  ### 1. Time-Consuming UI for Adding Staff to Projects and Timecodes

**What do you like best about Projectworks?**

With API Access, I was able to create integrations with our internal products to improve efficiency across the business. We also used ProjectWorks as our consistent, cross-region leave management and timesheeting tool

**What do you dislike about Projectworks?**

The user interface means that adding staff members to projects and time codes is very time-consuming. The integrations into our tools are poorly designed and inefficient. A product like Clockify provides a much better experience when using its add-on. The product is also very expensive for what we use in the product. The resource management was so complex tas to be useless in our case.

**What problems is Projectworks solving and how is that benefiting you?**

ProjectWorks provides our timesheets. Previously, it also managed our leave and integrated with XERO, which worked well and provided us with a single, consistent point of entry that automatically filled out staff members' timesheets.

**What do you like best about Projectworks?**

Projectworks has really made managing our projects a lot easier. It brings everything together in one place planning, team workload, budgeting, and invoicing. The visual timeline helps us spot any potential delays before they even happen, and the dashboard with charts makes everything super easy to understand. The timesheet feature is simple, so our team can track their time accurately and we can create invoices without any hassle. The heat map shows if anyone is overloaded with work, which helps us balance things out. It works well with other tools like Salesforce, so we can easily transfer data when needed. Since it is web-based, we can access it from anywhere, making our work more flexible. Plus, the customer support is always quick and helpful whenever we need assistance.

One thing I would like to see improved with Projectworks is even more integrations with other tools we use. While it works well with tools like Salesforce, adding more options would make the data transfer even smoother. Sometimes, a little more customization in reports would also be helpful for our specific needs.

**What do you like best about Projectworks?**

Projectworks has been really helpful for managing our consulting projects because it fits well with the way our team works. It makes it easier to handle project planning, team workload, and finances all in one place. One thing I find very useful is the ability to see project profitability and forecast future revenue, which helps us plan ahead and manage budgets better. The resource heat map also helps quickly see if someone is overloaded with work or if someone has extra capacity. I also like how simple the time tracking and invoicing process is, especially the easy to use timesheet interface for the team. Since it is web based, we can access it from anywhere, which makes daily work more flexible. On top of that, their support team is very responsive and always helpful when we need assistance.

**What do you dislike about Projectworks?**

One small thing I do not like is that when someone starts using Projectworks for the first time, it can take a little time to understand all the features. Since the platform handles projects, finances, and team planning together, new users may feel a bit confused at the beginning. People usually need some time to explore the system and get used to how everything works. But once the team becomes familiar with it, the platform becomes much easier to use in daily work.

Projectworks has helped solve one of the biggest problems we used to face, which was managing projects, team workload, and financial tracking in different tools. Earlier, it was difficult to clearly see how profitable a project was or how resources were being used. With Projectworks, we can now track project margins, forecast revenue, and monitor team workload in one place. The resource heat map also helps us quickly identify if someone is overloaded or if there is unused capacity in the team. This has helped us plan projects more carefully, avoid overworking staff, and make better financial decisions.

Projectworks makes it really easy to manage projects because everything like time tracking, billing, and budgets is in one place. The timesheet is simple, so the team can log hours without confusion, which helps in correct invoicing. It also gives a clear idea of project costs, profit, and future planning, so we don’t have to follow up with different teams. The system is easy to use, works from anywhere, and their support team is always quick to help when needed.

One thing I feel is missing is smart AI features, as most planning and forecasting still needs to be done manually instead of getting helpful suggestions from the system. It would be better if it could automatically highlight risks or suggest improvements. Also, the pricing feels a bit high, especially for smaller teams, and it takes time to really see the value for money.

ProjectWorks was easy to implement and customer support has been friendly, prompt and very helpful.

It has been easy to use and has made a big difference in our ability to manage workflow and budgets more effectively across multiple projects and team members.

**What do you dislike about Projectworks?**

We sync ProjectWorks with Xero. Leave, invoices, and payments can only be exported once. If any of these need to be edited in either platform after export, the same change then has to be manually updated in the other platform as well. It would be great to have a regular or on-demand sync between the two, so the data stays consistent automatically.

**What problems is Projectworks solving and how is that benefiting you?**

The real-time transparency around project budgets is providing project managers critical information and more control over the overall health of their project budgets. It has made invoicing much simpler and faster.

**What do you like best about Projectworks?**

I love Projectworks for its time tracking and invoicing capabilities. I can easily adjust time codes and assign blocks of time to invoices, as well as adjust billable hours and track budgets. I love that it is web-based and can be accessed anywhere on any device. The timesheet entry interface stands out as the most important feature because it simplifies the process for our staff, ensuring accurate invoicing.

**What do you dislike about Projectworks?**

Resourcing is input intensive and not easy to keep up to date as day-to-day workloads change. As a New Zealand-based company, there's no concept of paid overtime or time off in lieu of overtime (TOIL) integrated into Projectworks, making it difficult to track and report this to Xero. We have to manually calculate TOIL and input this data into Xero. Additionally, the timesheet and time columns are in HH:MM format, but Xero and most other programs use decimal hours. It would be really helpful to have the ability to choose between HH:MM and decimal hours. Also, the ability to send overtime hours or TOIL hours to Xero is needed.  I also don't like that the price is going up 17% and we just have to accept that and move on. I can see why it has gone up, I still think it is worth it, I'm still happy. But how many price hikes will I sustain and still be happy? I'm not sure. You should communicate and consult with your userbase for price-hikes well in excess of inflation.

Projectworks helps me with timesheets, cost codes, invoicing, and project financials. I love being able to adjust time codes, assign time to invoices, and track budgets easily across devices. The user-friendly timesheet feature is key for effective invoicing.

**What do you like best about Projectworks?**

I value the predictive power of Projectworks the most, especially for revenue forecasting. It's a game changer because it lets our team see where the cash flow will land months in advance. The resourcing heat map is also great—it's my go-to feature because it lets me instantly spot if someone is burning out or if talent is sitting idle, enabling us to make immediate course corrections. Projectworks also turns resource management from a guessing game into a data-driven process.

**What do you dislike about Projectworks?**

The custom reporting in Projectworks, while powerful, requires a learning curve. You almost need a data analysis mindset to use it for complex tasks. Also, the mobile app is really basic. It handles time entry fine but lacks project management controls and visibility needed for finances. I can't really use the mobile app when I'm away from my desk.

**What problems is Projectworks solving and how is that benefiting you?**

I use Projectworks as a central system, replacing guesswork with precision. It handles revenue forecasting, resource allocation, and consolidates data into a single source. It provides financial visibility, prevents scope creep, and stops us from guessing project profitability, showing budget burns early.

**What do you like best about Projectworks?**

I like being able to see our every month financial forecasts quickly and see how our team is being worked and how much time it takes to complete each task. Projectworks gives us an everyday summary of how the project is progressing and resource is being used, we use it to keep our team on track of critical issues.

**What do you dislike about Projectworks?**

The tool is created for advanced users or people who work entirely on fin dept, so you need to use it like for an entire month to get the hang of it, learning curve is there so if you are not using it daily then definitely takes some time.

**What problems is Projectworks solving and how is that benefiting you?**

We relied on updates from different teams and tools. Projectworks now become the default and helps us reduce the number of meetings and take decisions without asking around much and all of the data is available on real time.

**What do you like best about Projectworks?**

My fav features are the timelines and reminders. The time tracking works well too and keep us on track of all the project deadlines. Reports and dashboard are visual which are especially useful when coordinating across different teams and easy to share with our partners.

**What do you dislike about Projectworks?**

User interface looks great but when using the experience is bit hard. So what would be better for the users, is that only essential features can be near like on sidebar and advanced or less used features can be under the settings so it be easy for lite users.

**What problems is Projectworks solving and how is that benefiting you?**

We were looking for a single tool to take care of most like calculating the project costs, time tracking and forecasting our revenue. Projectworks does exactly that and helps us manage our project across the onsite and remote team with a single tool with ease.

**What do you like best about Projectworks?**

As a consulting firm, we needed a platform that truly understands how we work — one flexible enough to manage complex projects with varying rates, roles, and timelines. The newest updates have made a noticeable difference, with a cleaner interface and improved usability that makes navigating projects much smoother.

What really sets this tool apart is the ability to see profit margins by project and adjust costs directly at the project level — that insight has been invaluable for keeping both our financials and staffing in balance. Unlike other software we’ve tried that never quite fit our workflow, this platform delivers a seamless experience across financial, people, and project management functions.

Finally, their customer support team is exceptional — highly responsive, even across time zones, and genuinely committed to finding solutions. They stay with you until your issue is resolved. It’s a rare combination of capability, adaptability, and service that makes this platform stand out.

**What do you dislike about Projectworks?**

The platform take a bit to get your head around.  There are a few basic operational aspects that without understanding do create some frustration.  Once that is illuminated... all good.

**What problems is Projectworks solving and how is that benefiting you?**

Projectworks is our consulting project management, staff time tracking (leading to payroll), client invoicing, and staff expenses platform.  We then get overall financials by project, by month, by staff.  We also use the system to track billable hours by person based on our annual staff targets.

**What do you like best about Projectworks?**

I use Projectworks as an admin for project management, time tracking, and invoicing, and it has become an essential tool for running our operations smoothly. It’s fantastic for keeping track of all project work, monitoring employee time accurately, and managing client invoicing in one place. The platform’s reporting capabilities are especially impressive — there’s an enormous catalog of reports you can build, which provides deep visibility into project performance, utilization, and financials.

Overall, Projectworks is an excellent, comprehensive platform that combines project management, time tracking, and invoicing in a clean, reliable system. With a few workflow enhancements, it could easily be a five-star solution.

**What do you like best about Projectworks?**

Setting up new projects, tracking time across the team. Quickly seeing spend for the month alongside expenses. Adding new members, adjusting access levels and detail, adding new clients and projects

Your support team is very helpful, both as a channel to provide feedback on software updates/functions that may be useful, and to provide guidance on a tool/feature I am unfamiliar with.

My monthly invoicing has gotten much quicker and with a few small system changes, will easily solve our invoicing delays.

Everyone on the team uses PW daily, and have all noted it as a significant upgrade to our previous time sheet approach

**What do you dislike about Projectworks?**

I have trouble uploading old work (Previous spend etc) to before I was onboard. I understand this is usually included in onboarding, but if there was a way to add 'spend to date';, this would make uploading clients with historic invoices much easier. I currently add an input each month of historic spend in the timesheet/timecodes section and void the exported invoice as a work around.

It would also be great to create sections/new budgets that act as extensions to previous budgets. We often receive 3 month extensions that are different to previous budgets (in rates and total hours). Currently I have to create new projects each time to allow this, even though we are still on the same budget. Simply adjusting rates and hours to an existing timecode/project breaks the tracking or projections I need for my reporting.

With expense reconciliation, I am having significant trouble migrating to project works. Two key reasons are:
1. I am not able to set GST per expense if needed. I purchase products that are partially govt and partially broker (i.e. infotrack govt database searches through a broker.) By nature, the GST is unique to the product as the broker fee (The GST inclusive part of the price) varies. Simply allow the Admin etc to override the GST box, and calculate the resultant % GST or vice versa would allow this. I can not set a GST amount for their 300 uniquely priced products, so I will continue using XERO for expenses
2. We do site visits with 5-20 purchases (Flights, food, accommodation etc) per visit. I do not want 5-20 reconciliations going to a colleague each time, so a combined expense function would be helpful here. For now, all costs are input as a single expense, but this raises errors with tallying and the above mentioned GST issue.

I can enable my team to make expense reconciliation requests which then fall into cost tracking

My team is easily able to input their time tracking hours to speed up invoicing end of month

I can track total spend quickly, month to month spend and remaining budget, which clients need for monthly reporting.

We have not been disappointed.  Customer service is excellent, responsive and tailored.  The implementation team were phenomenal and has us up and running quickly with data migration and various forms of training.  The team are enjoying using the system and we are benefiting from the new level of data we have to run the business.  Recommend Project Works highly.

It feels like switching from guessing to actually knowing.

Nothing major. The setup takes a bit of thought, especially if you want it to match how your business actually works. We’ve even gone back later and changed the way we use certain features as we figured out what suited us best, which was actually pretty easy to do.

It would be helpful if additional details—like Project Name (not just customer name)—transferred over, and if expenses were tracked more accurately instead of being lumped into a single category when transferred to QBO. Currently, there are a few extra steps required to make both Projectworks and QBO track the information we need. It would also be great if the two systems communicated both ways with each other.

Our main issue before Projectworks was our invoicing. Our customers wanted to see more details ( percentage complete, total billed, current billed, remaining fee) that QBO was not allowing us to show.

It would also be helpful to have an easy way to clear all unbilled or pre-billed amounts with one action to effectively close a job out of WIP.

I love Projectworks for project management, invoicing, and resourcing. It has halved the time taken for our invoicing process and provides much more of an overview of how the project's tracking. I appreciate the intuitive and simple interface, which is easy to use. I also value the ability to filter and hide/show things on certain screens without having to run a specific report.

**What do you dislike about Projectworks?**

There are a small few things I would like to see improved. Within the invoice editing screen, being able to view the budget and what has been invoiced so far would be hugely beneficial. Also, being able to manually mark actions against invoices and expenses would tidy up the interface a lot too.

I like the visual reports that show the project and head count progress in real time and easier than going through the data all the time.

If I have to pick one thing about projectworks as a disadvantage, then would say it is a bit overwhelming for beginners like me. As a portfolio manager, I oversee multiple portfolios so it feels kinda of heavy at first if you are not used to it every day, so the interface can be made better.

Wish the settings and adjustment require less clicks than what there is to expected. The reporting features are powerful, but it takes time to learn how to customize them fully and make it export ready to be used on our documents directly.

ProjectWorks offers a robust structure that supports professional services firms as they establish themselves or expand their footprint. The platform makes it easy to manage multiple time codes per user. It enables both billable and non-billable time tracking. This flexibility makes it easy to design complex project structures without any hassle.

Additionally, the platform offers robust support for professional services resourcing scenarios. These features include easy tracking of utilization and providing a clear visual representation of when individuals become available for new projects. Lastly, the platform offers robust reporting capabilities out of the box. While the platform offers comprehensive built-in reporting, it also supports the development of custom reporting via SQL views at no additional cost. This connectivity allowed our team to develop custom reports tailored to our organization.

**What do you dislike about Projectworks?**

The team at ProjectWorks has designed the platform as a comprehensive, end-to-end solution that covers everything from time tracking to invoicing. While this is fantastic for newer or smaller firms, it may not be as ideal for more mature firms or those with multiple lines of business, as some of the features may overlap with existing systems and go underutilized.

Another challenge we encountered was the rigidness of built-in reporting. The platform's out-of-the-box reporting is comprehensive, covering key metrics such as utilization and project profitability. However, our finance team did not always find it intuitive. As a result, we had to develop external reporting solutions to obtain the necessary reporting. The platform enables this type of development out of the box, but it required additional investment on our part.  

It's worth noting that ProjectWorks has introduced a new custom reporting module, which we have not fully evaluated at the time of his review. It may address these concerns for future users.

Finally, while the resourcing features are flexible, the out-of-the-box resourcing tool has some limitations when it comes to larger managed services. We found that it required custom reporting to handle more complex resourcing needs.

ProjectWorks helps us centralize and streamline core delivery processes for our professional services work. These processes include time tracking, resourcing, and reporting on project finances reporting. By supporting multiple time codes per user and offering robust, out-of-the-box resourcing tools, the platform has enabled us to model complex project structures easily. It has also provided accurate data to power our redeployment and utilization management processes.

I used Projectworks daily for over two years as a Finance Analyst and had a largely positive experience. I've used some clunky project management systems in the past and Projectworks feels a lot more modern and has been much easier to use and navigate. It's not perfect, but they are always implementing new features to improve the experience. The Xero integration has also been fantastic. Being able to export invoices and expenses directly to Xero and then automatically reconcile them as paid once they're reconciled in Xero is great. Occasionally we experience minor issues that require workarounds, but it is easy to contact the support email and get a quick answer or resolution. Sunil and the team have been great to work with.

ProjectWorks has great forecasting and budgeting features and has more options to tweak the data than other management tools. The integration is great and easy to get the work up on to a report when sending the forecast to the LPs and the team.

You need to get used to it for a while, the documentation helps but still takes some time. The interface is getting more filled up when you go over 25+ list on each section so kind of hard to look around but the search helps.

Our management team are able to utilize the dashboards within the software in order to gain insights into our business performance based upon live data.

Projectworks is a powerful project and resource management tool that has significantly improved our ability to manage projects, budgets, and teams in one integrated platform. Its intuitive interface and strong reporting functions have been instrumental in streamlining our operations and improving visibility across projects.

**What do you like best about Projectworks?**

I've been using Projectworks for just over a year with my project delivery team. We were trying to move away from messy Excel sheets for resourcing because they just weren't sustainable once we hit about 40 people across projects. Projectworks was rolled out mainlyfor resource planning, budget tracking and client billing oversight. In Projectworks I can see who's available and if we're about to overload someone. The capacity view is much easier for me to discuss with department heads than the static sheets we used before. I also like the billing and forecasting side ties back to resourcing. It's not perfect but the fact that when I adjust resourcing it already shows up in project financials has saved me headaches. The interface wasn't overwhelming.

**What do you dislike about Projectworks?**

I find the reporting side a bit limited. For example I wished for deeper integration with Power BI. Right now I export data and reshape it which breaks the nice live updating vibe you otherwise have inside Projectworks. Integration with Jira also wasn't as smooth as hopped. We had to create some alternate steps so time entries made sense across both tools.

**What problems is Projectworks solving and how is that benefiting you?**

I don't scroll through endless spreadsheets anymore and that's a big change. I can actually spot if a developer is double booked before it becomes drama. Our finance team is happier since project revenue projection are visible without me having to constantly send them updates. It hasn't made my job effortless but it's definitely made it less repetitive.

We recently transitioned from another project management platform and have been using Projectworks for a few months now. The onboarding experience was exceptional — Arisha, our onboarding contact, was fantastic. She was consistently responsive, incredibly helpful, and made the transition process seamless. The overall onboarding process is one of the best I’ve come across — thorough, supportive, and tailored to our needs.

Since moving onto the platform, we’ve been really impressed by several key aspects:

Help desk support has been outstanding. Every question or minor issue we’ve encountered during setup and early use has been addressed extremely quickly and effectively. The responsiveness and helpfulness of the support team have made all the difference in getting up to speed.

The flexibility and customisation options within the platform are exceptional. We've been able to tailor key areas to suit our workflows, and it's clear that the system is built to adapt to a wide range of use cases.

There are extensive reporting features, many of which we are still exploring. It's great to know there's so much available for tracking and insights as our use of the system evolves.

Overall, Projectworks has been a very positive change for our team. It’s a powerful, supportive, and flexible platform that’s made our project management more streamlined and insightful.

**What do you dislike about Projectworks?**

Nothing as yet. Concerns we had prior to transitioning have pretty well been addressed as we have explored all the features (and some of the upcoming integrations).

Forward resourcing and budgeting.  Tracking staff utilisation. Communicating capacity with upper management. Basically a much better, flexible, and more intuitive than our previous platform.

My favourite features are visual forecasting and budgeting. The visuals are easy to understand and needs very little change when including that on LPs reporting. The budget forecasting is accurate and helps us make better hiring decisions.

There are very few drawbacks in the tool just there are few bugs. For example, was an occasional lag when pulling up multiple forecasting from separate pages but a simple refresh fixes it, so overall projectworks is a great tool.

I am happy with how quickly projectworks adds important data to our portfolio companies. Since most of our team are early stage focused, managing resources is our daily job and projectworks helps us understand how each team is performing and where founders need to improvement.

It took a few months to fully get the hang of how it works, but once we got there, we are very happy with the app and all its functionality. The interface is very simple and easy for us to use to add and manage the team schedule and worksheet. I like how I can long in and see how many over time we need and which teams are under or over used.

There is very little to dislike about ProjectWorks but more fin templates in addition to the visuals would be a great addition to the platform and make our work much faster to complete.

More complex integrations require more expensive license, and integration features should be extended.
Project schedule features (milestones, tasks, phases, baseline) are limited, these would make the product a 360 tool to manage projects
Some metrics calculation logics (e.g. how to calculate burn or margin) should have more configurable options to decide/tailor the logic

**What problems is Projectworks solving and how is that benefiting you?**

Tracking project margins, profits, tracking actuals, bridging the gap between the delivery team and finance team
