What do you like best about MaintainX?

There are so many things I appreciate about MaintainX, from how easy it is to integrate and deploy to the level of customer service and ongoing engagement. It’s also very user-friendly for both requesters and full users. We’ve captured a lot of valuable data and produced reliable reporting, which has helped us reduce unplanned downtime on critical assets by 90%—a huge feat in most industries. We’ve also started our journey into predictive maintenance with sensor technology, and the MaintainX vibration team was able to warn us about a catastrophic failure before it happened (as verified by our senior maintenance mechanic). Compared with the L2L and Maximo platforms, the pricing feels fair, and leadership can see the ROI immediately across the board. Review collected by and hosted on G2.com.

What do you dislike about MaintainX?

Some parts of the reporting still need tweaking for me, particularly the ability to compile all data into a single Excel report. From time to time, new features roll out—or changes are made to existing features and reporting—without our knowledge, and we end up having to contact our customer reps just to figure out what’s different.

Another issue is visibility: full users can see all open work orders, but requesters can’t. That gap can easily lead to duplicate work orders being submitted. It would be helpful if requesters were prompted to check whether a similar request already exists before submitting a new one. I’d also like a notification icon within the app itself, similar to the alarm bell in Outlook. Finally, it would be great to have a way to link related work orders together for easier troubleshooting, and I understand this is a feature within the new MaintainX Copilot. "Maintain X Makes Asset Management Easy—Fast Imports, Smart Notifications, Great Support"
What do you like best about MaintainX?

The ability to organize our existing inventory sheets from Excel and transfer them into the Maintain X platform easily has been a big plus. Navigation through the software is straightforward, and I like being able to micromanage each piece of equipment with maintenance records, shop diagrams, parts inventories, photographs, and vendors all in one place. Maintain X seems to do it all.

The notification feature is very important to us. Pricing is reasonable, and we hope this will save us hours of time once our onboarding is complete. Support during onboarding has been great. We have not used the integrations feature yet, other than importing data from Excel spreadsheets, which works flawlessly. Performance is fast, with the ability to quickly find a particular asset. "Versatile and Flexible for Maintenance, Inventory, and Record Keeping"
What do you like best about MaintainX?

I like the fact that it is very versatile and flexible in our business. In our case for example we use maintain X for a lot of maintenance and part inventory, but with it being very versatile we have found it very helpful in record keeping for manure handling and more. What do you dislike about MaintainX?

There are only a hand full of very minor things i dislike, one being that there is only one possibility for unit cost in inventory but there is multiple options for vendors and part numbers, in some instances it would be helpful to see the price of all vendors to better choose where to buy parts from. Another thing we would like to see in the future is the ability to have accumulation meters. What do you like best about MaintainX?

MaintainX is helpful for myriad reasons. The ability to organize and visualize our preventive maintenance procedures, assets, and parts allows our business to spend less time understanding what we're looking at and more time preventing costly downtime and needless mistakes. On top of that, it helps keep our schedules on point, whether it's maintenance, compliance, or day-to-day tasks. Being able to upload documents and use Copilot to help craft procedures gives us a great starting off point for building our preventive maintenance program. The UI is intuitive and easy to navigate. We also enjoy that we have the ability to API our own software with MaintainX. The software runs well, and the staff are knowledgeable and efficient supporters when we need them. What do you dislike about MaintainX?

There is very little that I dislike about MaintainX. For new users, the depth and breadth of the program can be somewhat intimidating. After using the software for a short while, that feeling is replaced with one of confidence-both in the knowledge of how to navigate the system, and in the system's ability to manage preventive maintenance schedules and keep your business on track and performing profitably. "Highly Customizable Workflows, but Reordering Questions Is Frustrating"
What do you like best about MaintainX?

I appreciate MaintainX for its capacity for customization. I can easily create or change work orders and procedures to meet the needs of the business. I really appreciate the fact that I can change how the procedure flows based on the technicians' answers. This gives consistent and repeatable direction to the technician. What do you dislike about MaintainX?

I find that moving a field from one position to another within a procedure is quite tiresome, and not always successful. This process involves grabbing the field and dragging it up or down to its desired position and releasing the mouse button. This practice is successful only about half of the time and can be frustrating when you've dragged it past 25 fields. What do you dislike about MaintainX?

One of the main downsides of MaintainX is the lack of features across different subscription levels, which can limit functionality unless you’re on a enterprise-tier plan. Key tools that would significantly improve efficiency, such as advanced reporting or customization, are not always available at lower levels, creating gaps in workflow capabilities. Additionally, the platform offers limited customization, particularly when it comes to tailoring fields, workflows, and reports to fit specific operational needs. This can make it difficult to fully align the system with how our service department operates, requiring workarounds instead of a true fit-for-purpose solution. I like that is both user friendly from the admin side as well as the worker side. Overtime they've become increasingly focused on capturing enterprise customers. It feels as though over time software capabilities that were previously available to lower paying tiers have been repackaged as different features then moved to the enterprise version of the service. What do you like best about MaintainX?

What do you dislike about MaintainX?

My biggest frustrations are around recording consistency and mobile functionality. I rely heavily on accurate data to manage KPIs and asset health, and right now the recording side could be stronger. Also, the mobile app doesn’t always show the same information as the desktop version, which limits how effective I can be when I’m out with the team instead of at my desk. What do you like best about MaintainX?

MaintainX is a modern product that delivers something much closer to a viable experience than anything else on the market for a CMMS at the moment. They are also actively working to improve the platform and push frequent updates without causing much contention. However, like many companies this size, they do struggle with internal communication. For example, customer service reps will often be surprised to see updates in real time with end users on a call, and the enhancement and feedback cycle is often ad hoc.

Implementation is simple and they provide excellent support/flexibility through the process. Integrations are also readily available, but can be time-consuming/expensive to maintain. Review collected by and hosted on G2.com.

What do you dislike about MaintainX?

The biggest negatives about MaintainX are on the personnel training and industry specialization side. They lack appropriate internal project management/oversight - through the Sales process in particular - but really across the board. The brightest point is that ongoing support staff, who are very responsive and helpful, but ultimately tend to lack real, down-to-earth understanding of the end user groups they support and struggle to make those connections over time since they are not given planned, consistent opportunities for real-world experience. I hope they will grow here in the future.

By far the most negative experiences, however, are with the Sales team, and I would caution heavily to set clear expectations with any engagement. Related to their internal communication issues, they do not seem to have a wholistic awareness of their internal dependencies and will consistently promise things that they cannot deliver and then pass you to the implementation and ongoing support teams to resolve as best they can. I do think that this is the best product on the market right now, but this is a sore spot that needs serious improvement. Review collected by and hosted on G2.com.

What do you like best about MaintainX?

I have used various CMMS solutions continually since 1994. MaintainX surprised and delighted me with its ease of use. The import and export utilities allowed us to compile and organize a massive amount of data, including hundreds of PM work orders, and then go live within a couple of days.

The AI integration for creating procedures is absolutely next level! This innovation removes a major hurdle to implementation by cutting down the time that we would have spent transcribing tasks from all of the various manuals. It is a direct money saver. Review collected by and hosted on G2.com.

What do you dislike about MaintainX?

There is nothing that I dislike. In the UI, there are a few things that take getting used to with regard to where features are located. Like having Exports in Reports and also in Settings - General, had me toggling a bit to find what I needed. Minor issue. Review collected by and hosted on G2.com.
