The search function, linked definitions and covenant reminders are also really good functions which again automate a key risk of contractual administration **What do you dislike about Affinitext?** The main challenge is keeping documents updated given it it's not up to date or reliable then it really defeats the purpose. While this is largely the responsibility of the user (vs Affinitext) it is probably the key barrier to its full effectiveness. I just went through a relatively material update of documents for the project I oversee and it was a very easy process. I was pleased with how it went. **What problems is Affinitext solving and how is that benefiting you?** Covenant monitoring is a key area that is otherwise poorly managed in a lot of organisations. You can navigate down to find the document structure It uses links that will send you to the where used in the document of other documents. **What do you dislike about Affinitext?** The Tool does not manage documents in accordance with ISO 9001 and ISO 10007. There is no document number, revision that is traced in Affenitext to the original document. There is a no Amendment History in a covering page to traced to a document see how many Amendment were implemented and the date they were Implememnted. To see what was amended an A in a Red Box appears that you click on and show the Documents that authorised the changes. The Query Function is poor as it searches for ever document in the tool. There is no traceability to the number of paper copie produced and if the paper copies have been updated. When a PDF is created, is does not create a exact copy of a documents. with version or amendment histoy. **What problems is Affinitext solving and how is that benefiting you?** You can read what thre latest updated contract is. It does not integrate with other tools to manage configuration baseline.. You cannot see what the current vesrion is from the original document. Conversion of your project's contracts replicates the documents in Intelligent Document Format - so if document and revision numbers are present in the original contracts when they are executed, they will be carried across in your library - but we do not generate these numbers for the contracts ourselves. The search function works at the individual contract level, the folder level, project level, and portfolio level (should clients have multiple projects converted). We have API integration functionality also. I'd love to have the opportunity to run through your concerns on a quick call, as I'd like to hear more on your thoughts about the ISO standards you mention, and perhaps clarify how some of the other functionality works. For high volume, large scale contracts the cost can spiral too which isn't easy to anticipate at the outset. **What problems is Affinitext solving and how is that benefiting you?** Contract conformance. Our contract generates a large volume of change which would take considerable manual input to action. The search feature within the selected folder is useful. Being able to search in quotation marks. **What do you dislike about Affinitext?** - Once or twice the system has been down when I needed it. If it is planned, this should be very clearly emailed ahead of time. If unplanned, ideally there should be a backup system so that documents can still be accessed. - When searching using quotation marks, sometimes I miss the first or last quotation mark and there is a search error. The system should recognize what I am trying to search and remove quotation marks with a message like "Did you forget quotation marks?" - I get an email every single time I login to Affinitext. There is no indicator of the last updates of the information and only having 1 upload per year deems that the contract held will not be the most recent version **What problems is Affinitext solving and how is that benefiting you?** AS PFIs are large contractual documents it is not unusual that you are trying to change the contract which means that you need to look at different schedules and pieces of the contract to update the full package this is an ongoing piece of work that will continue to ensure that all stakeholders are getting full value from the contrcat. The ability to simply click a definition and be taken there is the most compelling aspect. **What do you dislike about Affinitext?** A major downside is the delays taken to update affinitext when contracts are changed and revised. I don't find this particularly user-friendly. This could be improved by simply showing the tasks to be completed rather than a list of all tasks. (This is how my screen is currently set up). **Recommendations to others considering Affinitext:** N/A **What problems is Affinitext solving and how is that benefiting you?** As noted above. Following contractual links between documents is excellent. Although the summary of remaining tasks isn't my favorite tool it does act as a reminder to check tasks are complete. ### 28. You can absolutely see a preview of your search results - when using the search on the library homepage, you can use the "+" expansion button next to any of the search results to see a full preview of that clause, with your search term hits highlighted throughout. It's intuitive to use and secure without being oppressive (sending an email when you log in without requiring 2FA). It adds features such as notes that previously meant having to print a document out and annotate by hand. **What do you dislike about Affinitext?** Sometimes the search function can take a little longer than I'd like. It is easy to search for clauses or schedules on Affinitext. The search bar is easy to use and filters through the Contract well. Furthermore the way the Contract is split up with two points of navigation either on the side or in the centre is very beneficial. **What do you dislike about Affinitext?** There needs to be more work done on the tasking of clauses and understanding for each Contract what is relevant and what is not. With the tasks created i have found that a few of them were not relevant to us as a company. We had too many client tasks that were assigned to us and we then had to manage them. Yes, there is a collaborative element where we and the client can share tasks, however i believe it would have been more effective if the Client were assigned their own tasks and then they could choose whether to share them with us or not. **Recommendations to others considering Affinitext:** I would recommend that you understand exactly what you require from Affinitext and make that clear throughout the process in order to streamline the tools provided. Another recommendation would be having a designated resource at least for the first 3 months of setting up Affinitext to help with the teams understanding of how to use it and to provide internal training. **What problems is Affinitext solving and how is that benefiting you?** I am able to capture variations using affinitext. It was very hard to track them before as the tracker we were using did not corrospond with the documents we had.
