What I love most about Google Workspace is that it has every type of app you could possibly need for your work. You can use tools that you used to have to download onto your computer in a much simpler way, you can integrate apps, and you have Google's AI helping you every step of the way.

I don't like that, depending on your job, the cloud storage space isn't enough; sometimes it falls short, and you have to pay a little extra to get more space and store more documents, photos, and so on.

As an executive assistant, it helps me with everything related to organization; it’s incredibly useful for keeping me organized and everything super tidy—the AI is super functional.

Google Workspace comes with a bunch of apps like Gmail, Drive, Docs, Sheets, etc., and they’re all integrated with each other, which makes it easy to use and to access resources across apps. It also helps with user management. On top of that, the AI tools now integrated with Google Workspace make it a powerful ecosystem to be part of.

The only downside I’ve noticed is its pricing. It might not be very appealing for startups.

Love that the best and latest features of Gemini AI are integrated, and I don't need to pay for an additional Pro subscription. Also the ease of use across platforms and with team members as well as clients

For my particular use case - a smaller business, permissions can be a bit restrictive and I had to spend a bit of time ensuring that my small team could do what they needed to without constant admin supervision but for larger teams those functions make complete sense.

It's the easiest and most widely used platform without clients, so onboarding and the user learning curve are nearly zero. Same when it comes to accessing information or resources within the team

**What do you like best about Google Workspace?**

I like the tools it provides under a single subscription, such as Google Documents, Google Sheet, and Google Slides. The best part is that I can share files easily and manage access simply by allowing only my company to view them. That way, if there are any confidential files, they can’t go outside my workspace. I also like the extended storage option in Google Drive, which really helps us distribute projects and files with our clients and team members. We use Google Workspace on a daily basis, whether we need to email, create documents, or share anything.

**What do you dislike about Google Workspace?**

I don’t like some features and limitations of Google Workspace. The first limitation is permissions. If we don’t have access to record a meeting, then we can’t record it at all, no matter what. That’s understandable, but at least there should be a way to request this permission so the admin can approve it after seeing the reason. Right now, we have to ask the admin team manually, which doesn’t really help because the need to record is usually instantaneous, and it’s possible the team isn’t around when we need it.

The second thing I don’t like is the limitation around using better Gemini models. We can’t make purchases on our own to use a better model; everything is set up and provided by the admin. So if they don’t allow it, we’re restricted to whatever is provided to us.

**What problems is Google Workspace solving and how is that benefiting you?**

It helps solve the issue of data leakage from confidential documents. We can ask admins to identify which employee did it and restrict their access before a major incident occurs.

Another problem it solves is related to email: all company employees have mail in the same domain, so it becomes easier to find the right employee quickly. It also helps us confirm whether someone is genuinely representing the company, so we can safeguard ourselves if someone is portraying themselves as an employee.

The other problem it solves is actually my favorite one. As a consultant, I have to take meetings multiple times a day with different teams, like the development team, admin team, clients, and sometimes managers too. When scheduling meetings with internal people, I can see when they are available by viewing their calendar from my calendar while setting up the call. It doesn’t work with external people like clients, but within our own team we can make sure we schedule calls when everyone is available. Also, if I have a client call, other team members can see whether I am available at that time, and based on that they can schedule their calls as well.

It’s easy to use and can be shared outside the organization. I also like that you can create shared spaces that aren’t owned by any one individual. It supports docs, spreadsheets, presentations, and more, which makes it flexible for different types of work.

I prefer the fact that everything works together single place. I can create documents, store files, and communicate without changing several tools. **What do you like best about Google Workspace?**

I really like using Google Workspace because it makes it very easy to share files and communicate with others by email. Gmail is straightforward to use, tagging is simple, and there are plenty of plugins and extensions we can use alongside Google Drive. I also like being able to use Apps Script for programming, and I find Google Colab really useful as well. I appreciate that everything—Google Docs, Google Drive, and Google Spreadsheets—is online, so multiple people can view the same files at the same time and collaborate smoothly. It’s also very helpful that you can check the version history in documents and spreadsheets to see who edited what. That feature supports our workflow a lot, and I genuinely appreciate it.

**What do you dislike about Google Workspace?**

In Google Workspace, there are some things that are a bit pricey. Like, for example, Google Meet. If you want to record our meetings, we have to pay a premium subscription. Without that, we have to use additional tools like Fireflies or record the screen by ourselves for note-taking. So, the price-wise, in order to use the good features of Google, is a bit pricey, so I am not really happy with that as an admin of the Google space. They are a little bit expensive.

I use Google Workspace to manage email settings and shared drives more easily, streamline file sharing with tools like Google Docs and Sheets, and edit documents online so I can track changes and collaborate in real time. Overall, Google Docs, Google email, and our Android phones work very well performance-wise. Because everything is in the same ecosystem, sharing files securely works really nicely for us. The AI integrations across Google Docs also work very well for our needs.

**What do you like best about Google Workspace?**

Collaborating on the Google platform is like nothing else I have experienced online: a seamless interface designed for working with large groups. After years on the market, this system is tightly honed, each software feature fully tested, and all the bugs worked out, not just on any particular application, but across all applications and the links that allow users to work with several applications simultaneously. 
Documents, Sheets, and Slides are great, though admittedly very much in alignment with what was originally the MS Office suite. The game-changer here is Google Forms, which remains a groundbreaking application with endless uses, especially given the myriad add-ons developed for it.
Another great feature of Google Workspace is mobile access on iOS. I can access everything I am working on seamlessly from a mobile device. No loss of fidelity, no functionality issues; everything is seamless and super-easy to navigate. This is the way software is meant to be!
I've worked at many locations that rely on Google Workspace, and at all of them, I have been amazed at how easy it is to just jump in and start using the platform. My frequency of use for this software is considerable, and I find it easy to integrate Google Workplace with other platforms as needed to improve my workflow.

**What do you dislike about Google Workspace?**

There is little I dislike about Google Workspace, if anything. 
While I have never experienced this firsthand, I am told that customer service for the platform is practically non-existent, and that account lockouts, when they occur, are a nightmare to resolve.

Google Workspace solves the problem of offering a suite of online software products that thrive on collaboration. I benefit from this in myriad ways. For one thing, it enables me to complete tasks efficiently and with speed. It also allows me to easily integrate Gemini AI into my workflow, which has been a game-changer.

The collaboration features are what I like most. My team works together in Docs, Sheets, and Slides all the time and it makes things much easier because everyone can work in the same file at once. I also like that everything is online and always up to date, so there is no confusion about versions or sending files back and forth.

The chat view can be hard to follow. It is not always easy to tell where conversations start and end, especially when there are a lot of threads. I find it easy to get lost in chats and sometimes it takes a minute to figure out where a message belongs.

Google Workspace helps our team stay aligned even though we work in different places and on different schedules. About half of our company works around the world on different hours, so being able to work in the same Docs, Sheets, and Slides without sending files back and forth is really helpful. It is one of the most trusted and reliable service from google where you have everything from sheets to presentations docs and drive storage all covered integrated. Gmail had introduced agent mode and also powerful ai features to improve productivity

It’s a pretty mature product, so there isn’t much to dislike. The main issue is that the plan we’re on right now doesn’t allow meeting recordings, which is a problem. Third-party extensions also don’t work well for this, so we end up joining on Teams or Zoom just to get free recording. It would be more useful, and help retain customers, if they offered something like up to 30 minutes of recording even on the lower plans.

Compared to the competition, Google Workspace makes it easy to get things setup and running well. Out of the box I didn't need to do anything to get a great email setup. On the other side it does have more advanced tools. It works well for everyone.

The UI can be a little hard to find things are times, with having to go through many menus to find a simple action. The search is also a bit hit and miss with finding tools and features.

Google Workspace solved a big issue for us which was email security. We work with highly sensitive information and needed a email system that allowed great levels of security while not being annoying to our users or customers.

Everything I need is right at hand. I can access my calendar, chat, and Google Meet quickly and easily. It was also very easy to show my interviewees how to use Google Meet. Any questions I have Gemini can answer for me.

Google drive can be improved by making it easier to find what you are looking for. I use key words and still cannot pull up what I need. I have to try to remember how to look certain items up because you cannot just put in words that are in the heading.This causes me a lot of turmoil over how much extra time it takes to find what I need.

Gmail as a hub: With its clean interface, strong spam protection, and tight integration with Calendar, Meet, and other apps, Gmail is an easy daily driver for communication. Drive storage and sharing: You can store files in Google Drive, share them quickly with anyone, manage permissions, and access everything from any device using your Google account. A few things we dislike (or think could be improved) about Google Workspace, especially from a PM / company-usage perspective:

UI/UX inconsistency across apps: each tool is solid on its own, but the overall experience isn’t always consistent between Gmail, Drive, Docs, Meet, and Admin. Small differences in settings, permissions, and sharing flows can create unnecessary confusion for less technical teammates.

Drive organization can get messy at scale: even with Shared Drives, it’s easy to end up with duplicate docs, unclear ownership, and constant “where is the latest version?” situations. Stronger built-in governance—like clearer ownership rules, de-duplication suggestions, and better lifecycle/archiving options—would help a lot.

Integrations vary in quality: the ecosystem is huge, but some integrations still feel shallow (more like basic file links) rather than truly connected workflows. We often end up relying on manual steps or third-party automation to bridge gaps.

Performance on large files: Docs/Sheets are usually fast, but heavier Sheets (big formulas, lots of tabs, large imports) can become slow and a bit fragile, which impacts analysts and ops teams.

Pricing complexity as needs grow: the base plans are fine, but once you add storage, security, and advanced admin features, it can get pricey. It’s still good value overall, but forecasting the “real” cost per employee isn’t always straightforward.

It’s intuitive and universally recognized. It includes all the office tools we need and works very well across all our systems. Everything integrates with it, and for the business suite we get what we need at a very affordable cost.

Support is practically non-existent, but because it’s so intuitive, it’s still fairly easy to figure out during onboarding. The AI tools make up for that shortcoming for the most part, and Gemini is a leader in AI, which makes it a powerful tool that can handle just about everything we need and, again, is highly recognized. We also haven’t had any instances of it being down or causing technical issues.

**What do you dislike about Google Workspace?**

Google Workspace is powerful, but the least helpful part is how fragmented and confusing the administration experience can feel—especially around Drive permissions, Shared Drives, file ownership, and user access. For a small business, it can take too much time just to confirm who owns what, what’s shared externally, and whether files are actually organized the way they should be. Overall, the product works well, but cleanup, migration, and long-term file governance don’t feel as intuitive as they could. Support and onboarding documentation could also be more practical for real business setups, rather than coming across as geared toward generic use cases.

Google Workspace helps us centralize business files, communication, and collaboration for our small team. It gives us a single place to keep project documents, client files, drawings, photos, vendor information, and internal records, rather than having everything scattered across individual computers, emails, and personal drives.

The biggest benefit is that everyone can access the most current version of our information from the shop, the office, or the field, without needing to constantly resend files. Shared Drives, Gmail, Calendar, Docs, Sheets, and Drive support our daily operations, project coordination, file organization, and administrative work. The most prominent feature for me is the ability to work together with my teammates, with live editing especially in Google Spreadsheets. It's an amazing feature because it's essential for my project management work to coordinate across departments. The setup was also extremely easy, it was essentially plug and play, which I found very convenient.

Google Workspace is straightforward and, honestly, the best integrated workspace I know. I’ve used Google since I was a little kid, and now that I use it professionally and for education as well, it has stayed consistent. It’s never felt like they’ve made changes that are overly jarring or disruptive.

I regularly use Gmail, Google Drive, Google Photos, and Gemini every day. Overall, the systems perform well, and I rarely run into issues or downtime, if ever. The pricing isn’t amazing, but it also isn’t terrible, and I’d say the ROI is definitely good.

I can’t really speak to support or onboarding since I haven’t had much experience with that. As for Gemini, they’ve done a solid job trying to integrate it into Gmail, and I do use the AI assistant when I’m drafting emails.

**What do you dislike about Google Workspace?**

I don’t think the UI/UX is necessarily customizable enough, but that’s fine because it’s very clean overall. That said, I do feel like the integrations are a bit lacking. I’d like to see more pushed, explicit integrations and plugins with Gmail and Google Drive, but it doesn’t really seem like they want to give third-party plugins much attention.

Another big issue for me is support. Relying on forum boards for people who have questions feels like a lazy way to handle problems users might be running into. I understand that real customer support is unlocked through certain subscriptions, but in my opinion that’s not how it should work. I get that they’re a huge company, but that’s not an excuse or a cop-out for not offering real customer support for regular folks.

I also don’t love the pricing, especially with how things have been rolled out. They’ve started charging for things that feel essential, like storage and their AI models. I understand why they do it, but I’m still not a fan of the pricing. I’m lucky that I can get student pricing, but even then it’s not amazing. I think the essentials, including their AI models, should be free.

Since Google integrates its tools and creates an ecosystem within itself, having Google Drive alongside Gmail is a simple setup that makes everyday file management and sharing much easier. Honestly, the best thing about it for me is that everything is contained in one site. For example, when I’m editing work in Docs, I can share the document instantly with my peers without having to download anything or worry about keeping versions updated. There’s even Google Meet built into the program, which is really useful during collaborative assignments. More than once, I’ve been saved from myself by its ability to automatically sync my phone and laptop.

The storage capacity limit is somewhat disappointing, especially knowing you only have 15 GB. With Google Drive, Gmail, and Photos all sharing that space, it fills up pretty quickly. Several times I wasn’t able to upload assignments because I ran out of storage. It’s also frustrating that offline access sometimes fails to sync with my data after I switch back online.

It allows me to update spreadsheets in 'real time' and my cooworkers are able to see it in 'real time' as well. This allows for updates to be made and seen in a timely manner, which expedites a lot of our approval processes. It allows me to control the audtio/video recordings seamlessly, and share them accordingly. Sharing calendars with my co-workers lets me know when they are available to schedule meetings. Overall, Google Workspace has made my life easier and my workflow a lot more fluid than any of their competitors. Love it!
