I've used Monday for about 8 years now and it's proven to be one of the most useful, versatile, and intuitive tools I use in my day-to-day. Boards are easy to use with powerful customization and workflow automations. Gantt and calendar views with eye catching and flexible features make visualizing projects and jobs-to-be done easy and attractive. It's minor, but having word processing options within make it really easy to set up a workspace that contains both list/chart views and note/long-form text views in one space. There's nothing to straight out dislike, but in terms of suggestions, it would ben nice if a gantt chart or calendar view could be built first and have the board prepopulate rather than other way around. Additional flexibility in those features would help as well (ways of viewing, zooming in/out etc.). The way folders work could be improved as well to help with board/file management - for example, right now if you move an item from one folder to another you expand all folders at once and have to re-collapse them all - little things like that. I find the limited use and implementation of the AI functions in monday Work Management notable. It seems that there is much room for improvement in effectively leveraging AI to create and manage tasks more efficiently. Additionally, the adaptation period requires a shift in how people approach task management, moving away from double tasking with other tools like Excel and emails. I feel like there are quite a lot of small things I want to do that I can't. Like mirror timeline boards cannot be attached to duration. That cross board dependencies are predominantly view only and cannot be utilized as a building block in a different board. Monday.com is an excellent way to keep our geographically dispersed team coordinated on a variety of activities they need to complete. Individuals have a single place to see all of their open items and project managers can quickly see the status of the overall project. The one area we would like to see improvement is with email communication. We still need to communicate with clients externally and it would be nice if we could either send emails from the product or more easily have email content embedded in the specific board or task it related to. I dislike that some basic features are still missing — for example, the ability to copy all subitems of a task at once. In our workflow, we create weekly Sprint Reports summarizing the previous week’s work. Often, subitems are filled in quickly during the sprint and need to be refined before being included in the final report. Ideally, we’d like to copy all subitems together, fine-tune the content with an AI tool, and then paste the improved version back into our report. However, since monday.com doesn’t currently support bulk copying of subitems, we have to manually copy each one individually, which is time-consuming and inefficient. As the resident expert for my organization, I have implemented many workspaces and project boards across departments. As a work management solution, the platform truly lives up to the expectation of being a "WorkOS" as they call it. It's an all-in-one solution for project tracking, status reporting, analytics dashboards, logging information, documentation, commenting, and other functions that make up a comprehensive system of work. It's crucial that work management platforms provide clear ways to differentiate project boards that are used to track items and manage processes and workflows, from projects that are time-bound and require reporting up through portfolios with RAG status models. Not to mention, the integrations are seamless and powerful, connecting tools within our existing tech stack to the platform for ultimate synchronicity and forming cohesive workflows without juggling multiple tools at once that could otherwise be consolidated into monday.com. Weaknesses are minor. Some minor features available on other platforms aren't yet available in monday.com as of the writing this review. Things like placing one task across multiple boards, or using Docs in monday.com to serve as a knowledge management system. Also, the universal search function could be improved as it feels a bit outdated. Functional, but still not as up to par as other search capabilities in Notion or ClickUp, for example.
