**What do you like best about Apropo?**

Apropo makes it much easier to prepare structured offers for custom software projects. Instead of building proposals from scratch every time, we can quickly assemble them from reusable components, pricing models, and predefined sections. It keeps everything consistent, professional, and easy to update when scope changes. For a software house dealing with tailored projects, this saves a lot of time and reduces back-and-forth between sales and delivery teams.

**What do you dislike about Apropo?**

For very complex or highly customized projects, the initial setup of templates and pricing logic can take some time. However, even this setup process is still faster and simpler than in most alternative tools we’ve tried. We would also appreciate more built-in analytics to track proposal performance. That said, once everything is configured, daily use is smooth and efficient.

**What problems is Apropo solving and how is that benefiting you?**

Before Apropo, proposals were created manually in documents and spreadsheets, which was slow and error-prone. Now we can generate consistent, detailed offers much faster, even for complex projects with multiple modules or phases. It also helps standardize pricing across the organization and makes collaboration between sales, delivery, and management much easier. We can respond to clients quickly, maintain a professional image, and avoid pricing mistakes. Overall, it shortens the sales cycle and frees up time for actual client work.

**What do you like best about Apropo?**

What I liked most about Apropo is how much it improves team collaboration around estimates and proposals. The clear separation between departments and the ability to control visibility of cost figures is a true game changer for internal alignment.

I also really appreciate the option to send proposals as a link with built-in tracking. Seeing how clients interact with the offer gives valuable insight and makes follow-ups far more effective.

**What do you dislike about Apropo?**

What I liked least about Apropo is that there is a small learning curve at the beginning, especially when setting up departments and permission structures properly. It takes a bit of time to configure everything in a way that reflects your internal processes.

**What problems is Apropo solving and how is that benefiting you?**

Apropo solves the problem of chaotic and fragmented proposal collaboration. Before using it, estimates were often created in spreadsheets, shared back and forth, and lacked clear ownership or visibility control across departments. This created confusion, versioning issues, and uncertainty around who could see specific cost details.

With Apropo, we now have a structured, collaborative environment where departments can contribute while maintaining controlled visibility of financial data. This has improved transparency, reduced internal friction, and made our presales process much more predictable.

Additionally, the ability to send proposals as tracked links gives us insight into client engagement, which helps us time follow-ups better and increase conversion effectiveness.

**What do you like best about Apropo?**

Ease of use:
- Apropo works pretty much how you would expect it to, is reasonably customisable, has at it's core estimation fundamentals you would expect from a tool of this type, and being relatively new is rolling out new features very regularly

Customer support:
- The customer support is next level!!! While still a small'ish startup, having email and chat access to the CEO and CTO is pretty amazing.
- Michael, the CEO, has jumped on video calls as needed, has run training sessions for our teams, and seeks input from our team to add new features as they arise

**What do you dislike about Apropo?**

Apropo is a step up from our spreadsheet system (which was super customised and a beast to operate) and while not a con per se, we have found we need to simplify some of our business rules to suit Apropo - however to be fair maybe we didn't need so much complexity

It is a new product, so having input as a customer is pretty great, however there will be all of the usual teething problems, the odd deployment that may go awry, and the constant struggle of building a new tool in a changing web browser environment

**What do you like best about Apropo?**

The quotes done in Apropo look amazing to our clients. Apropo also has a number of features that increase the client's engagement with the quotes and help us win more projects. I particularly like the fact that our clients can configure the project scope on their own and we can watch how they work with our quotes through video recordings feature. Plus, it significantly speeded up our quoting process, like 2-3 times or so.

**What do you dislike about Apropo?**

There are a few features missing, like e.g. a pivot table that would allow me to quickly compare multiple different options, but there are only nice-haves and I know that the team is working on them.

**What problems is Apropo solving and how is that benefiting you?**

Apropo solves all the bottlenecks related to project estimates:
- It helps reuse the data from previous estimates
- Allows to work within the same file with sales, developers and clients and manage who sees what. This eliminates the need for multiple different spreadsheets.
- Makes the quotes easy to understand to the clients. Before using Apropo, we observed that a lot of our customers struggled with understanding how our quotes.

**What do you like best about Apropo?**

What I like most about Apropo is how clearly and accessibly it allows us to present project scope and pricing. The system makes it easy to structure an offer in a transparent and professional way, both internally and for clients.
The tool is very intuitive, and onboarding team members (for example, developers who need to contribute to estimations) is straightforward and quick. This significantly improves collaboration during the pricing process.
I especially appreciate the ability to add global buffers and calculate pricing percentages per role. These features make financial planning more flexible and accurate.
Apropo is valuable not only as an internal estimation tool but also as a client-facing solution. Our proposals look significantly more professional and structured, and clients respond very positively to them.

**What do you dislike about Apropo?**

At the moment, the main area that could use further improvement is the timeline feature. While it is functional, it feels less refined compared to the rest of the platform and could benefit from additional flexibility and clarity.

That said, we are aware that Apropo is already working on improving this part of the system, which is very encouraging. Overall, this is a relatively minor point compared to the overall value the tool provides.

**What problems is Apropo solving and how is that benefiting you?**

Apropo has helped us solve the problem of managing multiple versions of project estimations created in Excel. Previously, different versions of the scope were saved locally by various team members, which led to confusion, inconsistencies, and a lack of clarity about which version was the most up to date. This often resulted in parallel versions of the same estimation and made controlling the pricing process difficult and time-consuming.

With Apropo, we now work in one centralized, online environment where everyone has real-time access to the same data. It is easy to create and manage multiple versions of an offer while maintaining a clear history of changes. This has significantly improved transparency and collaboration within the team.

Additionally, we eliminated many of the formatting and structural issues that typically occur when working with Excel and Word. Apropo standardizes and organizes everything automatically, so we no longer waste time polishing layouts or formatting documents. Instead, we can fully focus on the substantive content of the offer and delivering real value to the client.

Apropo has become a key part of my quoting workflow. Creating new quotes and updating existing ones is fast and intuitive, and the final client-facing output looks truly professional—clean, readable, and easy to understand. What I appreciate most is the ability to prepare multiple versions of the same quote with different options and scenarios, so the customer can compare alternatives without confusion.

A huge advantage is how flexible the experience is for the client: they can adjust and tailor the quote themselves by selecting variants and options, which makes decision-making smoother and reduces back-and-forth. On top of that, the product is clearly evolving all the time—new improvements keep coming, and you can feel the team is actively listening to user feedback.

Finally, support is outstanding: fast, knowledgeable, and genuinely helpful. Overall, it’s a well-designed tool that saves time, improves communication, and makes proposals look great.

I sometimes miss a bit more UX polish, but I know the team is actively working on improvements, so it’s clearly moving in the right direction.

**What do you like best about Apropo?**

Apropo is an amazing tool for creating quotes. There are many things I appreciate about it, but what captivated me most is how easy it is to use, how well it helps engage the team, and how much it speeds up the estimation process. Thanks to its descriptive features and the option to add work not only defined by man-hours or man-days, we can present the client with a comprehensive offer within a single tool. What’s more, the ability to create different variants of one quote is extremely helpful when working with a client on priorities and when quickly extracting an MVP.

**What do you dislike about Apropo?**

The number of quotes included in each plan should be higher :) When working with large systems and organizations, we often deal with decision-making processes that take multiple months, so we end up hitting the plan limits.

**What problems is Apropo solving and how is that benefiting you?**

Apropo is addressing the challenge of time-consuming estimation processes and making it much easier for us to collaborate as a team on quotes. Previously, putting together comprehensive proposals was tedious, and it was hard to present complex offers to clients in a clear, structured way. Now we can include not only man-hours or man-days, but also descriptive features, all within a single tool.

The option to create different variants of the same quote has been invaluable when working with clients on priorities and quickly extracting an MVP scope. What benefits us most is how much faster we can analyze, break down, and estimate projects, and how much better our clients understand the proposals as a result. Customer Support is definitely one of the reasons why Apropo stands out from the competitors. It helps us onboard new users, learn new features, or find a way to solve the problem we have.

Apropo is battle-tested, not only by us but also by multiple different companies from the same industry, hence we can be sure it follows the best standards. 

We've been using Apropo for a while, starting when it only had a few features, and we're still using it after it grew significantly. Over that time, our voice was heard, new features were implemented, and many were improved.

**What do you dislike about Apropo?**

The only downside of Apropo at its current state is the difficulty of onboarding newcomers. Sometimes, new members are overwhelmed by the number of features or cannot even find some.

Before Apropo, we've been using Spreadsheets to do the quotes. It worked, but it was always an issue to find the right estimate, even for comparison, because everything was behind a firewall or had to be shared first. Nowadays, by using Apropo, we've managed to speed up the whole quoting process significantly.

The thing I like the most is that our clients love the quotes received through Apropo. They say that those quotes are easy to understand and enable them to play with it and configure the scope. The tool also gives us additional sales helps, like email notifications every time a client opens the quote. It’s also very convenient and fast to use, it speeded up our quoting 3x at least.

Nothing really. I mean, can’t really complain about anything, the tool is great.

Our clients always struggled with understanding the quote. They always used to find it too difficult. It's a simple-to-use tool that lets the whole team collaborate on project estimation. The estimation is then easy to share with prospects and active clients, and I appreciate the recording feature very much.

I love Apropo's support, which is always super helpful and reacts lightning fast.

You need to get used to using it, as there are a lot of features and options, but once you get the hang of it, it becomes a piece of cake.

Apropo allows us to create robust estimates and share them easily with our prospective buyers. It supports our delivery teams with collaborative, fast estimates. Apropo helps us present proposals in a very polished and professional way, which makes a strong impression on our clients. The platform includes interactive elements that keep clients engaged and noticeably improve our close rate. One feature I value most is the ability for clients to adjust the project scope themselves, which makes the process more collaborative. We can also track how they interact with our proposals using session recordings, which gives us useful insights. Overall, Apropo has made our estimation workflow much more efficient. We’re preparing quotes roughly two to three times faster than before.

There are a few potential UX tweaks that could make the platform a bit swifter to onboard new users, other than that everything is good!

- Overall, product is great and constantly improving

- For some time the format of PDF, exported from Apropo wasn’t very useful, but now it improved significantly

- Also sometimes we face some minor front-end glitches, but they never affect overall productivity and vendor’s support reacts immediately

We’ve found Apropo to be a game-changer in how we scope, estimate, and present software projects to our customers: project estimates are faster and more accurate, proposals look highly professional, and our clients notice that!  The product is super-flexible and can be customized to any project type. The level of support is one of the best we’ve seen in the market: proactive, precise and ready to do extra mile to help customer achieve great results. 

Plenty of other great features, like integration with project management tools (Jira), import/export to XLS, AI generated WBS structures etc. help us save dozens of hours on the quote preparations process.  

All in all, Apropo has become a central part of our pre-sales and estimation workflow.

If I had to pick something, I’d say it doesn’t make coffee while generating estimates yet. That’s clearly a missing enterprise feature.

Just kidding – overall, it does what it’s supposed to do really well.

Apropo has significantly accelerated the way we deliver recommendations and proposals to our clients at Yameo. Our recommendations became more visually appealing, clearer, and easier for business stakeholders to understand.

A major advantage is the unification of how recommendations are delivered — we now have one consistent approach used by all teams. Our developers and consultants genuinely enjoy working with Apropo because it removes friction, reduces manual effort, and brings structure to the process.

At this point, it’s difficult to point out any major downsides. As with any growing product, there is always room for refinement, but the team is very responsive and continuously improves the platform.

**What do you like best about Apropo?**

Cost estimations are much easier to prepare. They also look much better with our branding applied. Finally, I appreciate the customer service, my needs are always listened to and fixes are delivered promptly.

**What do you dislike about Apropo?**

There was only one significant issue that I recall during our 3-year collaboration. In the end we needed to retrieve a lost estimation due to some issue in database. Happened only once in hundreds of estimations delivered.

Automated calculation of the price based on our hourly rates. Hiding information unnecessary for the client. Beautifying the cost estimations' look.

**What do you like best about Apropo?**

I like that Apropo is easy to onboard, making it simple for new employees to get started without a lot of time spent on training. It's also straightforward to show cost estimation sheets to customers, helping us communicate clearly without needing to describe how to find useful features. The process is streamlined, and I appreciate how these features contribute to our workflow.

**What do you dislike about Apropo?**

I think the only thing they can improve is the UI. To be more modern. But it's really minor thing.

**What problems is Apropo solving and how is that benefiting you?**

Apropo improves the readability of cost estimations, making them clearer for clients. It's easy to onboard and simplifies the creation and sharing of cost sheets, saving time. New employees quickly grasp estimation processes without extensive training.

It serves as a single source of truth. With traditional spreadsheet-based estimation, it was far too easy for people to create multiple copies, which later became confusing and hard to reconcile.

**What do you dislike about Apropo?**

It's still in it's early flush and that means that you don't have all the small UX refinements that would make using it seamless. Sometimes you have to "learn" how to go around Apropo to use Apropo

**What problems is Apropo solving and how is that benefiting you?**

Estimation structure, conciseness, professional look - all of those things are achieved which is usually hard without Apropo

**What do you like best about Apropo?**

The team collaboration features for estimation are great - especially the comments, task splitting for different owners, and automatic calculations. Plus, having the option to present a dedicated version to the client is a huge advantage.

**What do you dislike about Apropo?**

The timeline starts every phase simultaneously by default, but it should really be more automated/smarter than that.

Also, with AI estimating, it would be cool if it could follow our specific structure. Currently, it feels like it just imposes its own way of doing things.

**What problems is Apropo solving and how is that benefiting you?**

Our estimations and offers are now consistent and easy to follow. The process is faster and more scalable for the team. On top of that, generating different offer variants is super simple.

A lot of work recently went into better proposals but there was no love for the dashboard ;)

Creating and maintaining proposals -  no longer missing excel files, no longer some files on one computer, some on other; Simple SaaS where we have everything and can quickly find historical proposals, new ones and so on;

I like that Apropo is really clear and easy to use. It gives me a good presentation for my customers, which is very helpful.

Sometimes we are fighting bugs and data disappearing, which is really annoying. I know the product is under development, so I understand such things might happen. That's basically what's annoying me the most.

The real upside of Apropo is forcing structure to pricing and proposal structure. It is also by far the most "tailored for me" tool I use.

The minor lacks are in its timeline, search, and revision history function.

Apropo takes care of the entire process, from internal pricing reviews and margin analysis all the way through to seeing the client open the proposal.

Control your company's quoting process, tracking all transactions from a single, convenient dashboard. Knowledge management and the ability to easily use information from previous quotes which allows for more accurate time estimation and gives the possibility to automate the whole process.

**What do you dislike about Apropo?**

There is a lack of tutorials to show the full performance capability.

**What problems is Apropo solving and how is that benefiting you?**

Before Apropo creating quotes for customers took several hours, was tedious and required the attention of several people in the company. Now, thanks to Apropo, I can come up with an initial offer to a client within a dozen or so minutes.
