**What do you like best about Procare Solutions?**

Procare has really been helpful for a small business. It helps us connect with parents on a daily basis and send updates about what their kids are doing in the classroom. It also allows us to communicate with them in real time.

**What do you dislike about Procare Solutions?**

We haven’t run into any cons in regards to Procare. If I did have to choose something it would be The tab where you can schedule staff I just wish that you could add in brakes and see the schedule in the app rather than having to print it out.

**What problems is Procare Solutions solving and how is that benefiting you?**

Procare helps us communicate with parents mostly, this is a benefit because then we don’t have to hand out our personal phone numbers and email addresses.

**What do you like best about Procare Solutions?**

The product is easy to use and web-based, which makes it simple to access. I also like the ability to connect data with families and to manage student, staff, and family data all in one place. They also allow parents and staff to sign in both remotely and while on campuses. The customer support offered and trainings also make ProCare easy to implement and use. It integrates payroll and other HR systems well.

The system goes down fairly often, and it also won’t let you log in from more than one place at a time.

I use it to enter student, family, and staff data, and it helps me complete my daily work efficiently and effectively.

**What do you like best about Procare Solutions?**

At CCDP, we appreciate how Procare streamlines the complex demands of multi-site child care management. The platform makes it easy to track attendance, manage tuition, and communicate with families—all in one place. What we like most is how Procare helps us stay compliant while saving time. The reporting tools are clear and customizable, which is essential for audits and subsidy documentation. Staff find the interface intuitive, and families love the mobile access. It’s a system that supports both operational excellence and meaningful connection.

**What do you dislike about Procare Solutions?**

While Procare offers strong tools for operations and family engagement, its limited integration with academic platforms like Creative Curriculum has been a challenge for us. As a multi-site program, we rely on Creative Curriculum for lesson planning, assessment, and documentation. The lack of seamless data sharing between Procare and our academic system means staff often have to duplicate entries or toggle between platforms, which can be time-consuming and prone to error. We’d love to see future enhancements that support smoother integration with widely used early childhood education tools.

Procare Solutions helps us manage the operational complexity of running multi-site child care programs. It solves problems related to attendance tracking, tuition billing, staff scheduling, and subsidy documentation—all areas that require accuracy, compliance, and efficiency. By centralizing these functions, Procare reduces manual workload, minimizes errors, and improves our ability to meet regulatory requirements. This allows our leadership team to focus more on supporting staff, engaging families, and advancing our mission, rather than getting bogged down in paperwork and fragmented systems.

**What do you like best about Procare Solutions?**

When Procare is actually working correctly — which is almost never these days — it truly makes running our center so much easier. The system itself is very user-friendly and capable of handling everything from attendance and daily reports to billing and parent communication all in one place. The Procare app is great for keeping families connected and makes payments and invoicing simple and efficient. When it functions as it should, it runs the entire center seamlessly. Unfortunately, those moments have become rare, and it’s frustrating that such a great system isn’t reliable anymore.

**What do you dislike about Procare Solutions?**

As a long-time Procare user, it’s been really disappointing to see how unreliable the system has become. Lately, it feels like it’s down more often than it’s working. When problems come up, they can’t be fixed without calling support, and the hold times are outrageous — anywhere from 45 minutes to over two hours with no call-back option. Even after reaching someone, most issues can’t be resolved right away, and you’re left waiting days or even a week for help. For a system that runs our entire center, that’s unacceptable. The lack of reliability and customer care is truly discouraging.

**What problems is Procare Solutions solving and how is that benefiting you?**

As a Procare user of over 21 years, I can honestly say this system has gone downhill in every way. What used to be a dependable, time-saving tool for our childcare center has now become a constant source of frustration. The system goes down frequently, and when it does, nothing can be fixed without contacting support — which means sitting on hold for 45 minutes to over two hours with no call-back option.

Even after finally reaching someone, most issues aren’t resolved right away. You’re left waiting days, sometimes even a week, for help. What’s worse is that Procare doesn’t seem to be solving any of these issues — only creating bigger ones. Every update seems to bring more glitches, more downtime, and less reliability.

At this point, the program isn’t benefiting our center at all. It’s become unreliable, inefficient, and nearly impossible to depend on for daily operations. After two decades of loyalty, it’s incredibly disappointing to see how little Procare seems to value its long-term customers or the vital role its software plays in childcare businesses.

**What do you like best about Procare Solutions?**

We like the family engagement app and that is able wot work together with the Procare Desktop version. We use this for payroll, children and family data.

**What do you dislike about Procare Solutions?**

I wish they had more employees in customer support. If tucker the chat bot is not able to help me then I have to call and wait on hold. I was on hold last week for over 2 1/2 hours and I was caller number 20.

**What problems is Procare Solutions solving and how is that benefiting you?**

We have the family engagement app that we are able to message families and staff members as well. We are working to change fully over to the online tracking information instead of doing it on paper and online. I do like that the time clock also ties directly into the Procare desktop so once they clock in, I am able to see it immediately. We also use the security door which helps all feel safer.

**What do you like best about Procare Solutions?**

We use ProCare daily. It is easy to use, user friendly for both staff and parents. When signing up, ProCare the implementation was so great on helping us get all set up and running. We love ProCare for many reasons. First, the price is great, especially for smaller schools. There are a lot of features such as messaging parents, sending notes, sending ouch reports, letting parents know their child's mood, how the student ate/naps/ diaper changes, and much more!

**What do you dislike about Procare Solutions?**

I do wish something would automatically be applied such as late fees on tuition. We do increase tuition annually, and the way we have to change the tuition is a lot of steps and some extra work. There are occasionally bugs, which makes it harder for sign-in/out and messaging.

They are often updating their software which give new features that we love.

**What do you like best about Procare Solutions?**

I appreciate that Procare Solutions is an all-in-one solution, allowing us to replace multiple systems that were previously needed for different functionalities. It consolidates features that were once spread across three distinct systems, handling billing, registration, and parent communications all in one platform. This integration provides the convenience of having one central login, significantly streamlining our daily operations. It also facilitates mass communication with staff and efficiently manages our child care center by tracking staff hours, which aids in better workforce management.

**What do you dislike about Procare Solutions?**

Procare Solutions is still very buggy, with features and functionalities that don't work as expected, causing regular disruptions. The support is subpar, with problems often remaining unsolved or taking months to address. As a Canadian school, we find our needs unmet, especially concerning tax-related features, forcing us to handle these matters manually. Additionally, the lack of integrations with other tools or software limits our ability to connect Procare Solutions with our existing systems.

I use Procare Solutions to manage classrooms, children, and parent interactions. It consolidates billing, registration, and communication in one platform, replacing multiple systems, tracking staff hours, and streamlining daily tasks.

**What do you like best about Procare Solutions?**

It is difficult to choose the "best" from so many valuable aspects.  For our families, the communication, both verbal and visual, may be the most important.  But, the platform helps me, the director  manage almost every aspect of the record keeping, communication, financial and business needs.

**What do you dislike about Procare Solutions?**

There is truly no downside, other than perhaps the use of online credit/debit card payments from our families, which is totally optional.  Instead, we use online checking account payments and the fee is minimal- almost all of our parents use it and we are able to cover the fee.

**What problems is Procare Solutions solving and how is that benefiting you?**

Allows easy set up of recurring invoices and individual payment records.  It  keeps individual student records with access from both our families and us.  Procare allows us to keep an updated calendar of events that our families can frequently check.  The system notifies families when messages are sent and allows us to send out videos and pictures of our school day in real time.  The system is easy to navigate and the Customer Care  team is responsive and knowledgeable.  We use Procare for a 2 layer, secure check-in/out system that captures and stores the information. 
Procare saves me time and helps me keep more accurate records in all that I do.

**What do you like best about Procare Solutions?**

I like that Procare brings everything together in one place attendance, billing, parent communication, and reporting. It saves me time, keeps our center more organized, and makes it easier to focus on the children instead of paperwork. The system is also very user-friendly, and their support team is quick to respond when we need help.

**What do you dislike about Procare Solutions?**

I wish the online version offered more flexibility for account management. For example, it would be helpful to have better options to write off or charge off parent accounts directly, instead of relying on workarounds. I’d also like the ability to update which bank account tuition payments go to without having to contact the backend team, since that process can take 48 hours or more.

**What problems is Procare Solutions solving and how is that benefiting you?**

Procare helps us manage the many moving parts of running a childcare center in one system. Instead of juggling multiple tools and lots of paperwork, we can track attendance, handle billing, and communicate with parents all in one place. This saves us time, reduces errors, and allows us to spend more energy on supporting children and families instead of administrative tasks.

**What do you like best about Procare Solutions?**

The ability to use the software as come fairly easy to all ages of our staff and parents. its very user friendly, simplistic and straight forward as to the information your looking to post as well as the information as a parent you may want to see.

**What do you dislike about Procare Solutions?**

I wish we had the ability to post photos in to messages to parents. This would be helpful to tell the story when sending messages.
On that note the uploading of pictures in the incident report area seem to run slow, which isn't idea when your notifying parents of an injury. 
At the end of the school year we aren't able to extrapolate photos by child, year or class. This would be helpful when creating class yearbooks, graduation slide shows etc.

**What problems is Procare Solutions solving and how is that benefiting you?**

We have the option to communicate with parents in real time of their child well being. Having a digital log of diapers, attendance etc. helpes us during state visits.

**What do you like best about Procare Solutions?**

I like that it is easy to select activities for children to share with parents and guardians. Parents are easily able to send messages to the classroom as well to let teachers know if they will be late or if their child will not be in attendance that day. As a parent, I enjoy getting the email summary at the end of each day.

**What do you dislike about Procare Solutions?**

We have had a number of issues with connectivity. It's not a constant issue but does happen on occasion. As a teacher, I would prefer if there were a few more options when it comes to adding bathroom activities. It defaults to diaper and as a mixed classroom, I would like to be able to set some children to default to potty over diaper. It doesn't appear that the push notifications work well on Android as I have never gotten them for my child or my classroom on my phone but my child's notifications come through in the classroom iPad.

**What do you like best about Procare Solutions?**

I love the ease of parent and teacher communication that Procare offers.  And now they have added two new features:  Private messaging for families that are split and direct communication to the office.  I love that the authorized to pick-up information is easy to access.
When I have an issue or a question, I find the customer support is easily accessed.  I can use the help button to look for an article to find an answer to my question or a solution to the problem.  If I cannot find the answer through the help button, I can try the customer chat or call.  There are many videos of solutions on YouTube, too.

**What do you dislike about Procare Solutions?**

I don't like that I don't have a record of emails that are sent out using the Procare app.  The email will go out to a family using my outlook email address, but it is not listed on my sent emails.  
I also don't like when the app is off line and won't work.  We have had to come up with a back-up plan when Procare is not working. 
I also would like more features in the newsletter app.  I would like additional choices of background.  More options of layouts.  Layouts that can be adjusted.

**What problems is Procare Solutions solving and how is that benefiting you?**

Procare provides direct communication to the families from the office or teachers.  It is a two-way communication that the admin can see as well.  
Billing: providing an easy platform to track billing, to offer online payment options.  
Attendance: Procare lets me as a director to quickly access the current number of children being cared for.  It's in real time too.  That is helpful when preparing snack for classrooms or when numbers drop to stay in ratio and not have too many teachers.

Procare Solutions provides our school with the best range of features that we have been able to find (and at the best price point). It covers many of our software and office needs and provides teachers and families with communication, connection, and ease of access.

**What do you dislike about Procare Solutions?**

Our school's enrollment and scheduling options (in which students enroll in multiple classes at a time and in multiple programs throughout the year)  requires multiple workarounds with Procare Desktop's tags/tracking. Additionally, there are several features in Procare Online/Procare App that we wish had more options/flexibility.

The app is user friendly in most aspects, and makes it easy to communicate with parents during the day. The customer support is always amazing. They work on an issue until they get it resolved.

The lesson planning area is hard to navigate and a bit clunky to use. When you change an activity it changes all lesson plans for every class in the school.

I like how it connects the whole center from the Administration to the classroom and even to the billing department. Its a one stop shop.

I wish the classroom portion had a see all page where i can see a chart with all kids clocked in and what was entered for each kid.

The best thing about Procare is how easy it is for parents and teachers to stay connected.

I dislike how slow it can be sometimes, though procare fixes the issue promptly.

They solve how to keep in constant contact with families during the day and as a parent myself i love how simple it is to see what my child is doing and how often her diaper is being changed. They also have solved our curriclum issues by providing that for us at an additonal cost.

**What do you like best about Procare Solutions?**

What I like most about Procare Solutions is how comprehensive and user-friendly the platform is. It really helps streamline daily operations and saves time with its all-in-one functionality. I especially appreciate how it supports both staff and parent communication, which has been a big plus for our center.

**What do you dislike about Procare Solutions?**

That said, I do wish the customer support experience was a bit smoother. There have been times I've been on hold for a long time, and I've been trying to get in touch with my account manager about adding lead management but haven’t heard back yet. I think improving response times and support follow-up would really take the experience to the next level.

**What problems is Procare Solutions solving and how is that benefiting you?**

Procare Solutions is helping us streamline and centralize many of the day-to-day tasks involved in running our center. It solves problems like manual attendance tracking, scattered parent communication, and complex billing processes. Having everything in one platform saves time, reduces errors, and helps our staff stay more organized.

The parent engagement tools are especially helpful — it’s easier to share updates, send messages, and keep families in the loop. We're also seeing better consistency in our reporting and record-keeping, which is important for compliance and internal tracking.

Overall, Procare allows us to focus more on the children and less on administrative work.

How everything I need for my childcare center is all in one place, both for my students, families and my employees.  It is easy to use and if I ever am confused, customer service is easy to reach and very helpful.  It was easy to implement and families love it.

Only thing I dislike is that I thought sample forms would be there for different things and I have not found them.

We like that it's so user friendly, we have great customer support and all of the features that it allows us to do to keep the entire operation of the childcare in one spot.  It makes it easy for the director as well as the bookkeeper to be able to do each of their jobs.

The only negative that I have is the transactions fees for running tuition express keep rising.

**What do you like best about Procare Solutions?**

Procare is pretty easy to use once you are familiar with it. If you can't find what you are looking for the support team is very helpful and very kind. Sometimes the wait on the phone support is long, but once you are connected to someone they are always kind, respectful, patient and quick to get to the bottom of it!

**What do you dislike about Procare Solutions?**

Sometimes it's not very intuitive as to where things are located so there is a bit of a learning curve. Once you get the hang of what you need it's very easy to navigate.

ProCare is a great way to streamline your daycare management. Your teachers will love being able to track their class's day, and communciate with parents. Administrators will enjoy the reduction in paperwork, and the ability to process payments.

Customer Support is bots and AI, it takes hours or days to get actual assistance.

ProCare reduces the amount of paper we use. Parents can message, teachers can track daily activities, and we can process payment and request payment information all online.

Now that we have issues with our parents getting declined payments (even though they are on auto pay), I cannot get anyone on the phone or even to respond to emails.  They are not responding to my parents either.

It is helping us solve the problems of having enough reports to upload during the year, and parents are able to get their own tax info.

**What do you like best about Procare Solutions?**

What I like most about ProCare is the ease of use.  It was very simple to set up & very simple to get started using for myself, the staff and the parents.  If we ever had any questions a representative was there to help us along the way.

**What do you dislike about Procare Solutions?**

If I had to pick a con about ProCare, which is hard to do, it would be that some parents experienced minor glitches with setting up their automatic ACH payments.  All in all, any of those were taken care of within days.

I have a list of the most used features for my business and why we like them/how they benefit us.

Overall, I am so glad we decided to invest in our daycare by using Procare.  For the small amount it costs us monthly, it pays for itself with time saved!  Bonus is that the parents really like us using it also!

The time I save using the “Billing & Invoicing” recurring plan feature is priceless!  Everything is entered in once & it repeats automatically as long as you need.  It saves me from so much time sitting at a computer.

The Student Info & Records feature lets us have all of the information we typically store in a paper file, but available at our fingertips, without having to go into the office & into the filing cabinet to look for it.

The "Attendance Tracking" feature does exactly what it says!  It makes keeping track of our kiddos by total attendance or attendance by room so much easier.  Before we were doing all of this by hand, day by day, writing down sign in & sign out.

The "Communications Management" feature is one of the things the staff & parents like most.  We're able to update the parents on their child's day easily, with photos.  If there happens to be an accident or incident, we can let them know immediately.

Being able to have "Mobile Access" is another priceless feature.  These days there is an app for everything & nearly everyone has their phone on them almost all of the time.  Staff can provide immediate information & parents receive it moments later.

The staff, parents & I as the owner/admin appreciate the "Immunization & Allergy Tracking".  The allergy cards are posted in every room, not only the kitchen. This helps the staff keep the kids stay safe & gives parents peace of mind.

I like how I can easily log in and find my way through all the menus. I do use ProCare for all things such payments, entering child's shot records keeping up with my staff and their trainings. I also like how easy it is to update the menus   I also love that I am able to change our colors, so we know who is logged in on what device! I use ProCare on a daily basis. There are days that I know I am going to spend much of my time on it. I have created a cheat sheet on where to find all of our rosters.

My least and only dislike is that It does log me out if I am not always on it. I would love to be able to quickly take a payment without having to wait to log back in .

I love that they have a great support team to teach us the ropes of Procare. My team is new to the facility and we were not "trained" on Procare, just provided the system and left to figure it out. Since taking over the Child Development Center, we reached out to Procare and they heard our need and came in with well rounded support! We have set up a personal training to get a better understanding and I have one of the ladies personal calendar invite to reach out to once we are ready to tackle more trainings and better learn Procare.

**What do you dislike about Procare Solutions?**

I do not like the document side of Procare. We cannot upload everything and it would be really supportive if there were "folders" to put different documents into the childs files. Currently, if we were to upload the incident/accidents from the child, onto their profile; we would have to scroll and scroll to find needed documents, as they would be thrown altogether into the childs profile, without any organization. We would also like different messaging options to organize who and where we communicate with. Communication to teacher can be important or curriculum based. It would be nice to categorize it. Also! When parents are asking for certain kinds of photos, like a bump or cut; it would be nice to send it in messages, so not everyone can see it. Make it more personal.

Procare has been super supportive in getting our needs met. We just called and informed them where we are at, what we are trying to do and asked if they could support us. We got in touch with some great people and look forward to continuing communication with them. We are a new Admin team and that hands on support is effective.

I’ve been using Procare for more than 10years and I love it! Procare helps me keep track of staff and children’s requirements/documentation. You can print a report for any information or data you need. It is fully customizable. Procare does so much and if I need help the support website is great. There you can find easy step by step directions/ videos. The phone support team is also very helpful. I use Procare for everything; attendance tracing for children and staff, data/required paperwork, tuition charges and payment, center expenses, parent and staff communication, children’s daily reports, and more. Starting in July, I plan to use the agency payment part of Procare. It will allow me to manage agency payment with a separate ledged under each family’s account.

**What do you dislike about Procare Solutions?**

Honestly, I love everything about Procare. Any concern or questions I have ever had/have are answered quickly by the support staff or website.

**What problems is Procare Solutions solving and how is that benefiting you?**

Keeping track of licensing requirement in child and staff files is a challenge.  I used to make spread sheet that outline when staff need to update a form or complete some other requirement. If i wanted to look up someone's requirements I had to dig through the paper copy of their file. Now it all in Procare. I can look up these items quick and easily. I can print auto generated reports to tell me what one or all of the staff are missing or need to be updated.  The same thing goes for the children's files. Keeping up with each child's vaccination schedule was a challenge.  Procare has stream lined this process for quicker easier access to this information. There is a small needle shape icon on the home screen of each staff member's account and each child's account. This icon is green when all requirement are meet. It changes pink when something required is due soon and to red when something due immediately.

Their customer service team made it a breeze to implement. I enjoy the convenience of everything happening on one platform - attendance, billing, staff time cards, parent and staff communication, onboarding new clients, and more. I use Procare daily and it really simplifies my workday! The app is incredibly intuitive and our teachers have no trouble integrating it into their daily routine. I also LOVE that when I have an issue with the program I can quickly get help through customer service, or I can even suggest an upgrade to the product. Love it when Procare comes through with a fix that didn't previously exist.

**What do you dislike about Procare Solutions?**

I wish I could issue partial refunds. Currently the only option is to issue a 100% refund for a payment, which is incredibly problematic if I am having to issue a prorated refund for a tuition or fee payment. My only workaround is to have the bank issue a check, but then trying to log the payment that took place outside of Procare get messy. 

I also wish I could delete duplicate student entries instead of having to mark them as inactive.

I love the automatic billing feature. I also appreciate that when I login I can easily see any payments that have not gone through, or that have bounced. The newest feature of being able to create multiple registration forms and enroll leads directly from the registration page has been great!

We take photos of the students for families and being able to upload more than 1 at a time is huge for our program.  We also like the ease of messaging families, keeping track of tuition payments, possible new students, and being able to track attendance and print emergency cards is a huge time saver for us.

We have just started using Procare and have yet to find anything we dislike about the program.  I wish there was a way to set sign out/sign in sheets to just be sign out sheets - but I like having the option to use either digital sign out/ins or paper copies.
