Bill Spend & Expense effortlessy integrates with QuickBooks, from transaction defaults to receipt uploads, it has cut expense management by over 50%. It was extremely easy to train our internal staff on all the functions of the software. However, our main use is in the field with our 100+ brand ambassadors, who are now able to execute promotions and submt billable expenses through the app. Our internal team is left only to review, approve and sync them to our accounting system for billing. I wish Bill Spend & Expense would sync with our product/service book instead of just our chart of accounts. We break down billable expenses into several product categories and this has to be done manually once the transactions are synced to QB. Bill simplified the expense process while adding accountability. It empowered the staff by providing each person with a card that requires them to fill out the information, so I just have to review it and make sure every expense is in the right category. No longer do they have to pay out of pocket, which is a benefit they and I love. The app makes it easy for them to be reimbursed for mileage. The vendor card ensures that all systems continue working regardless of staffing. And the points do add up; we're a small operation but still got $800 back in the first year. Using BILL makes my job 100 time easier! I don't have to keep track of receipts or bug the guys about getting them into me! It integrates well with QuickBooks Online. There are so many things we appreciate about BILL Spend & Expense - 1) being able to have multiple credit card numbers for our different online accounts. This saves us a ton of time and makes our online fraud exposure less of a worry. 2) having physical cards for my staff is great 3) being able to add a card to our iPhones to tap and pay makes payments a breeze 4) the app is very simple our phones and makes it easy for my staff to post their receipts immediately. 5) customer support has been very helpful when we have issues 6) our accountant has been able to integrate into QBO for easy reconciliation. 7) we use Bill Spend & Expense daily and it has been super simple to implement into our systems. That they changed the name to BILL Spend & Expense - it is too long and will forever be known as Divvy in my office - but really, we are very happy with the services. Something simple that would be helpful would be allowing the Chart of Accounts in QuickBooks to auto-update so we do not manually have to add categories to the program. We have used this to replace having one office credit card. I like that staff are responsible for their own receipts and coding so that they are more aware of the financials for their departments. I also like that department supervisors and managers can have access to review and approve purchases so that they have full visibility of spending in their departments. I wish there was a way to turn the "budget" feature off. When an employee uses their card and gets a notification, I don't need it to say 'you have $99.487 left in your budget' because really they don't, that's just our card limit and I'm worried it could be misleading to some. This has been an influential and efficient way to track our team's credit card spending. Applying backup and coding it to the correct accounts is easy. The software easily syncs with our accounting system, QuickBooks. Employees can also request work-related expenses for reimbursement via the Bill (Divvy) system, keeping all employee spending in one place. I'm not tech savvy, so I did have outside IT help set up the systems to sync. Our company uses Bill daily. When I encounter an issue, I can contact customer Support and get the help I need. I am not a fan of the fact that we still cannot sync the reimbursement to our accounting software. This creates extra time to enter the information manually. I would also like to be able to run more reports via Bill software. I think that tool would be very beneficial to any company. Also, it would be helpful if an account has been compromised with several transactions that could be disputed as a lump rather than one at a time. This can be cumbersome if there are several. Bill.com is easy to use for small businesses and easy to implement and the have tutorials to view that instruct the user how to use the platform. The AI technology is okay as long as you don't require breaking out line items on an invoice to multiple Chart of Account codes. It provides a flexible approval process that meets auditable internal controls that Quickbooks does not provide. It allows the full chart of accounts and class codes to be imported for use in coding the bills. It syncs both the information from the coding and places a copy of the invoice with the transaction into QuickBooks. It allows accountant access without charging for a user. Bill.com sets up a personalized email address that you can share with vendors so they can send their bills directly to Bill.com (which I normally don't advise my clients to do because it marries you to Bill.com and it would take a large effort to recontact all the vendors to give them a new address if the business ever outgrew Bill.com). Bill.com has a huge vendor network making vendor payment setup a breeze. One only needs to verify the address and invite the vendor to accept payments through Bill.com (which is a big plus for vendors because once the invite is accepted they will know in real-time when the bill has been approved, paid, and sent out). Overall, Bill.com provides functionality that Quickbooks doesn't. It allows the auditors during an audit to access their sample testing without having to pull hard copy backups which saves time. Despite its downfalls, it has more pros than cons, and it fits the bill when partnered with Quickbooks. I have recommended this product to many clients and it has made their processing easier, but it has its pitfalls. Review collected by and hosted on G2.com.
Bill.com's syncing or ease of integration is poor. If any attachment (bill or email) is anything but a PDF it will not sync to Quickbooks nor does bill.com give you any insight into which transaction that hasn't synced. The only way you can find out most times is by calling or chatting with customer service which is always a lengthy process because they outsource Customer Support Chat overseas. I also find that Customer support has to talk to the developers with every question you bring to them because they don't understand how the software works. A simple why is this happening or why didn't it sync could take a half hour for an answer.
You can't print a bill to a PDF or email a bill out of bill.com (you only have the option to download it while in the inbox).
Bill.com charges by user which can be very costly for a small business that has multiple department heads who have a frequency of use of 2-3 times a year. In essence, clients are paying for an infrequent user every month even if they haven't logged in because no bill has come in for their approval. For my clients, I would prefer an approval fee (similar to how they bill for each payment) or an active login fee per month.
Bill.com has no way of canceling a check that has already been drafted without incurring a hefty stop payment fee even if you still have the check in hand (or a check was returned to you). You have to wait 91 days for the check to expire before the money will be redeposited into your bank account which is difficult for small businesses.
The platform allows a one-page remittance to be attached to a check that is issued, However, the one-page document is reduced to a small image on the check stub which barely makes it productive. Allowing a full-page remittance to be sent with a check, even at a small cost per page, would be worth it.
Bill.com lacks some low-hanging fruit processes which could be easily incorporated into the software but I've not seen development adopt any suggested changes over the two years I've used the system. Communication and transparency on syncing are inferior and time-consuming, but if it is an approval process you are seeking when using Quickbooks this is the only option out there that will sync with Quickbooks. I feel that the desktop version of Bill is easy to use. The app is equally great. It's been a lifesaver to have our employees access the app on the go. Receipts are able to be uploaded then and there. Review collected by and hosted on G2.com.
I am not sure if this is a downside just yet since we are just now moving to Bill Spend and Expense. We currently use PO's for some charges and there isn't a way to link a PO number. We have been using our Notes section. Then again I am still getting the hang of Bill so maybe there is a way and I just haven't found it yet. Review collected by and hosted on G2.com.
