Bill Spend & Expense makes managing our credit feel like a breeze. It provides the insight we need to make fast (when everyone has filled out there expense reports) informed decisions. The approval workflow is very flexible and makes implementing our finanial controls policy easy. The foreward thinking use of budgets lets everyone be mindful of spending while giving department heads control of ease of mind.
My two favorite features are the following:
1. Excellent integration with Quickbooks Online, with full support for accounts, classes, locations, customs fields, and billable expenses. On our old platform we used to have to manually compile expense reports and enter that data into Quickbooks. It led to much wasted time and a loss of data. Now Bill Spend & Expense auto syncs to QBO, including the vendor and even the receipt. We are able to track billable expenses too. Our QBO setup is *complicated* and Bill Spend & Expense handles it all with ease.
2. Low balance autopay allows us to not have to constantly worry about our availible credit and whether our employees will be unable to pay for necessities. This has been a huge help while our nonprofit futher builds our credit and is used semi-frequently. We we regularly hitting our credit limit on our old solution, and monitoring and sending payment was tedious. Review collected by and hosted on G2.com.
The only downside to Bill Spend & Expense so far is lack of ability to see the Yes or No to billable expenses in the list of transactions. Would be nice to be able to bulk Yes or No to billable expenses. Review collected by and hosted on G2.com.
We switched to Bill.com and our cardholders love it! The mobile app makes it super easy for them to upload receipts and code transactions almost instantly. They are able to request limit increases and see what their balance is easily before make purchases. Review collected by and hosted on G2.com.
We do wish there was a way to send messages through Spend & Expense like you can in the AP & AR platform. As of right now, the only way to get an employees attention regarding a transaction is to deny it, however sometimes we just need more information so it's not necessarily a true deny. I love how BILL Spend & Expense makes it easy for our team to handle their own transactions. As a nonprofit, we’re all juggling so many things, and there’s not always time to keep up with admin work. The cost relative to the value of the platform is excellent. As a startup that is still growing, we look for low cost solutions that can scale with us as we grow. The user interface is generally easy to use and integrates well with our accounting software. The ability to create virtual cards is helpful as we allocate expenses to different vendors. The level of customization is a bit limited, as are the reporting capabilities. Reimbursement timelines for out of pocket expenses takes a week or more to complete, which is longer than other providers. They have also changed our credit limit several times, causing problems in processing payments, and despite a flawless payment history. The rewards program is a bit stingy and not transparent. I have been using Bill AP for over 10 years, and it has become an essential tool for me, to the extent that I bring it with me to every company I join. One of the aspects I value most about Bill AP is its straightforward installation process and seamless integration with existing accounting systems. Bill uses AI to read your bills that you can either email to Bill or upload directly to your account and appropriately categorize each line item, read the due date, and line the bill up in your queue to be paid on time. I can set bills to be approved by different team members and better manage my cash flow by scheduling bills to be paid on time. Review collected by and hosted on G2.com.
Actually, the worst part about Bill is that occassionally my bill from Bill doesn't get paid automatically because it gets caught in my bank's fraud filter. When that happens, Bill makes it unusually difficult to run payment a second time. The irony is that paying bills is what Bill was designed to do - just not its own bills.
