As much as I enjoy using Notion, there are a few areas where it could improve. The AI features are helpful, but they still don’t feel deeply integrated into day-to-day product workflows. What I find most helpful in Notion is the availability of tools like “Relations,” which enable me to connect different tables that contain different kinds of content.

One unexpected benefit I discovered is that I can ask Notion AI an unlimited number of questions. I’ve found this very useful and, in the long term, also cost-effective. In a context where AI costs are constantly increasing, having a tool like Notion—with a very complete interface, constant updates, and features that provide my team a lot of relief—makes a real difference.

Notion has made a genuine difference to how I manage projects, meetings, recruitment activity, policies and ongoing action logs. The flexible database system allows me to build exactly what I need without being restricted by rigid templates, while the clean interface makes even quite detailed workspaces easy to navigate and maintain.

The AI functionality is where I have found the greatest value. I regularly use Notion AI to turn rough notes into structured documents, summarise lengthy meeting records, identify actions and blockers, improve written communication and create strong first drafts. Instead of spending time manually reorganising information after every meeting, I can quickly produce a clear summary with owners, priorities and next steps. It has saved me hours of administrative work and allows me to spend more time on decisions and delivery.

I also find the ability to ask questions about information already held within the workspace particularly useful. Rather than searching through multiple pages and databases, I can locate key details and bring related information together much more quickly.

There are moments when the desktop app fails to load the database and I need to refresh it a few times before I can continue my work. The MCP connection with major LLM AI tools makes it super helpful to document insighful operating knowledge and break silos in the org.

The relational database model is what makes it stick for us. I can link a client meeting note directly to the roadmap card it produced, and that card to the technical documentation for the corresponding automation. That traceability between "the client asked for this" and "the developer shipped it" is something I'd previously only seen with Jira plus Confluence plus a spreadsheet, and with far more administrative overhead.

For a small team, setup cost is close to zero. We built our structure for PRDs, development scheduling, and meeting notes without anyone dedicated to administering the tool.

Adoption by non-technical people is a genuine strength. Our sales and CS folks use it without formal training, because the interface reads like a document before it reads like a system.

Performance on dense pages is the biggest ongoing annoyance. Long pages with heavily nested blocks and embedded databases are noticeably slow to load and edit.

There are also payload limits that aren't clearly documented, forcing you to chunk larger insertions.
