AvidXchange has been game changer in our accounts payable process! Instead of someone spending HOURS and HOURS of time each month to pay all our vendors, it is streamlined and all on our Avid portal. I like the ease of tracking what is owed to us and when the payments will be expected. I also like that if we need to, we can arrange for an advance on some of that money, for a small fee. Review collected by and hosted on G2.com.

As a small business, the only thing that could be improved would be the speed of payout after the invoice has been approved by AvidXchange's customer, which is our customer. Sometimes you have to wait for the end of the week, or if there's a holiday, like with Thanksgiving recently, you have to wait until the week after the holiday before the payout arrives. I truly appreciate how AvidXchange has made our invoice processing much faster and more efficient by automating the accounts payable process, eliminating the need to manually key in invoices. Additionally, I find it extremely convenient that vendors can send their invoices directly to AvidXchange, which appear promptly on the website for processing, streamlining the workflow. Setting up AvidXchange was quite straightforward, which was a pleasant experience as it allowed us to get started without any unnecessary complications. I also appreciate the user-friendly nature of the software and its pricing, both of which strongly influence my likelihood of purchasing it again in the future. I dislike that when an invoice is scanned, AvidXchange requires shipping tickets and other related documents to all be combined into a single document. It would be more efficient if the system could automatically attach separate shipping documents to the corresponding invoice without needing us to manually combine them first. We’ve been using AvidXchange for nearly 10 years, and it has become an integral part of our daily operations. The initial implementation process was smooth, and the system has remained consistently reliable ever since.

One of the things we appreciate most is how easy it is to process vendor payments—it’s straightforward, efficient, and integrates seamlessly with our core HOA management software, Vantaca. The ability to quickly void checks or issue stop payments when necessary is also a major plus, helping us stay responsive and in control when issues arise.

While AvidXchange has been a reliable solution overall, there are a few areas where improvements could be made. The user interface—particularly the interchange—could benefit from updates to make navigation and check searches more intuitive and efficient. It can feel a bit clunky, though we’ve adapted to it over time.

Additionally, some of our experiences with customer support have been less than ideal. In certain instances, support representatives have attempted to shift responsibilities back to us, even when the issue clearly falls within their scope. The AP process in AvidXchange is user friendly for the individuals that are responsible for coding and approving invoices. The invoices show up in their queues and they only have to review the information for accuracy, enter the appropriate GLs, amounts and descriptions and approve them. The invoice goes to the next individual in queue as needed. Training is provided during implementation that assist the admins in the logic to set up the workflows and the authorization levels. Once these are set up the daily process is smooth to batch and pay the invoices. AvidXchange interfaces with our core system so the daily invoice process is extremely efficient. We would like to set max character limits for some fields that cause an exception when importing into the core system. Review collected by and hosted on G2.com.

Avid has increased production of our accounts payable team. We were able to decrease our AP team from 3 FT to 2 FT employees over the time of the conversion. The features are the right ones that help us pay invoices in a more timely manner. The AI that is used in the platform speeds up the process for processing daily invoices. Avid as integrated into our accounting platform smoothly and handles all necessary entries on the backend. The customer support has been excellent anytime that I needed their assistance. Only knowing our previous AP platform which was very manual, I don't have much that I dislike in Avid. There are two things that probably stand out for me which include the following: in my opinion, I feel like there are some features that require too many extra clicks to access, their menus should be more hover and also some features should be linked together as opposed as getting out of one section to goto another. Another issue I have is the speed, with this being hosted by Avid, there are times that the system might show some latency which can lead to frustration as it is something that we cannot control. Finally, which would be normal with the development of AI and the OCR software, there are times when the incorrect information is picked up by the platform. Review collected by and hosted on G2.com.

What we find most helpful is the reviewer/approver can code their own invoices. We also like the added feature of the stop pay under the Pay menu, this has saved us a lot of time. We also like the ability to see payment status. Review collected by and hosted on G2.com.

What I find least helpful is that the reviewer/approver cannot see their invoices once approved and that it can only be see at the manager level. They cannot see the status of their invoices. We spend a lot of time advising the status of payments back to our reviewer/approvers (not at manager level). Also when it is audit time, we are bombarded with requests on pulling documentation and if they had this access, they could access it on their own. Review collected by and hosted on G2.com.

I really like how easy it is to use the platform. We use Avid Suite and I am on there multiple times every day. You can easily add users with the exact levels of security you choose. It is very easy to train new employees as they start with the company as well. Most of my employees are good to go after 2 days of usage. You can upgrade other pieces of the platform as your business needs and the team does well giving you what you need for training and support during the implementation process and the integration process is fairly easy and smooth. The Capture feature is one of the best out there and does a superb job of auto filling the invoice information in for you to save even more time. Review collected by and hosted on G2.com.

Ascend is super easy to use and very intuitive. Customer support is always really helpful and responds in a timely manner. I use this application daily and never have any issues navigating or processing routine and ad-hoc transactions and research. I wasn't part of the implementation, but I have integrated additional modules after Ascend was implemented and the process has always been straightforward and easy to follow. The reporting tools are a bit restrained and require some finnegeling to achieve a desired output. My advice would be to generate a report that's general in scope but specific to what you're looking for then download the report to excel. Review collected by and hosted on G2.com.

Avidxchange provides us with a valuable tool to research invoices and payments. It takes much of the manual labor and tracking out of the Payables function. No more entering invoices into the accounting software and printing out paper checks to mail. Review collected by and hosted on G2.com.

There are many errors in indexing from picking the wrong amount to pay, to the wrong vendor, and Avid doesn't always send the right invoice to the right department for approvals. The most difficult problem by far is getting problems resolved especially when they make a change in the system.
