The reporting capabilities are outstanding. We especially appreciate the ability to search and track price changes by individual item number, which has been extremely helpful for our business. Ottimate’s integration with QuickBooks and our POS platform is efficient and generally works with very few issues. Their support team is typically prompt, responsive, and makes a genuine effort to resolve any problems quickly. The AI built into the platform is also very well done. We occasionally have issues with similar items being identified incorrectly, but these instances are relatively minor and do not have a significant overall impact on our experience. We believe the pricing is fair considering everything Ottimate has to offer. We have been a client for approximately 6.5 years, and over that time, we have seen the platform continue to improve performance and evolve. The most difficult part of ottimate is the AI that picks up similar items incorrectly. We have found some work arounds for this at our company, but if I was a new onboarding company using Ottimate to export to an inventory platform, I would want to be aware of this issue. This allows multiple people on our team to be involved in pricing and vendor management at different levels of the business. I really like that the platform is very user friendly and the fact that the Support team is very prompt, knowledgeable, and attentive. I also enjoy that they consistently add upgrades the program. I dislike that some recurring invoices aren’t recorded the way they should be, even though they’re supposed to be entered every month. For example, when there’s a SPLIT invoice, I still have to add the same store locations each month. The payment feature is also very easy to use, and I like that we have multiple payment methods to offer vendors—ACH, V Card, and paper checks. The home screen is very straightforward and doesn't overwhelm the user with unnecessary information. It is easy to identify which invoices need attention and which invoices need to be approved as soon as you log in. When you are approving an invoice, the invoice page is displayed large enough that it is easily visible on the screen. I find that I can quickly review and update invoice information before I approve. Setting up approval policies and workflows was very intuitive and has been easy to manage. Right now, users are unable to move invoices that aren't theirs to the correct location/department without having access to that department. For our club, Maintenance and Building Maintenance invoices can sometimes get entered into the wrong department. To correct this, an admin (me) with access to all departments needs to move the invoice. What problems is Ottimate solving and how is that benefiting you? Plate IQ has simplified our invoice approval process at a very reasonable cost to the club. We cut our costs in half from the other program we were using, and our whole team agrees that Plate IQ is better than what we were previously using. In addition to simplifying the approval process, statement reconciliations are now a breeze with Plate IQ. You do need to wait a few months to realize the benefit of the statement reconciliation module, but once you have several months' worth of invoices processed in Plate IQ, the statement upload will quickly identify which invoices you are missing and will even prompt an email to the vendor asking for copies! We currently utilize Ottimate for AP and has made this process much smoother from getting vendors paid on time to getting approvals faster. Less emails from the group about whether or not this is approved to pay as we have a simple rhythm for who is responsible for approving different areas and it gets to the right people each time. But over all good." 4/5 What do you like best about Ottimate? The sections are well organized. What I mean by this is there is a section for invoices and then statement. I like how the AI codes both invoices and statements based off of past coding. I also like the filter system that is on the side and how you can run reports. It would be better if it was because sometimes i need to look up a email to find why we did not receive a invoice or just to go back over a vendor that usually gets coded wrong. Also i don't like how recently the invoices are divided individually which is the new update so even if it is one attachment all the pages are viewed as many invoices when it is only one. I also don't like how the ACH link is sent now before the update i was able to see the ACH link and send it to vendors now all i can do is see that it was send. I also wished that there was one more note section because some vendors only want to have checks as the payment and there really is not a place to put that note so i don't contact them again about ACH. Sometimes it can be glitchy, but I have found workarounds for certain issues. Example: it often splits multi-page invoices, and I have merge them back together. Also, sometimes it won't allow me to add line items even though the total is incorrect and I need to add something it missed. The tax slide bar has simplified and expedited the process, proving to be very helpful and a huge time-saver. The customer service team shows great attention, listens to what we ask, and involves us when trying out new software features. The new chat feature is really great, with real-time responses available when I have an issue or question. There are some issues we're working out, but I don't feel comfortable yet with complete automation for my invoices. Some things are not being picked up correctly in the invoice header and taxes must still be checked at this time. This software saves me a ton of time each day. Prior to the software, I could spend up to 2 hours inputting invoices. With Ottimate, that time has been cut down to around 10min. per day. What do you dislike about Ottimate? The only thing I dislike about this software is that it can take up to 24 hours for the invoices to be ready once uploaded. Invoices are sent or uploaded directly to the software, and the approval chain allows for quick and efficient digital review and approval, which speeds up payments to our vendors. Historical invoice information is also easily accessible for quick reference, saving time and increasing organization for tracking outstanding invoices. I like that all invoices, current and historical, are available quickly for search rather than having to pull paper invoices from a cabinet. This makes referencing past charges or historical billing information from a vendor much easier and saves a lot of time. I find the electronic approval chains especially great because they prevent lost invoices as they move from department to department. Ottimate also remembers how past vendor invoices were coded and suggests coding based on historical data, saving a lot of time and effort during the coding process. The setup and customer service were high-rated, with an easy setup process that was well-supported by the Ottimate team. Review collected by and hosted on G2.com. What do you dislike about Ottimate? Currently, I am noticing that when vendors complete invitations to enroll in ACH payments, Ottimate's backend approval process for these accounts seems to take awhile (more than the 1-2 days noted on the completed invitation). I have needed to open support tickets to check on the approval of these accounts in order to open these vendors up for electronic payment. This is an extra step that has been a little frustrating but worth it in the end. I am also noticing that the 'Bulk Action' coding of line items is a little quirky in that it seems that this action cannot be relied upon consistently to update coding for all line items on an invoice. I will select 'Bulk Action' at times and designate the coding to find that for some reason, not all line items were updated with the Bulk Action. Another area where I'm having some issues is with vendors who receive early payment discounts. Some of our vendors offer these discounts on some invoices and not others, and it seems that Ottimate cannot handle this type of arrangement - it requires manual entering of these invoices in order to accurately process the discounts. Another area that would be nice is if VendorPay payments were processed to vendors in a tighter turnaround from when they are processed through Ottimate. Currently, we process VendorPay payments on Friday and our vendors will not receive the payment until the following Thursday although the funds come out of our bank account the next business day. If there is a urgent payment we need to make, it is hard to explain to a vendor that we process a payment but it takes a few days for them to receive (whereas, if we did an ACH payment manually through our bank, the vendor would receive it next day). Finally, we have noticed that some vendors are sending over documents that Ottimate attempts to break out into multiple invoices even though they are likely one invoice - I've gone through a call with Ottimate where they have set up a Supporting Documents email address to provide to these vendors, but it has been a little extra work trying to identify these vendors and make the corrections. In the meantime, we were billed for the invoice overage from our contract as a result of this issue. Review collected by and hosted on G2.com.
