**What do you like best about Phocas Software?**

What I value most about Phocas Software is not any single feature, but the way it turns complex operational and financial data into decisions you can defend at Board, SLT, and NHS-customer level.  Speed to insight without technical friction, commercial and operational clarity in one place, credible, defensible reporting for NHS and internal scrutiny, visual storytelling that supports executive decision-making and scalability as the business grows and contracts evolve.

**What do you dislike about Phocas Software?**

What I dislike about Phocas Software stems less from what it does poorly and more from where it falls short for a commercially and operationally complex NHS-facing organisation like Peacocks Medical Group. In practical terms, I would characterise the key frustrations as follows: Dependence on data structure and upstream discipline, Limited native contract-level intelligence, forecasting rigidity without significant configuration effort, Operational nuance can be lost, user experience limitations at scale and not having instant support on demand for gaps in user understanding.

**What problems is Phocas Software solving and how is that benefiting you?**

Historically, financial and operational data in Peacocks Medical Group sits across multiple systems finance, manufacturing, clinical activity, workforce requiring manual extraction, reconciliation, and explanation. Insight arrives late, often after decisions have already been taken.  Most reporting shows what has happened, but struggles to explain why particularly where activity, pricing, and cost interact differently across Trusts, contracts, and service models.  Raw data rarely changes decisions. Executives need clarity, context, and direction not spreadsheets.  NHS contracts demand transparency, auditability, and consistency. Informal or spreadsheet-driven analysis carries reputational and contractual risk.

We are no longer reactive. We can anticipate issues run-rate overspend, margin erosion, activity drift before they become formal problems. This materially strengthens our position in internal SLT discussions and external NHS conversations.  When challenged on spend increases, margin pressure, or forecast changes, we can move immediately from headline numbers to root cause. That credibility is critical when dealing with NHS finance teams, procurement, and auditors.  We are able to lead conversations, not just respond to questions. Whether we are justifying contract extensions, negotiating variations, or making the case for investment, our recommendations are underpinned by clear, defensible evidence.  We reduce risk commercial, contractual, and reputational. We can demonstrate that decisions are evidence-based, repeatable, and aligned with agreed data sets.

**What do you like best about Phocas Software?**

Phocas brings data from both my hire software and accounting software into one place. It makes the data easy to read, easy to find and also easy to put into graphs for presentations.
The implementation process was really easy with the Phocas team doing most of the work. 
Since going live the customer support is excellent with them always on hand to help with any quires we have.

**What do you dislike about Phocas Software?**

There are no really down sides to using Phocas the only part I think needs improvements is the budgeting side so you could add in more detailed finance or HP agreements

**What problems is Phocas Software solving and how is that benefiting you?**

We use to have a lot of our accounts done on spread sheets which was controlled by our FD. When he decided to move on there was no one in the business who knew how to use them. 
With Phocas it meant that I could get all the data I required without having to be a wizz with excel.

  ### 3. Effortless User Experience with Robust Reporting

**What do you like best about Phocas Software?**

I like the ease of use of Phocas Software. It allows licensed end users to build their own reports and dashboards, enabling them to focus on what is important to them. They can also dig further into the data in just a few clicks. Additionally, the initial setup of Phocas Software was very easy, especially since most of the work was done with EDA.

**What do you dislike about Phocas Software?**

The most difficult thing for me is setting up a new database or adding a stream to a new database because the date defaults to dd/mm/yyyy. This causes data to 'drop' for us in the US since we use mm/dd/yyyy as our standard. Once I change the date format, it's fine, but I waste time troubleshooting. It would be helpful to have a config value where each company can set their default date format to make it easier for US customers.

**What problems is Phocas Software solving and how is that benefiting you?**

I find Phocas Software lets end users independently look up sales, inventory, and purchasing data, freeing IT. Users easily build reports and dashboards, diving into data effortlessly. However, the default date format setup causes data issues, wasting time troubleshooting.

It’s highly user-friendly — allowing users to drill down to transactional details and return to a high-level view in just two clicks. The ability to easily correct mistakes makes it especially valuable for less data-savvy users.

The new flex modes make spotting insights easier, and being able to create custom calculations on the fly is incredibly powerful — opening up endless possibilities for analytical users.

**What do you dislike about Phocas Software?**

Custom formatting could be better, this is the number 1 reason why users use reports to data dump into excel templates.

**What problems is Phocas Software solving and how is that benefiting you?**

Turning data into actionable insights, the ability to get a full view of our commercials & easily identify pockets of success helps drive our business forward. Phocas continues to keep building on an already powerful product & listen to user feedback, the new features will soon open up endless possibilities for analytical users, these tools cut out the manual work enabling our analysts to add value to the business rather than dig in manual spreadsheets/SQL tables.

The software seemed slick, but the results were inaccurate.

**What do you dislike about Phocas Software?**

The Phocas software is disappointing. The project management is poor, and the customer service is terrible. There's an incredible lack of professionalism. I found the results inaccurate, and overall, the initial setup was awful.

**What problems is Phocas Software solving and how is that benefiting you?**

Phocas Software did not solve our problems; as noted previously, the company has poor project management, had poor customer service, lacks professionalism, and the results were inaccurate.

Fast response and great support to queries or issues.

Videos and documentation very useful in helping to understand how to get most out of the product.

Cloning of workbooks with all formulas saves time and ensures they are all the same.

**What do you dislike about Phocas Software?**

Dislike – having to edit and reload the quantity, sales price and cost price tabs after adding new products to the main tab. Would be nice if this was done automatically.

**What problems is Phocas Software solving and how is that benefiting you?**

Making the budgeting and forecasting by customer and product line details much easier now that it is all in one place. Saves all of the standard issues that come from just using excel. 

The data can now be accessed more widely without having to send a request to Finance for it. Users can no go and answer their own questions.

Once you understand how to do one report / data find everything falls together perfectly.
If any troubles are encountered the support is top-notch in helping resolving the issue(s).

The only thing that would be 'wrong' is the dis-association of information from the CRM to Sales side information.  Moving from one to the other was the 'no-go' for us.

Phocas software helps resolve the repeated requests to show customers purchases from certain vendors that our sales force is looking for.

The program has real depth as to the data that can be analyzed.  The training and support are also excellent.

The program is a bit complex, but the training helps to understand how to use the program.

We are able to analyze and refine data at a deeper level than with our ERP system.  Having the dashboards already built in but able to customize is a big plus.

**What do you like best about Phocas Software?**

I am using PHOCAS for more than a year now and I think the best thing of using PHOCAS so far is the ability to export reports into excel file. Futher, you can create reports and customized it the way you want it and useful to you.

**What do you dislike about Phocas Software?**

PHOCAS updates is being done overnight. Say for example, you made changes in your accounting books, it will change to your PHOCAS next day, except if you request the IT people to sync it immediately.  So, it that sense it is not real time.  I think PHOCAS can be improve by making any changes you've done real and quick time.

**What problems is Phocas Software solving and how is that benefiting you?**

Primarily I use the PHOCAS for our budgeting and forecast reports. PHOCAS is useful to us in the sense that we can prepare and customise our budget reports based on our preference and use.

The interface is easy to use and there are lots of tutorials to get the results that you're looking for.

**What do you like best about Phocas Software?**

It is my pleasure to write this letter of recommendation for Phocas, a Business Intelligence (BI) software that has been instrumental in enhancing our operations at Dixie Plywood & Lumber Company. As an early adopter of Phocas, we have experienced firsthand the benefits it offers in deepening our insight into critical business analytics.

Phocas has provided our management team and sales force with a better understanding of the overall business relationships between Dixie Plywood and our diverse customer base. The software's ability to present historical data in a variety of ways has allowed us to meet our customers’ needs more effectively by identifying buying patterns and suggesting complementary products. This strategic approach has helped us build stronger, more reliable partnerships with our customers.

What we have found particularly valuable is how Phocas empowers our salespeople. With direct access to data, they can make informed decisions and provide quick responses to customer inquiries. This has significantly reduced the need for our Information Systems department to generate reports, enabling us to work more efficiently and focus on customer service.

Phocas is both intuitive and user-friendly, allowing our team to utilize it effectively without the need for extensive training. At the same time, it delivers powerful, strategic insights that have contributed to Dixie Plywood’s success as not only a valued vendor but also a trusted partner in the eyes of our customers.

We highly recommend Phocas to any organization seeking to optimize its business analytics and build stronger relationships with customers.

**What do you dislike about Phocas Software?**

It's extremely difficult to say anything negative about a software product that has contributed to making our job easier and our users happy. Our experienced with Phocas has been a success from day one and continues to improve with each new release.

**Recommendations to others considering Phocas Software:**

The best way to determine the value of PHOCAS is to 'Try it .... You'll Like it" .... sounds corny but is the truth.

**What problems is Phocas Software solving and how is that benefiting you?**

As the Director of Information systems I am always looking for ways to improve how our Management and Salespeople can have better access to the sata they need while meeting with our customers in the field. 
Finding a product that was easy touse and fast enough to be used was a difficult task for me .I was extremely skeptical of Phocas or any other BI tool  with all the promises made but from my experience 'poor delivery' .... But Phocas not only met our needs ... it exceeded  our exspectations.  So far, Phocas can given us results. Can't complain about that. 

Fast access to information .... when our Salespeople want it and need it. No longer having to wait to explain it to an I.T. person and wait. ... Need information on a customer. Got It.  Need information on product availability. Got It. Need Results. Got It.

The functionality of the ability to analyze data in the format that helps me on a daily basis.

One change I would like to see is real time data verses a lag of one business day.  This is how our reporting is available.

I am able to monitor / list manage multiple categories of daily customer activities regarding the sales cycle with respect to specific products.

**What do you like best about Phocas Software?**

Now we have Phocas up and running and I understand how it works getting the neccessary data quickly is so easy. The Financial statements module is excellent and allows us to achieve our Monthly Management Accounts by day 3!

Once the intergration is set up it's seamless. We use Phocas every minute of everyday so we know where we are at. 

Tim our Account Manager is fantastic too.

**What do you dislike about Phocas Software?**

The system is fairly easy to use, if you want to get to admin level is does take a bit longer to understand all the working parts and how they affect each other. 

No phone helpline or live chat, this would be so useful. The benefit of Phocas is you can access data quickly, however if the system returns a load of 0's you need to be able to call someone to understand what you are getting wrong.

**What problems is Phocas Software solving and how is that benefiting you?**

Ability to access data quickly and do reports. Business is managed by reports and Phocas enables us to manage effectively by access numbers so quickly.

Fantastic Data Consolidation bringing various sources together to enable the creation of insightful dashboards and reports, automated and ready to go for future use. Great for group reporting.

A few glitches from time to time but the upside makes these well worth putting up with and you can find ways around the glitches if you try hard enough, strengthening your skills with the software. Support tickets are very helpful and timely if needed.

that our sales and inventory data is automatically uploaded into Phcoas every night makes looking at our data from the day before stress-free. it is so easy to manipulate and download if we want to use it for our own reporting as well.

Nothing major. I think one downfall is the cost of getting small features added into Phocas if they aren't already there. there should be discussions or voting for what gets developed with all of the user's fees.

it saves us so much time in creating reports as it's all there for you with a click of a button and you can manipulate the reports however you like.

- Easy to use, navigate and understand comared to Microsoft Power BI which I also know.
- Easy to design and create reports
- Customer support are professional and quick to respond and solve issues.
- Our ERP doesn't have an open API available so the websynch tool is a plus.
- Easy to import from other data sources and export data for distribution

**What do you dislike about Phocas Software?**

- It becomes very expensive to get all the modules.  
- CRM is very basic

**What problems is Phocas Software solving and how is that benefiting you?**

Our Visuals Streamline reports are standard linear reports, which are composed of list in tabular form.  It's also limited reports and hard to customize from the built-in custom report writer included in our ERP.   Also hard to export if user is non-technical.

Phocas has made reports more 3-dimensional displaying graphs and charts.  KPI is easily reported and seen on Phocas reports.

I'm feeling uncertain about where to begin because we have an overwhelming number of options. Choosing just one is proving to be quite difficult.

I love the versatility and insights that viewing the data at different angles affords. I also love that it's easy enough for our execs to use, but powerful enough to handle large volumes of data.

**What do you dislike about Phocas Software?**

Setup is a chore. Getting the numbers to match was kind of a pain. And combining data streams was difficult.  However, our implementation specialist was a pleasure to deal with and we eventually got where we needed to be.

Looking at sales numbers side by side is really useful. The visualizations and dashboards are extremely useful

The software is so easy to use, intuitive and really helps us get insights from our data.

The implemention was very easy and moulding the database to our needs adhoc has been such a benefit to our business.

Integrating the tool into the business has been easy, with people being able to go with a quick 30 minute training session and people are now using it daily.

Support get back to you quick on any issues and follow up promptly.

Lack of Excel multi sheet and scheduling to emails outside of Phocas is annoying.

We are now able to slice and dice out data efficiently, before we used Business Objects and it was so slow in comparison

Easy of use is a highlight to using Phocas BI, linking our sales and financial data  we can easily and quickly get the results we need.

Phocas is linked to NetSuite ERP and if Phocas is not displaying the data exaclty to our requirements we can amend the Phocas saved searches in NetSuite.

The customer support is excellent as any questions on the data and results is clearly explained.

**What do you dislike about Phocas Software?**

Any future integreation to other data sources can only be done by Phocas.

However implementation prices are reasonable

**What problems is Phocas Software solving and how is that benefiting you?**

Phocas is allowing us fix data issues with in our ERP to make the reporting in Phocas more accurate.

NetSuite ERP does not diplay data visually great so to see our sales and financial data in visual forms is great.

Love that it's fully customisable and easy to create custom dashboards. Data manipulation is much easier and simpler with Phocas. The data feeds from our internal systems also make getting various data points simpler.

**What do you dislike about Phocas Software?**

The one drawback is being unable to export custom views from dashboards. This then becomes a view that is only available on Phocas, taking away the ability to export to excel etc.

Large scale data on customer sales to help with forecasting. These are able ot be sliced and diced to fit the needs of views the business would like to see- product hierarchy, customer hieracy, time etc,

An extremely useful and reliable tool which really expedites the analysis of sales and operational data. Very easy to use and runs much faster than similar tools I've used in the past.

Very few downsides but there could perhaps be more formatting options when exporting to Excel.

Easy to create a BI / BA database from the designer perspective and easy to use from a user pespective.

It is the easiest tool to be able to pull business data together and slice it about any way you want it.  It is very powerful and can give you a ton of data with a couple clicks!

**What do you dislike about Phocas Software?**

The inability to print out the dashboard into an easy to use format for discussion with customers, vendors, etc.  You can build an awesome dashboard but unless someone can actually view it on screen, you can't share it with a non-license user.

Warehouse locations, understanding metrics/scans for our RF distribution center, purchasing decline/increases, customer invetory needs, DTS issues, adjustment ins/outs, vendor report cards, and more

I don't think the help videos are very thorough, they are very quick paced and short.  I stay confused about what should be a dimension and what should be a property, etc.  I think once I grasp those differences I will be ok.

At first it is quite a mindfield to get your head around and you do have to really put time aside to really play with it and understand how it can work for you

Phocas provides us with an incredible insight into our business with the most excellent of tools and drill-down features, which are unrivalled in any other solutions we have looked at before.

The range of options, features and reports is so comprehensive that most of our internal comms regarding business trends, sales reporting, and gap analysis are fed and distributed by Phocas.

**What do you dislike about Phocas Software?**

The initial learning curve can be steep if not used daily, but once mastered, it's a breeze. Administration is complex but thorough, and the database and data feed section requires high concentration and understanding. Saying all of the tutorial and support is first rate, so nothing is unachievable with Phocas and its excellent team of support.

**What problems is Phocas Software solving and how is that benefiting you?**

Phocas presents scheduled reports of sales performance for a team of 15 sales person and this is measured against a budget and forecasting data feed also within Phocas. along with this sales trends and gap analysis is a strong feature and used daily to review sales by product as well as performance by sales person. The use of dashboards allows for live information to be presented via screens as well as scheduled reports.

**What do you like best about Phocas Software?**

Phocas provides great insight about our business. Once the databases are set up the possibilities of reviewing different parts of the business is endless. We use Phocas in collaboration with our ERP system and most of the time, the synchronization between the two softwares are working fine. Should we come across with issues, the customer success team gets with us and react to our query within a short period of time, and provide us with alternatives, should we not be able to get the results how we originally wanted. It is great to use on a daily basis, and to review certain time periods, so that we can forecast more accurately for the upcoming months. Additionally, the dashboards that can summarize certain data are very handy, giving us a great tool to use during meetings.

**What do you dislike about Phocas Software?**

As all softwares, it takes a while to master all the modules of Phocas, so some might find it cumbersome to navigate around the databases, however it is not necessary for everyone to go into the databases, instead dashboards can be used. Some things might take a while to be implemented in the system, however, if you don't need certain properties or measures to be used more flexibly, you can custom make measures, calculations and properties that can be then used easily. 

The one thing that might be better, is some more in-depth training videos for the custom mode, as some people might find it harder to use that mode in the databases.

**What problems is Phocas Software solving and how is that benefiting you?**

Phocas is giving us the ability to review our sales and financial performance in a more up-to-date timeframe, as before we needed to wait longer to get certain data for review. It is also providing our external sales team a better tool to manage their CRM opportunities and their pipeline all in one place, reducing our use of Excel spreadsheets.

Data is easlity accessed and it's easy to slice and dice information as well as adding or subtracting attributes.  I use Phocas on a daily basis to quickly review results of prior days activities.

Sometimes initial setups of dashboards can be cumbersome.  Also, data formatting on various sales inquiries can vary (ex. the "variance" option is shown on some data requests under the sales dashboard)

Biggest problem or use of Phocas for me is financial data / results as compared to our goals and objectives.  It also provides GAP analysis of potential sales growth areas with deep dive into buylines and sku's

Such functionality would prove highly advantageous for our organizational needs.

I use Phocas every single day of my working life. It has streamlined the way I do our purchasing, track financials, and control our budget. I honestly can't remember what it was like before we had Phocas.

I don't want to sound like that guy, but I'm going to have to. I don't have a single bad thing to say about Phocas. They have helped me so much in the past 4 years to get to where I am now in my business, which I don't think I could have done without them.

**What problems is Phocas Software solving and how is that benefiting you?**

I have created a query within Phocas that simplifies purchasing where anyone can now do it and get the same correct results. Our financials used to be a monster to deal with and everything is now at our fingertips to analyze. Same with how we used to do our budgeting. Before we started using Budgeting and Forecasting there was a cumbersome process every month of using Phocas and exporting to Excel just to run a Macro to get our budget. Now it's all built-in.

There are so many ways you can get your data to compare different sets of data together and in view it in different ways, helping us understand our data better.

It is easy to use, and it works with live data, so anyone can go into the interface without waiting to get information from someone else. Also, the ability to export reports is excellent. 

I also like all the training they provide and the online resources and support available.

**What do you dislike about Phocas Software?**

When drilling into information in financials, the only thing is that when clicking the back button on the browser, it reverts to the default view, so you have to set all your report settings again, and it would be easier to click back instead of having to unselect all the options to drill down into the transactions. 

You also have to reset the report sometimes, as it doesn't pull back your previous settings if you drill back out of information.

**What problems is Phocas Software solving and how is that benefiting you?**

Phocas has helped us with accessibility and ease, as you can view data in real time at your fingertips instead of generating a report each time and exporting it from our ERP (or going through various sources to find it).

Being able to drill down information on a transaction basis makes it easier to view and understand the data, and you can answer your own query very quickly rather than asking someone else for the information (and therefore wait for them to get this information to you) or going through multiple areas of our ERP.

Phocas takes all our data and devides them into logical legos that we can turnaround and build beautiful creations with. Almost all of our decison making processes have quantitative data that came from some part of Phocas.

It is our own fault but we've built so many reports and dashboards it gets cumbersome to push all the appropriate ones to a new user. This is really only for admins but a way to multi select favorites to share with a new user would be slick.

I like the fact that its VERY EASY to use, we didn't even have the training yet and I was already running different reports and definitely very intuitive as well.

**What do you dislike about Phocas Software?**

the one drawback is that the data isn't in real-time, it's yesterday's data and not today's data.  It also has limited visual graphics to display, similar to excel but a little bit better.

**What problems is Phocas Software solving and how is that benefiting you?**

It helps accurately pinpoint problems in our sales funnel and which product to highlight and focus on easily. This definitely helped us act faster and we could do it ourselves instead of getting some excel expert after downloading data from our ERP.
