**What do you like best about Karbon?**

We were not able to start using Karbon so we cannot say anything about it because we were thrown off by a huge charge that they did not fulfill

**What do you dislike about Karbon?**

Unfortunately, my experience with this company has been extremely disappointing. I rarely write negative reviews, but I feel it’s important to warn other firms that may be considering this software. After reading other negative feedback, I can confirm that many of the concerns raised closely match what I experienced with Karbon.

First, the sales process felt misleading. During the sales calls, the product and onboarding were described as seamless, fast, and largely handled for the firm. In practice, that was not true. Key details were not clearly disclosed, including that an annual membership fee is charged whether or not the software is actually implemented or used. Once payment was taken, there was no meaningful effort to address our concerns or work toward a reasonable resolution.

Second, the implementation was extremely costly and ineffective. We were charged $7,000 for implementation, which amounted to roughly five or six Zoom calls. During those sessions, our firm was expected to independently migrate and redesign our entire internal workflow into a new platform. The effective cost was over $1,000 per hour, yet most of the work was pushed onto our team—professionals who are accountants and tax preparers, not IT specialists. Instead of hands-on support, the “implementation” largely consisted of assigning us extensive tasks.

Third, the learning curve was far steeper than represented. We were told the entire team would be operational within one month, which was unrealistic. Even firms with experience using practice management software report that the learning curve is extremely steep, and the implementation support provided did not materially reduce that burden. Realistically, full adoption would take many months, if not more than a year.

Fourth, the client experience was poor. Clients repeatedly complained that the system was difficult to use, citing a confusing interface and links that frequently expired. This created frustration for clients and added administrative work for our firm.

Fifth, customer support has been consistently inadequate. Responses are slow, issues remain unresolved, and there is little sense of accountability. The recurring theme throughout this experience has been a lack of meaningful support after payment is collected.

Finally, we were billed without service delivery, and a refund was refused. Despite implementation never being completed, the company charged $11,000 upfront for an annual contract covering 10 users, in addition to the $7,000 implementation fee. The annual contract allegedly began on October 15—immediately after the tax extension deadline—yet we were nowhere near being able to use the software. We repeatedly requested that charges be postponed until implementation was completed, but those requests were ignored. As of January 26, no refund has been issued, no implementation has occurred, and we have paid for months of software we could not use. With tax season approaching, implementation is no longer feasible for us, and our request for a full refund was denied.

Unfortunately, it’s not solving any problem right now, but causing a lot more problems and a lot of time wasted

Email triage is tied directly to client jobs and tasks, so nothing falls through the cracks and everything stays organized.

Reporting feels clunky and limited; we often export data to spreadsheets to get the views we actually need.

Karbon keeps client communication and our workflow connected, so tasks don’t get lost across separate email threads and to-do systems. It gives us clearer visibility into where each client job stands and helps the team stay accountable, without needing constant manual check-ins.

**What do you like best about Karbon?**

I like Karbon's ability to build automated systems that remind clients of items they've missed and manage related follow-ups. This automation helps eliminate the need for individuals in the organization to manage follow-ups manually, allowing them to focus on more productive tasks. I also appreciate the creation of secure portals to provide documents to third parties, which reduces the risk of compromising client information compared to emailing, even when password protected.

**What do you dislike about Karbon?**

I wish Karbon had more CRM features. It'd be great to search for phone numbers so if someone calls and we don't recognize the number, we'd be able to see if it's in the system. Also, we faced challenges with duplications when linking it to QuickBooks Online, and I need help understanding how to merge duplicates. It's frustrating having client names appear multiple times.

The best thing about Karbon is how it meticulously tracks the progress of projects including multiple tasks associated with each project.  For large projects, it is great way to collaborate with multiple internal people and clients.  I also believe it helps clients stay focused and organized as well which makes the whole process much easier and simpler.

Because Karbon is a powerful tool, sometimes it can become overwhelming to learn how to navigate the entire system.  However, they have good customer support which helps alot.

I like Karbon because the email triage is great, allowing the whole team to work through the email inbox and ensure no tasks are missed. The task automation is also really good, ensuring that nothing slips through the cracks.

Doesn't have a CRM-like feel to it. Doesn't do text messaging. The initial setup was a bit difficult, and we had to use a paid service.

What I liked most about Karbon is how well it supports day-to-day operations. It allowas detailed work items making it easy to track your progress. The time keeping and integration with Microsoft Outlook is also a strong feature since you don't need to open other applications.

Although karbon has many great features, it can be complex overwhelming especially to new users.

Karbon solves different kinds of problems related to communication, workflow and visibility of work. Karbon links emails and conversation to specific work items by integrating directly with Microsoft Outlook. It also centralizes all work items items, deadlines and responsibilities in one place making it easy what needs to be dione, current status and who is responsible.

Karbon helps ensure all of our employees track projects in one place. It also lets us create consistent templates so everyone follows the same corporate procedures.

Because this is an off-the-shelf product, it isn’t always possible to create the exact templates or procedures we’d like.

I like the ability to easily communicate in context of a particular work item, which saves a lot of time when commenting to a team member about an email, question, or work issue. Additionally, being able to perform capacity planning across our firm is really beneficial.

**What do you dislike about Karbon?**

The billing and payments functionality could be better as well as the Engagements area which is in beta. I should be able to enter an open credit or payment on account without needing an invoice. I should also be able to see all past due invoices on a dashboard and send reminder notices in batch instead of one-by-one like it is now.

**What problems is Karbon solving and how is that benefiting you?**

Karbon improves internal and external communication and work item flow. I like how it allows for easy communication within work item context and helps in capacity planning, saving us time.

I like Karbon because it's great, up-to-date software with great new features. We can use its features in our day-to-day work, which helps us check job workflow, write emails, and create tasks efficiently. The initial setup was easy when we started a few years ago.

We would like to be able to print PDF or Word copy of workflow/checklists and clients' answers. This feature is not available but would be very useful.

I appreciate that Karbon is a secure place to keep all your work and deliverables organized, especially if you work in a fast-paced environment and need to manage multiple clients at once. The timelines, assignment features, and to-dos all help ensure that nothing falls through the cracks. Additionally, the interface is very clean, which makes your workflow much more efficient.

Honestly, I haven't seen downsides at all so far, and it's been almost two years using Karbon.

Karbon helps us ensure that we don't overlook anything while managing work for multiple clients at our accounting firm. It keeps all our tasks organized and makes it easy to find information when we need it. This is especially useful for audit purposes or when we want to review what was done in a previous workflow. The comment feature, which allows us to discuss matters internally with coworkers, is fantastic. Our firm has a policy requiring every deliverable to be reviewed by at least one other person, and since we work collaboratively, Karbon makes this process very straightforward for us.

**What do you like best about Karbon?**

I really like how Karbon serves as a single platform that is user-friendly for both me and my clients. Its strong capabilities with integrations into other useful platforms are a big plus. I find the workflow feature valuable as it allows me to track each job from start to finish, ensuring a timely work product. The Karbon for Clients portal also stands out for being a secure, user-friendly space that my clients enjoy, creating a connected and premium experience. I'm excited about the integration with Stanford Tax for the upcoming tax season.

**What do you dislike about Karbon?**

I dislike Karbon billing. There are still issues when passing on processing fees to the client; sometimes, the fee is charged back to me. Also, clients using debit are charged beyond the maximum amount, which makes them revert to check payment. I think they should make the processing fee more transparent.

Karbon is a powerful tool that keeps the team focused on the right work at the right time. Our team adopts it well and our client appreciates the clarity of our requests to them. We now use it for time and billing, and it has been great to have this centered in one tool. Our team is in Karbon all day long to move our work forward.

New features are rolled out fast and do not always have the most impactful features in early versions.

I love that all of my processes are documented in one place and I can apply those processes to specific clients. It has made on-boarding and off boarding clients a breeze. Email templates save me a ton of time each day and I am able to know where we are at with each client at a glance.

**What do you dislike about Karbon?**

There are a lot of features and some I do not use. The triage needs work, it can be really confusing trying to find emails.

It keeps all our business processes and information in one place. It is automating a lot of our follow up with clients. And saves us a lot of time.

**What do you like best about Karbon?**

I use Karbon to manage our accountancy practice, and I find its workflow management quite beneficial. It really helps in managing workloads and each work item by breaking them down into tasks. The automation feature is one of the best things about Karbon as it takes a lot of manual work out of assigning tasks to different people. I also appreciate how tasks can consistently be assigned to the same team member each year, and the way it passes tasks between staff members as the work progresses is really good. Additionally, the onboarding team, especially Aaron, was fantastic during the setup, making our experience as seamless as it could have been given our practice size.

**What do you dislike about Karbon?**

The client interface in Karbon is probably its downfall. Clients have to tick a box to manage the checklist, which they find to be their biggest pain point as it's not intuitive or user-friendly. You also have to click on the comment section to expand and see what people have said, which isn't readily visible.

**What problems is Karbon solving and how is that benefiting you?**

We use Karbon to manage our accountancy practice, sending reminders and managing workflow, time budgets, and emails. It solves the issue of manually creating lists for reminders and eliminates spreadsheet use for team workflow, making time tracking against budget effortless.

**What do you like best about Karbon?**

Karbon forever changes the mindset and approach to managing emails which then funnels into an efficient workflow management system that intelligently involves every team member. Emails are turned into actionable items that can be collobarated on with other team members. 

For work/job items, there is an array of features that ensure workflow management and completion is as efficient as possible. There are procedure checklists for template work/job. Timelines for notes/communication for not only clients but the work/job as well. Recurring feature is great too.

The daily to-do list sets the tone from the get go and being able to easily manage it across team members makes things simple for managers. 

Support is fantastic and has always been able to help.

Finally, KarbonHQ are always working to improve the software with little feature adds. Most recently, scheduling email responses.

**What do you dislike about Karbon?**

Nothing to note that would stop me from using the software!

Email and workflow management is the problem that Karbon is solving. It enables effective delegation of tasks, strategic overview of all work/jobs outstanding and brings teams together remotely.

**What do you like best about Karbon?**

I really appreciate the timer feature and the ability to bill time directly to a work item. The way work items are set up is also something I enjoy; I haven't used a program with this functionality before, and it's been a fantastic way to keep track of both time and progress, ensuring that nothing gets overlooked. I also like that you can comment on an email with your team, which helps reduce the need for in-person discussions at the office.

**What do you dislike about Karbon?**

I would like the recently viewed section on the left-hand side to display more than just three items. Alternatively, having the ability to pin or select favorite clients to appear on the left would make it much easier for me to access them quickly, instead of having to search through Contacts every time.

**What problems is Karbon solving and how is that benefiting you?**

Karbon helps me manage my time, track tasks, and streamline my workflow. This is especially valuable since I have many clients, each with unique bookkeeping requirements and various deadlines to meet. The organizational features Karbon provides allow me to feel more at ease, letting me concentrate on my work instead of worrying about whether I might be forgetting something.

**What do you like best about Karbon?**

I use Karbon as the central hub for all project management, client communication, and email coordination in our accounting services team. I no longer have to worry about remembering what needs to be done or when, because I'm able to put all of that information into the system and allow it to remind me and keep me organized. Everything project management and client service communication is all in one place for me and the team, which is incredibly convenient. I love being able to create work items for the future and have an easy way to flag correspondence towards that work item until I need it. The ease of collaboration with internal team members is the best time-saving part.

I'm looking forward to having work items that blend shared internal tasks with external tasks so customers can upload items directly into the work item with comments. I also wish the AI function could improve, especially for drafting difficult response messages. The initial setup was difficult and took some time, although it has gotten easier now.

Karbon has been very helpful in tracking the work we have and where it is in the workflow. It especially helps us to track the out of scope projects that we may not have billed for in the past. I also like how we can map email to work and post notes. This enables us to share information among the team with little effort. 
Karbon customer support has been great. They are available to answer any issues that I have.

**What do you dislike about Karbon?**

I dislike that Karbon does not have spell check on emails. I feel that this is a basic functionality and has been around for a long time.

It is difficult to replace a team member who left. We found that we thought we should be able to just map that role to a new person, but sometime the roles were mixed up. I wish Karbon listed the role for each job and then assigned a person rather than assigning people to the role. This way the rolse would remain separate even if the same person may do multiple roles.

Plus, there are lots of training videos for new staff, which is really helpful.

Some of the Triage features could be improved, like showing an icon when a new email is received, having auto email updates so I don't have to click on a button to get new ones, and having the option to remove or collapse the notify me box on the right to have more room to read emails.

Karbon's feature of setting up recurring tasks is great because they pop up when it's time to do them without me having to think about it, so I don't miss any. When a task has many items, it's very helpful to assign an associate to assist without losing track of the item.

At times, I find it hard to find something in the search bar. Also, the line items are not in chronological order in the timeline of a client.

Karbon isn't just another CRM to store static client data. It allows you to view an entire history of interactions with a client, email directly through the software (the entire thread remains attached to the client), and even access your saved client files. The more you use the program, the richer your client profiles will be. In an office with shared clients, this vault of information like email history and other notes makes it simple to address a client's needs when their usual contact is out of the office.

**What do you dislike about Karbon?**

The program allows you to sort list by certain fields, but not all fields are available for sorting. Sometimes getting the list you want of client or workflows requires creative engineering or simply can't be done.

**What problems is Karbon solving and how is that benefiting you?**

Karbon is a dynamic tool for workflows. Building custom templates with automators that continually push a work item to the next assignee or step not only simplifies workflows, but also makes it easy to see progress and hold-ups and to address issues of prioritization or imbalanced workloads on employees. Especially during tax season, being able to track daily progress across a group of clients keeps us constantly aware of where we are as a team in reaching our goals and serving our clients.

I like how friendly Karbon is. It's easy to use and learn the system. The customer portal feature is particularly valuable, even though I, as a user, might not see it directly, the clients can share their screen and access the portal easily. I also like that signatures are on file, and it just feels very friendly to use.

Most recently, it was the Karbon Customer Portal. There was a section in the details where it wasn't turned on once Karbon was able to research it. It turned it on. So it's making that customer portal experience friendlier for the person sending the invite.

I like the comment feature in Karbon; it makes things much easier than having to go back and forth with actual emails. It's easier to read than sifting through an email chain. If a team member is unexpectedly out for the day, another team member can easily jump in and look at the timeline to get some background on the client without having to pull anyone else in. We switched from using only Outlook to Karbon to allow any team member to be able to see all communication and handle someone else's work when necessary. I also like the work items because it helps me stay on top of my workload.

Sometimes, it is hard to search for an old email or note when using the search feature. It could be better with bringing up old emails and notes because I've found that a lot of times, my old emails and notes don't come up when I search them and then I have to try and search for them in Outlook. It was a little tough at first, but we got through the glitches.

A new integration that I have been really benefitting from is the updated QBO integration, this now pulls in payments received as well as the invoices issued. This has eliminated all manual bookkeeping on the sales side for me allowing me to focus on budgeting, expenses, and operations. Additionally, they recently added real time write up and write down disclosure on billing of jobs, this has been hugely valuable as I'm able to identify the profitability of jobs immediately, further investigate where things went wrong, and respond in a timely manner to issues in workflow and policies. Finally, I've also gotten such positive feedback from clients on the updated portal, clients are so happy with the new portal and the ability to easily provide files and updates to any workflow I have, but what they are most excited about is the real-time updates on job status' in Karbon without needing to redundantly have to follow up with me for job status; the feedback from clients has been 100% positive and satisfied with this newest update!  I'm still absolutely thrilled with Karbon, this was a fantastic pick for me and my firm.

As with my previous review the only improvement I could ask for is more transparent time sheets. I'd love the timesheets to disclose the times that a staff member worked on a job (rather then just the time spent) to be more compliant with my institute guidelines, to better problem solve billing and time issues, and to better support my firm if the time entries were to ever be challenged by a client or some other stakeholder.

I like that you can measure the time spent on each client and their tools to be able to comment to other team members every time we receive an email from a client and add that to the client's profile. Then, every time we need to return to that information, we just have to enter the client's profile and do the search.

It would be good if Karbon could integrate with Notion, as it is another tool we use. I understand they have similar functions, but in our case, we use them for different things. It would be useful if the integration between these two software had more features.

The ability to manage workflow, engagements and communications in a 60 person firm with thousands of work items is critical to our ability to function.  We not only function, but we are able to do more with less and improve our overall communications both internally and externally.  From managing the inflow of emails to completing work and everything in between is accomplished using KARBON.  We would be lost without it.  The KARBON folks are great to work with and super helpful all year long.

**What do you dislike about Karbon?**

KARBON is a comprehensive system with its own terminology and nuances.  It takes a while to get comfortable with it, therefore, implementation is challenging.

**What problems is Karbon solving and how is that benefiting you?**

Having a view at your fingertips of all of the work that is in process is something we hadn't had prior to implementing KARBON.  We can use our work views to get that picture and take action depending upon how long a task has been in that status.  It's easier to know who to followup, what is needed and where the delay might be in getting work out the door.  

Communicating internally and externally.  Sharing of information is a cornerstone of KARBON.  Information isn't held in one person's in box or on their desk.

Recently KARBON implemented a "QUEUE" system to allow us to track the order for which work arrived in our office to be processed.  This is tremendously helpful in prioritizing work.
