• Reduced learning curve – I don’t need to know it all at first and then try to remember, this ushers in the new progressive way to train, learn as you go – with workflows providing the guiding hand – so you know it is done right the first time.
Whatfix is an incredible piece of software designed for business with the end user in mind. You don’t find that very often, many think it but few have pulled it off as good as Whatfix! We started with three platforms, quickly moved to five and about to add a few more. The biggest benefit is how easy it is for our employees to navigate through our systems and provide the correct information with the task at hand.
The overall success has been incredible over the last 82 days as we launched it on a brand new human capital system. We expected lots of phone calls to our help desk from our employee population of 90,000 plus and staffed it accordingly. The average calls we received a day turned out to be 17, then it dropped to 10, we moved staff around where they would be more productive after the first two weeks. All this because we recognized we needed something different to make this system launch a success. Bringing Whatfix onboard, having the workflows for the task they everyone needed to complete, knowing everyone’s needs would be different, made this system an important part of our strategy and this system accommodated all the request. To witness this launch was inspiring and the short adoption time of a new system was mind-blowing and it was because we invested in the Whatfix solution.
The system itself is incredibly easy to use with some basic training and the support site that is in place. Having the ability to quickly create video or PDF copies of the material if needed is a huge time saver and what really the ease of designing workflows, smart tips, task list, etc. is amazing.
The customer service is impeccable – the staff is very motivating, understanding, helpful, and just fantastic to work with. They go above and beyond to help us be successful and that includes helping us to think outside the box in varies ways to assist in communications to the field.
But, when I decided to start a Center of Excellence for the teams using Whatfix on our systems, the Whatfix team was so responsive and wanted to know what they could do to help. Apoorva Mittal has even had the fortunate experience to come speak to our new team. Listening, questioning and offering suggestions on how we might want to shape our future activities. Whatfix has been a game-changer for our organization’s digital adoption strategy. The platform’s guided walkthroughs and on-demand help have empowered our employees to navigate complex systems confidently. We use for our HRIS, ERP, and a few other applications that regularly experience user confusion. The flexibility of Whatfix to create detailed, step-by-step flows has made training and onboarding seamless.
The customization options allow us to tailor content to specific user groups, improving our support and engagement efforts significantly. The analytics dashboard provides valuable insights into user behavior, which helps us continually optimize our content. The support from the Whatfix team has been excellent as well—they are responsive and proactive in helping us achieve our goals. From the very beginning, we have had a white glove treatment/approach to support, and we can't speak highly enough about our experience!

Our CSM always prioritizes our business needs and is willing to go above and beyond to provide us with solutions that work with us. This includes the prompt return of emails and phone calls, solution oriented customer service, and willingness to escalate any issues that we're encountering until they are promptly and satisfactorily resolved. Flows sometimes timeout. This is a limitation of the technology and often user error. However, it is hard to tell via analytics whether or not it is user error or another reason. This is something that Whatfix is actively addressing. Review collected by and hosted on G2.com.

It will take some time to build up all the content that we need but that's to be expected with something like this. Also, some of the different customizations and element selections require more than a basic level of knowledge with Javascript/CSS selectors and such which can be difficult to learn on your own. Whatfix has been a game changer when helping to support the onboarding of new users to our platforms. We can easily set up task lists and flows to help guide new users through the platform with support. It gives our new users confidence as they master workflows.

I can't really say this is a dislike, but there is a learning curve. However, Whatfix has a plethora of resources to help support you as you learn. Overall, our company uses WhatFix for many things. Self-help, storing reference guides, pop-ups, user workflow assistance, etc., for our customers to use our product. It helps our customers better understand how to use our SaaS tool.
I recently used the WhatFix survey functionality to implement an NPS In-App survey for my company. There was a bit of a learning curve for me and a few tweaks we needed to make, but the survey was a success after testing well, and we are looking forward to using it again in the future. We did do some customization for our survey with their development team and she was really easy to work with and a great communicator.

In our experience, Whatfix has been a huge time-saver. We no longer have to rely on our internal development teams or wait through lengthy development cycles—we can handle most tasks on our own. There's nothing wrong with Whatfix—they're always improving their features and adding new ones to make things easier for us. We provided virtual professional development for adult learners. One of our primary goals is to allow them as much agency as possible to guide their own experience and spend their time in a way that feels effective. A big part of the effective use of their time is getting in-app support right when they need it. Whatfix has been an important addition to our overall system of support for our learners.

With any sophisticated tool, there is a bit of a learning curve for sure. Not necessarily a plug-and-play sort of tool but that is not what we were looking for either. There isn't much I dislike about WhatFix. I appreciate the work they do and the support they provide. I do wish there was more automation to analytics and have brought that up, which I feel good about considering they do a good job of listening to requests and making something their customers will enjoy.
