management, a separate client database, a system for creating invoices and quotes, and all communication with the translators and clients was through email. When we switched to XTRF, all of these systems became one system, and we are spending a lot less time on a lot of tasks. (Looking up available translators, creating quotes and invoices, and also exporting reports about our business.

Convenient platform for both translators & translation agencies to handle the whole translation process. I'm currently learning how to use this software, in particular creating smart projects, quotes etc.

Superb customer support, willingness to listen to feedback, provides open and honest responses.
Great workflow automation options.
System is complex and flexible for advanced or custom solutions.

Legacy system (classic projects) could use some quality-of-life updates, but they come sparingly. Most improvements are focused on the new system (smart projects). But it's not mature yet for some CAT tool integrations.
High learning curve for advanced customizations, but XTRF provides great support while you learn.

**What problems is XTRF Translation Management System solving and how is that benefiting you?**

We needed a TMS to help us manage all aspects of a localization workflow from start to finish, and XTRF does just that. What it doesn't do out of the box are supplemented by custom developments that are very reasonably priced.

**What do you like best about XTRF Translation Management System?**

XTRF is a huge platform and there is no end to their customising features. It's a useful tool to manage all your translation projects and you can store all related information such as client and vendor information. I also like the XTRF Academy videos because they are really helpful when introducing XTRF to new colleagues.

**What do you dislike about XTRF Translation Management System?**

I had a hard time understanding the smart projects feature even though the name smart gives the impression that it would be easier. Workflows seem rather complicated in comparison to the classic view.
Also I wish XTRF sent a message/notification to Project Managers when a provide enters a holiday. We don't use the search translators function often as we know which translator to book but we have to go into their profile everytime to check if they entered a new holiday or not.

**Recommendations to others considering XTRF Translation Management System:**

It's an efficient Translation Project Management tool for small or large companies who wish to store every kind of information there is to translation project management. Vendor Portal and Customer Portal are great additions as well when it comes to involving vendors and clients.

Vendor Portal and Customer Portal integrations are very useful because they serve as an extension for our vendors and clients which they can use for free. The vendors can invoice their jobs via the portal without us having to manually approve each invoice.

**What do you like best about XTRF Translation Management System?**

It helps all of us who are involved in the translation, editing and/or proofreading process. In my case as an editor, it helps me a lot to know what time the projects arrive, what time I must deliver it, the word count and the amount that I will be paid. For me, XTRF is the ideal ally in my work.

Sometimes the session tends to close very quickly, so I have to enter my data to log in constantly.

As I said, I love that I can see in an organized way what time I will receive the project and what time I have to deliver it. That helps me organize my work time.

I like that XTRF is simple to use and quick to get used to and can book every project here and have control over project or task levels etc

I tried using Smart Projects because of its looks but the migration is hard because you have to amend every little metadata like your jobs, languages, how your PO looks and contains etc according to your needs - we got all set up in classic projects, in smart one it'll be hard so we kept postponing the migration

I did not try many other translation management systems but I am happy with XTRF and would recommend it to others as well.

**What do you like best about XTRF Translation Management System?**

XTRF is a highly-specialized enterprise-class software solution specially designed for localization projects, which typically include translation, editing and proofreading work, etc., required by clients and completed by vendors. It integrates functions like client and vendor data management, quote request and confirmation, work assignment, payment arrangements, timeline management and file delivery. 


**What do you dislike about XTRF Translation Management System?**

The automation of low-ended jobs also indicates that project managers who can only do these will be obsoleted. And the same applies to the ones who are not capable of taking advantage of technological advancement. In this sense, XTRF is a filter.


**What problems is XTRF Translation Management System solving and how is that benefiting you?**

Without a doubt, for localization project managers who struggled in daily tasks related to project administration, XTRF is a powerful tool, allowing them to spend more time on more complex work that asks for advanced people skills that go beyond machine’s limits. In this sense, the tool is a savior. 
For instance, in the past, it took a project manager a great deal of time to transfer the files from upper stream to lower stream. Translated files will be sent to the manager’s email from the translators, and then be forwarded by the manager to the editor’s inbox. The dry process not only requires dull but vital conformation, but also breakdowns from time to time when the email server is unstable. In contrast, XTRF links all the vendors to the platform based on the workflow, meaning that once the translators have uploaded their finished works, they will appear in the editor’s task list right away. This amazing automation has freed project managers from being a file transferor, thus letting them concentrate on people work such as building relationships with clients.

**What do you like best about XTRF Translation Management System?**

XTRF is yet another translation project management platform that seems to be adopted by more and more translation companies. It is a decent way to issue purchase orders and invoices. The jobs themselves are emailed between translators and project managers, though. I also like that the translator can self-report a lot of information such as skills, software, and vacation days; this probably makes things convenient for the project managers too. It's also helpful for the translator that all past invoices can be stored in one place, with payment statuses transparent to both sides.

**What do you dislike about XTRF Translation Management System?**

I am not aware of any company that actually uses the "Job Offers" page, and so I don't think this section is all that useful. Project integration might also be a good thing, depending on how well translators and project managers communicate.

**Recommendations to others considering XTRF Translation Management System:**

As long as instructions are clearly given to translators in the beginning, the system is pretty intuitive and easy to integrate into workflow.

I've noticed companies starting to use this system to get beyond the manual creation of purchase orders, so it seems that the automation of this part makes the project management side more efficient.
