**What do you like best about headcount365?**

Implementation only took about 4 weeks and our team was already using the platform on go-live day. Bulk imports and bulk updates were completed quickly and made onboarding fast, and pushing approved jobs from HC365 into Ashby is super easy. We also like the req tracking and activity feed, because it gives everyone much better visibility into hiring progress. The predictive start date functionality helps us stay ahead on hiring timelines and prioritize roles more strategically.

**What do you dislike about headcount365?**

There was some initial change management moving away from spreadsheets and getting managers aligned on the approval workflow, but adoption became smooth pretty quickly. The HC365 team really helped ensure training made everyone feel confident in using the system.

Before HC365, our hiring plan lived in spreadsheets with limited visibility. HC365 helped us centralize approvals, improve data integrity, and give recruiting, finance, and hiring managers shared visibility into reqs and hiring progress. **What do you like best about headcount365?**

HC365 helped us operationalize our workforce planning process very quickly. The implementation took 4 weeks and was fast, bulk imports/updates were completed quickly and saved a ton of time, and the Ashby integration makes opening approved roles seamless. The biggest value has been the visibility into req health, recruiter capacity, predictive hiring dates, and end to end req tracking. I can manage my recruiting team more effectively with the reports & dashboards in the recruiting toolkit.

The main challenge was aligning teams around a more structured approval and planning process, but the platform itself was easy to adopt once workflows were established. The HC365 team also ensured training resolved some of the change management concerns we had.

The implementation was 4 weeks and super quick! Clear visibility into the request and approval process. Prior processes required manual tracking and repeated follow-ups to understand status or ownership. Headcount365 centralizes this workflow so stakeholders can see exactly where a request sits and who is responsible at each stage. Date tracking exposes bottlenecks across the approval chain and makes it clear where intervention is required. The system also introduces controls around job titles, distinguishing standardized roles from newly introduced titles. Greater title granularity improves salary alignment and compensation accuracy tied to roles. Implementation was fast and structured, and the team provided consistent support through configuration and rollout.

There was additional audit functionality we required for some features before being used by users. Those features and functionality were addressed quickly through product enhancements that were released shortly after being raised.

Headcount requests, approvals, and hiring data live in one system and stay consistently aligned, removing the need for spreadsheets and disconnected tracking. The integration with Ashby significantly reduces manual handoffs and keeps recruiting activity tied directly to approved headcount. Bulk updates process quickly, which makes large-scale changes efficient. The headcount365 team maintains a fast response time with clear, practical support.

There is still some manual effort required when creating jobs in Ashby due to limitations in the current integration. This creates small inefficiencies in an otherwise streamlined workflow. A fix is already planned on the roadmap and expected to resolve this in the coming weeks.

**What do you like best about headcount365?**

I like the ease of the system in headcount365, specifically for adding requests, managing existing data, and reporting. I also appreciate that it easily connects to Ashby, allowing for a seamless transition and management of headcount and recruiting. Having the ability to add different personas as users makes it easy for HRBPs, CHROs, Recruiters, and People Ops to use the tool. The headcount dashboard is a great place for a one-stop view of where we are as an organization. It gives an overview of how many exits and incoming requests we have, as well as how many roles we are actively recruiting for. The integration with Ashby helps People Ops and recruiting stay aligned to roles being filled and manage everyone's work capacity.

**What do you dislike about headcount365?**

Even more seamless integration to things like Ashby, Slack, Claude. When I, as an HRBP, enter a new request for opening an HC (backfill or new), it still requires some manual steps to send to Ashby, even after my approver has approved. I also wonder if there could be reminders in Slack when different actions are needed for things like approvals. With Claude, just to be able to build even more data artifacts.

headcount365 helps us stay organized amid rapid changes, aligning systems and teams, and managing headcount requests. I like its ease of use for adding requests and reporting. The integration with Ashby ensures seamless management of headcount and recruiting, keeping our efforts aligned.

Headcount365 brought structure and visibility to our hiring process. The implementation and bulk updates were fast, onboarding was hands-on, and the team was very responsive whenever questions came up. I especially appreciated the one-on-one training and partnership in helping us connect HC365 data into a Claude dashboard for leadership reporting. The platform is intuitive, easy to adopt, and gives our teams real-time visibility into requests, approvals, and hiring progress.

**What do you dislike about headcount365?**

There are some reporting gaps that we are creating workarounds for with data prior to the HC365 implementation that we were hoping would be in HC365, however, they helped us with processes that will enable this going forward to ensure we have the right data to report to leadership.

HC365 helped us move away from fragmented spreadsheets and manual tracking that created inconsistent data and human error. We now have a single source of truth for headcount planning, approvals, and reporting that supports Recruiting, HR, FP&A, and leadership. The automation, scalable workflows, and accurate real-time reporting have improved cross-functional alignment, reduced manual work, and made planning and forecasting much more reliable. I'm excited that I have one system that houses all our headcount data that I can leverage in the dashboards I'm building using Claude. It's made my reporting work easier and more scalable.

The implementation was exceptionally well run from kickoff through go-live (Tom was the very best implementation specialist!). The kickoff and project plan were far more detailed and robust than what I’ve experienced with comparable vendors. This is the level of rigor that is typically promised but rarely delivered. The approach was consultative, not transactional. Headcount365 didn’t just configure the system; they actively advised on how headcount should operate across the full Recruiting, HR, and Finance tech stack now that systems are integrated. Tom’s background in Recruiting Operations, HR Operations, and FP&A materially improved the implementation. He understood how recruiting actually consumes and produces data, anticipated downstream impacts, and provided recommendations that would not come from someone without hands-on functional experience. The white-glove implementation allowed my team to stay focused on day-to-day recruiting while most of the configuration work was handled for us. Feature responsiveness during implementation was quick as well.

**What do you dislike about headcount365?**

We have some requirements for our annual planning process that aren't yet available in headcount365; however it's on their roadmap and based on how quickly headcount365 was able to build some custom features for us during our implementation, I'm confident that it will not hold us back during our next annual planning process. This is a minor item compared to the overall value of the product and great service we are getting from the support team.

Headcount365 replaced manual headcount tracking with a centralized system that aligns HR, Recruiting, and Finance on a single source of truth. It improved workforce planning accuracy, reduced approval friction, and strengthened partnership with FP&A. The implementation quality ensured these benefits were realized immediately rather than months after go-live.

"Headcount365 has transformed the way our HR Business Partners and Finance teams collaborate. For the first time, we have a single source of truth where budget stakeholders and business owners can access meaningful headcount and budget data in real time — something spreadsheets simply couldn't deliver.
The tool has brought real proactivity to our hiring process. We're now able to get ahead of our plan by prompting business leaders on forecasted hiring needs earlier, collecting job descriptions sooner, and aligning on compensation levels in advance — all of which has helped us stay on track with our hiring plan dates.
The approval workflow functionality has been a game changer as well. Workflows are now consistent, transparent, and fully tracked, eliminating the back-and-forth that came with managing this across disconnected tools.
Finally, the integrations with our HRIS and ATS have been incredibly valuable — data accuracy has improved significantly and the number of manual field inputs per request has been reduced, saving our team meaningful time and reducing the risk of errors.

As with any new tool, there were some bumps during the early stages of adoption. Getting users comfortable with a new workflow and moving away from the familiarity of spreadsheets always comes with a learning curve. However, what stood out was how responsive the Headcount365 team was throughout the process. Any issues or questions we raised were addressed quickly, and it was clear they were invested in our success. For a newer product, that level of support and partnership goes a long way.

"Before Headcount365, we were managing headcount planning across spreadsheets with no single source of truth. This created real challenges — approval processes were inconsistent and hard to track, manual data entry led to errors and duplicate work, and we had no reliable way to proactively monitor progress against our hiring plan.
Beyond the operational inefficiencies, there was a deeper visibility problem. Budget and headcount data largely lived within Finance, leaving HR Business Partners without the insight they needed and forcing business leaders to rely on manually filtered reports just to see data relevant to their own teams.
Headcount365 has solved all of this. We now have one centralized platform where HR, Finance, and business leaders are fully aligned. Approval workflows are standardized and tracked end-to-end. HRIS and ATS integrations have eliminated redundant data entry and improved accuracy. Headcount365 gives our teams a centralized and reliable way to manage hiring plans, approvals, and headcount requests. It has become the single source of truth across functions and provides real-time visibility for Recruiting, HR, Finance, and hiring managers. The platform is intuitive, easy to navigate, and makes it simple to pull insights, track hiring progress, and maintain accurate forecasting.

**What do you dislike about headcount365?**

There are some feature requests we would love around auto populating fields based on things like a comp table or matrix. While not available currently, it is on their roadmap and we are excited to get those features released. Bugs do arise and the team is quick to resolve them. There are times when we need quick operational changes or data updates, and the customer support team is consistently fast and helpful.

Headcount365 has improved cross-functional alignment by centralizing approvals, req tracking, and hiring workflows in one place instead of relying on spreadsheets and manual processes. It has reduced manual work, improved operational efficiency, and created better visibility into hiring progress and headcount transparency. The CSM team also provides valuable consulting support as our hiring processes evolve. Whether it’s bulk imports, reporting updates, or workflow adjustments, the team is highly responsive and works closely with us to support us quickly.

The capacity forecasting module is immediately usable. Pair it with the HC365 team's Google Sheets template and you have live scenario modeling without needing dedicated analytics support. It genuinely feels like an extension of your team.

Beyond that: structured intake forms mean roles come in complete and accurate. Real-time status gives Recruiting, HR, FP&A, and the business one shared view instead of competing spreadsheets. Bulk imports are fast and reliable. Reporting runs itself. The team executes quickly. It all adds up to a lot of time back.

**What do you dislike about headcount365?**

Some of our processes aren't natively supported yet, so there are workarounds. They're manageable. The HC365 team moves fast on custom enhancements and the roadmap addresses most of the gaps. Not a dealbreaker by any stretch, and customer support is fantastic.

Before HC365, headcount lived across a patchwork of spreadsheets with inconsistent data. Hours and days went into manual reporting, capacity modeling, and keeping trackers current.

Implementation speed. The team handled the heavy lifting, allowing internal teams to continue day-to-day operations without disruption. The project plan was detailed and structured, which eliminated ambiguity around timelines, responsibilities, and dependencies. Communication remained direct and consistent throughout the process, making progress and issue resolution transparent. The platform was operational quickly, and value was realized immediately through reduced manual work, fewer reconciliation meetings, and improved reporting. The team also provided practical consulting on structuring our systems so recruiting, finance, and people operations operate within an integrated ecosystem rather than disconnected workflows.

Certain functionality required stronger audit trail visibility before internal teams were comfortable using it fully. This created a short delay in adoption of specific workflows until those controls were added. The headcount365 team was quick to get those features developed for us.

Headcount365 replaces spreadsheets, lots of manual inputting of data and manual reconciliation across recruiting, finance, and people operations. Prior to implementation, headcount planning required repeated alignment meetings and manual validation of numbers across systems. The platform centralizes planning, hiring progress, and reporting into a single source of truth. This eliminates redundant work, reduces operational friction between teams, and enables faster decision making. The result is clearer visibility into hiring plans, better alignment with financial forecasts, and reporting that leadership can rely on without additional reconciliation. I am very happy with how the system has created efficiencies on our team to focus on recruiting vs. administration work.

Headcount365 made it much easier to operationalize and scale our hiring workflows. The platform was implemented quickly, easy to roll out, and required very little admin overhead from our team. Bulk imports and updates were extremely fast, and customer support handled a large portion of the setup. Beyond implementation, the HC365 team also provided valuable guidance on our broader recruiting tech stack and helped us build processes focused on long-term scalability and high data integrity. The integrations works reliably, and having accurate real-time syncing between systems has significantly reduced manual data entry.

**What do you dislike about headcount365?**

There were several configuration and process changes that we have to reconfigure in other systems in order to integrate everything together. It took some time and discussion, but the Headcount365 supported us and aslo provided lots of guidance given their RecOPs and HR Ops background ensuring we configured everything to scale as we grow.

Before HC365, our headcount requests, approvals, and tracking were heavily manual and difficult to manage across teams. We lacked a clear source of truth, reporting was inconsistent, and errors happened frequently throughout the process. HC365 created a centralized, automated workflow for tracking and planning headcount that gives Recruiting, FP&A, and leadership reliable real-time visibility into hiring status and approvals. It has improved operational efficiency, reduced manual work, increased accuracy at scale, and created much stronger cross-functional alignment across the organization.

The accuracy of expense forecasting has improved significantly. By linking headcount directly to system data, the need for manual spreadsheets has been eliminated, offering real-time insight into slippage, vacancies, and over-hiring. Executives now have access to clear explanations of variances, the impact on operating expenses, and the status of requisitions all in one location. Integrating direct feeds from Workday and Ashby has minimized manual tasks, enhanced transparency around unapproved requests, and allowed hiring delays to be identified much more quickly. Having a single source of truth has brought FP&A and Recruiting into alignment, shifting conversations toward solutions instead of data inconsistencies. The team’s efficiency has also increased thanks to standardized definitions and the availability of self-serve reporting.

As an early Ashby customer moving over from Greenhouse, I encountered some integration gaps that needed troubleshooting at the start. Fortunately, these issues were resolved promptly with the team, and the system is now functioning as expected.

This system removes the need for fragmented spreadsheets and manual reconciliations by bringing together requisition, approval, and hiring data in one place. As a result, forecast variances decreased, reporting became more efficient, and executives benefit from clear, real-time visibility into headcount. FP&A is able to function as a more strategic partner when business partners can access dashboards themselves, which cuts down on wasted time and reduces reliance on individual expertise.

Headcount365 gives us visibility into our hiring plan and recruiting forecast in a way we didn't have prior. Approvals move faster because everything is centralized and transparent, and managers finally have a clear view into what roles are open, upcoming, and in-flight. The RecOps expertise from the HC365 implementation team was as valuable as the software itself; they not only configured the system, but also advised on best practices that strengthened how we use our ATS. Visibility has noticeably increased across the organization; hiring managers now proactively check status and approvals move faster because everyone can see exactly where things are in the process.

The People Leader and reporting modules have strong potential, but we have not fully adopted them yet. There is more functionality we want to understand and leverage, especially on the reporting and leadership-insight side. We have had a few small bugs in the system but the team at HC365 is always so fast to investigate and fix - I think this will always happen when building complex tooling like this. No major complaints!

Are biggest solution from HC365 has been for creating a more automated flow and easy to use system for our Hiring Managers to raise roles on plan/request new roles as well as approval flows of these roles. At the end of it all, the best thing about it is never having to maintain a redundant spreadsheet that tracks open headcount and never having to reconcile those sheets against a managers tracker, finances tracker and HR's tracker!

Since adoption, we've been able to increase our hiring leaders' visibility into their hiring plans, which unlocked a ton of value in understanding role prioritization, annualized (+in-year) headcount spend, and more.

It is still a relatively new software, so there are natural growing pains. That said, it's been valuable having early access to the tool as I can provide real-time feedback to their team and also help hypothesize new features.

It is still in its inital stages of growth and working with some of the bugs sometimes is a new process, but there is such a good user interface that it is okay to deal with some of the bugs that inevitably come with any sort of implementation!

The problem that we have is multiple versions of different headcount planning excel documents and having one source of truth is really helpful for us to stay aligned as an organization and as a team. We are looking to grow strategically and that is one of the most important parts about running with a lean team, where you do not have multiple headcount to run recruiting operations and investing into tools. This tool was developed with that in mind and really solving for a hole in the industry. I usually have to make bespoke headcount planning sheets and this has taken the guesswork out of making sure we are recruiting with the end goal in mind - and making sure there is inisght into reporting that we can use for years to come. Recruiting forecasting is really important for us - and this data that we are collecting through the tool will be helpful for us as we recruit for years to come on optimizing for candidate flow, candidate market, and for making sure we are opening rquisitions with ample time.
