As an admin, it was easy to set-up on the back-end and then implement with our board (some of who were new to the board and some who were not and used to paper books each meeting). The features included in the Ultimate package are worth the cost, as our team utilizes most of the features included on a frequent basis. Some features are only used once a year on our end, but it is nice to have it available and in the same place (OnBoard) that our board members are used to using. When we have an issue, the customer success team is readily available for support. **What do you dislike about OnBoard Board Management Software?** As an admin, we are missing some key RSVP features that would be really helpful. One example is that there is no way for an admin to change a member's meeting RSVP response in OnBoard. When I get an email from someone whose plans have changed that day, I can't edit their RSVP for that meeting, which impacts the RSVP report that can be downloaded. I have to keep track of their response separately, which is a pain. Additionally, if you make any updates/edits to the meeting details (such as change the room/location), OnBoard will default everyone's RSVPs to "No Response", so then everyone has to go back in to OnBoard and update their RSVP again. I’ve used other board management software, like Diligent, and I genuinely don’t think it comes anywhere close to OnBoard. The ease of uploading materials and adding items is what makes my work feel so quick and straightforward. I also prefer the UI and UX in OnBoard compared with other board management software. For example, when I’m creating an agenda and want to edit an item name, it’s fast and simple in OnBoard. In Diligent, I have to go through 2–3 steps just to change the item name. I believe OnBoard truly stands out from its competitors because of how simple it is to use. I trained a colleague on OnBoard, and she picked it up very quickly, which again shows how user-friendly OnBoard is **What do you dislike about OnBoard Board Management Software?** One minor deterrent while working is that when I’m uploading a lot of materials to a single item in the board book, there isn’t an easy way to upload the materials in the order I want. It’s incredibly intuitive and easy to navigate for administrators, contributing staff, and Board members alike. One training session is typically all our Board members need to get comfortable with the platform, with very little ongoing support required from me. The Dashboard is an especially valuable feature, keeping timely meeting, event, and other important information front and center for our Board members. We also make extensive use of the built-in Actions, Voting, and Survey features for everything from Board approvals to our annual Board evaluation survey. Having meeting materials, historical records, approvals, surveys, and other Board business housed in one centralized platform is extremely convenient and has made managing our Board’s work much more efficient. **What do you dislike about OnBoard Board Management Software?** The meeting minutes builder could benefit from greater customization, particularly to accommodate different formatting and documentation needs. There is also room to improve the minutes review and approval workflow to make the process more intuitive and efficient. We used to chase down attachments from a bunch of departments, merge PDFs, then resend the whole packet anytime something changed. Now I build the agenda, attach files to each item, and updates just push out. Saves me most of a day every meeting cycle. Our board members range from very tech savvy to not at all, and even the ones I figured would want paper log in and show up prepared. We don't print packets anymore. Integrations: Zoom integration ended up being bigger than I expected. One link inside the platform, and the Zoom AI summaries have sped up our meeting recaps a lot. Stuff that took days to get out to internal teams and the board now goes out fast. Really helpful for committee meetings where there are a lot of assignments to track. We also turned on the Microsoft 365 integration so Word and Excel docs get edited right in OnBoard and save back automatically, which cut out a lot of download/edit/reupload. Performance: No real complaints. Big board books load fine and it hasn't gone down on a meeting day yet. Pricing/ROI: It's not cheap but it pays for itself in staff time. Add in what we used to spend on printing and it's an easy case. Support/Onboarding: Admin side takes a while to learn, permissions and resources especially. Rolling it out to board members was easy though. AI/Intelligence: We have the Intelligent Assistant turned on for document summaries and asking questions of board materials. Still early for us. Honestly the Zoom meeting summaries through the integration have been the bigger AI win so far. **What do you dislike about OnBoard Board Management Software?** The biggest one for me is email control. Even when we have notifications set to not automatically email the board, emails still go out. It's most annoying when we're adjusting meeting times or making agenda changes, because board members get pinged on edits we're not ready to announce yet. I'd like a true "save quietly, notify when I say so" option. Calendar sync is the other gap. Board events don't sync to Outlook, so our board liaison has to maintain a master calendar outside the platform just to keep board events straight. That's exactly the kind of thing the platform should be handling. Smaller stuff: the admin side takes a while to learn, permissions and resources especially. And the file system is pretty limited for non-admin users, so staff who help coordinate meetings but aren't full admins end up routing more through me than they should. **What problems is OnBoard Board Management Software solving and how is that benefiting you?** Before OnBoard, everything was printed and put in binders. Getting minutes out ahead of meetings basically never happened. Board members spent the first part of every meeting just catching up on updates and materials, so it took a while before we could get to the actual business of the foundation, the advocacy work, the stuff we needed the board engaged on. Now materials and minutes go out ahead of time, people show up having already read them, and meeting time goes to real board work instead of review. Add in the time staff used to spend assembling and printing binders, and the savings show up on both sides of the table. Honest measure of how well it's worked: we've used it long enough that most of our board doesn't remember what it was like before. And when I sit on other boards that don't have it, I notice. The onboarding process was smooth; I was able to complete OnBoard Academy and set up our Board Management System exactly the way I wanted. The help and feedback section is fantastic. Whenever I have a question, I can click on the Help Center and find multiple videos and articles related to the topic. I haven’t used the Calendar or Microsoft integrations yet, so I can’t offer an opinion on those at this time. **What do you dislike about OnBoard Board Management Software?** I’m not a fan of how long it takes for changes to appear on the public posting page after we make updates. We’re also having issues with the “posted” and “last updated” time feature on the public page. We were told the original posting date and time would appear at the top of a meeting, along with the most recent date and time the meeting was updated, but this hasn’t been consistent. It has only worked for a couple of meetings, and then after another update, the original posting date and time disappeared. To comply with Indiana Open Door Laws, we added a line at the end of the agenda stating the day the meeting was originally posted. **What problems is OnBoard Board Management Software solving and how is that benefiting you?** Our previous system was outdated, and we needed a better way to communicate with our board. The OnBoard App has been a great solution for sending out materials, collecting eSignatures, and even gathering lunch orders through Surveys. The Meeting Book is our board’s favorite feature because it lets them review the agenda and documents from anywhere. Before, it used to take me a whole day after the meeting to read through my notes, watch the recording for accuracy, and complete the minutes. We love how it is available via browser as well as iOS and Android apps. It has dramatically reduced the effort required by our staff to assemble board materials prior to meetings, with team members able to upload documents pertinent to their portions of the agenda. It has also improved board engagement by providing visibility into board meeting materials as far in advance as possible. It is very useful to be able to share meeting agendas far in advance -- even before meeting materials are avilable, then to publish materials when available. We also love the ability to organize board members into groups and create meetings for those groups -- for subcommittees, for example. OnBoard is by far the most robust and easy-to-use platform for the price among several we evaluated. It is extremely simple to add meeting links for remote attendees for any online meeting platform, and they can easily join meetings directly from within OnBoard. We only needed support during the first few months, and we found the OnBoard support department to be both accessible and responsive. **What do you dislike about OnBoard Board Management Software?** I would love to see nonprofit discounts available for the more advanced features such as AI, the advanced minutes builder, and real-time voting. The software should be updated to be more sensitive to other accents, including Te Reo Maori. Also, the initial setup was easy but very manual, which is cumbersome. Working with an implementation partner from OnBoard made our transition smooth by providing helpful tips, flexible training sessions, and ensuring all our questions were addressed. Having a dedicated customer success manager has also been a valuable resource. Since adopting OnBoard, we've expanded its use to include committee meetings, e-signatures, and minutes AI. The range of features and the potential for future growth were important reasons behind our decision to switch. **What do you dislike about OnBoard Board Management Software?** The question I receive most often concerns the cost of adding extra features. I appreciate that the platform provides a dedicated area where you can view your account details, see which plan you're on, and explore other available plans.
