**What do you like best about AvidXchange?**

Avidxchange provides us with a valuable tool to research invoices and payments. It takes much of the manual labor and tracking out of the Payables function.  No more entering invoices into the accounting software and printing out paper checks to mail.

**What do you dislike about AvidXchange?**

There are many errors in indexing from picking the wrong amount to pay, to the wrong vendor, and Avid doesn't always send the right invoice to the right department for approvals.  The most difficult problem by far is getting problems resolved especially when they make a change in the system.  It can take up to 2 weeks to get a live person to help you resolve a problem from an upgrade to a system glitch.

Avid helps us track invoices to minimize duplicate payments.

**What do you like best about AvidXchange?**

The platform is easy to use, and the automation has really cut down on manual work and paper invoices. I also appreciate how responsive and helpful the AvidXchange team has been throughout implementation and beyond—they truly understand the needs of municipal finance departments.

**What do you dislike about AvidXchange?**

There’s a bit of a learning curve at the beginning, especially when adapting it to existing City processes, but the support team made it manageable. Once everything was set up, it became much more intuitive.

**What problems is AvidXchange solving and how is that benefiting you?**

AvidXchange has helped us streamline our accounts payable process by eliminating manual data entry and reducing our reliance on paper invoices. It’s improved transparency in our approvals and payment tracking, which is especially important in a public-sector environment. The automation has saved time for our staff and helped us stay organized during busy budget and audit cycles.

All invoices are automatically assigned to the appropriate property, and you can also allocate each invoice to the correct GL codes for better tracking.

**What do you dislike about AvidXchange?**

I wish it could recognize logos and automatically associate them with the correct vendor.

**What problems is AvidXchange solving and how is that benefiting you?**

Previously, we had to print each invoice and manually write GL codes on every line item. After that, we would scan and upload them into our accounting software. Now, we no longer have to go through that process.

**What do you like best about AvidXchange?**

We utilize AvidXchange for invoice and payment processing, and it has significantly improved the efficiency of our accounts payable operations. The platform provides enhanced visibility into our financial workflows, which has been especially beneficial for cash flow projections and overall financial planning.

One of the key advantages is that vendors can submit invoices directly through AvidXchange, streamlining the process and reducing manual entry for our team. The system is also highly user-friendly—even administrative tasks are straightforward and easy to manage.

AvidXchange offers flexibility for vendors by allowing them to choose their preferred payment method. Additionally, the platform provides multiple support channels, ensuring that assistance is readily available when needed.

The reporting capabilities are robust, with a wide range of standard reports and the option to customize them to meet specific business needs. I particularly appreciate the level of control and visibility the system offers.

I’ve had the opportunity to implement AvidXchange twice, integrating it with two different software systems. Aside from a few minor adjustments to align with our company’s specific requirements, both implementations were smooth and efficient.

**What do you dislike about AvidXchange?**

We do not utilize the Invoice Accelerator feature, as payments related to our rehabilitation projects are not processed through Avid Payments.

**What problems is AvidXchange solving and how is that benefiting you?**

Allowing vendors to submit invoices directly through AvidXchange has eliminated delays caused by paper-based processes—no more invoices sitting on someone’s desk. This streamlined approach has significantly improved our cash forecasting capabilities by providing real-time visibility into pending expenses.

As a result, vendors are receiving payments more quickly, and our team is spending considerably less time on invoice processing. These efficiencies contribute to a more agile and responsive accounts payable function.

The workflow and the approval process really help with streamlining processing.

In the beginning we were unable to link our payments to the paid invoices, however after working with them they were able to correct the issue. Now, the only thing that I dislike is that we have to wait until a payment is cleared before we are able to get a copy of a check.

It is saving processing time.

**What do you like best about AvidXchange?**

What is most helpful about AvidXchange is the ability to have programs/projects sent to the owner of that program/project to verify that the billing codes are correct before sending it off to accounts payable - which we still double check to ensure that everything is correct before we pay an invoice so we do not have to reclass a purchase.

**What do you dislike about AvidXchange?**

I am not seeing any downside to using AvidXchange with my personal usage.

For my level of AvidXchange I am not having issues with the use - any changes that have been made have been for the better.

**What do you like best about AvidXchange?**

I like that everything I have access to, our users in the field have access to.  They have access to their invoices, at anytime from anywhere in the country and that has been very beneficial as we have locations all the way to Nevada.

**What do you dislike about AvidXchange?**

Ticket turn around times are very lengthy.  It can take weeks sometimes to get a response.  I would like to see that improved.

**What problems is AvidXchange solving and how is that benefiting you?**

All of our invoices are in a centralized location that is accessible to all of our users.  Our users are able to get answers for themselves without having to rely on the AP department.

  ### 9. Customer Support is the WORST for Vendors! Would NOT recommend if you desire true efficiency!

**What do you like best about AvidXchange?**

Good for multi-entity invoice processing; Good for hands off coding if you need to just route request through various department workflows and require program departments to input their own coding.

**What do you dislike about AvidXchange?**

AvidXchange customer service when it comes to supporting vendors is not good at all! They create a bottleneck between the customer and the vendor because they claim to allow payors to be hands off in supporting efficient payment processing for vendors but that is not the case at all. Vendors are charged to receive their payments efficiently (electronic payment method) and it could take weeks or months to get a vendor set up on a more efficient payment method other than check. Because of the fee most vendors are reluctant to even sign up for a faster payment method, leaving the customer/payor to have to go through other payment alternatives. A vendor has to wait until after their first payment via check to receive an electronic payment method and they indicate they contact the vendor once the first payment is made and that is not the case. In my experience vendors have had to contact them. If you have banking instructions for your vendors that you would like to put into the system on your vendors behalf, that is not an option. I have used Avid both as a payor to pay vendors and also as a consultant to receive payment and both experiences were not great. They could ruin a relationship with a vendor because a vendor would have to call several times to find out about the status of an efficient payment method leaving you as the payor to in fact NOT be hands off and receive complaints from vendors of an inconvenienced experience to get set up timely. I question the implementation process and options as the system was implemented before my use, but set up or options of efficiency does not seem like it was there when implemented. The system does not have a seamless integration with Sage Intacct and in my experience of being an administrator I had to correct implementation issues and figure out field issues of dimensions not coming over properly.  The system was set up to only integrate invoices and not payments or close the invoices out in Intacct. The representative never contacted us to discuss better solutions or options to improve the AP process. The team has had to reach out to inquire of better options and overall, its probably best to seek a better tool. I would not recommend Avid if you are looking for a tool that offers true efficiency and sufficient support.

**What do you like best about AvidXchange?**

All invoices are digitized and easily accessible.  Grant reviews and audits are streamlined.  Customer time of implementation is reasonable and probably lower than standard.

**What do you dislike about AvidXchange?**

Poorly managed check payments.  Calls to vendors to sign up for a different payment type.  Generally seems like our vendors are hustled into ACH or virtual credit card that's more profitable for Avid and less beneficial to our vendors, causing confusion around them collecting their payments.  We spend more time following up with vendor payment issues than before we partnered with Avid.

Toggle for "paid internally" really helps track payments.

**What do you like best about AvidXchange?**

AvidAscend is very user friendly and intuitive product making it very easy to train on and for the occasional user to navigate with ease. The general ledger, reconciliation and payment file integrations are seamless as well as the tax document preparations annually.

**What do you dislike about AvidXchange?**

While customer support is not often needed, when it is necessary the process to reach a subject matter expert is very difficult and then takes to long for an answer or resolution to the support request being made.

**What problems is AvidXchange solving and how is that benefiting you?**

The process is entirely paperless and with multiple locations and departments this is a tremendous time saver. The Approvals module is probably the most valuable in terms of timeliness to pay vendors. The integration from Accounts payable to Fixed Assets, Prepaids & Accruals is very helpful from processing, reporting and ultimately auditing.

So far, it has only been a terrible experience.

Worst aspects: 

1. They charge vendors/suppliers 1.2% per transaction for simple ACH transfers. Vendors are livid and pushing us to change. 

2. Trying calling their customer service #: 855-525-2843. You will wait for 45 minutes plus, and person who answers will not be able to help you -- they might not even be able to find your account.

Only headaches so far.

The wait timing to speak to someone, seem like every time a problem arises the wait can be hours to get a hold of someone.

Avid is assisting the department in reducing the number of checks that are printed each week.

**What do you like best about AvidXchange?**

I like the ability to see previous coding for invoices, the ease to check on payments to vendors and to research prior invoices and payments very much.  Customer support is easy and quick.  I use Avid everyday, and I like the ease and efficiency of coding invoices and approving for payment.

**What do you dislike about AvidXchange?**

The software logs you out too quickly if idle.  I use the software all day long, every day.  I would appreciate having longer times idle before auto logging out.

**What problems is AvidXchange solving and how is that benefiting you?**

It allows me to code and approve my invoices more efficiently.  I spend less time looking up coding, because it offers the function of saving prior coding and the ability to look at previous invoices when the coding is not the same each and every time.

**What do you like best about AvidXchange?**

I love how quick and easy it is to upload invoices to be paid. The technology that can read information off the invoice is so incredible. With a couple of clicks they are ready to go through the approval process.

**What do you dislike about AvidXchange?**

I wish you could search all the invoices that have been paid to a specific vendor across multiple properties. That would really make research easier.

**What do you like best about AvidXchange?**

Avidxchange integrated with our HAB software and made the bill-paying process more manageable than the previous online service we were using.  The support team has been great to work with and are very prompt in helping any way they can.

**What do you dislike about AvidXchange?**

My previous service would allow multiple bills in one pdf that could be broken apart in the software, but Avid has to have individual invoices per pdf.  You must download the file and resave them as individuals.  Also, there is now a highlight feature in the Avid capture that you have to turn off on every bill in order to read it well.

**What problems is AvidXchange solving and how is that benefiting you?**

Avid has made it easier to integrate with our software and import all the details directly into it.  They have saved me a considerable amount of time over my old software and are having paperless storage has been huge.

1. Note section for invoices would be nice. Per invoice and not on the Vendor level only as it is now. 2. To be able to void a payment without having to delete the original invoice. Leaving a zero balance on it would be great, just to have for record on notation. 3. When inserting lines within the invoice breakdown, it would be nice to be able to drag and move the lines around instead of having to recode some of the line items to get them to match up with an invoice breakdown for example. 4. When reviewing a report, it would be nice to be able to click on the invoice or detail from there, but then have it take you right back to the report to continue where you left off. 5. To be able to send an email notification by a push of a button once all invoices have been entered and approvals are ready to be made. A second "email reminder" by a push of a button would be nice too for when invoices have not been approved.

If there were not so many issues after my end is complete and it is handed off to Avid, this would be the greatest program ever. However this is not the case.

The continuous problems we experience with Avid/Strongroom are beyond frustrating. Between constant VCC issues, delays in payment processing, failure to follow up with vendor and ensuring payments are processed, lack of record keeping,  refunding payments without a proper notification system in place so we can rectify, and overall failure to properly communicate and/or notify us of issues. 

 We use Strongroom/Avid to make payment processing systematic and to reduce the man hours for payables. 
However, when our relationship with our vendors is tarnished because of extreme delays in payments being issued and the countless man hours not only assisting the vendors, but researching, creating service requests, following up, etc defeats the purpose. Avid markets "Pay Suppliers Faster- pay your suppliers on time.....fostering better vendor relationships" That is not the experience we have at all. Vendors are generally not happy due to payment delays, failure to follow up and ensure electronic payments are processed creating a refund that is not addressed until they make contact with our office, and the constant calls they receive from Avid pushing VCC payments on them.

**What problems is AvidXchange solving and how is that benefiting you?**

Ideally it should be reducing the man hours of data entry and making payables a smooth efficient process. Which it does, we use  qr upload function, email upload, and manual upload function with satisfactory results. 
The integration function helps keep records where they are needed in our software for budgeting, reporting, reconciliation, etc. 

Our complaints do not come until after we complete our end of the invoice process and it is handed over to Avid to execute.

I'm not really sure if there is anything at this moment that I enjoy regarding Avid.

**What do you dislike about AvidXchange?**

The system has been going down a lot. I believe that this was due to the attention being elsewhere (newly released AvidCapture). Unfortunately, this resulted in a lot of lost work time. It started off as once a month and then basically became a once-a-week type of thing.

Later on, as we experienced issues, I understand that when it comes to technical support, there are certain steps that need to be made in order to figure out the issue but most of the time we were told to "clear our cookies and cached items" and that would be all we would hear from support.

The system is self-explanatory and It is easy to navigate but, it is annoying that with AvidCapture, we need to open another tab to link a customer account to a building compared to AvidInbox where we could do it all then and there. AvidCapture also took off the ability to see who posted invoices making it difficult to track who made the mistake. 

AvidPay is also extremely slow - It takes me over thirty minutes to an hour to track a payment.

I feel like Avid has been focusing on adding new functions and revamping the website at this moment which is cool, but I feel like AvidCapture using AI to do type-to-text is unreliable as we have already seen issues with invoices and the way text gets transposed.

They are supposed to be solving the issue with managing our payments as we have multiple properties but at this time it feels like there are more problems/issues than actual benefits.

Their platform integrates with our accounting software which makes it easier to kepp on top of payment status. Plus the image in Avid is also available in the accounting system. The accounting team only needs to use 1 system and it gives visibility to our onsite team. Avid also has an option to pay vendors directly, they work with the vendors to setup a preferred payment method and gives them access to the supplier portal so they can view status.  If there is a payment issu, your vendor can speak with them directly. This alone saves so much time! Another plus is they are always optimizing.

You are assigned a dedicated team during implementation and testing. They are there for training and answering all of your questions. They also have a dedicated space for training videos and an Academy to certify your team.

Sometimes cutomer service can take more than 72 hours to get back to you.

I have been using AvidXchange since Covid. This was to allow people who had to work from home to still be able to view their invoices and approve them. What I really like about Avid, is the time it saves and the paper it saves. I don't have to print every invoice and physically walk it to the person to approve it. It also cuts down on losing a printed copy of the invoice. I also really like that the whole history is right there. You can see when it was scanned in, when it was coded, when it was sent to what approver in the approval process. It is a great addition to our finance team. The Implemtation team we had were wonderful! I know one was Megan. I am in this program every day processing the invoices and payments. There are very few issues with the invoices and payments posting over to Intacct, the intergration works wonderfully!

**What do you dislike about AvidXchange?**

I don't have many problems with the program. I'd say one is that sometimes for reasons unknown the currency gets changed on a random invoice to CAD. The support are usually great about responding in a timely manner and getting things corrected or helping ME know how to correct them.

One thing that would be great to fix is the fact if you have to change the Vendor name (say you accidently chose the wrong one), you have to undo all of that coding at the bottom to change the vedor. That's something that would be nice to have changed.

the payment process time currently takes about 3 weeks - we approved and Avidxchange mailed the check to our vendor, which then pass on to USPS. There are a few quirks here and there, especially with the integration. Whatever changes you make with Strongroom correlate or match with our current system. So, if you void in SR and do an integration, it will not show up in our software.

The time savings for automating our payments through AvidXchange and the ability to track payment status easily.  The implementation team was amazing and getting up and running couldn't have been easier. We use AvidPay all the time in coordination with TimberscanGo and Sage 300 Construction. I love how they work so well together.

The time it takes to get paper checks to my clients if they choose this option. I also wish we could assist our vendors in switching payment options or that there was an online platform for them.  Getting them to call or email support to make these changes is often difficult.

**What do you like best about AvidXchange?**

The idea of it is great, to be able to index(now capture), process payment and run reports in one spot. Essentially it is easy to use.

**What do you dislike about AvidXchange?**

Avid is down or glitching almost daily, and it interferes with workflow. These glitches often interrupt the accuracy and quality of documents, and slow down workflow all around. I am constantly on chat or emailing with their support team, and there is hardly ever a fix. Nine times out of Ten, by the time I get an email back, they try to tell me that it is a user error, and paint a story that is not what happened. The issues are never fixed. Avid pay is consistently an issue as well, and I have to constantly use support to track payments.

**What problems is AvidXchange solving and how is that benefiting you?**

I have seen little to no problems solved, which does not benefit me.

**What do you like best about AvidXchange?**

What is most helpful with the Avidxhange products is AvidInvoice housing our invoice with access to all digital copies along with suppport. Using AvidXchange is cost effective for processing monthly services invoices via AvidInvoice, utility invoices via AvidUtility and processing payments vais AvidPay.

**What do you dislike about AvidXchange?**

What I like least  about Avidxchange is not having a dedicated indexer or an Account Manager to handle day to day challenge and descrepancies. We have experince crippling descrepancies that did not allow us to move forward with our regular scheduled checkruns for weeks and did not have an alternative process within AvidInvoice portal.

**What problems is AvidXchange solving and how is that benefiting you?**

Processing invoices timely and no lost invoices for CAM billing.

**What do you like best about AvidXchange?**

I like how easy it is to submit invoices, make comments and reject invoices for specific reasons. Also, customer service is usually quite quick in responding and helping resolve any issues that come up.

**What do you dislike about AvidXchange?**

I don't like that we are unable to void invoices in our other system once the payment file has been sent to AvidPay. Also, I don't like that my original email comments are not shown on emails about current open cases, nor on closed cases.

**What problems is AvidXchange solving and how is that benefiting you?**

Avid solved a disconnect between our previous billing software and the other software we use. It makes it easier to process invoices and get payments sent in a timely manner.

**What do you like best about AvidXchange?**

1.	The invoices are scanned for us.
2.	The invoices are entered to an extent so that we don’t have to do that.
3.	The data is saved and we can access easily

**What do you dislike about AvidXchange?**

1.	Avid is down and not accessible quite often.  At times it’s at month end time and that is a critical time for us.
a.	Also, when I make a report that the system is down and try to get an ETA of when it will be back up, there is never an ETA.  
2.	The system has started shutting down and requires re-sign-in way to often.  I know it’s a security thing, but it’s just too often.  It even happens sometimes when I’m working to process invoices.  
3.	Communication of system changes is not good.

**What problems is AvidXchange solving and how is that benefiting you?**

Save the time in processing, so save the cost to hire another employee

**What do you like best about AvidXchange?**

I love how easy it is to manage payables and payments in the same system.  We have immediate access to invoice and payment images within seconds.  In the past, vendor invoices and payment research could waste 1-2 hours of time, depending on the age of item.   The software has reduced invoice approval times from 2-3 weeks to nearly 3 days on average.

**What do you dislike about AvidXchange?**

I believe  the invoice indexing process could be improved to reduce the number of supplier research cases.

**What problems is AvidXchange solving and how is that benefiting you?**

The software eliminated the need for dedicated data entry staff.   We  also eliminated the need to manually print and sign hundreds of checks monthly.
