  ### 12. Powerful process automation for events, but expect a serious onboarding phase

**Rating:** 5.0/5.0 stars

**Reviewed by:** Jaya G. | Event Executive, Mid-Market (51-1000 emp.)

**Reviewed Date:** May 25, 2026

**What do you like best about Bizagi?**

As the person in charge of making sure multiple big events run smoothly, I used to have a hard time keeping everything organized behind the scenes. It wasn't the fun, creative part of planning events that was the problem - it was the boring, logistical stuff. For example, sometimes a vendor would be waiting for approval, but the email would just sit in someone's inbox for days. Or, someone would be away from the office, and we'd have to wait for them to get back before we could move forward with something. And sometimes, tasks would fall through the cracks because we didn't have a clear system for keeping track of who was responsible for what. Everything was getting done, but it was taking a lot of extra effort to make it happen. We had to constantly follow up with people, send reminders, and manually keep track of everything. It was a lot of work, and it wasn't sustainable as we started to plan more and more events. Then we started using Bizagi, and it made a big difference. It gave us a way to actually plan out our processes and automate the work that needed to be done. The tool for building processes is really easy to use - I'm not a tech expert, but I was able to map out our workflows for things like confirming venues, onboarding vendors, and getting approvals without needing help from our IT department. Once we had those processes set up, the system took care of everything else. It handled the notifications, the reminders, and the escalations automatically. Things that used to require me to personally chase down approvals now just happened on their own. The visibility it gives me into what's going on with all of our events is amazing. I can look at any event and see exactly where everything stands - what approvals are still pending, what tasks are overdue, and who's working on what. Before, I had to send out multiple messages and wait for people to get back to me to get that kind of information. Now, I can walk into meetings with stakeholders and have a real-time picture of where everything is, which has completely changed the way we have those conversations. What I appreciate most about Bizagi is how well it scales. Whether we're planning a small community event or a huge corporate conference, the system can handle it. I can build templates for different types of events and adapt them as needed, without having to start from scratch every time. That alone has saved my team a huge amount of time when it comes to setting up our events. Overall, Bizagi has been a game-changer for us. It's helped us streamline our processes, reduce manual work, and improve communication. We're able to plan and execute events more efficiently, and that's made a big difference for our team and our stakeholders.

**What do you dislike about Bizagi?**

So, I want to give you my honest opinion about using Bizagi to design processes. The biggest challenge is the amount of time and effort you need to put in upfront. It's not just about learning the tool, but also about really understanding the process you're trying to automate. This can be tough, especially for teams that are used to informal systems and relying on individual knowledge. We spent almost three weeks just mapping out our core event workflows before we could even start building them in the platform. It was a lot of work, but it was necessary and worth it in the end. However, the sales process doesn't really prepare you for how much time and effort this will take. The interface is powerful, but it can be overwhelming at first, especially for new team members. Our junior coordinators took a few weeks to get comfortable using the process modeler and understanding how to work with active workflows without causing any problems. Bizagi does offer some training resources, but they're not all created equal - some areas are well-documented, while others seem to assume a level of technical expertise that not everyone has. Overall, it's worth noting that building a workflow in Bizagi requires a significant investment of time and effort, not just in learning the tool, but also in defining and documenting your processes. This can be a challenge, but it's also an opportunity to really understand and improve your processes. With time and practice, team members can get comfortable using the platform, but it's essential to be aware of the learning curve and plan accordingly. Sometimes, it's tough to customize the process logic for unusual situations. We have events where unexpected things happen - like a last-minute change in venue or a vendor backing out 48 hours before the event. In these cases, we need to override or manually change the standard workflow. But handling these exceptions in Bizagi can be tricky, it either requires changing the process or manual intervention by an admin, and doing this when time is of the essence is not always easy. Having more flexibility to adjust the workflow in real-time without having to republish the entire process would make a big difference in high-pressure situations. This would allow us to respond quickly to unexpected changes and ensure that our events run smoothly. With the ability to make adjustments on the fly, we could avoid the hassle of manual workarounds and reduce the risk of errors, which would be a huge relief when we're dealing with tight deadlines.

**What problems is Bizagi solving and how is that benefiting you?**

Our team was stuck in a tough spot - we were running everything on memory, personal connections, and constant informal chats. It was a nightmare waiting to happen, with one sick team member or miscommunication away from disaster. We couldn't keep relying on people's heads, WhatsApp groups, and individual email threads to keep our event coordination process going. It just wasn't sustainable for a growing operation like ours. That's where Bizagi came in - it gave us the infrastructure to move away from that chaotic system. Now, every key process we have, from the initial client brief to post-event reporting and vendor payments, has a clear, documented, and automated flow. When a new team member joins, they don't need months of training to figure out how things work. They just follow the system, and it guides them through every step of the way. This has made a huge difference in our onboarding process - it's faster, and we've cut down on errors that happen when people don't know the ropes. But what really surprised me was the impact it had on accountability across the team. When every task is assigned, has a deadline, and is visible to everyone, people take ownership in a whole new way. It's not about spying on each other - it's about clarity. Everyone knows what they're responsible for, when it's due, and what happens next. That clarity has reduced the number of internal meetings we need, because the system answers most of the questions we used to discuss in those meetings. It's been a game-changer for us, and I'm so glad we made the switch. Our team is more efficient, more accountable, and more focused on getting things done. We're not perfect, but we're a lot better off than we were before Bizagi came into the picture. I think the biggest benefit, though, is the peace of mind that comes with knowing our processes are solid. We're not just winging it anymore - we have a system that works, and that's a huge weight off our shoulders. We can focus on growing our events operation, rather than just trying to keep our heads above water. And that's a great feeling. So, if you're stuck in a similar spot, I'd definitely recommend taking a closer look at Bizagi. It's not a magic bullet, but it's a powerful tool that can help you streamline your processes, improve accountability, and reduce errors. And that's something worth exploring, if you ask me.
We've seen a big difference in how our events are run, and our clients have noticed it too. We can now give them more accurate updates on how things are going, spot potential problems earlier, and provide detailed reports on how everything was managed. Some of our clients have even commented on how organized we are compared to other companies they work with. This has really set us apart when we're competing for new business. In terms of numbers, we've been able to deliver events more quickly, and we've had a lot fewer last-minute issues because of missed approvals. I've also been able to free up a lot of my own time - I'd say about 40 percent - which I can now use to focus on planning events and building relationships with our clients. This is exactly what I should be doing as an Event Operations Manager. Overall, our new process has made a big impact, and we're able to provide a better service to our clients. We're more efficient, more reliable, and more organized, and that's making a real difference in our business.

While the platform is very strong for workflow automation and process visibility, some advanced customizations and integrations can require additional setup effort and technical knowledge. Larger workflows with multiple dependencies can also become more complex to maintain over time, especially when many departments are involved in the same process chain. Some reporting and dashboard areas could feel more modern and flexible, particularly for teams that require deeper operational analytics or highly customized reporting views. The onboarding experience for new users can also take time because the platform includes many process modeling and configuration capabilities that require proper training initially.

  ### 17. Great for bridging the gap between Data Science and Operations

**Rating:** 5.0/5.0 stars

**Reviewed by:** Lokesh S. | Senior Data Scientist, Mid-Market (51-1000 emp.)

**Reviewed Date:** May 12, 2026

**What do you like best about Bizagi?**

Bizagi is the tool in which we are working a lot to wrap our machine learning models as functional business workflows. In particular, I am leveraging it to create “Human-in-the-loop” processes, that is, a business process that starts with an AI model's prediction (such as probability of churning, credit risk scores, etc.) and the human in the loop is then responsible for further approving/declining the prediction.Bizagi Modeler is, in all honesty, one of the finest software for modelling logic in existence. As a Data Scientist I'm a thinker in terms of flowchart and decision trees, and Bizagi makes it very easy to visualize a complex business process before we get to hitting APIs.The integration features are also very useful to me. We use REST services extensively to kick off our Python scripts and SQL databases. After you understand how the mapping tool works, it should be pretty easy to send a "score" from a process to our analytic environment and send back a "score" to the UI, for the end user to view. It prevents our models from being "black boxes" that reside in the pages of a notebook, and makes them a part of the hands that are making decisions.

**What do you dislike about Bizagi?**

The Modeler is streamlined, but Bizagi Studio (development is actually done there) is a bit old looking. The UI might be cumbersome, and the learning curve will be steeper than what they say in the marketing. In the early stages of data modelling, if you're not careful, you can have a headache later on changing the data model. In addition, debugging can be very frustrating. Sometimes the error logs for failed processes or integration which doesn't fire properly are not super clear. I've got so much time in forums or trial and error to figure out that there's a minor syntax error in some expression. This definitely needs a dedicated “power user” or the developer to build a full automation, can't just give it to a normal business analyst and expect them to create a full automation.

**What problems is Bizagi solving and how is that benefiting you?**

The top problem that we solved was “Manual Handoff Friction.” However, prior to Bizagi we used to create a list of high risk leads, send a CSV to the sales ops team and wait for them to do something with it. Visibility of zero was observed. Now our ML model automatically activates a case in Bizagi. The system assigns a task to a certain representative, monitors the time used to review the task, and documents the decision made by the representative. This results in a closed loop feedback system. I can now see where the human agrees or disagrees with what my model predicts...that's gold for retraining my algorithms. It has taken us beyond simply “doing math” and put us behind the wheel of a business standard operating procedure.

  ### 18. Clear, Visual Process Modeling with Powerful Simulation and Visibility

I use Bizagi to standardize workflows, automate approval chains, reduce turnaround time, and improve audit tracking. It reduces dependency on manual emails and enhances process visibility, enabling managers to monitor workflow status in real time.

  ### 21. Solid BPM Tool with Notable Learning Curve

**Rating:** 4.0/5.0 stars

**Reviewed by:** Sahil T. | Mid-Market (51-1000 emp.)

**Reviewed Date:** April 06, 2026

**What do you like best about Bizagi?**

I love how easy Bizagi makes process mapping. You can sit with your team, drag and drop a workflow together, and everyone just gets it immediately — no technical background needed. The audit trail is the other big one for me; every action is logged automatically, saving so much stress during compliance reviews. The visibility it provides alone is worth it, as managers can see exactly where a process is stuck without chasing people down. Bizagi genuinely solved a few headaches for us with structured, trackable workflows that finish on time, and it also helps a lot with compliance since every action is logged. Overall, it's a solid platform if you're willing to invest the time to set it up properly.

**What do you dislike about Bizagi?**

The learning curve is the main thing. It took our team a while to really get comfortable with it, especially around setting up integrations. New people still struggle a bit at first. The interface could also use a refresh. It feels a little dated compared to other tools we use. Nothing that stops us from getting the job done, but it's noticeable. And finding answers when something goes wrong can be frustrating. The documentation isn't always clear and support isn't the fastest. That's probably my biggest gripe honestly.

**What problems is Bizagi solving and how is that benefiting you?**

Bizagi structured and streamlined our approval workflows, making them trackable and completing on time. It offers clear visibility for managers to identify process bottlenecks without hassle. The automatic audit trail significantly eases compliance reviews, saving us from the stress of manual checks.

  ### 22. Streamlines Workflows but Integration Could Improve

**Rating:** 4.5/5.0 stars

**Reviewed Date:** April 06, 2026

**What do you like best about Bizagi?**

I really appreciate how Bizagi saves me a lot of time, especially with invoice approvals by notifying the concerned person once the invoice is posted, eliminating the need to send emails repeatedly. The process mapping feature is very intuitive, which allowed me, an accountant, to map out the month-end closing process without waiting for IT support. Bizagi removes the uncomfortable chase for invoice approvals by automatically routing them to the approver with specific notifications. If there's no action within 48 hours, it sends a reminder, and eventually escalates, allowing me to avoid any manual follow-ups.

**What do you dislike about Bizagi?**

Actually, the first couple of weeks were a bit complicated. Being an accountant it was tough to integrate with QuickBooks which was more plug and play than it could be for a tech person. When I first tried to connect Bizagi with QuickBooks, I assumed it would be connecting any two modern cloud tools like a few clicks, authenticate and done but there was no native, out of the box connector for QuickBooks in Bizagi integration library. I had to go through a third party middleware tool and we ended up using a connector through Zapier which added another layer of cost and complexity. It was not that easy and it takes up more involvement than expected so it was manageable.

**What problems is Bizagi solving and how is that benefiting you?**

I use Bizagi for automating invoice approval and payments, preventing missed deadlines. It saves time by notifying approvers automatically, and its intuitive process mapping allows non-tech people like me to manage workflows effectively without needing IT assistance.

  ### 43. Incredible Usability, But Problems With Crashes

**Rating:** 5.0/5.0 stars

**Reviewed by:** Vinicius G.

**Reviewed Date:** November 19, 2025

**What do you like best about Bizagi?**

I really like the usability of Bizagi and the ease of building process flows. This ease allows me to develop flows quickly and often even in real-time with the client, which facilitates constant validation. The tool also provides a better view of the operational process flows, which is essential for optimizing operations. I found the initial configuration process of Bizagi quite smooth, which helped me start quickly without facing difficulties.

**What do you dislike about Bizagi?**

Sometimes, I have issues with sudden freezing during the construction of very large flows, which can result in the loss of work if it closes unexpectedly. The lack of an auto-save option is also a downside, as it would be very useful to prevent the loss of progress in these situations.

**What problems is Bizagi solving and how is that benefiting you?**

I use Bizagi to model processes, improving the view of flows and facilitating optimizations. The usability allows for creating and adjusting flows quickly, often in real-time with the client, ensuring constant validations.

  ### 44. Visualizes Processes and Saves Time

**Rating:** 4.5/5.0 stars

**Reviewed by:** Umesh C.

**Reviewed Date:** November 18, 2025

**What do you like best about Bizagi?**

I find Bizagi incredibly valuable for creating and mapping processes. Its ability to help me visualize processes is a major asset, allowing me to identify areas for improvement efficiently. The software saves me time, which adds significant value to my workflow. Additionally, my initial impressions of Bizagi are positive, as it seems to deliver good value for users overall.

**What do you dislike about Bizagi?**

I find the lack of pre-defined templates and best practices domain-wise in Bizagi problematic. For example, if I want to understand how a tech company's processes work, having an end-to-end template would be helpful. More users might be interested in the product if such features were available. Additionally, I am still figuring out the features and would appreciate access to trial versions of the paid features to better understand their capabilities.

**What problems is Bizagi solving and how is that benefiting you?**

I use Bizagi to create processes, visualize them, and identify areas for improvement, which saves me time and adds value.
