The AI feature helps us frame and draft the answers in an orderly fashion with the correct references for the extracted statements. This is one of the best feature of the platform which I like till now.

Sometimes the AI draft gives me wrong statements even though the underlying statements are accurate. I guess there is more work required to make the AI feature more accurate and revent hallucination.

Responsive is helping me draft answers for the questions of the proposals and is having a first stab at all the questions before further refinement of the answers for final submission.

Their client support is also better than any other SaaS platform I've used. We use the tool every day so it's helpful that it is so reliable.

On occasion, we have run into bugs and access issues, but the team has been "responsive" in getting us back online.

What I really appreciate is the vast library of intelligent content available. In addition, the AI-powered auto-suggestion feature stands out for its remarkable accuracy and effectiveness, making the experience even more impressive.

I would like collaborative editing in large documents to be a bit more seamless. At the moment, when multiple people make changes at the same time, it often means we have to double-check the files afterward.

Since we started using this platform, our response time has been reduced by half, and the quality of our proposals continues to improve. Responsive has become an indispensable part of our RFP process. It’s an excellent solution for storing and quickly retrieving past responses, allowing our team to move efficiently through even the most complex projects. The Projects feature enables seamless collaboration across stakeholders, giving everyone access to historical Q&A content in real time.

AI Assist and other AI-driven features have been especially impactful for our very lean team. When we release the Scope of Work to our internal stakeholders, Responsive’s AI is able to generate 85–97% of the Q&A content within minutes—dramatically accelerating our timeline and reducing manual effort. Instead of starting from scratch, our team can focus on refining and personalizing strong drafts.

The platform’s efficiency has significantly reduced repetitive work, ensuring we’re not reinventing the wheel with each submission. I also deeply appreciate the consistent and proactive support from our Customer Success Manager. Regular check-ins with our CSM help address any challenges and keep us up to date on new capabilities. The monthly Coffee Chats are another great resource to stay informed and connected with best practices.

The overall value of Responsive to our process is undeniable. We use it on every RFP, and it keeps us organized, on pace, and positioned to win.

One ongoing challenge we face is maintaining a consistent review cadence for Q&A pairs. While Responsive provides helpful tools to manage content and track updates, it can still be difficult to get subject matter experts aligned and engaged in regular reviews. It's hard to say whether that’s a limitation of the platform or just a reality of working with busy internal teams—but it’s definitely an area we’re still trying to improve.

Storage & Collaboration: We previously used SharePoint to store our RFP responses, but it was too time-consuming to search for relevant content when we needed it. With Responsive, I’ve been able to structure our content in a way that works best for our team, making it easy to organize, look up, and reuse Q&A pairs efficiently.

Responsive also streamlines collaboration across the proposal team, Product, SMEs, and Solution Consultants. Everyone can work in one centralized platform to review past responses, contribute updates, and use AI Assist to quickly draft new content. It’s made our entire Scope of Work response process faster, more consistent, and far easier to manage.

What stands out most about Responsive is how intuitive and approachable it is. The user experience feels thoughtfully designed, making onboarding almost effortless. Even new users can quickly become productive without extensive training, which is a huge advantage in fast-paced RFP environments.

I also value the level of customization the platform allows. It’s flexible enough to align with an organization’s specific workflows, templates, and RFP response formats. Being able to fine-tune configurations to match internal processes makes collaboration smoother and ensures consistency across responses.

The tagging and identification options within worksheets are another strong point. Having the ability to label and organize items by question number, question type, or answer type, and even mark which to ignore, creates a structured and efficient workflow, particularly for large or complex proposals.

The content library is another major highlight. It’s robust, well-organized, and makes knowledge management simple. I appreciate how easy it is to store, search, and reuse high-quality content, which saves significant time and helps maintain a consistent voice across submissions.

Finally, the AI-generated answers are exceptional. The responses are impressively accurate and diverse, often requiring little to no editing. Unlike other tools that need extensive training or templating, Responsive’s AI seems to truly understand context, providing nuanced, well-structured answers that elevate both speed and quality. It’s one of the few AI tools I’ve used that genuinely adds value instead of extra work.

**What do you dislike about Responsive, formerly RFPIO?**

While the overall experience is excellent, I’ve noticed a few areas that could be improved. The recommendation engine tends to prioritize the most frequently used answers over those that have been added or updated most recently. This often means I have to manually adjust filters or sorting to find the latest and most relevant content, which can slow down the process during fast-paced RFP cycles.

Another challenge is how the platform handles imported Word or PDF RFP documents. Although it does a decent job of parsing content, there are still instances where formatting or structure is misinterpreted, requiring manual cleanup or reclassification of questions and answers. Improved document recognition and parsing accuracy would make the workflow much smoother and reduce manual intervention.

Responsive has significantly improved how our team collaborates on RFPs and RFIs. The platform makes it easy to assign ownership, set due dates, track progress, and identify who made specific edits, which has streamlined communication and accountability throughout the process. It has also reduced the time required to complete responses, allowing us to manage multiple complex LMS and LXP RFPs efficiently without sacrificing quality.

Another major benefit is the creation of a centralized knowledge library. I find the Ask feature really impressive because it lets me post a question and receive a response. It's a great addition that makes interacting with the platform much easier. It also gives a list of sources so I can verify its accuracy.

I've observed that when a conversation continues for an extended period, the accuracy of the responses often declines. Because of this, I usually refresh the conversation session, especially when I'm formulating replies to proposals.

What I like best about Responsive is how much it streamlines my day-to-day work. I use it every day to complete RFPs and RFIs for Navigate Wellbeing Solutions, and it has become an indispensable part of my workflow.

The knowledge library and auto-suggest features save me countless hours by pulling in accurate, pre-approved content that I can easily customize when needed. Instead of digging through past responses or tracking down subject matter experts, I can rely on Responsive to surface the right information quickly. This allows me to spend more time focusing on strategy, tailoring answers, and presenting our value in the best way possible.

I also appreciate the collaboration tools. Responsive makes it simple to assign sections, track progress, and keep communication organized within one platform. It reduces back-and-forth emails and ensures the team is always working from the most up-to-date version.

Overall, Responsive has transformed the way I manage RFPs and RFIs. It makes the process faster, more efficient, and much less stressful. It’s a tool I couldn’t imagine doing my job without.

I would like prompts or automated follow-ups to update data for the reporting capabilities. Or a plugin to HubSpot to better track RFP data.

At Navigate Wellbeing Solutions, the biggest challenge in responding to RFPs and RFIs was time and consistency. Before Responsive, responses required a lot of manual searching, copying from past proposals, and chasing subject matter experts for updated answers. That slowed down turnaround times, created version control issues, and made it hard to keep messaging consistent across documents.

Responsive as a company is aptly named. They are VERY responsive, willing to learn about your business, the pain points you've been having, and tailor a solution to fit your needs. Having an implementation manager hold weekly meetings really made transitioning to Responsive easier too.

I cannot think of any downsides. The product is intuitive, and makes both writing proposals and project managing proposals easier

Having an intuitive platform where it is easy to discuss best strategic approaches in our RFP responses have been one of the best benefits of Responsive.

There are so many features that are useful in supporting any kind of RFx or security assessment work, as well as sales in general. You can start with the basics and expand out as needed. 
Of course, if you can’t figure out how to implement the features, what is the point? That’s why I find their free resources, such as their coffee chats, where they offer practical tips, and the community forum, where I can connect with other users, very helpful.

**What do you dislike about Responsive, formerly RFPIO?**

Sometimes I find the new UI "too" helpful. Menu items disappear depending on where you are in the tool. I feel like it's getting better, though.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Responsive has allowed us to ditch the Excel with 100's of Q&A pairs that was always out of date and to intelligently manage our RFP/Security Assessment work. If you do either RFxs or Security Assessments, you need Responsive. Beg, borrow, or whatever to get Responsive at your business. Everything from project management, content review cycles, comments, tasks, collaboration, etc. is 1,000 percent better with Responsive.

The AI, especially when unleashed to something like our company knowledge base, becomes such a time saver.

Projects are easy to set up and manage, and the platform makes it simple to collaborate across multiple contributors. The AI suggestions pull directly from our curated content, which speeds up drafting and keeps our responses consistent and accurate.

The Content Library only creates value if it is carefully maintained. Without regular curation, the AI suggestions can become noisy and less reliable. Template customization and formatting options are also more limited than I would like, and the platform can feel expensive for organizations that do not have the response volume to justify the cost.

I like that it's easy to see question assignments, what has been answered, what hasn't been answered, etc. I like that questions can be reviewed during the response process. In the past our company has had to wait until questions were 100% resopnded to to review, it was harder to keep track of what was answered and what had been reviewed. The Resposive support team is very quick to respond to inquiries. I like that I can send documents for electronic signature in the platform. I like the coffee chats provided by Responsive to learn new Responsive tricks and skills.

Even when exporting a response directly into our company template, we still spend a ton of time formatting our document to look presentable for proposal submission. We have run into a few bugs that have delayed a proposal response. One example is a user was unable to send electronic signature documents. They continued to receive error messages when trying to accomplish this task. I dislike that we have to convert pdf documents to microsoft word documents in order to import and map them.

Responsive has consistently demonstrated excellent customer service and genuine interest in how successfully we adopt and use their product. When my teammates and I raise a concern, our Responsive CSM, account executive, and even the CEO have responded to assist and provide support. They're cheerful people and have been a pleasure to work with. 

The product itself is a massive improvement from the platform we used previously. Responsive consistently updates and rolls out features that directly address the biggest concerns and issues in our industry. It's obvious that they care about their client base and that they listen to their customers' needs.

Responsive has significantly improved our ability to respond to RFXs faster and more effectively, especially during the initial stage of the response process. The Content Library and Ask (AI) features allow us to centralize and reuse high-quality, approved content, which means we’re no longer starting from scratch each time. With a curated library of pre-approved responses and supporting documentation, we eliminate repetitive writing and quickly insert accurate, compliant answers into proposals. Our team can quickly locate relevant answers, tailor them to the specific opportunity, and collaborate seamlessly, often in real-time. It’s helped reduce turnaround time, maintain consistency in our messaging, and ensure that our responses align with our brand voice and strategic goals. Ultimately, it’s freed us up to focus more on strategy and less on the mechanics of response management.

Customer support is quick to respond and open to ideas and building customizations for clients. 

We monitor submission progress and team performance through Responsive’s dashboards, which provide at-a-glance views of task completion and outstanding items. We analyze the most frequently used content that needs updates, helping us maintain a relevant and practical knowledge base over time. 

Since purchasing, we have used Responsive for all RFX responses.

One of the less helpful aspects of using Responsive is that while it excels at centralizing content and streamlining response collaboration, it can feel a bit rigid when customizing more complex or non-standard proposals. The platform is optimized for high-volume, standardized RFPs, which is great in many cases, but for more tailored responses or creative proposals, the interface and process can feel a bit limiting.

Additionally, while the content library is a powerful feature, keeping it clean and current can become a significant maintenance task, especially if you have many contributors or if your offerings change frequently. Content quality can degrade without strong governance, impacting response efficiency and accuracy.

Another challenge is the initial setup process of creating the Project response Q&A template. While Responsive provides a structured framework to get started, that structure isn't always easily configurable to fit unique intake needs. It often requires several attempts before the output is satisfactory.

The cost for full access for users is high compared to other platforms.

Finally, integration with specific third-party tools and CRMs can sometimes require additional configuration or workarounds to meet specific organizational needs, which may not be as seamless as marketed.

Responsive is helping us streamline and significantly improve how we manage and respond to complex RFPs. I find that Responsive, formerly RFPIO, provides ease of access to answers, which is really helpful. It works for what I need, especially when handling due diligence questionnaires. I also use it with Salesforce.

Responsive (formerly RFPIO) is a very convenient and intuitive tool. It is easy to use and it provides an array of features to help and smooth our work. I have been using it on a daily basis due to the high volume of RFPs/RFIs and don't want to imagine this work without Responsive (formerly RFPIO).

I am also pleasantly surprised by the level of knowledge any customer support person has. The Team is always available and they can quickly spot the challenge I am facing and give the reason why.

So far, 5 months later, nothing to dislike.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Responsive (formerly RFPIO) is solving time to deliver. 
Before Responsive (formerly RFPIO), we used to spend days working on a a RFP - and by this, I mean a team of 2 to 3 people. Now... we have 1 person that can assign tasks to other individuals. Collaboration is more efficient and on-time.

**What do you like best about Responsive, formerly RFPIO?**

I appreciate how it streamlines the RFP process. Before my company was acquired we did everything manually and it was such a slog, incredibly time consuming, and just a waste of resources when we could have been using a software solution. A company we recently acquired uses Loopio and while they seem similar, I find the UI to be more user friendly in Responsive.

**What do you dislike about Responsive, formerly RFPIO?**

Loading the RFPs into Responsive is far more time consuming than it needs to be. I have found on almost every RFP that the mapping is inaccurate and I end up having to do so much manually. I think that the review process could be streamlined as well. We have many stakeholders who want to be able to review a project and get many complaints. Especially that you can't highlight a particular sentence within a response to say hey this is the part I have a problem with.

Responsive helps us to streamline our RFP responses, without a doubt. It frees up resources and allows us to utilize content from previous responses within our content library. We have a high volume of RFPs with a small team and use Responsive to ensure we can meet the deadlines with quality responses.

Responsive more than suits our needs. I like how it is constantly innovating and adding new functionality, such as its many new AI features. I like being able to contact live humans on their Support team 24x5 - they're all very knowledgeable and helpful and will jump on a call if needed to help you sort through your issues. And special kudos to our account team!

**What do you dislike about Responsive, formerly RFPIO?**

The only issues are on our side, not theirs. Typical challenges of using any proposal software - getting team members to work within the tool, keeping content fresh and well organized. No issues to complain about on their side.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Their continuous evolving in AI is most helpful - being able to quickly generate a first draft and generating requirements analysis using AI.
