We started using Journeys to turn onboarding into a visible sequence of tasks, owners, approvals, and deadlines across HR, IT, Finance, and Facilities. It did not suddenly make every department work faster, but it removed the need to message four different people just to find out what was still pending. That coordination is where Freshservice has been most useful for us. Onboarding is rarely an HR-only process. We handle documents, policies, and employee information, but IT still has to prepare access and equipment, Finance confirms payroll, Facilities manages credentials, and the manager has work to complete before the first day. With Journeys, we can define that process once and reuse it for onboarding, offboarding, transfers, promotions, and location changes instead of rebuilding the checklist every time someone moves through the organization. In some reviews, we’ve exported the data so we can compare case volume against department size, location, population served, and HRIS records. Without that denominator, a large department can look unusually problematic simply because it generates more requests. The dashboard does a good job of showing workload volume, but HR still has to add context and explain what the numbers mean before leadership turns raw volume into a performance conclusion. A new employee was joining remotely from another country, and the onboarding process covered the contract, payroll setup, document verification, laptop delivery, system access, a manager session, and region-specific benefits guidance. We launched an onboarding journey in Freshservice that created tasks for HR, IT, Finance, and the manager, with deadlines tied to the employee’s start date. Workflow Automator routed the request to the regional HR partner, generated the initial document, requested the necessary approval, and kept the IT work connected within the same journey. During testing, we noticed the payroll task was being created before the employee had submitted their banking details. Finance would close the case and then reopen it once the missing information came in. We updated the condition so the task would appear only after the form was complete, and we added a checklist validation to help prevent the same gap from happening again. The employee could track progress through the portal, while follow-up questions went into Case Management instead of disappearing into private messages. Freshservice didn’t eliminate every delay, but it made dependencies visible, reduced manual chasing, prevented payroll from working with incomplete information, and gave each team a clearer view of what needed to be ready before day one. We're able to track the entire recruitment cycle of a candidate on a daily/weekly/monthly basis. The entire process is just automated and once you set up the key attributes you require in your reports thats it. One downside of the tool is that there are a number of bugs which keeps on occuring showing an error. though these are not very frequent but they act as a setback for a fast paced hiring environment. There also is this occur which has been very frequent in the past few months i.e. once you draft a mail to the candidate and send it across the page shows an error 404. Though it shows an error yet the mail is sent to the candidate. At times the same mail is sent twice to the candidate. This is a major drawback in the software as the experience is not smooth enough. Freshteams helps us in tracking and maintaing a surplus amount of candidates for a particular job opening. This way we're able to receive and manage a huge number of applications for the role which in return helps us to identify the best candidates among the pool. The parsing feature automatically picks up the details ont he resume and auto fills the Name,number,email and the key highlights of the candidate's resume. This helps us to quickly asses the candidates and choose the best among the pool. The time invested on each and every profile is less as compared to the traditional way. Thus impovising our productivity. Also, if we found some good candidates for whom we do not have an immediate requirement but might need in near future. I was hoping to use it to automate my upcoming appointment reminders, as well as to send out automated follow ups. The process was much more cumbersome than expected. I paid for the full year to get a discount, then as my assistant dove into the setup, it was much more cumbersome and taking a lot longer than anticipated. I switched to another vendor, Thryv, and within a week's time, we have more setup than we did in a month of Freshworks. Unfortunately due to their return policy, I'm out for an entire year's investment, but the ease I have with another vendor is worth that loss to me, and it's a valuable lesson for me to learn: not to prepay a year before I fully vetted something out.
