**What do you like best about Ideagen Quality Management?**

Nothing at all - move to new cloud based SaaS hosted version has not resulted in any changes to the desktop based version.  Web based version not fit for use.  
New version has tripled costs and provided sub standard support.  

**What do you dislike about Ideagen Quality Management?**

No choice but to move to a cloud based version in order for system to continue to be supported.  However since moving  contract price has tripled and support is minimal with more reliance than ever on internal IT support.
Ideagen support takes days to respond to issues even with entire system outages. 
Updates performed by Ideagen without warning and without request causing system outages and time/effort required for system checks.  Currently on our second outage.  First took 10 days to resolve.  
Unacceptable support and would look to purchase an alternative product from an alternative provider.  
Ideagen not the company it used to be.

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

All-in-one product for all aspects of Quality Management.  Replaces paper based or Windows based processes.    Easy and intuative to use - all modules operate in a similar way.  Allows for easy gathering of evidence for accreditation purposes.  Without it, this would be much harder to achieve.

Familiarity. the platform sadly needs improvement.

**What do you dislike about Ideagen Quality Management?**

The system is very admin heavy. I use the people module A LOT. The lack of connectivity between the documents module and the people module makes the system very inefficient. The system also needs to allow vimeo links. There should be a lot more automation within people module when implementing changes such as assigning edits within job roles and assigning competencies. It should not take me 2 days to implement changes to requirements to our staff due to the design of the system. I would like the system to be more intuitive. i would like more individualisation with regards to the matrix display and I would like to offer managers a visual display of their team compliance for appraisals and competencies. too much data is "hidden" within the system.

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

Your system doesn't actually benefit me. I am currently bending the system to fit my needs. Some very minor changes would increase customer experience greatly. I would love to collaborate with ideagen as there are some fairly quick wins to improve stakeholder experience.

**What do you like best about Ideagen Quality Management?**

The ability to easily and quickly build workflows is one of the best "perks" of the system.  Workflows are versatile to use for data collection and a way to make paper processes "paperless".  They have helped overcome many obstacles regarding documentation that our laboratory faced.   The system is also convenient for document control, keeping the most up to date SOP's in the system and available for use.  Since it also keeps historical versions and changes of each document, it is easy to comply with our accreditation standards.

**What do you dislike about Ideagen Quality Management?**

Their "normal" support in general is lacking.  To get around this, we now pay additional for better support.  This is new and we are still navigating how useful this is and exactly what this gives us. So far, there has been better support with the new package.

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

Before the Ideagen Quality Management Software, we had folders upon folders of procedures and manual written in MS Word.  Each change was documented and every version had to be available.  This led to hidden folders, trying to keep only current SOP's accessible, the hope that folders weren't accidentally moved or hidden, and extensive searching when we needed to find specific SOP's that were in effect at specific times.  This software has greatly helped organize and keep the current documents available to those who use them, while organizing and making past version very easily searchable and accessible when needed.

Ideagen Quality Management is very useful in effective management of audit process, which includes audit planning/scheduling, audit execution and checklist development and raising and monitoring of non-conformances and observations to closure.
The software is also useful in Safety Management System execution including safety reporting, risk management including risk assessment and mitigation.
The ideagen Quality Management system is also useful in raising and tracking action items from meetings

The Ideagen Quality Management system does not have a unique module for scheduling meetings, the audit module is used for this purpose which is not ideal. a unique meeting module will be a ideal for this purpose

Ideagen Quality Management system is helping to solve the safety management system implementation, quality assurance and quality control implementation and scheduling and tracking of meeting actions to closure

I don’t like how the document module reads and interprets acknowledgments. They don’t tie into the people module, so it doesn’t show that a specific employee has completed that acknowledgment.

I use Ideagen Quality Management as a supportive mechanism to support our UKAS accreditation. I appreciate its integration of SOPs, capturing of CAPA and risks, and the competency log and framework embedded in the system. I'm also looking forward to reducing the new hire training time and improving our competency management.

**What do you dislike about Ideagen Quality Management?**

The navigation of the system could be more intuitive. We also need support with the initial setup, as embedding training days is necessary, despite having an accreditation manager with system knowledge.

  ### 9. Cloud Transition Slows Down an Otherwise Useful System

**What do you like best about Ideagen Quality Management?**

It has the facility to track staff training and skills, with the people module.  It ensures all key documents are stored and accessible in the documents module.

**What do you dislike about Ideagen Quality Management?**

The move to the cloud has made the system clunky and unwieldy.  To upload documents to the people module, I have to wait 1 minute 43 seconds for the system to connect to our servers.  This is an unacceptable length of time.  Previously, verifying documents was a simple process of just inputting my password.  Now, I have to enter my profile details including email address and password.
The web-based version, in my opinion, is of no use to me.  Viewing documents is difficult, as the document opens in a small window.  There is no ability to upload to the people module, so I will not be using this version.
Frankly, I do not see the move to the cloud as an upgrade.

It is a useful tool to store key documents and keep staff training and skills monitored.

I like that it is for the most part fully customisable and we can use it exactly how we need it. 
People able to control everyones access by group levels or individual levels is extremely helpful.

**What do you dislike about Ideagen Quality Management?**

Raising an issue on the portal is quite difficult, the AI response took quite a while to get through to a real person and then they did not fully read my concern. It has now been raised to a level 2 so I know it is being looked at properly but it took a lot of effort on my behalf to get to that stage. 

Making changes on existing forms will impact all of the forms retrospectively so that has been a little bit of a challenge to amend our occurrence forms to get them to function as we needed.

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

We are able to suit business needs by being able to raise near misses in the lab and have accident and incident forms converted into a QR code and placed around the lab for everyone to be able to use without having to log into a computer.

**What do you like best about Ideagen Quality Management?**

I like the folder organization and scheduled review capabilities. I like how it will PDF the Word documents.

**What do you dislike about Ideagen Quality Management?**

1. The Change to the QMS workflow functionality could be improved. How to add documents to the list is not intuitive. If I have a large list of documents that receive an update, I can't separate the documents and put different dates for when they were updated. 
2. Referencing documents in other documents should add them to the list of documents that are referenced. Circular references shouldn't matter. It is preferred that the document can be accessed if it is referenced. However, I am able to add links in the documents which is almost as good as having a full list of references.
3. I don't like how often it will sign users out, even while using the software.

It houses our QMS in a professional and efficient way and that is required for my role as a Process Analyst.

**What do you like best about Ideagen Quality Management?**

I liked the ease of use of the system. The bolt on webpage for submitting SOC's is first class and allows personnel who aren't computer literate to submit the SOC in relative ease. The system was also simple to manage with regards to daily figures etc.

**What do you dislike about Ideagen Quality Management?**

We recently went from an older version of Q-Pulse to a newer version. We were promised a smooth transition. This didn't happen and we were not given support when problems arose. I also reported a Search problem to my system administrator which was raised via the Ideagen ticket system. Over a month later the fault has still not been resolved. This was said to be a bug in the system. What was a great system to deal with has suddenly started causing me delays at work and has caused problems. I'm afraid you let the side down here.

One problem was resolved after 2 weeks. During the transition, half of our SOC submission page was missing. This was eventually fixed yesterday.

**What do you like best about Ideagen Quality Management?**

The web app is great; it looks modern and is easy to use. The customer service has improved since last year.

**What do you dislike about Ideagen Quality Management?**

The web app does not have all the functionality of the desktop app, but the desktop app is outdated both in its functionality and the look and feel
Reporting is difficult to use, and the API set up is complicated.
Dates are is US format and cannot be changed
A Primary license is needed for simple functions that you'd expect a secondary license holder to be able to do for example, adding the costs of incidents (CA/PA's) which has resulted in us having to employ an admin person to complete this information on behalf of the teams.
Uploading files can be troublesome with certain file extension and file sizes.

Document control has been automated thanks to the software and we now have a purpose-built complaints management platform that we can use across our whole business.

**What do you like best about Ideagen Quality Management?**

IQM is a convenient and useful system that saves time when ballooning engineering documentation and generating the necessary paperwork for FAI reports. The software can recognize different drawing formats and allows users to adjust balloon sizes and shapes as needed. We are using this software daily for over a decade after implementation in company's Quality System. 
This software is convenient and easy to use for either experienced or new members of Quality team. Training process takes a short time.
Ideagen is fully integrated with Excel. It transfers ballooned engineering information to spreadsheet.
Customer support team is reliable, helpful and quick with responses on occasional questions/requests.

**What do you dislike about Ideagen Quality Management?**

It would be great to have an opportunity to balloon a drawing using group/multiple choice of the features which speed up an already quick ballooning process.

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

Ideagen has helped reduce the time spent on preparing ballooned engineering documentation and quality paperwork during the first article inspection process. Its user-friendly and convenient features make it easier for newly hired quality personnel to quickly integrate into the team and participate in quality activities.

It is easy to build new workflows, upload and revise documents, and receive timely customer support.

**What do you dislike about Ideagen Quality Management?**

When workflows are sent back a step, the text boxes with previous comments are editable. 
Edits to workflow responsible parties require taking the workflow offline, enabling "alter workflow permissions", making the edit, then putting it back online. There should be a more user-friendly way to accomplish adjusting responsible parties. 
Also, new feature requests take too long (years) or are never implemented.

Efficient record revision access, corrective action processing, reporting on document and workflow status.

I love having all elements of the QMS in one place and being able to link records.
The system is intuitive.
The training has always been thorough and bespoke

Since moving to a hosted system everything is really slow.
It can take a few seconds before search results appear, adding a document/file to the document record takes at least 20 seconds.  The system ties itself in a knot and crashes much more frequently.
User compliance is decreasing.
Despite raising a number of tickets and discussions with various account management/project and customer service personnel the issue is ongoing almost a year later.
Despite both being Ideagen products InPhase and Ideagen quality management dont talk to each other.

The customer service team are outstanding. Any query i had was answered in a detailed manner and always promptly. The integration over from our previous model was seamless and straightforward. It has a user friendly interface that is not difficult to navigate. It is a great tool for documents and customisable workflows. A very good product.

Flexibility in initial setup, ability to create custom workflows for each event type.
Web view has been super useful for increasing organisation reporting.

The software has bugs and quirks, making changes to the setup is not a straightforward exercise. (system admins are quality practitioners, not database technicians)
 like messages intermittently not sending.
Support team have been responsive, though sometimes these tickets are not resolvable.
Inability to bulk amend records has been a big feature loss.
It would be useful to benchmark the software with users to improve usability.
The SaaS cloud solution is not compatible with our organisation.
The built-in dashboards are limited and difficult to setup.

Qpulse maintains our compliance stance, and shows our complete audit schedule. We are able to track non-conformances through the app.
We get metrics from qpulse and track current events.

As a Senior Project Manager at Affidea, I am responsible for implementing IQM across 15 countries. Although I do not use IQM regularly, the feedback from the quality managers in these countries has been overwhelmingly positive, indicating their satisfaction with the application. While the initial usage of IQM may seem challenging, Jeff Blackburn-Elliot, our consultant, has provided exceptional support during training and database configuration. Jeff's proactive approach, constant willingness to help, and insightful suggestions have been invaluable.

Coordinating the configuration with quality teams from 15 different countries, each with unique personalities and local regulations, has been a formidable task. However, Jeff's involvement has significantly eased and enhanced this process, making it more enjoyable. The integration journey, though long, has been remarkably smooth with Jeff on board. I truly wish I could continue working with him, as his contributions have been outstanding.

**What do you dislike about Ideagen Quality Management?**

As the IQM databases are now in use across all 15 countries, we are receiving an increasing number of requests, primarily related to issues. Unfortunately, the IT Support process is not yet live due to challenges in coordinating and integrating the Ideagen and Affidea support processes. Despite raising our questions and concerns with Ideagen Customer Support several weeks ago, there has been no progress. This situation is complicating the handover to Affidea operations.

Additionally, the data validation process is both time-consuming and complex, especially given the need to repeat it 15 times.

Capable to lock down different user permission access, and put restrictions in place. Live link to Odrive local files capabilities. Generally minimal issues reported by staff.

Audit trails not possible in some areas, to track how a record has been updated by live time and user ID. 

Occasional crashes, when systems update (may be a force IT issue too - so may not be Ideagen's fault).

Calendar reminders set up in the audit module, that can be shared with users, to keep track, when Outlook calendars have not worked, in addition gives records for traceability of general Quality checks.

IQM is straightforward and user-friendly (desktop version), making it particularly easy to navigate when handling audits. Different general requirements of an organization can be easily managed in IQM as it provides multiple modules like training, documents, assets, etc. within a single platform.

The process of creating a question bank is not very effective. I also find it difficult to design and generate customized reports that integrate data from multiple modules. Additionally, the response time from customer support can be improved.

Managing compliance monitoring within our organization has always been a complex task. We conduct numerous audits, both internal and external, totaling nearly 45 to 50 audits/inspections each year. Keeping track of findings and maintaining audit related records can be quite challenging. However, IQM has made this process much simpler and effective. It has significantly reduced the number of man-hours needed to manage our audits.

As a Quality Management System / Document Management System, Ideagen Quality Management (IQM) - or QPulse as was - allows non-conformance and CAPA recording, reporting and tracking, document management, equipment or asset inventory, calibration and service history record keeping, internal audit reporting and other quality management activities. The software is, in my opinion, reasonably intuitive and user-friendly - and works.

**What do you dislike about Ideagen Quality Management?**

The transition to a software as a service model (SaaS) has increased "licencing costs" and elevated year-on-year costs. It is unclear what additional functionality the IQM application brings to the table over the previous QPulse client application.

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

The software is used to demonstrate our quality management activities and to present these to both internal and external quality auditors - and to maintain our existing quality management certification. IQM allow both dissemination and acknowledgement of controlled documents across our workforce and acts as an equipment inventory / asset register for the equipment we maintain on site, and as a repository for calibration and service histories, for example. The non-conformance modules allows tracking of corrections and corrective actions to completion in a readily visible / auditable format.

Q-Pulse is a brilliant tool and more services within our Trust are starting to use the system. I have used q-pulse for 8 years and it is a great system to share documents, perform audits and report internal incidents. Providing ways to trend non conformances by producing graphs. I use the system daily and it is a big part of my role as a quality lead.

Occasionally when it's been used for long periods of time the system can lag or not warn you that you will lose information input on audits as you have been on it too long.

We are able to raise supplier non conformances, business continuity plan activations, patient incidents and use the functionality of the program to input learning, investigations and actions implemented. 
We also are able to distribute documents and evidence acknowledgement of key and mandatory documents to all staff

The web version is pretty easy to use and fairly intuitive. The ability to create dashboards is great to quickly view the modules you use frequently.

The client deployment (the app that you download to your computer) still looks like something from 1986 and it's extremely frustrating that Ideagen does not work on Macs (can't download the client deployment to a Mac, so you have to use the web version).

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

Auditing: it is helping us with auditing trails for ISO 27001 which makes it extremely easy for when we are audited and connecting relevant documents to training and asset registers.

It is highly configurable. Wizards can be modified and adapted to be very specific to the company using it. Permissions are extremely granular which makes it very easy to give the appropriate level of access to each employee.

There are multiple ways to complete the same task. The product could be a lot more streamlined and slicker to use if this was consolidated into single workflows.

Keeping documentation such as SOPs, forms and policies up to date is a challenge for any business. IQM solves this by regularly alerting to documents that are due for review so that they can be reviewed and updated where applicable. This is a large part of maintaining our ISO 9 and 45 certifications so is a tremendously important part of the system.

**What do you like best about Ideagen Quality Management?**

We are using IQM in a fairly simple way to store and record changes to documents, track employees competencies and to hold records of our services and calibrations of certain appliances.  The layout of IQM is easy to navigate.  The help menu is useful.  We have only just populated our information into the system so haven't really got to grips with it totally yet.  There does seem to be more than one way of carrying out the action you need which can be a good and bad thing at the same time.

**What do you dislike about Ideagen Quality Management?**

The many types of notifications you can get seem a bit confusing.  Before we had the system we thought that each document would have the information regarding its implementation date, review date, author etc automatically printed on it by the system.  Possibly there is a way of doing this but we haven't found it yet.  So we are putting this on manually which doesn't really make sense.

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

Hopefully IQM will make keeping our documents and records up to date and record all changes in one place.

**What do you like best about Ideagen Quality Management?**

This is a good eQMS software. Compared to others on the market, this eQMS much less restrictive and allows you to to fully customize workflows and the level of access granted to each user.

**What do you dislike about Ideagen Quality Management?**

The Accounting Team. Since Qualtrax's acquisition by Ideagen, I have seen a noted decline in the Customer Service I receive. More significantly however, the financial terms we agreed upon with Qualtrax were went out the window. Our cost of service rose significantly without warning, even though no changes were made to our system and no significant enhancements were made to the software. When I asked my my account manager why, he told me that the Accounting Team appraised each user's system and charged them what they felt was appropriate. When I asked for details regarding that determination so my Accounting department could better plan for payments next year, they told me no details can be provided. When I provided them with all of the terms agreements, contracts and payments provided to Qualtrax showing the rate at which we paid for our service and that no changes were made, it didn't matter and they said my prices would continue to rise unless I signed a multi-year contract with them. To me, this is dishonest business since they know companies by that point would be reliant on their software.
Furthermore, I had requested to decrease the number of users in our system when we closed one of our labs. This request went ignored for five months only for me to then be told that the the request could not be granted since the window closed less than thirty days ago (~4 months AFTER my request was placed). 
This sort of treatment would not have occurred under Qualtrax's old Managment, so its such a shame to see a good product now tied to such a dishonorable company. Therefore, I cannot ever recommend this product to others, because I would not want any other company to experience the mistreatment and borderline extortion we did. That is not worth whatever cost-savings this eQMS may offer when compared to others.

Our organization mainly utilized this for document control. It worked decent enough and covered many areas of the ISO 9001:2015 standard regarding documentation.

**What do you dislike about Ideagen Quality Management?**

Their failure to properly notify their clients of HUGE pricing increases. In 2023 we were paying $4,276.25. In 2024 they increased our pricing to $7,494.33. Our last invoice was $8,993.20. They will send a single email to one individual before increasing your price and only give you 30 days for contract adjustments. However, when they need to collect payment, they can magically email several people in your organization. To me, this is shady behavior. They should consider the same effort when contract renewal approaches. If your organization has money to burn, these guys will be more than happy to help you do it.

The software is not up to date with what the industry needs. After the SMS, risk-based auditing was put in place, which means for every finding / non-conformance raised, there will be a risk value assigned to it. In Qpulse it's very hard to include a risk matrix, which is present in the incident module. 

Other main issue is that we have a lot of secondary users, and if they have filed an occurrence report, they can't go back in the future to see what they have reported.

Not user friendly for people that are not regular users of IQM.  Many users come to the quality team often having problems remembering where to go to log an incident. Perhaps a simpler setup with less options for these users?

QADEX/Ideagen Supplier management possesses a relatively high ease of use. Compared to older versions, the current software is much faster and far more user friendly. It is ideal for review of supplier specifications and SAQs; issuing, monitoring and control of supplier NCRs and the presence of built in automated emailing makes this task far less laborious, particularly for businesses with a large number of suppliers and raw materials. Similarly, management and maintenance of supplier documents within GFSI requirements is easily managed, alongside excellent collaboration capabilities between multi-site organisations. Furthermore, use of QADEX makes it much easier to keep track of "in review" and completed documents compared to traditional desktop applications.

The customer support is excellent. Our account manager, Jack, is always on hand to support with any issues encountered, and ensuring all requests are treated with an appropriate priority.

**What do you dislike about Ideagen Quality Management?**

Occasional waiting times, crashes and bugs, though these are always rectified swiftly by our account manager.

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

Facilitates ease of monitoring of document completion. Very unlikely for outstanding documents to be forgotten about or not reviewed.

**What do you like best about Ideagen Quality Management?**

I like the modular format of Q-Pulse, meaning everything is orienated to the specific area of the QMS I'm working on at any particular time.

**What do you dislike about Ideagen Quality Management?**

The search feature in the document browser is quite limited in its key word search ability

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

Streamlining the business administratively as we switched from a paper-based to digital system when integrating Q-pulse.

**What do you like best about Ideagen Quality Management?**

The software is the best that I’ve seen out there so far. It covers all areas required for maintaining ISO 15189. 
The ability to raise CAPAs from assets, audits and suppliers makes it quite unique and so helpful.

**What do you dislike about Ideagen Quality Management?**

We have raised development ideas but was told that pathology is a small client and therefore our ideas are likely not to be implemented. 

We would like the document acknowledgements to be linked with archiving so that they are automatically removed if someone leaves the organisation. At the moment, they are in italics but they still count as needing to acknowledge the document.

**What do you like best about Ideagen Quality Management?**

The Ideagen Application is very convenient will controlling our company's Quality Management System which allows us to be compliant with the ISO 9001 Standards.  We are especially pleased with the application's accountability and automatic features. Ideagen Quality Mangement is used daily by all of our sites.

**What do you dislike about Ideagen Quality Management?**

I would like to have direct contacts when issues occur for faster resolution. Sometimes more than not, "right now" resolutions are required instead of waiting for the support site to generate a helpdesk ticket and email response.  The application is very pricy to not include level 2 or 3 technicians. (Especially during server moves)

**What problems is Ideagen Quality Management solving and how is that benefiting you?**

Controlling our company's Quality Management System that allows us to be in compliance with the ISO 9001:2015 Standards. Having these standards and controls in place allows us to maintain our ISO certifications.
