Managing subscription spend, being able to provide team members virtual cards where things need a card but we cannot input and use the main bank card.

**What do you like best about Cledara?**

Cledara is simple to use and streamlines my monthly financial reconciliations, minimizing admin work and integrating with our accounting system, saving me time.

**What do you dislike about Cledara?**

The virtual cards are debit instead of credit, which means you must ensure Cledara has sufficient funds before payments are made, rather than settling the total amount after payments. For services with fluctuating fees, you might transfer more money to Cledara than what is actually spent.

**What problems is Cledara solving and how is that benefiting you?**

All my subscription transactions can now be managed and reconciled in one place.  Saves me time on month end reconcilation.

We use Cledara as a main payment tool - it is super convenient to create verious payment cards and assign them different expences. Cledare is also convenient to add spnding reports, receips and manage applications that you pay for.

**What do you like best about Cledara?**

Cledara helps us break down our software send into easy to manage sections, ensuring that we only pay what we want when we want - ensuring only the right employees have access to certain spend means that controls over expenditure is tight. Adding new employees to the platform is quick and painless. With the UI proving to be pretty straight forward for all users, implementing Cledara and integrating the workflow into our day to day processes has been easy. We use Cledara daily, and intend to keep on using it in the future.

**What do you dislike about Cledara?**

We enjoyed the cashback feature implemented when we first started using the system, however as we have grown there is a cap on the return which you can claim. Any cash spent whilst as this cap misses out on cash back if someone doesn't check your rewards.

**What problems is Cledara solving and how is that benefiting you?**

It helps us manage our spend over our entire company and control who has access to certain budgets. It's granting us deeper insigths into spending habits and if a better solution could be found.

**What do you like best about Cledara?**

What’s most helpful about Cledara is how simple and easy it was to set it up. On top of this, the design and UX make it really easy to navigate and get things done without feeling overwhelmed. I also love that it gives you the flexibility to experiment with use cases outside of its main purpose—for example, I’ve used Cledara cards for things like ordering supplies or even travel bookings. 

Some features, like the virtual cards management (setting spending limits, expiration dates etc) come quite handy when it comes to enabling our team members to use a Cledara card.

Their customer support is always helpful and quick to respond. I don't remember a single time not finding an answer to my questions. Another big plus is how well it integrates with GMail—it automatically captures invoices from emails and makes it super easy to share them with our finance team. Finally, Cledara rewards have proved to be a really nice benefit, and money saver.

**What do you dislike about Cledara?**

The biggest downside we've found so far is the fact that its cards cannot be added to Apple Pay or Google Wallet (yet). However, it's not big deal as this is just a hack that would be suitable for our use cases.

**What problems is Cledara solving and how is that benefiting you?**

Cledara is helping us by having a single source of truth for our SaaS spending. Its focus is clear, and doesn't promise something it cannot do. It makes it easier to track what we're paying for, who paid, renewal dates, information about services, and more.

Another problem it solves is dealing with invoices. With its GMail integration, Cledara automatically captures invoices from emails and makes it simple to share them with our finance team. That’s saved us a lot of time.

It’s also great for controlling budgets and experimenting without risk as  by using Cledara cards for subscriptions we don’t have to worry about unexpected charges or overages. Cledara alerts us when an unexpected charge happens on a service.

**What do you like best about Cledara?**

There is so much funcitionality on the platform, and yet it is still incredibly easy to use. I was using Cledara at my previous company, so I was really happy to see that Cledara was being used when I moved here. It makes managing SaaS spend so much easier, as we have a fairly complete view of tools being used in the company. It's so helpful to have individual cards for each tool, as it makes the bookkeeping 100x simpler. It also means Finance can have control over the spending on each tool, as opposed to having to cancel an entire departmental card if there is unauthorised/unknown spending for example. I find myself using Cledara almost every day because it so much easier to get an idea of spend this way, compared to drilling into Xero. There are so many hidden features, such as being able to see how often each tool is being logged into, connecting your account to your Gmail to auto-collect receipts and most recently - being able to bulk follow up on missing receipts with an email and customised message. Customer support have also been incredibly responsive and helpful in the few cases that we have needed to contact them. I love that the Cledara team are constantly adding new features and improving the platform!

**What do you dislike about Cledara?**

Some of the features, such as the insights into when users are logging into tools, can be a bit inaccurate - but they are still useful for getting a general idea of which users are accessing tools. I wish there was slightly more controls/prompts around missing receipts or encouraging users to review their budgets if the spend constantly falls below the set budget for the period. In addition, I feel that there is a TON of functionality on this platform but it isn't always shouted about! So sometimes I come across really useful features but completely by accident.

**What problems is Cledara solving and how is that benefiting you?**

It allows our team to have more autonomy in setting up tools rather than having to rely on Finance to make payments. It also frees up time for Finance as less time is spent making payments, bookkeeping, etc. We are able to view the spend per tool and for software overall very easily. It also feels a lot safer and more controlled for each tool to have a card that is linked to a wallet with limited funds, as opposed to giving out the details of a card linked to the main company account.

It would be teally useful to be able to export more reports. For example, id like a report telling us what our standard subscription budget per month and not just actual costs

We were previously not able to ascertain who are subscription owners are, when and how they are being paid, and whether we were paying for more than one piece of software that were doing the same thing. Cledara has has helped us to rationalise our software and streamline costs

Cledara has significantly improved our oversight of software costs since we started using it. The ability to manage software subscriptions by creating specific virtual cards for each app is incredibly helpful. This feature makes it easy to cut off underperforming or unnecessary subscriptions by simply deactivating the associated card, which streamlines cost management. Another standout feature is the flexibility it offers teams to manage their own software expenses while still providing management with the ability to approve or decline any new requests. This delegation of responsibility helps maintain control without micromanaging every decision.

**What do you dislike about Cledara?**

While Cledara is a powerful tool, there are some areas that could be improved. The reporting UI is useful but could benefit from a more intuitive design. Additionally, once a software subscription is created and approved, it’s somewhat challenging to reassign or delegate that responsibility to another team member. Streamlining this process would make the platform even more user-friendly.

Cledara solves the critical problem of managing and tracking software subscriptions across the entire organization. Before using Cledara, it was challenging to maintain visibility over all the software costs, leading to potential overspending and difficulty in identifying underutilized subscriptions. With Cledara, we now have a centralized platform that provides complete oversight of all software expenses, making it easy to identify and cut off unnecessary or poorly performing subscriptions. This not only helps in optimizing our budget but also ensures that our teams are only using the most effective tools. Additionally, the platform’s ability to delegate expense management to team members while still allowing for managerial approval ensures that spending is controlled and aligned with company priorities.

I can use only one platform to make all subscriptions payments and be able to visualise the payments and assign a GL category to post it in our accounting software. Before we were using credit cards, and we needed to wait the credit card holder to categorise every credit card expense to be able to post the expenses in out accounting software. In addition to this, Cledara allow us to monitor expenses in real time. This is great

I cannot set alarms to receive an email when the account balance is below a certain amount of money.

**What problems is Cledara solving and how is that benefiting you?**

Cledara is allowing me to monitor expenses in real time and to centralise the expenses in one platform only. I was using Credit Cards to make payments before, and every manager had a credit card an incurred in expenses so I needed to manually check every credit card statement to calculate how much the company was paying for each subscription, and see how many manager were buying the same subscriptions. Cledara also facilitates gathering the invoices related to each payment made.

**What do you like best about Cledara?**

Cledara makes creating per-service credit cards incredibly easy. It requires no advanced planning and can be used in real-time for first purchases. I use it continually and have never struggled with the process or time to manage. It also makes it very easy to assess where payment failures have occurred across all services/cards and the frequency of these problems.

**What do you dislike about Cledara?**

It's a little too focused on budgets, and while these can largely be ignored it does require additional overhead during setup.

Being able to segment our spending across different vendors, ensuring that we have absolute control and visibility over the costs of services and segmentation of funds across different services and service types.

The platform is user friendly and intuitive. We have started off with the free version which has more functionality than we needed. We are able to track spend with greater visbility and also assign some responsibility to other teams. The implementation was super smooth and included the necssary training. The customer support has been super responsive.

**What do you dislike about Cledara?**

Nothing at the moment, so far, and for the short while we have been using it, it has been a really fantastic tool.

We are able to issue virtual cards to the business, and then track subscriptions through the system. This gives us visbility of renewals, and greater ability to swith them off when not required. We are able to delegate responsibility for subscriptions to team members. The system also integrates with Xero so reconciliations are much simpler and quicker.

Nice easy UI. Collobaration is easy and user administration also very easy. Invoices are automated and it solves a lotttt of time manually administring payments! Also the one off card are awesome!

Kind of expensive, sometimes not very customisable.

Having to update cards on 100's of softwares, chasing invoices, registering and categorising invoices, getting invoices from people for many different payments.

You can create multiple cards easily and efficiently, can set a different card per application so that should any issues arise from the use of one card, it doesn't cut off the whole account.  Links easily into XERO

Sometimes I get too many notifications, these can be reduced

We can easily allocate cards for different cost allocations and applications.  I can allocate a manager by department and application so that management of each card is delegated to each head of department - this makes it easier to stick to budgeted spending.

-Ease of use for drafting up cards quickly. 
-Cledara Rewards, it pays much over the cost of service
-Friendly support team

**What do you dislike about Cledara?**

Issues we've had but Cledra has address recently but we have not time to implement
-the base subscription is too easily any employee can add/pay for a duplicated software
-any advanced controls require you to pay for the added tier
Recently added features like the Netsuite integration & advanced approval controls are important for actually reducing software spend. I'd say cledara increases software spend more than it does reduce softare spend...
-Implementation is for more of a DIY approach for employees to grab software. The software can't say, "these employee's need theses liscences in their role and onboard them. 
-We have corporate accounts but employees then go purchase outside of our corporate accounts individually

**What problems is Cledara solving and how is that benefiting you?**

As we Grow, Rasa is looking to consolidate functions and Cledara is so narrow in scope that many other tools can do what Cledara does and More. We are very tempted to eliminate cledara for a all in 1 tool for consolidation purposes.

Can set limits on certain software and easily freeze cards.
Able to check who is still using a software and remove accordingly.

Sends chase emails about invoices not being added even after marking them as already uploaded.
Can only send through to Xero as a spend money and not as a bill

Cledara makes controlling our subscriptions much easier, providing visibility of subscription owners, ability to input number of licenses and monitoring upcoming payments. I've used a few competitor tools in the past and Cledara far surpasses them.

**What do you dislike about Cledara?**

It would be nice to have an auto-top up feature so that we don't run out of funds when the balance is low.

**What problems is Cledara solving and how is that benefiting you?**

Solves the problem of having all company subscriptions on one credit card and being unable to track them. Makes obtaining invoices at month end incredibly easy which reduces the risk of errors with VAT.

Easy to use and navigate. Helps to organise our different payment methods and set limits to what is spent. Easy to upload and invoices and the task notifications are nice and clear.

Doesn't keep me logged in - although the login process is easy, even when I select "keep me logged in" it doesn't. Not a massive issue but a little annoying. 
Xero settings - it would be helpful if the description carried across into Xero was listed from the invoice itself rather than the current details (name of the application and the amount).

As a finance professional, I like having our SaaS subscriptions all stored in one place. The data we can pull from the system is very helpful. By using separate cards for each sub, it allows us to shut down cards quickly if we need to cancel a subscription and having difficulty with the cancellation through the provider. We don't use it to the fullest extent yet, but having the budget allocations and being able to split by team is very useful as well.

The one thing that hasn't caught on as much for our organization as a whole is the requesting of software and admins giving access. We are a small enough organization that people usually just message the person outside of Cledara if they need access to a system. The daily statement emails are also a little overkill.

This allows us to keep track of our saas subscriptions far better than we did previously. It's easy to set up and the virtual cards are great.

Not a massive fan of how the budget flexibilty works. Currently, if you enable budget flexibility, the first payment has to fail before it then allows it go through a second time, once the cloud service provide retries the payment. Not all cloud subscriptions retry automatically, quickly. It leads to 'missed' or 'failed' payment notifications and confusion. It would be great to see the budget flexibility be clever enough to take the extra balance from the overall pool of money available in the account.

As an administrator, to be able to easily integrate it into our supplier onboarding/offboarding process and to have a clear oversight of our spend is fantastic. Our accounts team appreciate that they can get the invoices from one place and they have the transparency over our spend that previously required digging into various statements or spreadsheets.

It gives us a really clear picture of exactly what we're spending each month on software subscriptions.  You still have to work to control it, but before it just felt like we were totally blind.  Now with Cledara, we are able to see everything in one place and can either unsubscribe or adjust a subscription easily from a single portal.

**What do you dislike about Cledara?**

The process to manage budgets and set up debit cards takes some getting used to.  For a while we were getting a lot of failed payments because either the amount taken by the vendor varied from the budget or the timing of the payment was different from what was expected.  We now have a single person accountable and a process to manage this, so it's a lot better, but it definitely could be more simple.

Cledara is both helping us to control our spend on software subscriptions and also preventing them from growing uncontrollably.  This helps to keep our budget more stable and easy to forecast.

I like that I can filter invoices nicely any way I like. I also love that I don't have to contact the users of these services we use in the companies; Cledara solves this. I think it is great that when a user stops using a service, we unsubscribe from it, so no services are left trailing behind being charged for each month.

For now, I really can't find any significant thing I dislike. As an accountant, I do not use every available feature.

I like that using Cledara, we track user spending, so trailing subscriptions that somebody simply forgot about don't happen anymore. In addition, I can easily filter the invoices I need and let's say an invoice comes from OpenAI, I know who approved it and all the other details. That really benefits me in day to day operations.

With a fast paced start-up, it is critical to keep control of your costs. Cledara gives you that control and avoids any nasty cost inflation surprises.
The Support team were great in getting me set-up, a great run down of the features which are really intuitive but you don't want to get your costs wrong! The check in call a few weeks after using was also a great touch for those lingering questions.

**What do you dislike about Cledara?**

It would have to be the lack of a USD account. I manage all of our Euro accounts through Cledara but not my USD suppliers. On the other hand it is a great AB Test that shows how much easier managing the supplier on Cledara has become.

**What problems is Cledara solving and how is that benefiting you?**

The time needed to manage my Euro subscription costs. It frees up half a day for me personally and that is with a modest number of suppliers.

Very easy to setup initially and then is a great tool to manage all software within the business with the added benefit of being able to manage payments to suppliers, and automatic invoice collection and reconciliation through a very strong integration with Xero.

The insights from the Benchmarks & Negotiation tool aren't that valuable for some applications.

- Incredible invoice capture functionality which means teams no longer have to scramble to find invoices at month end
- Slick integration with Xero which means payments are automatically exported and reconciled in the P&L with invoices attached saving Finance substantial amounts of time with bookkeeping

Easy to use and a secure way to manage business expenses. I can always talk to a human when I have a question and their customer service is top notch. Using Cledara has streamlined my processes on the back end to manage and keep an eye on what is being spent.

The only speedbump I have found is the applying of invoice manually but am currently working to integrate it better to make it less manual.

Problem Security - giving out the same credit card number over and over. Now we can "shut off" the credit card if needed to ensure subscription is cancelled
Increased prices/users - having the soft budget enabled and getting an email when it is charged above that helps me ensure we are not spending more than expected
