InPhase stands out as a powerful and comprehensive, but highly customisable system. It offers a remarkable level of flexibility and adaptability to easily fit a diverse range of organisational needs. Its user interface is both clean and visually appealing, making it accessible and intuitive across all devices – whether that is on a computer, tablet, or mobile telephone.

One of the system’s key strengths is its ease of use for end users; even those new to the platform can quickly find their way around. However, it also makes many administrative tasks, such as managing questionnaire forms, adding fields, or amending field lists, straightforward, helping to streamline daily system operations. What do you dislike about Ideagen Healthcare Guardian?

While InPhase offers impressive flexibility and functionality, there are a number of areas where things could perhaps be improved. While front-end use is quick and easy to pick up, administrative tasks can sometimes require more of an adjustment period. Some system processes are not as intuitive as they could be, and time is needed to fully understand the way that the platform works in the background, including some ‘quirks’ that can be confusing at first. Once one is familiar with this, the system is great, but these nuances can be a barrier to less technical people.

Certain features are also notably limited in their current form, and there are instances where system applications do not integrate with each other as seamlessly as one might hope. Additionally, support responses can occasionally be slow or inconsistent – though, when that assistance is provided, the team is knowledgeable and helpful.

The support is virtually non existent. It is almost impossible to get any help when you are stuck or would like to know if the product can do something. The help site is next to useless, search for a feature and you get lots of articles on previous versions that bare no sembilance to your system. Even if you search for a specific feature most times there are no articles on it and you have to searching through numerous articles in the hope that there is something useful. What I like best about Ideagen InPhase is that it provides an all-in-one governance platform, bringing risk, audit, performance, and compliance together in one place. The system is intuitive and user-friendly, with clear dashboards and reporting tools that make it easy to access real-time insights. Having a centralised platform means information is consistent, accessible, and linked directly to strategic goals, which supports both day-to-day management and long-term planning.

What do you like best about Ideagen Healthcare Guardian?

It retains the data accurately. It is easy to understand the basic principles of how to search for data or how to find monthly / yearly reports. The data screens are uncluttered and easy to interpret. I use this system all day, every day so I would like to think I have a reasonable understanding of it. With regards to support, we have an inhouse inphase team who seem to be able to rectify most issues effectively and efficiently. As information database systems go, it is good in the places where it needs to be. I do have a number of small things which I think could improve it for the average daily user though. What do you dislike about Ideagen Healthcare Guardian?

Graphical representations of data are too hard to tweak to one's own preferences. It took quite a while to work out how to amend the bar graphs into a format which would be useful for me and space it all as I wanted. The slicers are not always easy to find as they often have the word 'search' in front of them. Wildcard searches will produce the results however you shouldn't have to use the wildcard function. There have been occasions where inphase has updated or gone offline for amendments but our inhouse team have not been made aware, consequently the entire team ceases to function. We understand that updates are necessary but the team should be notified in advance. Individual users should be able to save their personal settings where it comes to graphical representations or the format in which data is displayed in tables, instead of having to change everything every time you log on. What do you like best about Ideagen Healthcare Guardian?

I feel the flexibility on the system is very good and there is a huge amount of customisability to create pages, dashboards etc this level of functionality we have not had from previous risk management software we have used within the trust. Huge potential with the system to create bespoke pages, dashboards etc. for services, category types i.e. medication as long as the administrator's can understand to complexities of some of the system.

Question manager is very easy to use and has a decent range of question types etc. which I think is very straightforward and responsive to change.

Some of the trigger options to update a question answer based on the answer of another question is very good and not something we have been able to do previously on other systems.

The ability to have as many repeatable sections or questions as required is a marked improvement as what we have previously used where this was not an option.

The locking of records while a user is on was a big improvement for user experience as we were having issues of work being lost prior to this. Review collected by and hosted on G2.com.

What do you dislike about Ideagen Healthcare Guardian?

I personally found a lot of the training to be very lacking. Feel a lot of very good functionality on the system is not really explained and have had to work out myself via trial and error. The videos and report building training I found go into very little detail about some things I would consider key on the system. No longer have lightning sessions available and find it very hard to get any time with an expert on the system which i feel would resolve huge amount of issues that we currently have with the system. Also find huge delay in resolving of issues or even contact from the support team after an initial response requesting additional information sometimes 2nd responses are 6 months plus or just tickets being closed with no resolution.

Some areas of the system as far as I can tell just do not work the way in which I have been told they do such as top 10 dashboard reports using the dataset count rank which as far as I can see is unusable as it just does not work, I have raised this in a ticket and have had no real feedback or support on this matter for a number of months.

The whole section on the system around object syncs, permissions and object based pages I feel are not explained very well anywhere online or in any of the initial training videos as far as I have seen and I feel like there is a big knowledge gap on how these work and I feel this is a very vital part of the system.

Updates are not very well advertised or explained, I do read the patch notes for each version but they are not very detailed and the new functionality is not explained. One example is when the word templates section on question manager was released I really liked the idea behind this but no guidance was provided and our trust raised a ticket for a little support and none was received and the help desk staff did not seem to know this section have been added and asked us to show them where it was. This was many months ago possibly dating back to last year and the ticket was just closed with nothing further added.

We have also found we have had various and numerous issues after every update we have had on the system. We haven't really had explanations behind why and what went wrong and some have affected the system for weeks. Our current functionality quite often no longer works after updates and we have to change and fix ourselves or raise a ticket.

Printing from the site I find to be very poor, the print button has not worked on our system for a large period of time and has not been fixed despite numerous requests it just goes round and round and as a result we have to use the Microsoft edge print button which is not available on all pages such as when a form is just open and not in a new tab it cuts off the form. It is also very difficult to explain to users to not select the printer icon as it won't work but to use their internet settings and print off instead and this is not user friendly or make for a good user experience. Furthermore for printing records we only want some questions to be included but it seems to just print everything which causes forms to be 20 plus pages, some of our staff such as the claims as result have to redact lots of information which in an ideal world would not be included on print if we had the appropriate options.

I feel as though areas on our system were never completed during implementation such as our BAF is just the first box and then none of the charts etc. work and do not link to anything on our system, our oversight page is just blank and no work was ever carried out on it as far as I am aware. All of the prebuilt reports that were on our system have never worked as they were not linked to our new forms or updated with changes we made to the system and questions during the implementation process and as a result 90% have been removed and we have created our own dashboards and the InPhase ones have never been used.

My InPhase page while I really like the concept of it, in it's current state I find it confuses the users, is not easily customisable and is quite detrimental to the user experience, I am the owner of 0 risks but this page states I have 2000 sections of missing risk data on my risks which is just incorrect. We are looking at developing our own inhouse My InPhase page which we feel would enhance the user experience for everyday ward staff users.

A feature that is really lacking that was possible on datix is batch updating records for specific question answers, this isn't available to system administrators which I feel is quite a big loss and takes some flexibility away from making changes to location categories etc.

Some key features that we feel are lacking on the system:

Email functionality is not very good we previously had a way to choose any user and email them directly from the system which I don't feel works very well on InPhase.

Working my InPhase page.

Triggers based on dates i.e. when a policy hits it's renewal date automatically emailing the author and automatically changing that policy to out of date on the record itself would be a huge benefit.

Batch update functionality.

Working top ten or five charts for questions in dashboards.

Rework of permissions, transfer to group and object sync or better training for this as it is currently very complicated.

Being able to rename questionnaires and audits ourselves we feel is a very basic function that we cannot currently do.

Being able to set a question answer to a pre-set colour for reports would save a huge amount of time i.e. adding the severity of severe to harm level questions to automatically show as red in reports would be great. We currently find some of our dashboard over time have the colours changing on what we originally set up as some months there was no severe harm and the colour resets next time it shows.

The understanding of the importance of our needs to get the tool tailored to our organisation's requirements has been very professionally handled.

We have a scheduled meeting to address any issues /setbacks.

Molly, Aaron and John Boland have been extremely helpful throughout the process.

What do you like best about Ideagen Healthcare Guardian?

InPhase has simplified my day-to-day tasks, especially in my Policy Management role for an NHS Trust. Having all of the information available to staff on an online system with live dashboards and reporting makes the overview and management of policy/procedure/protocol/guideline/SOP reviewing much simpler. InPhase also provides a permanently up-to-date way for each division to monitor and see their own policy compliance at their leisure, reducing my email traffic and allowing me greater capacity to focus on other tasks. The training sessions we have just had this week have increased our knowledge immensely and I now feel reassured that the system will work for our trust. There are a couple of things our current software does that InPhase didn't have, but the consultants have listened to us and, in the main, have made the necessary adjustments. We will have to wait for the user testing to see if it works. We needed the consultants' input nearer to the beginning of the project as we are only now seeing the functionality.
