Once I do that it will take all the information from the receipt and uses it to build a sheet of expenses. It categorizes them and keeps track of them. You can a rule system setup on it, you can tell it where to route the information and request sign-offs **What do you dislike about Unit4 Travel & Expenses?** Going to look for things can be a bear, Sometimes it is complex and not very intuitive to where things are kept. For example, if you are search on a specific item, you need to be exact, enter the exact phrase or number. in other packages will give you a list of choices based on the first 3 or 4 characters. This software does not seem to recognize the proverb "less is more". **Recommendations to others considering Unit4 Travel & Expenses:** It is a good package. I would also recommend reviewing other products in comparison. Before this product, everyone had to put their expenses on a template spreadsheet, then it has to be signed by 3 or 4 others before it is processed. With Unit4, it does all of this. This makes it much easier when bills are split across multiple people as we don't need to request the bill to be split, or for multiple copies of the receipts. After taking a photo of the receipt, I am then able to import it into the self-service module of Agresso to process my expenses **What do you dislike about Unit4 Travel & Expenses?** Quite often there is a delay in syncing depending on network coverage - it seems to require quite a high quality network to be able to sync with the server. **Recommendations to others considering Unit4 Travel & Expenses:** Make sure you have some good guidance so that users are able to set it up easily - the set up process is not particularly straightforward **What problems is Unit4 Travel & Expenses solving and how is that benefiting you?** We're solving an inefficient use of time in processing expenses. In the past we used to have to collect paper copies of all receipts when on business trips. When coming back to the office, we would then complete an Excel sheet of all the expenses, print it out, sign and authorise and then staple all the receipts to the back. This was difficult and time consuming, receipts were often lost, and it was difficult for our payroll teams to review the receipts as they were usually crumpled hard copies. Now this is all done digitally (including the approval stage), and expense details are documented at the time of incurring the expense (rather than trying to work it out weeks later from what it says on the receipt). It's nice having a system that tracks them all in one place. It can pull up audit trail for absences and I can easily search my prior requisitions. **What do you dislike about Unit4 Travel & Expenses?** This system is not intuitive at all. Searching is challenging, you have to type in exactly the right words in exactly the right spot. I can't tell if requests off have been approved. If you enter a leave request and then delete it, the supervisor has to approve both the original request off and the deletion. It's super confusing. I am constantly asking HR for assistance trying to figure out my balances. Travel requests are so detailed that our IT team now has us just put in one large number for requested expenses without using the individual functionality for all different kinds of expenses. For people to need to do travel expenses and check their payroll sheets, this is a really great product. You have to click on the little paperclip, which is hidden in the corner. That paperclip not only allows you to upload attachments, but also view attachments that other people, like HR, put in your account. If you're looking for simplicity, this is the thing. The homepage is clear. I like that public rates are included and that the system calculates correctly. It's also nice that I can go back and see what has previously been submitted for all employees (because I am a superuser). It's also easy to send a message via email when an invoice is submitted and when it needs to be sent back to the employee. I understand it will be better in the next version. When I need to approve invoices as the financial manager, I create a search for which ones I need to approve now. When I then go into a specific invoice, I have to create the search again when I exit that invoice. With our previous solution, there was a lot of back and forth to get all the data on a travel expense sheet right. In a much decentralized organization (with more than 25 locations), it is important that the end user can start using the software without any particular training. With its simple, intuitive “one-screen” user-interface we had very little problems implementing the software throughout our organization. **What do you dislike about Unit4 Travel & Expenses?** At the time we installed the system, there was no support for managing electronic attachments. One thing that I do dislike is that unfortunately, due to the fact that our parent company moved to a new ERP-platform, we had to switch to another, and much poorer, travel & expense system. This have caused many complaints among our employees. **Recommendations to others considering Unit4 Travel & Expenses:** After our thorough analysis of available products on the market, we are confident that UNIT4 Travel & Expenses is the market leader. They can start their expense report on travel with the use of mobile phone to take picture of receipts.
