## Practice by Numbers Reviews
  ### 1. Practice by Numbers: Seamless Integration and Streamlined Workflow for Our Practice

**Rating:** 5.0/5.0 stars

**Reviewed by:** Marcia G. | Dentist, Health, Wellness and Fitness, Small-Business (50 or fewer emp.)

**Reviewed Date:** October 14, 2025

**What do you like best about Practice by Numbers?**

We've been happy with Practice by Numbers since day one! We use the Grow package, and it’s been a game-changer for our practice.

The automated text messages, reminders, and billing features have streamlined our workflow. Patients receive payment requests automatically, which keeps things smooth and efficient. The system syncs perfectly with Eaglesoft, making everything from scheduling to billing seamless.
The digital forms are fantastic—especially the review and update option. Our patients love that they can simply update their existing info instead of starting from scratch every year. With our old system, they had to fill out blank forms annually, and it was a frequent complaint.

The online scheduling feature is another favorite—patients can book anytime, which adds real convenience.
We also love the Practice by Numbers VOIP phone system. The voice quality—both from the physical phones and the mobile app—is excellent, and the features make managing calls and communication incredibly easy.
The analytics dashboard is another standout. It gives us clear, actionable insights into our revenue cycle management, accounts receivable, and claims. It’s helped us stay on top of our financials and make smarter decisions.

And whenever we need support, the team is responsive and helpful—they always get back to us right away.
Practice by Numbers has truly streamlined our operations and elevated the patient experience. Highly recommend!

**What do you dislike about Practice by Numbers?**

We’ve had a great experience with Practice by Numbers overall, but if we had to point out one area for improvement, it would be the availability of call transcription. It would be wonderful if basic features like call transcription were included in the Grow package, rather than requiring an upgrade. We also hope voicemail transcription will be added in the future—it’s a feature that would really enhance communication and follow-up.
That said, the platform continues to evolve, and we appreciate how responsive the team is to feedback. Looking forward to seeing what’s next!

**What problems is Practice by Numbers solving and how is that benefiting you?**

Practice by Numbers has solved several key challenges for our practice, especially around communication and follow-up. The automation features are incredibly helpful—when a patient cancels an appointment, the system automatically sends a follow-up text and email, reminding them to reschedule and keeping their care on track.
We also love the automated responses when the office misses a call or when patients reach out after hours. They immediately receive a message letting them know they can book online or contact us via email. This has helped us retain potential new patients and maintain strong communication with existing ones.
The task management tools are another major benefit. We can easily track and follow up on canceled appointments, pending treatment, and recall reminders. It keeps our team organized and ensures no patient slips through the cracks.
Overall, the automation has streamlined our workflow, improved retention, and strengthened patient relationships. It’s made a real difference in how we operate day to day.

  ### 2. Practice by numbers by far best software out there.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Krunal D. | Owner dentist, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 23, 2025

**What do you like best about Practice by Numbers?**

We’ve been using practice by numbers for more then 2 years now, and I can confidently say it’s transformed the way our dental practice runs. As a busy general dental office, we needed a system that could handle scheduling and patient communication seamlessly — and practice by numbers delivers on every front.

User Interface & Ease of Use:

The interface is incredibly intuitive and clean. My team adapted to it quickly, even those who aren’t very tech-savvy. Navigation is straightforward, and most functions are just a click or two away. I especially appreciate how clean the dashboard is — we can tailor it to our workflow, which boosts efficiency.

Patient Communication & Engagement:

The automated appointment reminders, two-way texting, and online scheduling features have drastically reduced no-shows and improved patient satisfaction. Our patients love the convenience, and it allows our front desk team to focus on other tasks.

Insurance verification :

The insurance verification tool is a game-changer — it cuts down on time spent on phone calls and ensures more accurate estimates. Payments and ledger tracking are also very intuitive.

Support & Training:

Customer service is top-notch. Every time we’ve had a question or needed help with customization, the support team responded quickly and thoroughly. Their onboarding process was also well-structured and personalized, which made switching systems much less stressful.

**What do you dislike about Practice by Numbers?**

1. Complexity and Learning Curve
Some users find the dashboard and interface overwhelming at first, especially for team members who aren't tech-savvy.

There can be a lot of metrics and data presented without clear guidance on what to prioritize.

2. Cost
It's relatively expensive, particularly for smaller practices or startups. Some feel that the ROI isn't always immediate or clear.

3. Integration Issues
Integration with certain practice management software (like Eaglesoft or Dentrix) can sometimes be buggy or inconsistent, depending on the version used.

Syncing issues can lead to delays or inaccurate data reporting.

4. Customer Support
While many report good support, others mention inconsistent service or delayed responses during high-demand periods.

5. Customization Limits
Some users wish there was more flexibility in customizing dashboards or reports to focus on KPIs specific to their practice's unique needs.

  ### 3. PBN has met and exceeded our expectations as our all in one business management solution

**Rating:** 5.0/5.0 stars

**Reviewed by:** Kevin R. | Dentist, owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 05, 2025

**What do you like best about Practice by Numbers?**

It’s all there. Patient communication, analytics, phone call tracking, recall management, forms, phone system, etc. we get so much out of it. So many useful features compared to other software systems we’ve used where maybe the analytics or patient messaging was good but everything else was bad. A couple of other things worth mentioning is how great their support is and how quick they are to add features if you request them- obviously not instant, but they are constantly updating their already great software to make things run more smoothly for users. We use it 24/7 during work hours and I even use the app at home which is so convenient. Can’t recommend it enough. Would give 11/10 if I could

**What do you dislike about Practice by Numbers?**

I really can’t think of many downsides. Kind of annoying that the phone AI stuff is an additional fee and not included in the PBN voice feature.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Patient communication, automated forms, everything related to our phones, practice analytics. Literally everything.

  ### 4. The best support and business management tool.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Michelle M. | Office Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 07, 2025

**What do you like best about Practice by Numbers?**

It helped our office go paperless and customize all the forms to our specific office and patient needs. I am also very impressed with the online support. Fast and they take their time to walk you through any and all steps of the process needed to fix your issues. I never have felt rushed or confused about what needs to be done. Best Customer Support, you should all win an award.

**What do you dislike about Practice by Numbers?**

While enjoying the benefits of going paperless, some of the processes do not seem to be seamless. New patient forms are not being sent out after an appointment is made, or the patient is unable to open the forms once they receive them.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Transition to a paperless system and have the forms automatically imported into the patient's file. This eliminates the step of scanning paper forms. A HUGE TIME SAVER.

  ### 5. All-in-one supporting software for dental offices

**Rating:** 4.5/5.0 stars

**Reviewed by:** Jianqiang X. | Dentist, owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 02, 2025

**What do you like best about Practice by Numbers?**

Great customer services and they frequently update the software to meet the clients' need. PbN not only provides extensive data analysis of all aspects of dental offices, including phone calls, which is what they are known for, they also provides services such as review request, automatic reminders, automatic campaigns for different purposes, online payment solutions, etc. It also serve as an intra-office communication channel. We have used other supporting software but by far PbN is the best, and none of them has the data analysis portion PbN offers.

**What do you dislike about Practice by Numbers?**

Some functions are definitely not as easy to use as the others, and you have to put in good amount of effort to maximize its function.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Great customer services and they frequently update the software to meet the clients' need.
Extensive data analysis of all aspects of dental offices, including phone calls - guides practice management decisions
Automatic review request, reminders, campaigns for different purposes, online payment solutions, etc. - automate front office / administrative work, so the office runs more efficiently, and staff can spend more time on patient care.
Intra-office communication - helps the operation to run smoothly

  ### 6. Highly Recommend

**Rating:** 5.0/5.0 stars

**Reviewed by:** Lauren B. | Office Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 30, 2025

**What do you like best about Practice by Numbers?**

I have used a few different products similar to Practice by Numbers and this has far exceeded what the others have offered. I am able to review numbers with the practice owner and our team. I am able to log in from home on a snow day and communicate with our patients, I am able to create my own customizable emails and hone in on what patients I want to receive them, if not all of our patients... There are so many features we can utilize through the text messaging services... gosh the list is long. I highly recommend Practice by Numbers!

**What do you dislike about Practice by Numbers?**

We have a sedation portion to our practice which requires additional information and an additional medical history. The one thing that has been difficult is when the medical history is completed, we do not receive any sort of alert. As much as we dislike this, it seems as though they are working to make even this detail easier for our team, which I greatly appreciate. I have made suggestions for improvements to the systems and a few of them have been integrated. I appreciate the consistent desire to improve.

**What problems is Practice by Numbers solving and how is that benefiting you?**

We have a few admin at the front desk and we suggested that they have a way for us to mark which admin is working with each patient over text messages - they integrated this into their software and now when we open the texts, we know which ones are being dealt with and by whom. I love this update!

  ### 7. A Must-Have for Modern Dental Practices

**Rating:** 5.0/5.0 stars

**Reviewed by:** Amber R. | Treatment Coordinator, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 29, 2025

**What do you like best about Practice by Numbers?**

The ability to visualize key performance metrics in real-time has made a huge impact on how we run our practice. From detailed production reports to patient engagement tracking, Practice by Numbers offers an intuitive dashboard that keeps our team focused and aligned. We particularly appreciate the automation features — reminders, re-care tracking, and follow-up alerts help ensure that nothing falls through the cracks.

**What do you dislike about Practice by Numbers?**

Some of the reporting tools can feel a bit overwhelming at first due to the sheer volume of data available. There’s a learning curve to figuring out which reports are most relevant for specific team members. A more personalized onboarding process would have helped us get up to speed faster.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Before using Practice by Numbers, we struggled with keeping up on re-care appointments and tracking missed production opportunities. Now, we can easily identify scheduling gaps, overdue patients, and underperforming areas. It’s helped us increase both patient retention and overall revenue while allowing our front office team to work more efficiently.

  ### 8. Practice By Numbers has been a game changer!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Kayla B. | Director of Operations, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 29, 2025

**What do you like best about Practice by Numbers?**

The automation that comes with PbN has been exceptionally helpful for our busy pediatrics office. There are SO many things that we were doing manually before that are all done automatically now like sending and chasing new patient forms, confirmation texts at the right time we need them to go out, forms automatically adjusting patient records in our PMS as parents submit new forms, overdue routine care reminders, and so much more! Our Customer Success Manager has been really helpful in getting us set up just right. We are still working through some kinks, but it seems that they are dedicated to making things work for us.

**What do you dislike about Practice by Numbers?**

There are some minor limitations with this system, but I believe most of it is because we use our PMS in a unique way which isn't the standard that PbN integrates fully with. The online scheduling has presented a problem with not being able to truly restrict certain patients from being able to schedule and it creates a new chart, which has caused some issues. They have a Customer Ideas website that you can submit requests and suggestions on, and I see their development team in there regularly commenting on people's posts and updating when things have been added to their queue for development.

**What problems is Practice by Numbers solving and how is that benefiting you?**

It's streamling communication for our patients and their parents, the online scheduler has been a highlight for them as well! Parents are much more inclined to complete our forms now and we have received less complaints about functionality and the overall visual aspect of forms. We have also spent a significant amount of time chasing forms from parents in the past; PbN does that for us now.

  ### 9. Outstanding Analytics Capabilities and User Support - Highly Recommend

**Rating:** 5.0/5.0 stars

**Reviewed by:** Cameron D. | Owner Dentist, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 28, 2025

**What do you like best about Practice by Numbers?**

Switching from paper charts to a fully digital system felt overwhelming at first, but Practice By Numbers made the transition incredibly smooth for our practice. We rely on them for patient forms, patient communication, and practice analytics — and they have been absolutely essential.

One of the biggest highlights is their customer support. Any time we have a question, the response is immediate and thorough. It’s clear they prioritize their clients and genuinely want us to succeed with their platform.

Our patients love the texting capabilities, and our front desk team especially appreciates the text-to-confirmation feature, which has made appointment confirmations faster and more reliable. The analytics tools give us clear, actionable insights that help guide both clinical and business decisions.

I highly recommend Practice By Numbers. Their software is powerful, intuitive, and backed by a team that truly stands behind their product.

**What do you dislike about Practice by Numbers?**

The only downside we've experienced is that there’s currently no iOS desktop app available, which would make it even more convenient. Hopefully, that's something they add in the future.

**What problems is Practice by Numbers solving and how is that benefiting you?**

With only one team member in our front office, Practice By Numbers has been critical in filling the staffing gaps — automating patient communication, streamlining confirmations, and reducing the daily workload.

  ### 10. Practice by Numbers - Effective and Engaging

**Rating:** 4.5/5.0 stars

**Reviewed by:** Brigitte M. | Admin, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 28, 2025

**What do you like best about Practice by Numbers?**

Practice by Numbers significantly contributes to improved productivity and organization within our practice. The automatic transfer of new patient information to Open Dental and the synchronization of patient messaging directly into their records eliminate manual data entry and ensure comprehensive patient files. The ability to instantly communicate with patients and manage scheduling changes is invaluable. Moreover, the platform's features for tracking collections, supporting production goals, and exporting unscheduled data, along with its utility in huddle preparation, make it an indispensable tool.

**What do you dislike about Practice by Numbers?**

To further optimize user experience, the availability of a comprehensive handbook or manual detailing all Practice by Numbers functionalities would be beneficial. While the online resources are valuable, a dedicated guide could enhance navigability and facilitate a more thorough understanding of the platform's capabilities.

**What problems is Practice by Numbers solving and how is that benefiting you?**

The implementation of Practice by Numbers has improved the process of managing new guest forms and securing necessary insurance details. Our texting capability significantly expedites appointment scheduling and allows for seamless same-day adjustments, overcoming the challenges of phone communication, particularly for working guests. Additionally, this system empowers providers to proactively connect with patients regarding pending treatments, ultimately supporting the achievement of our production targets.

  ### 11. Insightful, user-friendly, and essential for dental practices

**Rating:** 5.0/5.0 stars

**Reviewed by:** Jezmani R. | Treatment Coordinator, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 29, 2025

**What do you like best about Practice by Numbers?**

Practice by Numbers makes it so easy to visualize our goals, track team performance, and identify areas for growth. The dashboards are clean, the data is clear, and it's become an essential part of our daily workflow. I especially love how it helps with patient retention and production tracking--it takes the guesswork out of where we stand each day.

**What do you dislike about Practice by Numbers?**

There's a bit of a learning curve when first getting started, especially when navigating some of the more detailed reports. But once you get the hang of it, it's smooth sailing.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Practice by Numbers helps us track our daily production, monitor patient retention, and manage team performance all in one place. It's made our goal-setting more intentional and keeps everyone accountable. We save time with reports that used to take hours to father manually, and now we can make smarter, quicker business decisions.

  ### 12. Practice by Numbers really improves our numbers!

**Rating:** 5.0/5.0 stars

**Reviewed by:** William M. | D, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 01, 2025

**What do you like best about Practice by Numbers?**

After using Weave for a long time and after a really bad experience with Dental Intelligence, I was really glad to find Practice by Numbers. PbN is rich in features, including the ability to dive deep into your patient database to find unfinished procedures. We also recently changed our VoiP phones to Practice by Numbers as well.

I'm also glad to say the company has integrity and keeps their word. I highly recommend this company for your dental office.

**What do you dislike about Practice by Numbers?**

Before I wrote this review, I looked over other reviews of PbN for previous negative comments. From what I can see, Practice by Numbers seems to have already addressed the past negative comments...it's easy to use and full of features. Their customer support is excellent. I have no complaints.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Practice by Numbers helps me understand my statistics, my shortfalls that need to be addressed, and it helps us find unsold work. I am also using its automatic features to send notifications to patients before advanced procedures like sedation, as well as to automatically send postoperative forms after surgery.

  ### 13. Game changing analytics

**Rating:** 5.0/5.0 stars

**Reviewed by:** Patrick M. | Practice Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** March 28, 2025

**What do you like best about Practice by Numbers?**

We started using Practice by Numbers for a number of reasons but the most helpful thing to me as an office manager is the breakdown of analytic data. I've been able to gather information and present it to the practice own in ways that make sense and help us make better informed decisions to help grow the practice.

The communication features and forms has also been awesome. We've been able to setup a registration form so patients can fill it out prior to their appointment and we can make any changes to insurance or medical/dental history updates. Patients have loved it and it has cut down on time our front desk had been using to get patients to fill out paper forms in the office making us even more efficient.

**What do you dislike about Practice by Numbers?**

We've found everything we've used it for to be helpful. One of the features we don't use though is online scheduling. I'm sure the feature probably works great but we like to have more control over the schedule so we haven't enabled it.

**What problems is Practice by Numbers solving and how is that benefiting you?**

It's helped us be able to breakdown data easier and get a better idea of where we can improve and where we were already doing well. It's also helped us become more efficient with patient communication with the forms feature.

  ### 14. Convenient and User friendly

**Rating:** 4.0/5.0 stars

**Reviewed by:** Maycee M. | Scheduling Coordinator, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 25, 2025

**What do you like best about Practice by Numbers?**

Love the text feature and so do our patients. The option to send the links for paperwork is also loved by the office and patients. Patients can complete those forms prior to the appointment at their own time and our office is able to have all insurance verified, can contact their prior office if needed, and makes the check in process a breeze. The option to send a link for reviews is awesome also. We can send that right after a patient appointment and they usually to leave one right away.

**What do you dislike about Practice by Numbers?**

Not all insurance companies can be verified and not all information we need for the appointment is available and we still end up having to look up the policy ourselves.

**What problems is Practice by Numbers solving and how is that benefiting you?**

They have helped solve the issue with the reviews not being linked properly.

  ### 15. Every Practice Should Have PBN!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Dr. Klein . | Office Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 01, 2025

**What do you like best about Practice by Numbers?**

We absolutely love Practice by Numbers! The ease of use is unmatched—it's incredibly user-friendly for our whole team. The analytics we get from the software integrating with Open Dental have been a game changer, giving us clear, actionable insights to improve our practice. One of our favorite features is the ability to text back and forth with patients, which has significantly boosted our recall system and played a huge role in helping us achieve over 65+ Google reviews in the past year. We would recommend PBN over the competition any day!

**What do you dislike about Practice by Numbers?**

Our office doesn't have any dislikes about Practice by Numbers.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Communicating with patients with text messaging, automatic recall, filling last minute appointments and helping to achieve goals for Google reviews.

  ### 16. A Great front office tool

**Rating:** 4.0/5.0 stars

**Reviewed by:** Christine C. | Office Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 05, 2025

**What do you like best about Practice by Numbers?**

I love the communication utilized through PbN. I can easily pick up the phone and see whose on the line as well as see how many outgoing/ingoing calls have been made, texts and responses and send payment requests. We've recently started utilizing the electronic consents and forms and it has been such a seamless transition from paper forms. I also like the newest addition of filtering text messages to unread ones! I also like that I can login from home and see the days schedule and message patients if needed. The campaigns for appointment confirmations are super easy to utilize and easy to edit!

**What do you dislike about Practice by Numbers?**

There are a few things that I wish could be implemented: more allowable editing of consent forms and streamlined treatment plans with insurance estimates included.

**What problems is Practice by Numbers solving and how is that benefiting you?**

I am loving the KPI's that are displayed and updated throughout the day. The texting is the most influential benefit in our practice as we are able to communicate with patients and I love that everything is tracked and I can go back and see previous conversations. I can also look easily to see if a patient was called.

  ### 17. Amazing Software that Brings your Practice to the Forefront of Dentistry!!!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Sunny A. | Practice Manager of Red Oak Hometown Dental, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 25, 2025

**What do you like best about Practice by Numbers?**

PBN is very helpful in communicating with patients, tracking follow-ups with patients, managing your production numbers along with many other numbers important to having a successful practice, blending beautifully with Open Dental to provide Treatment Plans and Forms for patients. It's a 1 stop program that helps you do it all!

**What do you dislike about Practice by Numbers?**

I would like to have addt'l training to understand how all the numbers are compiled and know the meaning of them. Additionally, I would like to see "estimated" production numbers for the month for Dr. production so they will know what they are on target for the month.

**What problems is Practice by Numbers solving and how is that benefiting you?**

It allows us to help to keep a clean schedule for following up with patients by using Tasks.

  ### 18. A software we cannot operate without

**Rating:** 5.0/5.0 stars

**Reviewed by:** Sean A. | Owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 28, 2025

**What do you like best about Practice by Numbers?**

PBN allowed us to take several different services that we had with multiple companies and roll it into one really powerful practice enhancement software. Between our phones, two way messaging, practice analytics, insurance verification, review procurement, scheduling efficiencies and more, we are HUGE fans of the ability to solve so many problems in one place.

**What do you dislike about Practice by Numbers?**

As with any "new" company that is scaling, there have been rollouts and features that did not go as planned. Being part of a company while they work out the kinks can be difficult and frustrating

**What problems is Practice by Numbers solving and how is that benefiting you?**

Two way texting, phone and fax, practice analytics, review management, revenue cycle management, credit card payments, interoffice communications, online scheduling and bill pay

  ### 19. Exceptional one stop solution for a dental practice!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Syeda B. | Dentist and Practice Owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** February 12, 2025

**What do you like best about Practice by Numbers?**

As a dentist and practice owner, I can confidently say that Practice by Numbers has been an invaluable partner for my dental practice since 2019. Their dental software is truly a one-stop solution that streamlines our operations and enhances patient care.

One of the standout features of Practice by Numbers is their exceptional responsiveness. Whenever we've had questions or needed assistance, their support team has been quick to provide solutions, making us feel valued and supported. This level of service is crucial in the fast-paced environment of our dental practice.

I appreciate their commitment to improvement. The software is regularly updated with new features, showing that they are attentive to the industry’s evolving demands. Moreover, they actively encourage feedback from users and implement them.

I highly recommend Practice by Numbers as the best solution in dental software market.

**What do you dislike about Practice by Numbers?**

I have not come across any downsides . I use Dentrix and wanted the workflow of treatment planning to be easier, they are promptly working on that. They take all customer feedback seriously which I immensely appreciate.

**What problems is Practice by Numbers solving and how is that benefiting you?**

We use PBN for enhancing the ease of our daily operations and helping with delivering better and more focussed patient care. We also use it for 2 way patient communication, promoting ease of follow up with them. It works great for patient check in, recalls, patient consent and other paperwork, patient appoinment reminders, scheduling their timely patient care needs and many more features. The dashboard provides us with a great layout featuring the KPIs, team performance, the practice's finances with the ability to compare it with any time period in the past and also future projections.

**Official Response from Larry Ross:**

> Syeda, thank you for the glowing review. It is our vibrant community of customers like you that keeps us motivated.

**Reviewed by:** DENISE O. | Scheduling Coordinator, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 24, 2025

**What do you like best about Practice by Numbers?**

PBN makes it super easy to communicate with your patients via email or text message. We use it every day. It offers so many resources that aid in not only contacting patients, but also you can send patient forms directly to the patient. Once the forms are completed, they are automatically uploaded into our dental software patient files! No physical data entry or scanning required! There are also excellent patient recall features. PBN has been a huge asset to our practice!! The software is very user friendly and once installed easy to implement and integrated perfectly with Dentrix. I definitely recommend them! Customer service is great too!

**What do you dislike about Practice by Numbers?**

I cannot think of anything that I dislike about the software. There is still a lot for me to learn. But, so far, I really like it!

**What problems is Practice by Numbers solving and how is that benefiting you?**

PBN makes it easy to communicate and send forms to our patients. The recall/IQ features are very helpful in locating patients that are due for recall or unscheduled treatment. Very helpful!

  ### 21. Holistic Insight Into Practice Performance and Doctors Personal Goals

**Rating:** 5.0/5.0 stars

**Reviewed by:** Kenneth S. | CPA, Small-Business (50 or fewer emp.)

**Reviewed Date:** February 12, 2025

**What do you like best about Practice by Numbers?**

As a CPA and practice consultant, the integration of production data and cost data allows me to measure how the practices meet my Doctor's desired personal efforts and lifestyle goals with their necessary financial rewards. Among metrics I use to measure this are practice earnings per doctor hour. Once goals are established, necessary deficiencies and strengths can easily be identified with available metrics to ensure that these goals are met.

The automated weekly updates keep me informed of how each practice is performing. These reports are then shared with each doctor to keep them up to date also.

**What do you dislike about Practice by Numbers?**

A more flexible and consice reporting format, as well as the ability to export them to a .pdf file. I have to use screenshots to capture them.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Matching cost and production. Matching collections with bank deposits.

**Official Response from Larry Ross:**

> Ken, thank you for the glowing review.

  ### 22. Great dental software that gives me all KPIs in one spot

**Rating:** 5.0/5.0 stars

**Reviewed by:** Catherine P. | Owner Dentist, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 28, 2025

**What do you like best about Practice by Numbers?**

I was looking for a program that included reminders plus text to pay and online forms. A friend recommended PBN and I decided to do the demo. I compared 4-5 different options for my switch and the price and features of PBN couldn't be beat.

**What do you dislike about Practice by Numbers?**

I wish there was an app for my Android phone, it would be nice to be able to see it in a app on my phone. They have it for iPhone and a desktop though.

**What problems is Practice by Numbers solving and how is that benefiting you?**

We are now doing online forms and are going to start doing text to pay.

  ### 23. PBN makes my job run so smoothly

**Rating:** 5.0/5.0 stars

**Reviewed by:** Preston Ridge D. | Office manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** May 07, 2025

**What do you like best about Practice by Numbers?**

If there are balances due they get a text to pay online and it automatically posts to their Dentrix ledger, Also, you can customize how you want your paperwork sent and once finished it goes in their chart so no need to scan in.

**What do you dislike about Practice by Numbers?**

Nothing! They make things so much easier.

**What problems is Practice by Numbers solving and how is that benefiting you?**

balances which keeps our AR down, confirming so I can do more important things, recare so I can focus on patients in the office and PBN helps get in the ones that do not pre book their hygiene appointments.

  ### 24. Practice by Numbers can be super helpful.

**Rating:** 3.5/5.0 stars

**Reviewed by:** Lenee N. | Practice Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** April 29, 2025

**What do you like best about Practice by Numbers?**

I like that most of the numbers are calculated for me. That saves me time and way less stress.

**What do you dislike about Practice by Numbers?**

I don't love how overwhelming the software can be. There are too many options on one page. Not all the information is correct. It's frustrating not having the full confidence in the information they pull from Dentrix. Not everything matches up all of the time.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Following our KPI's. This is less stressful than having to try to figure this out on my own but the numbers are not always correct.

  ### 25. All in one amazing

**What do you dislike about Practice by Numbers?**

Only have had once incidence of the patient text not working correctly but was quickly remedied and have not had issues since.

**What problems is Practice by Numbers solving and how is that benefiting you?**

It is our communication platform for the team and for patients, provides analytics for the practice and also how we collect forms from patients.

  ### 26. 5 Stars - Exceptional Experience!

**Reviewed Date:** December 17, 2024

**What do you like best about Practice by Numbers?**

My company has used Practice by Numbers for years now, and since joining the team it has truly exceeded my expectations. The ease of use is unparalleled – the intuitive interface allows even non-technical users to get up and running quickly.

What really sets PbN apart are the new and exciting features that are continuously rolled out. It’s clear the team listens to user feedback and is committed to constant improvement. Every time we meet with our rep, they always offer to make suggestions to the team with our ideas so our experience is streamlined.

Speaking of our rep, whenever we’ve had questions or needed assistance, the support team has been incredibly helpful, responsive, and knowledgeable.

I highly recommend Practice by Numbers to anyone looking for reliable, innovative, and user-friendly practice management.

**What do you dislike about Practice by Numbers?**

The only negative I can think of when it comes to Practice by Numbers is the speed of innovation. They have so many useful, unique, and fascinating tools that are constantly changing and updating the user experience- I wish there was more time spent showcasing new feautures and showing how to use them properly.

**What problems is Practice by Numbers solving and how is that benefiting you?**

We use Practice by Numbers for a wide variety of tasks- it is the most efficient way to analize all of our business data for and time range. Instead of spending hours running reports, we check our PbN dashboard and we can easily find exactly what we need.

  ### 27. Best Dental Software that I can’t live without

**Rating:** 5.0/5.0 stars

**Reviewed by:** Hoda B. | CEO/ Owner Dentist, Small-Business (50 or fewer emp.)

**Reviewed Date:** November 30, 2024

**What do you like best about Practice by Numbers?**

We use Practice by Numbers every single day in our office and it has helped us in so many ways. From morning huddles all the way to closing the end of the day, we depend on PbN to run our business.
We use it to communicate with patients, confirm appointments, fill out all patient forms, consent forms and treatment plans.
As the leader of my practice, I utilize PbN to track our performance and set smart goals.
I also have a great system to market and track my ROI.
The best part is that the software helps us save so much time so that we can focus on delivering the best patient care.

**What do you dislike about Practice by Numbers?**

There's nothing that I dislike about Practice by Numbers. They're constantly improving and have exceeded my expectations every step of the way.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Practice by Numbers has really improved my practice. It saves time by handling tasks like patient communication, insurance verification, and consent management, so we can focus more on patient care.

It also makes tracking KPIs, marketing, and follow-ups easy—all in one place. This has helped us work more efficiently and make smarter decisions to grow. I use it daily to track our goals and share it with my team. It also has helped me pay my associate doctor in the past by tracking her production much easier than our dental software, eaglesoft.

Overall, it’s made us more organized, efficient, and able to scale.

  ### 28. Easiest Admin Platform Across the Board!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Brielle C. | Administration, Health, Wellness and Fitness, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 12, 2024

**What do you like best about Practice by Numbers?**

What I like best about Practice by Numbers is its ability to streamline patient communication and save time for both patients and staff. One standout feature is how it can automatically send new patient forms right after the appointment is scheduled in the system. It’s incredibly convenient and ensures everything is ready ahead of time.

Another feature I appreciate is the ability to seamlessly send specific forms—like health history updates, consent forms, or treatment estimates—when they’re due for renewal. Patients can complete these forms securely on their phones via a texted link before their visit. This not only saves time during check-in but also helps the office stay organized and efficient.

**What do you dislike about Practice by Numbers?**

One of my favorite features is how it can automatically verify patients’ insurance eligibility for a specific day. This saves us so much time and streamlines the process, making it easier to focus on patient care.

However, I do wish the platform could verify eligibility for all insurance plans, not just a limited selection. Expanding this functionality would make it even more comprehensive and helpful.

Overall, it’s a reliable platform that adds efficiency to our operations, with room for improvement in this specific area.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Practice by Numbers has been a game-changer for our dental office. One of the biggest challenges we faced was filling last-minute openings in our schedule. The platform solves this problem seamlessly with its ASAP list feature. I love how we can categorize patients by specific needs, like cleanings or restorative work, and instantly message them when a spot becomes available. This makes it incredibly easy to fill gaps in our schedule quickly and efficiently.

The system has significantly improved our productivity and patient communication, saving us time and ensuring we keep the schedule as full as possible. Highly recommend it to any dental office looking to streamline their operations!

  ### 29. An X-ray into My Practice

**Rating:** 4.5/5.0 stars

**Reviewed by:** Tapas P. | Dentist Owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 09, 2024

**What do you like best about Practice by Numbers?**

I love how I'm able to find so many helpful metrics to help improve my office. I use it every day for huddle to stay organized. I also like that I can communicate with patients on the same platform, rather than engaging with another 3rd party software.
Getting PBN plugged into my database was pretty easy, even when we switched EHR softwares.

**What do you dislike about Practice by Numbers?**

I wish I could customize some of the metrics of toggle on/off things like Gross vs Adjusted monthly projections.
It also seems like the software doesn't update some information if it's in the past; for example, if numbers from a previous year are adjusted in our EHR, the metrics from that month in that year remain "frozen" in PBN. Another example would be if we go back into a chart and input where they were referred from, it doesn't updated in PBN unless that is inputted when the chart/initial appointment is created.
Still, these are small things in the grand scheme.

**What problems is Practice by Numbers solving and how is that benefiting you?**

This helps to text my patients, send them reminders, confirm appointments and so many more things when it comes to being in contact with my patients. It also helps me understand how the office is doing and I don't feel like I'm driving with a blindfold on.

  ### 30. Truly remarkable

**Rating:** 5.0/5.0 stars

**Reviewed by:** Justin A. | Office Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 17, 2024

**What do you like best about Practice by Numbers?**

PBN has blown me away with its exceptional service, features, and commitment to making your life easier. The cost compared to others is unmatched. The amount of reports I have access to with one click is wild!

**What do you dislike about Practice by Numbers?**

Not much at all. One thing that can be improved is their online chat box.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Patient communications, payment processing, HIPAA-compliant online portal, online scheduling, and so much more. It’s a one-stop solution that makes managing my practice easier, faster, and more efficient.

  ### 31. Best all in one platform to solve all your admin needs!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Julie C. | COO, Mid-Market (51-1000 emp.)

**Reviewed Date:** December 05, 2024

**What do you like best about Practice by Numbers?**

The eligibility feature uploads directly into the patient’s chart, making utilization clear and noticeable. The analytics can generate just about any report you need, and the communication tools—tracking calls, texts, and emails that upload seamlessly into the commlog—are incredibly useful! The PBN App syncing directly to the chart in open dental and displaying patient and family information makes answering calls effortless. I love so many aspects of this software! I could go on for days! The software has made our day in and day out tasks so much easier and it working with my moto: Work smarter not harder and this software does it all! I dont know what we would do without this software everyday!

**What do you dislike about Practice by Numbers?**

I would like to see the unscheduled treatment followups/tasks not be linked to saved treatment plans within Open Dental. When a treatment is no longer needed and is deleted from the treatment plan, the system still emails the patient about the treatment. It also creates a follow-up task to call the patient about unscheduled treatment, even though the treatment is no longer relevant. Additionally, it would be helpful to have the ability to block certain codes from this algorithm, so made-up codes with zero fees in the treatment plan do not get emailed to patients.

Additionally, online scheduling does not sync with scheduling blocks, which makes it challenging to implement "perfect day" scheduling. Currently, it's a free-for-all system, and we prefer to reserve specific blocks for new patients. New patients are a crucial part of a dental office and typically don't schedule appointments six months out; they often want to be seen within a week. We need these spots to remain hidden from other appointment types until the new patient block is manually deleted, allowing recall appointments to be scheduled.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Phone call tracking for treatment follow-up tasks is essential. It allows the front desk team to follow up on treatments that patients may not have scheduled before leaving. This ensures we can address any questions patients might have when we call them about a week after their visit. When these tasks are being done by the admin team we see a significant increase in appointments scheduled.

  ### 32. Love this Program!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Medical Practice | Small-Business (50 or fewer emp.)

**Reviewed Date:** April 28, 2025

**What do you like best about Practice by Numbers?**

This analytics website offers a user-friendly experience that is both easy to navigate and understand. A standout feature is the ability to customize your dashboard, allowing you to prioritize and display the specific data points that are most critical to your individual practice. This level of personalization provides valuable insights at a glance, tailored to your unique needs.

**What do you dislike about Practice by Numbers?**

The initial setup process can be somewhat time-consuming and requires careful attention to detail.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Current Shortcomings and Areas for Improvement

  ### 33. Hands Down the Best Practice Management/Patient Communication/Analytics Software for Dental

**Rating:** 5.0/5.0 stars

**Reviewed by:** Angie C. | Owner/Dentist, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 02, 2024

**What do you like best about Practice by Numbers?**

When I have a question, I can message PBN from their site and a live person from the US answers in a timely manner. All of our communications are logged and I can review them again at any time. My front office team logs into PBN every morning and communicates with patients via texting all day long. All texts are logged directly into my practice management system; anything I do in PBN ends up logged into Eaglesoft- no double entries required. All of my new patients receive a text with a link to their new patient forms, and these forms autopopulate much of my patient files. It was easy to set up and it's easy to use. I'm able to send statements and receive payments that are automatically entered in my practice software. And finally, all the information that I used to have to gather from a multitude of reports in my practice management software I can now find in one place in one report.

**What do you dislike about Practice by Numbers?**

The last time I tried to use the "online schedule" page, I was not able to find what I was looking for. I didn't have time then to ask about it, and it's been several months since I've thought about it again. It's not a part of the software that I use terribly often. I'm sure that if I asked, they would be able to solve my problem.

**What problems is Practice by Numbers solving and how is that benefiting you?**

It's helping me fill my schedule each day. It allows me to connect with patients via texting, which most patients like better than phone calls. It also frees up the phone lines for calls. I also use it to send statements and collect payments from patients. Additionally, I, as the practice owner/dentist, use it to run reports to see my KPIs and make business decisions.

  ### 34. Analytics Plus

**Rating:** 5.0/5.0 stars

**Reviewed by:** Jaime O. | Manager, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 01, 2024

**What do you like best about Practice by Numbers?**

I have need using PBN now for almost 4 years and I really believe is the most complete and customizable solution out there for dental practices. It can cut the cost by using one solution to do many different things that will take multiple solutions. Is super customizable but there is a learning curve. Overall super powerful and a must need if you really want to know anything about the data of your practice. Without PBN will be like driving a car without gauges. The most important is that they keep implementing new things and moving forward. Their customer support is top notch and always ready to help. It will be so hard to run my practice efficiently without PBN.

**What do you dislike about Practice by Numbers?**

It takea some time to learn the system and customize it since it can do so much. They should implement a YouTube channel with a lot of short training videos for people to learn.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Understanding the practice data really quickly instead of using reports. Following up with patients who are not schedule. My phones are now also integrated with PBN.

  ### 41. Very pleased with the functions offered and service.

**Rating:** 5.0/5.0 stars

**Reviewed by:** Kevin R. | Scheduling Coordinator, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 02, 2024

**What do you like best about Practice by Numbers?**

There are so many functions to utilize with this program. You can really dig deep in Revenue IQ. Following up on unscheduled treatment or unscheduled family members is made easy. The system itself is user friendly. If there is ever anything we are needing help on figuring out, customer service is right there assisting us. I can honestly say this is a daily tool that we use in our office.

**What do you dislike about Practice by Numbers?**

The only downside I could think of is that with Lighthouse the last minute hygiene appointment offers were a little easier, with this program you have to create a campaign. Which just adds a few steps is all.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Helps us not have patients go through the cracks on unscheduled treatment and appointments. The new patient paperwork saves so much time in the office.

  ### 42. It has been very good, not without any issues, however they are very responsive and quick to correct

They listen to feedback and respond immediately. The analytics give you great insight to your business and where you are strong and where you can improve.

**What do you dislike about Practice by Numbers?**

The length of time to verify a practice for setting up the merchant service, this seemed a little antiquated and slow. However once it is set up you will love it.

**What problems is Practice by Numbers solving and how is that benefiting you?**

The biggest problem that PbN is solving for us, is having an central place to review results, and eliminating the "tracking" sheets that were done in the office. Now that we have the analytics, there are so many insights to the business and allows us to stay more proactive to the fluidity of the business.

  ### 46. One-Stop Shop for ALL of your Dental Office Managing Needs!

**Rating:** 5.0/5.0 stars

**Reviewed by:** Michael G. | Owner, Small-Business (50 or fewer emp.)

**Reviewed Date:** December 17, 2024

**What do you like best about Practice by Numbers?**

There are few companies out there that can do it all and do it well. PBN is one of them. Gone are the days that you need to sign contracts with 10 different companies to execute your needs with tracking patient communication, insurance, reviews, phone service, in-office communication, huddle direction, forms, payments, etc. You can find it all with Practice by Numbers! You know a company stands behind its' product when you can pay month to month and they don't try to play gotcha tactics with a contract. We use the platform everday/all day long. I love the freedom the app gives me to check things and call patients on the go. Their support team will help you each step of the way to integrate everyone in the office.

**What do you dislike about Practice by Numbers?**

The one thing I do miss from a competing company is the fun videos for our morning huddles.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Answered in my review.

  ### 47. Streamlined Patient Care

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Hospital & Health Care | Small-Business (50 or fewer emp.)

**Reviewed Date:** April 30, 2025

**What do you like best about Practice by Numbers?**

Practice by numbers took the leg work out of contacting patients for recare. The forms feature is so helpful and makes early check in a breeze.

**What do you dislike about Practice by Numbers?**

The dashboards can be a little confusing and the support team to actually speak with someone seems to be understaffed. Rather than answer questions they usually just send how to articles that can be pretty hard to follow at times.

**What problems is Practice by Numbers solving and how is that benefiting you?**

Reaching out to patients that haven't been seen in a while. Helps to fill our schedule!

**Official Response from Larry Ross:**

> Thank you for your review. Please reach out to us with your contact information so I can send you a proper thank you.

**What do you like best about Practice by Numbers?**

I have been using Practice by Numbers for almost two years now. I was previously paying two different companies to accomplish what PbN does in a robust, yet consolidated format. Integration was seamless, as I don't even remember any hiccups from the seemlingly overnight move. In the beginning my staff and I struggled to get used to the program. Fortunately the support team helped throughout the transition and earned our trust in the process. I love that this is a cloud based program that allows everyone on our team to use this program daily away from the office.

**What do you dislike about Practice by Numbers?**

There are not any dislikes that I have with PbN

**What problems is Practice by Numbers solving and how is that benefiting you?**

Online scheduling, automated messaging and analytics.

  ### 50. How are you managing without this?!

**What do you like best about Practice by Numbers?**

I love Practice by Numbers and cannot recommend it enough. We use it daily in our office. First, to get a quick overview of the metrics I need in one place. I used to have to run report after report. Now it's all on one dashboard. I have a custom dashboard that I use to track what is most important to me.
PBN also has hundreds of metrics features I don't routinely use but have access to when I need to, like what insurance carriers our patients use, what their payment rates is (and who we should be looking at dropping).
We also use their patient forms and communication features to auto text-confirm appointments, quickly send last-minute messages, remind our patients if they have remaining benefits for the year, send payment request, etc. It's all in one place.
Customer support is super helpful. There are many times that I need help reviewing a patient's account and they're always there to help.
It's super easy to set up and integrate in to your daily routine. They have great forums and videos online to teach you how to use it. Recommend 100/100.

**What do you dislike about Practice by Numbers?**

Nothing. It's a life saver if you want to run your practice with actual data rather than "I feel like we saw less patients this month..."

**What problems is Practice by Numbers solving and how is that benefiting you?**

It gives me all the data in one place so that instead of reacting after a good or bad month, I am trying to keep the practice level and smooth-sailing.
