Thalamus AI a Plus, as we spend quite some time pre-writing. We have used tools before where implementation meant getting logins, uploading content, and then figuring out the process ourselves. Thalamus AI was different. Thalamus AI success team spent time understanding our day-to-day RFP workflow and configured the stages around how we actually work. For us that includes clarification questions, bid/no-bid criteria, service capability matching, technology checks, case study matching, and questionnaire responses. It is not just one big AI chat box. The platform has structured workflows, and the agents run against those workflows. That has been important for our healthcare proposal process because we need repeatability. Different people can run the same RFP workflow and get a consistent starting point. A big challenge for us, as an RCM company, was not just answering questions, but knowing which case study or reusable proof point fits the buyer’s scope. We had case studies, but people still had to remember which one applied to which RFP section. Thalamus AI helps by reading the RFP scope area and matching it to the most relevant case study or reusable content in our knowledge library. It also gives a rationale, so the proposal lead can see why that case study was suggested and whether it is a strong match or only a limited match. This has been useful for healthcare RFPs where buyers want proof that we have solved similar problems before - denials, coding, patient access, revenue cycle workflows, analytics, etc. It saves time and also helps newer team members find the right proof points faster. We’re a process-driven RFP team, and at our scale, it gets messy fast — multiple proposal people, operations reviewers, and two time zones. We implemented Thalamus AI for healthcare RFP responses, and the clarification register has honestly been one of the most useful workflows for us. The AI agents read the RFP, compare it against our master clarification question list, pull answers from the RFP when they are available, and leave the unanswered ones open. Earlier, this was mostly manual work. Someone on our team had to scan the full RFP package and decide if a question was already answered somewhere in the document or if we should ask the buyer. Now we get a cleaner starting point with RFP evidence, source references, and AI inference when the answer is not fully clear. It helps avoid asking questions that are already answered in the RFP, which is a small thing but makes a big difference with buyers. Before Thalamus, our RFP team struggled with content customization, and generic drafts from tools like ChatGPT. That was the main problem we were trying to solve. Thalamus AI responses are more grounded in our actual content, so the drafts feel more relevant and usable from the start. The UI is also easy to use and clearly built for proposal and RFP teams, not adapted from a general writing tool. Another big positive for us has been customer success. What stood out most for us is the Knowledge Hub. Instead of just searching old folders and PDFs, Thalamus converts hard documents into editable, structured content we can actually work with. It pulls out things like case studies, project experience, key personnel profiles, section-level proposal content, and Q&A pairs, and makes them reusable across future responses. What I like is that this content is not just dumped into another library. Each item can be reviewed, updated, assigned to an owner, and tracked for validity. That makes it much easier to trust what the system is pulling into a draft. We’ve had fewer issues with outdated content and much less back-and-forth trying to figure out who owns what. It also helps a lot with larger proposals where the right information is buried across multiple documents. At first, content expiration notifications were not going to the content owners, which made it harder to stay on top of reviews.
