**What do you like best about PoliteMail?**

Working in the Communications department, PoliteMail allows us to reach a large audience and also set templates of regular communications that we send.

**What do you dislike about PoliteMail?**

Customer service is not immediate. Would be helpful to be able to talk to a live rep when problem occurs.

**Recommendations to others considering PoliteMail:**

It is an effective way to communicate and send mass emails that can be branded.

**What do you like best about PoliteMail?**

Ultimately it's all about the email analytics, and this is done well. Some really interesting information is collected and easily accessible.

**What do you dislike about PoliteMail?**

Working with the team. They make "Customer Success Managers" an oxymoron. At the point of project kick-off, they cut-n-paste a long, ugly table of things that need to get done in order for the product to work. Different fonts, weird colors and strange emphasis make it entirely confusing - but they want to brush you off with a pile of information (to do on your own), and move onto the next customer. You then won't hear from anyone unless you ask (and can figure out WHO to ask). Responses are then late and absent of any empathy of deadlines.
We were also not made aware in advance of many environmental system requirements (global, enterprise-wide) until the last days of implementation.

**Recommendations to others considering PoliteMail:**

Strongly consider on-prem instead of cloud. 
Fully understand end-user licensing (especially Syncronym) FIRST.
Plan on following up with the vendor several times a week, and largely going it alone.
Have a firm understanding of ALL the system changes you'll have to make in order to integrate properly (it won't be as quick as easy as originally depicted).
Understand who to call for what. Instead of a single point of contact, there's a list of names all doing different things for different products, that make acquiring help daunting.
Know that they don't provide project management resources.

**What problems is PoliteMail solving and how is that benefiting you?**

Email response rates. Getting a dashboard of metrics.
However we were promised a Mac version, but now it's nowhere on the timeline.
We had hoped for tighter AD integration, but now it's an afterthought.
Not getting an Amazon gift card for a less than stellar review.

**What do you like best about PoliteMail?**

So far for us, the ability to save resources in PoliteMail for multiple users to take advantage of. To allow one user to create Templates that are easily stored in PoliteMail for everyone to use is very helpful.

**What do you dislike about PoliteMail?**

The PoliteMail server itself seems to have issues. Some days we have no problems and everything seems speedy, then other days, getting data out of PoliteMail is slow slow task.

**Recommendations to others considering PoliteMail:**

This is a very useful product, even with some of the issues we have experienced, I don't think there is anything like it on the market.

**What problems is PoliteMail solving and how is that benefiting you?**

We are solving some new problems we have with accountability and tracking for our Legal department. Making sure users are reading and clicking a link that proves to legal users have read things has been great.

**What do you like best about PoliteMail?**

Smart attachments by far is the best feature. Because of the need to upload and/link to multiple documents in messaging it has helped to let our employees access the information they need without being inside our firewall.

**What do you dislike about PoliteMail?**

It may be a problem on our side. I have never ben able to send to the expanded distribution lists. This has limited the whole purpose of getting Polite mail in the first place, tracking analytics. I also have to hit cancel/cancel to get emails to send. If they are being sent to multiple lists I have to hit cancel/cancel for each list.

**Recommendations to others considering PoliteMail:**

Hopefully your Information Systems team is a little less stringent than ours. 

**What problems is PoliteMail solving and how is that benefiting you?**

Reaching employees who may not be in the network. None really, out of four of us it has only worked for me. We have not met the goal of analyzing our reach to our employee audiences because of this.

**What do you like best about PoliteMail?**

The PoliteMail team always made time to meet with our team for urgent matters. This was great, especially considering we are on the west coast and they are on the east coast. 

**What do you dislike about PoliteMail?**

We had a lot of issues with the PoliteMail server in the beginning. We almost cancelled the service. 

Our IT department does not allow us to utilize many of the tracking features for employee privacy concerns. 

**Recommendations to others considering PoliteMail:**

Involve your IT team with the set up. There may be unexpected run ins with iPhones/Apple products receiving emails. 

**What problems is PoliteMail solving and how is that benefiting you?**

We are able to consistently format mass emails before distributing them internally. 

These emails are well structured and they have been received well by the various internal teams.

It is pretty intuitive and easy to use. I like the internal tracking and metrics reporting.

**What do you dislike about PoliteMail?**

Pulling metrics is very slow. I don't know if it's just our company, or if this is normal. I feel like I often have issues with metrics, but have been told some of the problems are due to company settings. I recently watched a seminar to see what was new, and was pretty excited, only to find out that my company doesnt' have access to any of the new stuff. I don't like that I can't drill down on individual people (for instance, see who exactly didn't open so I can make a list of those people for a resend), but this may be a company setting for privacy reasons.

We mostly track Open Rate, Read Rate, Click Thru and Attention Rate. We use this with Annonymous tracking to work out when to send emails, and how to present our content.

before polite email, we didn't have any way to know matrics regarding important IT E-mails.
now we start working with polite mail to send a newsletter and Important info E-mails from IT and HR

**What do you dislike about PoliteMail?**

missing some editing feature such as clean HTML, and non-table templates
the design issue is not that good, I'm actually writing an HTML template and just paste it to the e-mail.
I really like more design features for end-users, now for any multi-image / column design, the users need me. such as background image to E-mail.

**What do you like best about PoliteMail?**

The theory of PoliteMail - the ability to upload custom lists (rather than copy/pasting), customize emails (name, title etc.), track results and format with HTML within Outlook. All pain points from an internal communication POV that PM tries to solve.

**What do you dislike about PoliteMail?**

The actual execution of PM is spotty - lists freeze during upload, results are hard to sort and filter, the HTML view crashes when trying to make edits. If the product worked like it should, it would be awesome ... but every day I encounter issues that just make it a frustrating experience.

**Recommendations to others considering PoliteMail:**

It meets the basics, but go in with eyes open. It isn't the most sleek product - but it gets the job done, and for internal communications there isn't really a good alternative product out there (for external marketing, there definitely are better programs but those tend to be too many bells & whistles for just Internal needs)

**What problems is PoliteMail solving and how is that benefiting you?**

From an internal communication POV, PM offers quick customization of lists that a normal Outlook DL can't address ... especially when custom lists are provided by HR. The ability to have shared templates between a team is great too.

**What do you like best about PoliteMail?**

It is a great tool for internal communications with GDPR compliant tracking methods. They offer stylized, tracked emails and a way to create dynamic distribution lists based on employee attributes. 

**What do you dislike about PoliteMail?**

The upgrades, bugs and relevant communications can be hit or miss. With these, they can oftentimes feel like an organization with the growing pains of a startup. However, when doing benchmarking with some other companies they do still have the best feature set for internal communications.

The email template interface isn't the easiest to work with unless you're very familiar with formatting and adding rows.

Do you have good, internal technical partners? Will there be someone more technical managing the day-to-day of the platform?

It allows large organizations to avoid the maximum daily send that Outlook imposes on users. It also allows us to create and send to more targeted groups of associates.

Politemail helps manage mass email distribution for various audiences with great features to help manage content, links, and tracking. This includes my favorite functionality ever...the ability to update links, images, attachment and content AFTER an email has been sent.

The user interface takes some getting used to and the content templates list gets a bit cumbersome after awhile.

Politemail allows us to send tens of thousands of emails without bogging down our email servers. The post-delivery content update features have also been a life saver at times when the wrong info was inadvertently sent out.

Creation of template. reach many recipients at the same time. Host documents as smart attachments. statistics review.

**What do you dislike about PoliteMail?**

Issue when we upload smart attachments and mailing list because of a server connection loss certainly. We need to close and re-open outlook, and sometimes we have to turn the computer off. We lose a lot of time. Sometimes, our sent email  go to the scheduled sent and are not sent while we wanted them to be sent directly.

**What problems is PoliteMail solving and how is that benefiting you?**

Politemail should ease our day to day activity. We are saving time when we have to send a global email (worldwide) thanks to the mailing list upload, the use of templates. Smart attachments allow us to be sure that our content is reachable by recipients. However, bugs mentionned above can cancel these benefits.

PoliteMail integrates with Outlook so that we can easily send emails to our existing distribution lists. In addition, it supports HTML email templates, which is a huge benefit. Having a corporate account with 6 designated admins - using shared templates - has greatly improved our workflow.

**What do you dislike about PoliteMail?**

PoliteMail doesn't work on a Mac, nor does it work with Gmail. Customer service has been spotty the past couple years as we've gone through several different account reps.

**Recommendations to others considering PoliteMail:**

It won't work on a Mac, and it only works in Outlook.

**What problems is PoliteMail solving and how is that benefiting you?**

Having a corporate account with 6 designated admins - using shared templates - has greatly improved our workflow. The ability to send HTML emails allows for us to use attractive, branded templates. Previously, I had to build the HTML emails in Dreamweaver and import them into Outlook.

Sometimes the PoliteMail add-on crashes my Outlook and forces a restart of Outlook. This mostly happens while receiving a new mail in the outbox.

The data is super helpful!  We use the open and read metrics to track the progress and areas that need improvement in our internal communications.  We also use this data to present our success to our leadership team.

There seems to be a decent amount of glitches that come up often.

This tool is really great for multiple aspects of creating and sending effective and successful communications.

We have been able to differentiate behavior patterns by audiences, see which recurring communications are worth it to continue to send and which ones aren't, and we have been able to realize progress and areas of improvement in our communication with these metrics.  Also, other features such as Preflight Test Send and Scheduled Sends are very helpful, too.

The user experience in the tool can be a dissatisfying. Seems like user testing would benefit their technical/development team.

The product takes patience to learn but the data is worth it.

The data insights have been huge. The ability to tell leadership the open and read rate percentages for emails we've previously been told that "nobody reads" is worth the tool.

PoliteMail has helped us think strategically and better improve our campaign and communication plans. We've made decisions on basis of what has worked. Parameters like attention rate, and split by devices read has helped definitely 

**What do you dislike about PoliteMail?**

We'd like a feature that helps us recall comms in case somethign goes wrong. Currently there are no features for that. As an advocate for the tool at a service line level, it becomes difficult to convince professionals to stick to the plan if something goes wrong. 

**What problems is PoliteMail solving and how is that benefiting you?**

We've been able to successfully narrow down slots for multiple newsletters on when they function better. We've also been able to identify the kind of campaigns that would benefit from using the tool.

Templates can sometimes be difficult to work with. We also occasionally run into issues with lag in sending.

**What problems is PoliteMail solving and how is that benefiting you?**

Distribution list challenges - now we can upload an unlimited number of emails quickly and immediately send to them. Before we had to do batches of 500. The metrics also help us to give credible advice and recommendations on what type of internal communications are actually working and which are being ignored.

**What do you like best about PoliteMail?**

I love that I can track my email campaigns and see when the best time is to send out campaigns to our employees, determine who is opening content and who is not, and send follow up emails only to those individuals that did not open or interact with the email. It has been a great system that we use from the CEO level down to the department level. When we have to edit a link or have an error, we don't have to send out a new email, we can simply update the link in the PoliteMail system and not worry about it. 

**What do you dislike about PoliteMail?**

PoliteMail tends to crash the Outlook email program and some users had to uninstall the program and cannot use it. Another downfall is that the email campaigns will default to a font that is not in the template. 

**What problems is PoliteMail solving and how is that benefiting you?**

We are getting more strategic with our internal email campaigns. When there is important information that needs to be sent out, using PoliteMail allows us to see who is opening the emails so when we get push back or are told they never received the email, we have the proof to show them they did. It has helped in keeping people accountable.

**What do you like best about PoliteMail?**

Email tracking is easy to implement and activate and the resulting metrics are very easy to digest. 

**What do you dislike about PoliteMail?**

Unfortunately, our team struggles on a regular basis with PoliteMail tech issues. We continue to have issues building and updating templates, refreshing metrics, and even getting emails to send from the server on a weekly basis. The PoliteMail service team is usually quick to respond, but many of the workarounds they provide do not actually work and our team spends lots of time trying to troubleshoot the issues. 

**What problems is PoliteMail solving and how is that benefiting you?**

Recognizing the best times of the week and day to send emails to our target audience. Also, discovering that more visually-appealing communications (and templates) increase reader attention and engagement.

**What do you like best about PoliteMail?**

The three features I like best are the templates, the scheduling and the metrics. We've already set up several customized e-newsletter templates with the tool and it was quite easy. As for scheduling, other tools we've tried require my computer to be on and on the network for an email to be distributed at its prescheduled time -- which completely defeats the purpose of scheduling. Don't have to worry about it with Politemail. And the metrics are really helpful to track what days/times are best for sending emails.

**What do you dislike about PoliteMail?**

The only thing I really dislike are the ongoing issues I've had since the last Politemail update. My Outlook crashes frequently when I receive meeting invitations or when an email is being distributed. It's very disruptive. 

**What problems is PoliteMail solving and how is that benefiting you?**

Love being able to schedule an email for distribution the next day and not having to worry if it's going to be sent on time. Also appreciate the email list feature, which enables us to create an email group once that we can use for multiple communications -- a great time saver!

The variety of templates are nice and for the most part easy to use/personalize, customer service reps were very helpful in working with us to find solutions.

Opt-in form did not work well, security issues with our internal systems, inconsistency in ability to use the tracking features.

Make sure PoliteMail works well with your internal security and IT systems before going forward.

The support team are responsive which is always a relief when/if something goes wrong or you need advice.

**What do you dislike about PoliteMail?**

I feel like the platform can be a bit clunky to use and sometimes for us - perhaps due to our ICT systems - we have issues with the analytics being inaccurate.

Gaining an understanding of how much impact your emails have and being able to A/B test different ideas.

Easy to use add-on for Outlook to track email behaviors with our employees.  Helps us understand what types of messages, length of message and click-thru rates.

**What do you dislike about PoliteMail?**

If you don't use it all the time it can be difficult to remember some of the tricks to ensure a good end-user experience through the designs and layouts of messages.

The inability to share drafts with colleagues. Because it uses Outlooks formatting tools some users find it challenging to use as the Outlook formatting tools are not the most intuitive. Inability to purchase a user licence without having to connect directly with a salesperson. Syncronym is a great function but the cost is really high, with no discount even if you have the basic platform.

The best part of using PoliteMail has been the ease of sending communications from another mailbox address. The templates, once we got used to them, have been convenient and efficient for our team. The metrics have been valuable to gauge readership and relevance in our communications.

There were countless technical issues with PoliteMail.  One of  the most recent being a miscommunication with our IT Team which led to two weeks + of downtime using PoliteMail.

I appreciate the metrics PoliteMail offers and it's convenient to be able to use existing distribution lists in Outlook. The templates are okay.

Having to break down mailing lists into 100 or fewer names, for tracking purposes, wasn't something I was aware I would need to do prior to purchasing. (I can't say for certain that this wasn't shared with me, but if it was it failed to register during the initial conversations and demos.)

**Recommendations to others considering PoliteMail:**

Be sure your mailing lists are small enough to enable tracking. Mine are not and will have to be reconfigured in order to start tracking messages sent to internal staff.

Consistency and professionalism in look & feel; ease of sending (untracked) messages is great. Ability to do a pre-flight test send is nice.

The layout of the Microsoft Word reports is great for viewing and sending individual metrics. The level of detail that the metrics provide is great. The ability to track clicks is great.

There's no way to export a large number of reports at once. When you export using different methods some metrics may be omitted. No access for a mac.

Prior to PoliteMail we didn't have any metrics for company-wide emails. Now we do. We've been able to make recommendations and adjustments to email campaigns based on the results.

I've had some minor problems with technical glitches from time to time that can be annoying. Emails not sending right away mostly.

My favorite features are looking at analytics by segmentation and being able to track how my campaigns are doing over time and seeing what's improving. It's a great way to show the results of your work so you can illustrate the return on investment when it comes to email marketing or newsletters.

We're finding better and better ways to reach our employees. We can actually track our efforts and compare different tactics to determine what works best. We've been able to build our readership.

We have tried using third party solutions to have tracking for internal communications, but our IS security configurations made it difficult to ensure reliable delivery of important employee communications originating from outside IPs. The fact that PoliteMail works directly through Outlook and provides in-depth stats has been invaluable. 

**What do you dislike about PoliteMail?**

When we spoke with other clients we heard similar suggestions - make sure IS is totally on-board with supporting the product and we understand why. Our experience would have been smoother had we had everyone together (comms and IS) for the installation and ongoing maintenance.

Having stats helps us make informed decisions about the nature of our internal communications. When we make recommendations to leadership, we know we can back it up with data.

Will it actually send? It depends on the day. I've had to send a message up to four times to get it to actually go. I've spent a lot of time with their tech help and no one can seem t figure out why that happens for me.

It's pretty easy to use and makes nice looking emails so I don't have to rely on the design team. And it's nice to be able to lift the HTML code and use it on our intranet.

I'd like to be able to mask my mail as that of different company leaders. This is a feature that can be done in other platforms (Poppulo). The Open Visibility feature doesn't always work, which is a bug that needs to be fixed.

Politemail gives you very useful analytics. Who opens an email, how long people spend reading it, how many ignored, etd.

The templates really aren't that great, and can be quite glitchy. It's not really politemail's fault, as they are all built in outlook and have to use tables and such, but can still be frustrating.

It's a simple plug in that's really easy to set up and use. The stats are also easy to access and interpret.

It's not mobile friendly with Blackberry for Work app, which we use for security reasons.
You cannot send restricted content via Politemail, which again can be an issue for certain types of communications.

I love the accessibility of the tool - having it directly plugged into Outlook is a game changer. The metrics are also more comprehensive than any other tool in the industry.

The tool itself isn’t reliable. We ran into endless technical issues, and the support for solving the issues wasn’t adequate. We wanted so badly for it to work, but it just seems like too young of a tool that isn’t technically sound.
